Install a custom font in Windows or macOS first; Microsoft Office reads fonts from the operating system rather than from an Office-specific installer. On Windows 10 or 11, open the downloaded font in Font Previewer and choose Install. On macOS, open the file in Font Book and choose Install. Close and reopen Word, Excel, PowerPoint, or the other Office app, then select the font from its font list.
When you share a document, the recipient must also have the font or the file must carry an embedded copy. Microsoft 365 cloud fonts can avoid manual installation in supported apps, but they require an internet connection and compatible connected-experience settings.
How Office gets a custom font
Office does not have a separate font-installation system. Word, Excel, PowerPoint, and other Office programs ask Windows or macOS for the fonts installed in the operating system. That is why the reliable workflow is to install the font at the operating-system level, completely quit the Office program, and launch it again.

Prepare the downloaded font
Extract ZIP archives first
Fonts are often distributed in a .zip archive. Open the archive and extract the font files to a normal folder before trying to install them. Opening a font while it remains inside a ZIP file can leave the installation incomplete or make the file unavailable after the temporary preview closes.
Use TrueType or OpenType files
The common file extensions are .ttf (TrueType) and .otf (OpenType). Microsoft’s guidance identifies both as supported formats. For files that you plan to embed in a document, Microsoft recommends OpenType or TrueType where possible and advises against PostScript .PFB and .PFM files.
Check the license before sharing or embedding
Installing a font for your own use does not automatically grant permission to distribute it. Read the license supplied with the font, especially if you will send an Office file to clients or colleagues. Embedding is controlled by permissions set by the font creator. The permissions can identify a font as non-embeddable, preview-and-print only, editable, or installable.
Install a custom font on Windows 10 or Windows 11
- Locate the file. Open the folder where the download was saved, commonly Downloads. If the download is a ZIP archive, extract it first and locate the
.ttfor.otffile. - Open Font Previewer. Double-click the font file. Windows opens the file in Font Previewer, where you can inspect the typeface and its styles.
- Install it. Select Install in Font Previewer. Windows registers the font with the operating system.
- Close the preview. Exit Font Previewer after installation finishes.
- Restart Office. Close Word, Excel, PowerPoint, or the Office program you plan to use. Reopen it so the program reloads the system font list.
- Select the font. Open the font picker in the Home tab or the relevant formatting control and look for the family name. A family may appear once in the list while its bold and italic styles are available through the normal style controls.
The important check is whether Windows accepted the file in Font Previewer. There is no second “Office font installer.” If the font is installed by Windows, an Office application that has been restarted can request it.
Install a custom font on macOS
- Find the font file. Open the download location, usually Downloads. Extract a ZIP archive before proceeding. The file will normally end in
.ttfor.otf. - Open the font preview. Double-click the font file. macOS displays a preview of the typeface.
- Install through Font Book. Select Install. macOS opens Font Book and adds the font to the system’s font collection.
- Close Font Book. Once the installation is complete, close Font Book.
- Reopen Office. Quit and relaunch Word, Excel, PowerPoint, or the Office application that needs the typeface.
- Choose the family. Open the application’s font list and select the newly installed font.
Microsoft’s older Word guidance also notes that a new font appears in Word’s font list the next time Word starts. Relaunching the application is therefore part of the installation process, not an optional refresh.

Use the font in Word, Excel, and PowerPoint
Apply it to selected text or cells
After restarting the application, select text in Word, a range in Excel, or text inside a PowerPoint placeholder or shape. Open the font list, type the family name if the list supports searching, and apply it. The same installed font can then be used anywhere that application exposes a font control.
Set it as the default for new work
If every new document should use the family, change the application’s default font setting rather than manually formatting each file. The exact command differs among Office applications and versions, but it is found in the program’s font or template preferences. Changing a default affects future content; it does not automatically repair text that already has another font assigned.

Check the complete family
A downloaded family may contain separate regular, italic, bold, and bold-italic files. If one style is missing, verify that all supplied files were extracted and installed. Reopen the Office application after installing any additional style files.
Microsoft 365 cloud fonts
Cloud fonts are typefaces hosted by Microsoft 365 rather than files that you manually install on every computer. Once a supported Office application downloads a cloud font, it can use that font across the Office apps covered by Microsoft’s service. Documents created with those cloud fonts are designed to render consistently in the listed Office apps without the author having to embed the fonts manually.
Requirements on Windows
- Make sure the computer has an internet connection so Office can retrieve the font.
- In a Windows Office desktop app, open File > Account > Manage Settings.
- Under connected-experience controls, enable Optional connected experiences.
- Restart the Office application and try the font again.
An organization can disable the service by blocking fs.microsoft.com or by restricting optional connected experiences. If a work or school account cannot download cloud fonts, an administrator may need to change the policy; reinstalling Office will not bypass that restriction.

Availability is app- and version-dependent
Cloud-font availability differs among Windows, macOS, the web, Android, and iOS, and Microsoft lists exceptions by application and build. The current Microsoft cloud-font support information was updated March 12, 2025, so do not treat a particular build threshold as permanent. Check the current availability table for the exact Office app, operating system, and version used by each participant.

What happens when you share a file
A font installed on your computer is not automatically installed on somebody else’s computer. If the recipient lacks the family, Office can substitute another font. Substitution may change line breaks, paragraph heights, table widths, slide wrapping, and page count even when the text itself is unchanged.
You have two main ways to reduce that risk: use a Microsoft 365 cloud font that every participant’s app supports, or embed a permitted custom font in the Office file. Cloud fonts rely on service access and app compatibility; embedding puts font data in the document and can support offline viewing.

Embed a custom font in a Windows Office file
Embedding is available in supported Windows desktop versions of Office, with support differing by application and version. The setting is exposed in Word and PowerPoint through the document or presentation save options.

- Open the document or presentation that uses the custom font.
- Choose File > Options > Save.
- Scroll to Preserve fidelity when sharing this presentation/document.
- Select Embed fonts in the file.
- Choose the character option that matches your collaboration needs. You can embed only the characters used in the file, omit common system fonts, or embed all characters.
- Save the file, close it, and reopen it if you want to verify that the setting remains enabled.
Choose the character range deliberately
Embedding only the characters used in the document can keep the file smaller. It may, however, prevent another person from typing new words that require characters not included in the embedded subset. If another person may edit the document or presentation, Microsoft recommends embedding all characters when the font license allows it.
Embedding on a Mac
Embedding support on macOS is limited to particular desktop applications and versions. Microsoft identifies support for Word for Microsoft 365 for Mac, PowerPoint for Microsoft 365 for Mac, PowerPoint 2024 for Mac, and PowerPoint 2021 for Mac. The exact menu and available choices can vary, so confirm the application and version before promising that a file can be embedded.
Microsoft’s modern font-picker guidance describes embedding as a desktop feature on Windows and macOS. People using Office-supported platforms can view a document containing embedded fonts, but the ability to create or modify the embedding setting is not universal across web, Android, and iOS apps.

The font forbids embedding
Font metadata can mark a typeface as non-embeddable or restrict it to preview and print. Office must honor those permissions. Check the font’s embedding information and license; changing a file extension or copying the font into another folder cannot grant a permission that the creator withheld.
The Office version does not support it
Embedding differs by app and version. A missing checkbox can mean that the particular Office program, platform, or build does not provide the feature. Verify the applicable Microsoft instructions for that exact app instead of assuming that a setting available in PowerPoint also exists in every edition of Word or Excel.

The file becomes too large
Embedded font data increases the size of the Office file. Using only the characters required by the document can reduce that increase, but it can also restrict later editing. Keep the full-character option for collaborative files when fidelity and editability matter more than the smallest possible attachment.
Troubleshooting checklist
The font does not appear in Office
- Confirm that the ZIP archive was extracted and that you installed the actual
.ttfor.otffile. - Open the file again in Windows Font Previewer or macOS Font Book and verify that the operating system accepted the installation.
- Close every instance of the Office application and reopen it. A program that was already running may still have its old font list.
- Check the family name shown in the font preview; it may differ from the filename.
The cloud font is missing
- Check the internet connection.
- On Windows, review File > Account > Manage Settings and enable Optional connected experiences if your organization allows it.
- Ask a work or school administrator whether
fs.microsoft.comor cloud-font access is blocked. - Confirm that the specific Office app, platform, and build supports that cloud font. Availability is not identical across desktop, web, Android, and iOS.
The recipient sees a different layout
- Determine whether the recipient has the same custom font installed or can access the same supported cloud font.
- If not, embed the custom font when the Office version supports embedding and the font license permits it.
- For collaborators who must edit, use the all-characters embedding choice when permitted; a used-characters subset may not contain characters they need to type.
The embed option is disabled or missing
- Check the font’s embedding permissions. Non-embeddable and restricted fonts cannot be saved with the file.
- Verify that you are using a supported desktop Office application and version.
- Use a TrueType or OpenType font where possible; Microsoft advises against PostScript
.PFBand.PFMfiles for embedding.
Choosing the right method
Use a locally installed font when you control the computers that will create or edit the document. Install it on each Windows or Mac computer, then restart Office on each machine.
Use a Microsoft 365 cloud font when all participants work in compatible Office apps, can connect to the service, and are not blocked by organizational policy. This avoids manually embedding the font, but it does not remove platform and version requirements.

Embed a custom font when preserving the document’s appearance for recipients or offline viewing is more important than minimizing file size, and when both the Office version and the font license support embedding. Select all characters if recipients will continue editing; select only used characters only when the file is essentially finished and the smaller size is worth the editing limitation.
