Build the index with Excel’s Power Query folder connector, load the returned file metadata into a table, and refresh that query whenever the folder changes. Generate each clickable link from the refreshed Folder Path and Name columns rather than typing permanent paths. This keeps additions, renames, moves within the scanned tree, and deletions reflected after a successful refresh.
The setup differs by storage location and Excel host: desktop Excel can open local and UNC paths, while Excel for the web requires web URLs. A folder root that itself moves must be changed in the query before refresh can work.
What an up-to-date Excel file index actually does
A Power Query folder inventory reads the files that exist under a selected folder and returns one row per file with properties such as name, path, extension, file type and modified date. Microsoft documents that the Folder connector includes the selected folder’s subfolders. Microsoft’s Folder connector documentation explains how to load the listing instead of importing every file’s contents.
The worksheet is therefore a refreshed snapshot, not a live filesystem monitor. A file added, renamed, moved or deleted after the last refresh does not change the table immediately. Refreshing reruns the folder query and replaces the old metadata with what the source currently returns. A link assembled from old path values can remain stale until that refresh succeeds.

For a catalog, choose the connector’s Transform Data route and load the file listing itself. Do not use Combine unless the purpose is to extract and consolidate data from the files. Combining invokes content transforms and imposes format and structure requirements that a metadata-only index does not need.
Choose the right storage and Excel platform

Power Query is available across Excel for Windows, Mac and the web, but connector and refresh behavior can vary by host, account, deployment and storage location. Microsoft’s feature overview describes those differences in About Power Query in Excel. Confirm the connector and refresh options in the environment that will own the workbook.
Build a local or network file index
1. Connect to the folder
- Open the workbook in desktop Excel.
- Select Data > Get Data > From File > From Folder.
- Browse to the folder that should define the index. Use a stable local path or a UNC path for a network share, and select Open.
- When Excel shows the preview, choose Transform Data, not Combine. The Power Query Editor will display the file listing.
The query’s folder input must be an absolute path. The underlying Folder.Files function returns one row per file in the specified folder and its subfolders, along with file properties and a content link. Its documented behavior is described at Folder.Files.

2. Limit the inventory to the files you intend to track
Folder queries include subfolders, so an apparently narrow selection can produce a broad inventory. In Power Query, filter the columns before loading:
- Extension: keep only types such as
.xlsx,.docxor.pdf. - Folder Path: retain one subfolder or a defined branch when the root contains unrelated material.
- Name: exclude temporary files, lock files and known system artifacts.
- Date modified: use a date condition when the index is intentionally limited to recent files.
Keep the metadata columns that answer your search questions. A practical minimum is Name, Folder Path, Extension, Date modified and Type. You can remove the binary Content column for a lighter metadata-only result, provided no later step needs to open file contents.
3. Load the result as a worksheet table
- In Power Query Editor, select Home > Close & Load To….
- Choose Table and load it to a new or existing worksheet.
- Give the resulting Excel table a meaningful name, such as
FileIndex, so formulas and documentation remain understandable.
The rows now represent the state of the source at the time of the last refresh. Sort and filter the table in Excel, or add formulas and pivot tables that use the metadata columns.

4. Add a clickable link column
Insert a calculated column in the loaded table and use the current path and name fields:

=HYPERLINK([@[Folder Path]]&[@Name],[@Name])
Adjust the structured references if Power Query assigned different column names. The path separator is normally already present in the connector’s Folder Path value; if your output does not include it, concatenate the required separator for that environment. Test several rows, including a file in a subfolder and a filename containing spaces.
Microsoft describes HYPERLINK as creating a shortcut to another workbook location or opening a document on a network server, intranet or the Internet. Its destination can be a local disk or UNC path in Excel for Windows. See the HYPERLINK function documentation.
5. Check the result before distributing it
- Click a link to a file in the root folder.
- Click a link to a file in a returned subfolder.
- Rename or move a test file inside the scanned tree, refresh, and confirm that its row now contains the new name and path.
- Delete a test file, refresh, and confirm that its row disappears.
- Close and reopen the workbook to make sure the table and links remain usable.
Refresh the index after files change
Manual refresh
For an on-demand update, select Data > Refresh All. Refresh All is useful when the workbook contains more than one query or external connection; it updates the complete set rather than only the selected table. Microsoft’s procedure for refreshing external connections is at Refresh an external data connection in Excel.
Refresh when the workbook opens
- Select Data > Queries & Connections.
- In the Connections area, right-click the relevant connection and choose Properties.
- On the Usage tab, enable the option to refresh data when opening the file.
- Save the workbook and test the behavior after closing it completely.
The exact dialog wording can vary by Excel version. Opening refresh still requires the source to be reachable and credentials to be valid.
Timed refresh while the workbook is open
In the same connection properties, enable a refresh interval and enter the interval supported by your Excel deployment. This is not a background file-watching service: it runs only while the workbook and its host support the connection refresh. A sleeping computer, closed workbook, unavailable network share or expired sign-in can prevent the update.

Understand what a refresh can and cannot repair
- File moved within the queried tree: refresh captures the new folder path and the formula rebuilds the link from the new values.
- File renamed within the queried tree: refresh returns the new name.
- File deleted: the row is removed on a successful refresh.
- Root folder moved or renamed: change the query’s source path first; the old root cannot be scanned.
- Refresh has not run or failed: the table and its hyperlinks still contain the previous snapshot and can point to old locations.
This behavior follows from the path-based source and from HYPERLINK using the text supplied to it. A hyperlink does not search for a moved file by itself.
Use SharePoint when the files live in Microsoft 365
Connect to the SharePoint location
- In desktop Excel, select Data > Get Data > From Online Services > From SharePoint Folder (the exact menu grouping can vary by version).
- Enter the SharePoint site URL, not a link copied to an individual file.
- Authenticate with an account that can read the site and document library.
- Choose Transform Data and filter Folder Path to the document-library branch you want.
- Keep the file metadata, load it as a table, and create links from the SharePoint URL fields returned by the query or from a verified web URL column.
Microsoft’s SharePoint Folder connector documentation states that read access is needed for the site, document library and each folder leading to the requested file. A user who can open the workbook but cannot read the source will not be able to refresh it successfully.
The connector documentation also warns that filenames containing #, % or $ can cause authentication errors in some circumstances. If a refresh fails only for certain files, check those names and the account’s permissions before rebuilding the query.
Use browser-safe hyperlinks
Excel for the web accepts web addresses as HYPERLINK destinations. Use the file’s SharePoint URL, rather than a path such as C:Users… or a mapped drive letter. A browser user may have no access to the local path, even when the desktop author does.
Desktop Excel versus Excel for the web
Desktop Excel on Windows can open local and UNC file links when the operating system and the user’s permissions can reach the destination. Excel for the web is different: Microsoft specifies that the HYPERLINK function is valid for web addresses only. Consequently, a local path is not a portable link for a workbook shared through a browser. Use a SharePoint or other reachable HTTPS URL for browser access, and ensure the recipient is authorized to open it.
Power Query support and refresh controls also depend on the Excel host. A workbook authored on desktop may contain a connector or refresh option that is unavailable, restricted or differently implemented in another host. Test the complete workflow—including refresh and link clicks—in the platform your readers will use.

Metadata index or content consolidation?

Microsoft’s folder-import guidance recommends a dedicated folder for combine operations and filtering out extraneous files before combining. For an index, the same filtering discipline prevents noise, but identical content schemas are not a requirement because you are not consolidating the binaries. Fix the most common failures
The index contains files from unexpected subfolders
The connector scans subfolders by design. Filter Folder Path in Power Query to the intended branch, or select a narrower root. Do not delete rows manually in the worksheet: the next refresh will recreate them.
Links show old locations after a move
Run Data > Refresh All and verify that the query completed without an error. If the root folder changed, edit the source step in Power Query and replace the old absolute path. Recheck the generated link after the table updates.
A link returns an error when clicked
Excel reports an error when the destination does not exist or cannot be navigated. Confirm the path text, separator, spelling and the user’s permissions. For a browser workbook, replace local or UNC text with a valid web URL. Also check whether the file was moved again after the last refresh.
Refresh fails for colleagues
Every refresh host needs access to the source and valid credentials. A mapped drive letter that exists on one computer may not exist on another; a UNC path or SharePoint source can be easier to standardize, but permissions still apply. Microsoft advises ensuring colleagues have the required data-source permissions in its external-connection refresh guidance.

Recreate or edit the query so that it loads the listing itself. Choose Transform Data at the connector preview, remove the content-combining steps, and retain metadata columns. Combine operations are appropriate only when you need a consistent transformation of file contents.

Timed or opening refresh does nothing
Check that the workbook is actually opening in a host that supports the connection, the source computer or network is reachable, credentials have not expired, and the connection property is enabled. Automatic refresh is conditional; it is not guaranteed when the workbook is closed or the source is offline.
Design the index for reliable maintenance
Keep paths stable
Choose a root folder whose location is unlikely to change. If a departmental share is reorganized, plan to update the source path as part of the move rather than expecting the old query to discover the new root.
Separate source, query and presentation
Use the Power Query output as the authoritative table, then place user-facing formulas, filters, pivots or dashboards on separate sheets. This reduces the chance that someone overwrites query-managed cells and makes a refresh easier to diagnose.

Record which computer, account or service identity is expected to refresh the workbook, especially for network and SharePoint sources. A workbook shared with a team can otherwise appear broken simply because the person opening it lacks the source permission.
Keep links derived, not typed
Build the hyperlink from the current path and name columns every time. Avoid maintaining a second manually edited path list: it will diverge from the query after the first rename or move.
Use a small test set after structural changes
- One file in the root.
- One file in a nested folder.
- One recently renamed file.
- One deleted file that should disappear.
- One file opened by a typical end user, not only by the author.
Testing these cases after changing the root, connector, credentials or link formula catches most deployment errors before the index is relied on.
Version and deployment considerations
Microsoft’s refresh documentation covers Excel for Microsoft 365 and Excel 2016, 2019, 2021 and 2024, while connector availability and automatic-refresh behavior can differ by platform and update channel. Check the version, account type, operating system and storage location of the intended users rather than assuming that a feature visible in one Excel installation is identical everywhere.

When a team needs a browser-first index, design around web URLs and a web-accessible source from the start. When the requirement is a local or network catalog used on managed Windows computers, desktop Excel with the Folder connector and UNC or local links is generally the more direct arrangement.
A practical operating routine
- Store files under a documented root that the refresh owner can access.
- Refresh the query after additions, renames, moves or deletions; use Refresh All when the workbook has multiple connections.
- Check the query status and scan for an error before trusting the hyperlinks.
- Filter the table by path, extension or modified date to locate the expected change.
- Open representative links from the same Excel host your users will use.
- When the root location changes, update the source path and test credentials before sharing the workbook again.
With this arrangement, Excel remains a searchable directory whose rows and links are regenerated from the current folder state. The refresh operation—not the hyperlink formula alone—is what keeps the index aligned with files that move or change.
