The reliable way to integrate e-invoicing is to connect a compliant, structured-invoice workflow to your accounting or ERP system—not merely email PDF files. Start by identifying the countries and transaction types involved, then confirm the required syntax, tax rules, identifiers and network. Next, check what your current software can actually send, receive, convert and report. If it is insufficient, choose between a provider API or access point, an invoice portal, or an operated network service. Finally, map every required field, test the complete message lifecycle and monitor exceptions after launch.

Because mandates and deadlines differ by country, there is no universal configuration. The European Commission’s 2026 ICT Standardisation Rolling Plan defines e-invoicing as issuing, sending and receiving an invoice in a structured electronic format that permits automatic processing. A PDF may be useful as a visual rendering, but it is not, by itself, the structured data exchange many authorities require.

What an e-invoicing integration actually does

An integrated e-invoicing process takes transaction data already held in your accounting or ERP system, validates it against the applicable rules, converts it into the required structured format, sends it through the approved network, receives acknowledgements or responses, and posts incoming invoices into your systems. It should also preserve an audit trail and support correction, rejection, duplicate detection and reconciliation.

The European Commission’s 2026 description uses Directive 2014/55/EU as its reference: e-invoicing is the process by which an invoice is issued, sent and received in a structured electronic format allowing automatic and electronic processing. EN 16931 provides a semantic model for core invoice information. A country or network can add a Core Invoice Usage Specification (CIUS) or an extension, and Peppol BIS is a CIUS of EN 16931-1. Consequently, “supports e-invoicing” is too vague to approve an implementation. You need the precise standard, profile, network and business functions for your jurisdiction.

1. Establish the compliance target before choosing software

Write down the compliance target for each legal entity and flow before comparing products. Requirements can differ for domestic and cross-border invoices, business-to-government (B2G) and business-to-business (B2B) transactions, credit notes, self-billing, imports and exports.

Identify the jurisdictions and transaction types

  • Countries where the supplier and customer are established, registered or required to report.
  • Whether the flow is B2G, B2B, B2C, or a combination.
  • Tax-clearance, near-real-time reporting or other submission obligations.
  • Required supplier, customer, legal-entity and public-sector identifiers.
  • Retention, archiving, language, currency and audit requirements.
  • The authority’s implementation date and any phased turnover or sector thresholds.

Verify each item with the relevant tax authority, procurement authority and current standard. Do not use another country’s timetable as a proxy. For example, the Spanish State Tax Administration Agency’s 2026 VAT manual describes a conditional schedule in which a group with more than €8 million in operations in the immediately preceding calendar year would be subject to application 12 months after the relevant ministerial order takes effect, while other business owners and professionals are listed at 24 months. The manual says the order was still under review, so these are not fixed calendar deadlines as of that source.

Define the required message and response standards

Record the exact invoice syntax or profile, not just a brand name for the network. List mandatory core elements, country-specific extensions, tax categories and rates, payment information, references and response messages. Ask whether the authority requires clearance before delivery, reporting after delivery, or both.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Audit your current accounting or ERP package

Begin with the package you already operate. The Netherlands Peppol Authority warns that not every ERP or accounting package offers the same Peppol functionalities, so a product appearing in a directory is not proof that your edition, country localization or release can perform the required work.

Questions for your software supplier

  1. Which exact product, edition, release and country localization are supported?
  2. Can it send compliant invoices and credit notes through the required network?
  3. Can it receive invoices and place them in the correct approval or posting workflow?
  4. Does it support invoice responses, delivery statuses, rejections and corrections?
  5. Can it carry optional but operationally important data such as purchase-order, contract, project or delivery references?
  6. Which functions are included in the licence, and which require an add-on, implementation service or per-document charge?
  7. Does the vendor operate the connection, use a service provider, or require you to contract separately?
  8. What are the supported countries, currencies, tax rules and archival options?

Request a written feature matrix for the exact version in production. Confirm whether the feature is available now or merely on a roadmap. Ask for limits on volume, file size, attachments, response types, API calls and retention.

Separate sending, receiving and response capability

Outbound and inbound e-invoicing are different projects. An organization may be able to send but not receive, or receive invoices without automatically matching them to orders and receipts. “Extended” fields and invoice responses may also be separate capabilities. The Netherlands Peppol Authority’s software-provider guidance distinguishes basic and extended send/receive functions and invoice responses; use the same distinction in your requirements.

3. Choose the connection route

There are four practical routes. Select one per workflow if necessary; a company can use native integration for one legal entity and a portal for a low-volume exception without forcing every process into one channel.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Route Best fit Questions and trade-offs
Native ERP or accounting connection The current package already supports the required standard, network and workflow. Is it included for your country and edition? Are receiving, responses, extended fields and archival covered? What connection or usage fees apply?
Provider API or access point Automated, system-to-system exchange and moderate to high document volume. Does the provider offer only network connectivity, or also conversion, validation and enrichment? How are errors, credentials, availability and support handled?
Invoice portal Low volume or situations where staff can transfer invoices manually. How much rekeying or upload work is required? Can it receive invoices and return statuses? Does it support all entities and transaction types?
Operate the network service yourself Organizations with specialist integration, security and operations teams. What membership, certification, security, monitoring and support obligations apply in the target jurisdiction? Can technical operations be outsourced while you retain the required provider status?

Native integration

This is usually the first route to investigate because invoice data remains in the system that creates and posts it. Confirm that the native feature covers the required geography, network and response lifecycle. A low advertised price may exclude receiving, implementation, additional legal entities or per-document charges.

Provider API or access point

An API or access point is appropriate when the ERP must exchange documents automatically. The Netherlands Peppol Authority states that software can connect to the Peppol network through an API connection from a service provider. That statement describes the Dutch authority’s route; verify the equivalent requirements where you operate.

Do not assume the provider converts your data. Some services supply connectivity only. Others transform ERP payloads, validate business rules or enrich optional fields. Put the conversion boundary in the contract and solution design: identify the system of record, the input format, the output profile, the validation owner and the party responsible for correcting mapping errors.

Portal connection

A portal can be sensible when invoices are infrequent and staff can upload or enter them. The Dutch authority’s Supplier Portal example uses fewer than 10 invoices per month, no receipt of e-invoices and invoices only to central government. That is a narrow example, not a universal threshold or a rule for other countries. A portal becomes risky when staff must rekey many lines, when inbound approval is required, or when multiple entities and currencies are involved.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Operating a service yourself

A software supplier may become a Peppol service provider or outsource technical management while retaining provider status. The Dutch guidance refers to OpenPeppol membership and Netherlands Peppol Authority requirements, including ISO 27001 and PASR, for the described provider route. Treat these as jurisdiction-specific conditions, not a global checklist. Obtain current requirements from the authority in each country.

4. Decide who converts ERP data into the required format

Data conversion is an explicit responsibility, not an assumption. Your ERP may export a proprietary record, CSV, JSON or XML document while the network requires a particular structured invoice profile. The integration must map, validate and serialize the fields correctly.

Define the conversion boundary

  • Source: the ERP or accounting tables and the transaction that owns each value.
  • Transformation: the mapping, code conversion, calculation and enrichment needed for the target profile.
  • Validation: syntax, business rules, identifiers, tax totals and network checks.
  • Transmission: the access point, authentication, routing and delivery response.
  • Correction: who changes master data or transaction data when validation fails.

A connectivity-only provider may reject an invalid document without fixing it. A conversion service may accept a simpler payload but still require you to supply accurate tax and customer data. Document this distinction in your architecture diagram and service agreement.

5. Build a field-level data map

Create a field-by-field mapping before development. Keep core requirements separate from optional fields and country-specific extensions; not every item below is mandatory in every jurisdiction or standard.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Data area Mapping questions
Parties and identifiers Which legal entity, tax identifier, endpoint identifier, customer identifier and address are authoritative? How are public-sector routing identifiers stored?
Document type How are invoices, credit notes, debit notes, self-billing documents and cancellations represented?
Dates and references Which fields hold issue date, due date, purchase order, contract, project, delivery and prior-invoice references?
Lines and pricing How are quantities, units, item identifiers, descriptions, discounts, charges and prices represented?
Tax How are tax categories, rates, exemptions, reverse charge and jurisdiction-specific codes mapped?
Totals and payment How are net, tax, gross, rounding, payment means, account identifiers and remittance references calculated?
Attachments and extensions Are supporting documents allowed, and how are optional business fields carried without violating the target profile?

Specify the source of truth for every value. For example, a tax rate should not be independently recalculated by three systems. Define rounding precision, currency conversion timing, missing-value behavior, allowed code lists and the process for changing a mapping when the authority updates its profile.

6. Implement the complete invoice lifecycle

Transmission is only one step. Design the states and ownership for every message.

  1. Create: an approved transaction in the ERP produces an invoice or credit note with a stable internal identifier.
  2. Convert: the integration maps the source record into the required structured syntax and profile.
  3. Validate: syntax, business rules, identifiers, tax calculations and duplicate controls run before submission.
  4. Transmit: the document is routed through the chosen network connection and receives a technical acknowledgement.
  5. Process responses: delivery, acceptance, rejection or status messages update the ERP and alert an owner.
  6. Receive: inbound invoices are authenticated, validated, linked to a supplier and routed to approval.
  7. Post: approved invoices create accounting entries, tax records and payment obligations.
  8. Reconcile and archive: match invoices to orders, receipts, payments and retained evidence under the applicable rules.

Use an exception queue rather than silently dropping failed messages. Every error should show the document, failed rule, responsible team, correction action and resubmission status. Prevent duplicate posting by combining source invoice identifiers, supplier identifiers and controlled retry logic.

7. Pilot before broad rollout

A pilot is prudent because standards, functions and local rules vary. It should test representative business cases rather than a single successful invoice.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Domestic and cross-border customers where applicable.
  • Standard invoices, credit notes and corrected invoices.
  • Multiple tax categories, exemptions, reverse-charge cases and currencies.
  • Purchase-order and non-purchase-order invoices.
  • Inbound invoices requiring approval, matching and rejection.
  • Missing identifiers, invalid tax data, duplicate submissions and network outages.
  • Technical acknowledgements, business responses and unresolved statuses.

For each case, compare the structured payload with the source transaction and with the rendered view used by staff. Confirm that totals, tax, references and payment data remain identical. Record who fixes master data, who resubmits a corrected document and how an auditor retrieves the original payload, responses and posting record.

8. Compare providers and routes on the right criteria

Use a weighted comparison rather than selecting the first product that displays a network logo.

Decision axis Questions to answer
Jurisdiction and standards Which country, transaction type, syntax, profile, identifiers and tax/reporting rules are covered?
Function coverage Can the route send and receive? Does it handle extended fields, credit notes, statuses and invoice responses?
Data transformation Who maps ERP data, validates it, converts codes and enriches optional fields?
Automation and volume What monthly and peak volumes are expected? How much manual upload or rekeying is acceptable?
Integration scope Is the option native, API-based, portal-based or an operated service? Which systems and workflows are included?
Cost What are connection, subscription, per-document, receipt, implementation, support, storage and additional-entity charges?
Governance and security Which party operates the access point, stores data, manages credentials, monitors failures and meets local qualifications?

Obtain current, written pricing and feature terms. Connection and usage costs vary by package and provider, and a portal’s low entry price may conceal manual labor. No vendor-neutral source establishes a reliable industry average for savings, failure rates or deployment time, so do not use an unsupported percentage or timeline in your business case.

Common integration mistakes and fixes

Assuming a PDF is an e-invoice

Symptom: staff email PDFs and expect automatic posting. Fix: identify the required structured syntax and network, then generate that data from the ERP. A PDF can remain a human-readable rendering if the local rules permit it, but it does not replace structured exchange.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choosing a provider by network connectivity alone

Symptom: documents reach the network but fail validation or require manual correction. Fix: determine whether the provider converts, validates and enriches data, and assign ownership for each failed field.

Using 2 holes wire tray saves extra space, helps you easily cabling and wire protection. The mesh design is not easy to accumulate dust, but avoids safety accidents caused by messy wires.

Checking only outbound sending

Symptom: outgoing invoices work while supplier invoices still arrive by email and are rekeyed. Fix: specify receiving, approval, posting, response and reconciliation requirements separately.

Using another country’s deadline

Symptom: a project is scheduled around a foreign mandate date. Fix: confirm the legal entity’s obligations with the relevant authority and check whether thresholds, ministerial orders or sector phases alter the date.

Ignoring master-data quality

Symptom: repeated rejection for endpoint identifiers, tax codes or addresses. Fix: cleanse supplier and customer master data, validate identifiers before invoice creation and assign an owner for updates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Posting retries as new invoices

Symptom: a timeout causes duplicate invoices or duplicate accounting entries. Fix: use idempotent message identifiers, retain transmission status and reconcile retries against the original document.

Operational controls after go-live

Assign named owners for compliance, ERP configuration, provider operations, tax, accounts payable and accounts receivable. Monitor at least:

  • Invoices created, submitted, accepted, rejected and pending by entity and route.
  • Validation failures grouped by field and root cause.
  • Duplicate attempts and unmatched inbound invoices.
  • Response latency, network outages and authentication failures.
  • Invoices requiring manual portal intervention.
  • Changes to standards, profiles, tax codes and authority deadlines.

Review the mapping and local requirements whenever you add an entity, country, tax treatment, transaction type or ERP release. Retain the structured invoice, rendered representation, acknowledgements, business responses, correction history and posting link for the period required by the applicable law.

A concise implementation checklist

  1. List every country, legal entity, customer type and transaction flow.
  2. Confirm the applicable authority, standard, profile, identifiers, tax rules and deadline.
  3. Document required send, receive, response, extension and archival functions.
  4. Audit the exact ERP/accounting edition, release and localization.
  5. Compare native integration, provider API/access point, portal and operated-service options.
  6. State explicitly who converts, validates, enriches and corrects data.
  7. Complete a field-level map with code lists, rounding and exception ownership.
  8. Build outbound, inbound, response, approval, posting and reconciliation states.
  9. Pilot normal, tax, credit-note, cross-border and failure cases.
  10. Obtain current costs and support terms, then launch with monitoring and a controlled change process.

Frequently Asked Questions

Does accounting software automatically support Peppol if it advertises e-invoicing?

No. Confirm the exact product edition, country localization and release, plus send, receive, response, extended-field and network functions. The Netherlands Peppol Authority notes that ERP and accounting packages do not all offer the same Peppol functionality.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Who converts ERP data into the required e-invoice format?

It depends on the architecture. The ERP may produce the structured document, an integration layer may transform it, or a service provider may convert and validate it. Some provider APIs supply connectivity only, so assign the conversion and error-correction responsibilities explicitly.

Is a portal suitable for fewer than 10 invoices per month?

It can be, when staff accept manual transfer and receiving is not required. The Netherlands authority’s fewer-than-10 example applies specifically to its Supplier Portal scenario—no receipt of e-invoices and invoices only to central government—not as a universal threshold.
