For U.S. federal tax reporting, keep a transaction-level record of every cryptocurrency acquisition, receipt, sale, exchange, fee payment, and relevant transfer, backed by exchange statements, wallet histories, confirmations, and other supporting documents. A broker’s tax form may not contain your full basis history, so you need records that let you reconstruct each event and its U.S.-dollar value.

This guide covers federal IRS guidance. State and non-U.S. rules may differ, and the appropriate tax treatment depends on the facts of the transaction.

What to record for each cryptocurrency transaction

The IRS identifies the information needed to calculate gain or loss on a digital-asset disposition: asset type, transaction date and time, units, fair market value in U.S. dollars, and basis. For an acquisition, it identifies asset type, acquisition date and time, units, and acquisition fair market value. Use one ledger row per event so you can trace how each number was determined.

  • Asset: Name or ticker; add the network or token identifier if it helps distinguish the asset.
  • Event type: Purchase, receipt, sale, exchange, transfer, fee, or another event.
  • Date and time: Preserve the timestamp and time zone shown in the source record.
  • Units: Amount acquired, received, disposed of, transferred, or paid as a fee.
  • U.S.-dollar value: Record proceeds or fair market value at the relevant time, and keep evidence for the valuation used.
  • Basis: Record the acquisition cost of units later disposed of and how you established it.
  • Costs: Record each transaction charge, its amount and currency, and how it was paid.
  • Supporting reference: Note the exchange or wallet, transaction identifier, and the filename or location of the supporting statement or confirmation.
  • Reconciliation note: Document corrections, transfers between your own accounts, and any unresolved differences.

The IRS specifies core tax fields such as asset, date and time, units, fair market value, and basis. Network identifiers, file references, and reconciliation notes are practical organizational aids, not additional items in the IRS checklist.

How to build and maintain the ledger

1. Gather records from every source

Download or preserve transaction exports, trade confirmations, account statements, wallet histories, receipts for purchases made with crypto, and fee details. Keep evidence both for what happened and for the dollar values recorded. An export from one exchange may not include activity from another exchange or a self-custody wallet, so assemble records across all accounts you used.

2. Enter each event separately

Use a row for each acquisition, receipt, disposition, fee payment, or other relevant event. When one activity creates multiple tax-relevant events—for example, paying a fee in crypto—record the fee payment separately as well as the main transaction. Link each row to its source document or transaction record.

3. Preserve the full acquisition trail

For each purchase, retain the acquisition date and time, units, U.S.-dollar value, and confirmation of the purchase. The IRS’s 2025 Form 8949 instructions state that digital-asset basis is acquisition cost, including transaction fees, commissions, transfer taxes, and other acquisition costs. Record these costs with the acquisition and keep the fee detail that supports the amount. Because these are 2025 form instructions, check the instructions for the tax year you are filing.

4. Reconcile every sale or exchange

For a disposal, capture the date and time, units disposed of, gross proceeds or fair market value in U.S. dollars, basis of the units, and related charges. Compare your ledger with broker statements and investigate missing activity or discrepancies before filing. For federal capital-asset transactions, the IRS directs sales, exchanges, and other dispositions to Form 8949 and Schedule D, subject to the applicable tax-year instructions and exceptions.

5. Keep records that explain transfers

Preserve records of transfers between exchanges and wallets, including transaction identifiers and the accounts involved. These details help you connect the same assets across your records and distinguish an internal movement from a sale or exchange. Keep the records for transfers alongside the acquisition and disposition evidence; the IRS requires sufficient records to support positions on federal returns, but does not prescribe a particular ledger or storage system.

How to record cryptocurrency fees

Record the fee amount, fee currency, how it was paid, and the transaction it relates to. Acquisition costs can affect basis: the 2025 Form 8949 instructions include transaction fees, commissions, transfer taxes, and other acquisition costs in digital-asset acquisition cost.

A fee paid in cryptocurrency can also be a separate disposition of that cryptocurrency. IRS Digital Asset FAQ 97 says that when you use digital assets to pay for transaction services, you dispose of the assets used or withheld and may recognize gain or loss. The amounts paid may also qualify as digital-asset transaction costs. Preserve the fee’s units and value, the date and time, and records supporting the basis of the crypto used; the tax result depends on the transaction’s facts.

What Form 1099-DA does—and does not—tell you

The IRS is phasing in digital-asset broker reporting. Brokers must report gross proceeds for covered transactions on or after January 1, 2025, and basis for certain covered transactions on or after January 1, 2026. In a January 28, 2026 reminder, the IRS said brokers had to furnish 2025 Form 1099-DA information by February 17, 2026, and that most 2025 forms would not include basis.

Compare each Form 1099-DA you receive with your own records. A missing basis figure does not remove the need to calculate and report applicable income, gain, or loss. Review the instructions for the relevant tax year and the specific form received; a broker statement is not a substitute for your complete acquisition and transaction history.

Keep income and other events distinct from capital-asset sales

Not every receipt of cryptocurrency is a capital-asset sale. Crypto received as wages, contractor pay, staking or mining income, rewards, or business receipts may require records and reporting beyond capital gains. Keep the receipt date, units, U.S.-dollar value, source, and supporting statement or payment record so the event can be classified appropriately. The IRS distinguishes capital-asset dispositions from ordinary income and business activity; the applicable form depends on the transaction’s character.

Why complete records matter

The IRS says: “If you had digital asset transactions, you must report them whether or not they result in a taxable gain or loss.” Its recordkeeping guidance calls for records that document purchases, receipts, sales, exchanges, other dispositions or transfers, and the fair market value of digital assets received as income or business payment. Keep supporting documents with the ledger so you can explain the figures and positions reported on a federal return.

A spreadsheet or paper ledger can organize this information, but the IRS does not endorse a particular product, and a ledger alone does not establish every tax position. For complex activity or uncertain treatment, consult a qualified tax professional.
