Use Messages for project-wide conversations, Comments on a Specs & Selections item for a specific choice or specification, and the Job Log for site updates. Set notifications for the people who need to act, choose client visibility deliberately, and document any choice you enter after receiving a client’s instruction.
Choose the right CoConstruct channel

Set communication expectations at project start
Show clients where project updates appear, how they can respond, and which items need timely decisions or approvals. Agree on a practical routine for checking messages and selections so a request does not sit unnoticed. CoConstruct recommends consistent system use and reviewing communication activity as a cue for follow-up; treat that as vendor workflow guidance, not proof of a particular project outcome. Use Messages for project-wide conversations
Start a Message when the topic concerns the project overall rather than one selection or specification—for example, coordinating a meeting or following up on a proposal decision. Attach the relevant file or photo to the conversation, and alert or @mention the people who need to see it. CoConstruct’s help article says clients can reply to a notification email and have the response recorded in the system; because that article is dated September 29, 2020, confirm that the behavior still applies to your account.

Keep selection and scope discussions with the item
For a question about a particular finish, fixture, specification, or other selection, open Comments on that item in Specs & Selections rather than starting a general project thread. The item-level thread keeps the context alongside the choice and can include the relevant client or trade partner. Attach supporting information and use an alert or @mention when someone needs to respond. CoConstruct’s Specs and Selections overview and client-view guidance provide further detail.

Record site updates in the Job Log
Use Job Log entries for routine project activity such as progress, deliveries, work, site visits, and issues. Before sharing an entry, review its client visibility and the photos attached to it. CoConstruct’s Job Log guidance says clients can view notes and weather that are shared with them, but cannot enter Job Log notes or data themselves; the described sharing workflow requires client login access. The article is dated November 30, 2020, so check current account access and behavior rather than relying on historical plan descriptions.
Configure notifications for useful attention, not noise
CoConstruct’s November 30, 2020 notification guidance describes instant alerts for new comments, messages, questions, change orders, selection choices, and file or photo uploads, as well as configurable summary emails. It describes daily summaries Monday through Saturday, weekly summaries, or disabling summaries. These details may not reflect current settings or entitlements, so verify the available controls in your live account before establishing a team routine. - Use direct alerts for messages or decisions that require prompt attention.
- Use summaries for updates recipients can review in a batch.
- Check who is included and whether an item is shared before assuming a client or trade partner has been notified.
Document client instructions when you enter a choice
If a client gives a selection instruction by phone or in person and you enter the choice, add a comment on the selection item stating who gave the instruction and when. CoConstruct’s September 29, 2020 guidance says the change log attributes the choice to the logged-in user who entered it—not to the client. Use the project’s selection status, Job Log activity, and client messages or comments to spot items that may need attention. CoConstruct’s Performance View guidance recommends watching these signals and nudging clients who are not engaging with needed updates or approvals. Treat activity as a prompt to follow up, not as a substitute for direct contact or confirmation that a client has seen or approved something.

Check current access before relying on a feature
Several cited CoConstruct help pages date from 2020 and include plan-specific statements about client logins, Job Log sharing, and notification availability. Those historical descriptions do not establish today’s plan names or entitlements. Check your current account and product documentation for access, settings, and client visibility before promising a workflow to clients.
