To keep confidential notes out of cloud AI services, disable the specific AI feature or workspace control, verify where each feature processes data, and do not test an undocumented feature with real secrets. Treat note text, prompts, summaries, transcripts, and microphone audio as separate data flows. “No model training” or “short retention” does not mean processing happens on your device.
Start with the exact AI action
An AI note app may offer summarization, semantic search, rewriting, meeting recording, speech-to-text, or a voice assistant. Those functions can use different services and permissions. A privacy label for the app as a whole cannot tell you whether one particular action uploads your notes.
Write down the precise action you want to restrict, then check its documentation and settings on the exact device, operating-system version, account type, region, and subscription plan you use. A desktop editor, mobile recorder, browser extension, and organization-managed account may follow different paths.

If the documentation does not clearly describe the route for a sensitive feature, leave that feature off and use ordinary text entry or a non-AI workflow.

Disable AI at the app or workspace level
Notion AI Meeting Notes
Notion’s help documentation says AI Meeting Notes uploads mobile recordings to Notion servers, sends audio to subprocessors for live transcription, and is not supported offline. A workspace owner can disable AI Meeting Notes in workspace settings. Review the current Notion AI Meeting Notes documentation for the label and location used by your plan and platform.
Disabling the meeting-notes feature does not automatically answer how other Notion AI actions handle text, search, or connected services. Check those features separately in Notion’s AI security and privacy documentation, and review any workspace sharing or web-search controls.
Nota
Nota’s published policy says users can disable AI processing under Settings > Privacy & Permissions. That is the vendor’s stated control; it is not an independent verification of network behavior. After changing it, confirm which actions are disabled and whether previously submitted content remains in the account.

Microsoft documents an organization control named connected experiences that analyze content. When an organization turns that category off, Microsoft says Copilot features are unavailable in OneNote and the other listed Microsoft 365 applications. Administrators should apply the policy to the relevant tenant and verify the effect on the current supported versions. The documented trade-off is that disabling the analysis-based connected experiences also removes those Copilot capabilities. See Microsoft’s Copilot privacy and security documentation.
Other applications
Look for settings named AI, copilot, assistant, meeting notes, transcription, connected experiences, cloud processing, or privacy permissions. A global “allow AI” switch may not cover dictation, plugins, browser integrations, or an operating-system assistant. If there is no clearly documented off switch, remove the sensitive workspace from AI-enabled accounts or use a separate non-AI account and device profile.
Determine where processing occurs
Ask the vendor to identify the processing location for the exact feature, not merely the app’s general privacy posture. The relevant possibilities are:

- On-device processing: the model and data remain on the device for that operation, subject to local backups, synchronization, and diagnostic settings.
- Vendor cloud processing: note content or audio is transmitted to the app provider’s infrastructure.
- Outside AI subprocessors: the vendor forwards data to another company for transcription, inference, storage, or safety filtering.
- Hybrid processing: some stages run locally while others use a remote service.
Apple describes a hybrid model for Apple Intelligence: “When you make a request, Apple Intelligence analyzes whether it can be processed on the device or if it requires Private Cloud Compute.” Read the full explanation in Apple’s Privacy—Features documentation. Consequently, an “on-device” capability may still send particular requests to Apple’s Private Cloud Compute service.
Check audio and dictation independently
Voice capture is often the least visible upload. Apple’s documentation explains that device indicators show whether Siri or Dictation is processed on-device; otherwise, audio or dictation is sent to Apple servers. It also describes controls for disabling Siri and Dictation and managing app integrations. Use Apple’s Siri, Dictation & Privacy documentation and inspect the settings on each device that can record.
A text-only note may therefore stay local while tapping a microphone sends raw audio to a server. Disable microphone access for the note app when recording is unnecessary, and do not assume that deleting the transcript also deletes the original audio.
Audit retention, deletion, and model-training terms
Processing location is only one privacy question. For each transmitted item, record four separate answers:
- What is transmitted: audio, transcript, selected text, the entire note, prompts, attachments, metadata, or generated output?
- Who receives it: the app vendor, an AI subprocessor, a transcription provider, a cloud-storage provider, or an organization administrator?
- How long is every copy kept, including temporary caches, backups, logs, and human-review queues?
- What does deletion remove, and are there legal, security, or backup exceptions?
Then check whether the content is used to train or improve a model. A statement that a provider does not train on customer data does not prove local processing, immediate deletion, or the absence of subprocessors.

Examples of vendor-specific statements
Notion describes temporary audio retention and deletion behavior for AI Meeting Notes in its feature documentation. The exact retention period and deletion conditions are tied to that feature and can change, so read the current Notion help page before enabling it.

Otter says its AI service providers do not store API-submitted customer data and do not use it to train those providers’ models. This is a vendor policy statement for the described API arrangement, not a general guarantee for every Otter feature, account type, or integration. See Otter’s privacy and security page.
Separate AI privacy from synchronization and sharing
Turning off AI does not make a note private. Cloud synchronization, shared workspaces, connected calendars, collaboration links, exports, crash reports, and device backups can still copy sensitive content. Audit those systems independently.
- Remove confidential pages from shared workspaces and revoke old guest or public links.
- Review connected accounts, calendar integrations, email imports, and automation services that can read notes.
- Check whether mobile and desktop clients keep offline copies and whether those copies are encrypted by the operating system.
- Review cloud backup and export destinations, including personal accounts on organization-owned devices.
- Use the narrowest workspace permissions and separate personal, team, and regulated information.
The available documentation does not establish a universal synchronization setting or encryption property for all AI note applications. Verify those details for your product rather than inferring them from an AI privacy statement.
Organization controls and administrator checks
Organizations should enforce policy centrally instead of relying on every employee to find a personal toggle. Inventory which note applications, browser extensions, mobile clients, and meeting bots are approved. Then map each AI action to its data recipients, retention, and administrative switch.
Microsoft environments
Use the connected-experience policy described in Microsoft’s documentation to disable Copilot where content-analysis features are not permitted. Test OneNote and the other listed Microsoft 365 apps after the policy propagates; Microsoft states that Copilot features will not be available when the relevant connected experiences are disabled.
Notion environments
A workspace owner can disable AI Meeting Notes. Enterprise customers can also use data-loss-prevention alerts through third-party integrations, as described in Notion’s security and privacy documentation. DLP alerts complement, rather than replace, feature-level restrictions and workspace permission reviews.

Document an exception process
Require a written decision before enabling an AI feature for regulated or confidential material. The record should identify the feature, platforms, data classes, processors, regions, retention, deletion method, and responsible administrator. Recheck the decision after app updates or plan changes because labels and defaults can change.

Use a safe verification procedure
Do not experiment with a client secret, medical record, legal document, source code, or unreleased business plan. Verify behavior with harmless text only after reading the vendor’s documentation.
- Choose a non-sensitive test note. Use invented names and facts that have no business or personal value.
- Record the baseline. Note the app version, device, operating system, account plan, network, and enabled integrations.
- Inspect settings first. Capture the current AI, microphone, dictation, connected-account, and synchronization choices.
- Run one feature at a time. Test summarization, search, transcription, and voice commands separately so their data paths are not confused.
- Check the result and account history. Look for uploaded recordings, transcripts, activity logs, exports, or retention controls documented by the vendor.
- Revoke and delete. Remove the test note, recording, transcript, and generated output using the documented deletion process.
- Stop when documentation is ambiguous. Do not escalate to a real sensitive note merely because a test appears harmless.
This procedure is a configuration check, not an independent security audit. A normal-looking interface cannot prove that no telemetry, cache, or subprocessor received data.

When evaluating two applications, compare the same feature on the same platform rather than assigning one privacy score to each app.

What “offline” and “on-device” really mean
Offline support is feature-specific. Notion explicitly states that AI Meeting Notes is not currently supported while offline. A note editor may still let you type without a connection while its summarizer, transcription engine, or semantic search waits for a server.
“On-device” can also describe only one stage. An audio recorder might capture locally, upload for transcription, and download a transcript; a summarizer might then send that transcript elsewhere. Ask about the complete chain from capture through deletion, not just the model named in a marketing description.

Common failure modes and safer alternatives
“I turned off training, so the note is local.”
Training and processing are different. A provider can decline to train on your data while still sending it to a cloud model for inference. Require an explicit processing-location statement.
“I only dictated a sentence.”
Raw audio may be transmitted even when the saved result is text. Disable dictation or microphone access for confidential work unless the audio path is acceptable.
“The app says it deletes recordings.”
Clarify whether deletion covers source audio, transcript, summary, logs, backups, and subprocessor copies. Keep the qualification attached to the specific feature’s policy.

Test each action separately. Notion’s documented meeting-notes feature, for example, is not supported offline.
“A personal setting protects the whole team.”
Individual settings do not replace workspace or tenant controls. Administrators should disable prohibited features centrally and verify the resulting loss of functionality.
“A privacy policy covers every product feature.”
General policies often describe categories of processing, while feature help pages reveal the actual audio, transcription, or subprocessor path. Read both and match them to the exact plan and platform.
A practical decision rule for sensitive notes
Use AI only when you can answer all of these questions in writing: what leaves the device; where it goes; which subprocessors receive it; how long every copy remains; whether it is used for training; how deletion works; who can administer or share it; and whether the feature works without a network. If any answer is missing or unacceptable, keep the feature disabled and use local, non-AI editing.
