Outlook has two different ways to put an image in an email: insert it inside the message body, or add it as a downloadable attachment. The correct steps depend on whether you use New Outlook, Classic Outlook, Outlook on the web, Outlook.com, or the mobile app.

For an image that should appear between your paragraphs, use an Insert picture command—not the paperclip on desktop or web.

Insert a picture in New Outlook for Windows

Use these steps when the picture should appear at a specific point in the email.

  1. Open a new message, or select Reply, Reply all, or Forward.
  2. Click in the message body where you want the picture to appear.
  3. Select Insert > Pictures.
  4. Choose the image file and select Open.
  5. Resize the image by dragging one of its corner handles.

The image is inserted at the cursor position. This is different from selecting Attach File, which adds the picture as a file that recipients can download.

If Insert is missing

The message ribbon appears while you are composing a new message or after you select a reply or forward command. Open the draft first, then look for Insert. If the layout does not match these steps, you may be using Classic Outlook rather than New Outlook.

Insert a picture in Classic Outlook for Windows

Classic Outlook may show the picture command in the Illustrations group.

  1. Create a new email, or open a message and choose Reply, Reply all, or Forward.
  2. Click in the message body at the required insertion point.
  3. Select Insert > Illustrations > Pictures.
  4. Browse to the image, select it, and click Insert.
  5. Drag a corner handle to change its size.

If the draft is open in the Reading Pane, select Pop Out before looking for the full message ribbon.

Depending on the Classic Outlook build, the Insert > Illustrations section may also include Online Pictures, Shapes, SmartArt, Chart, and Screenshot. Online Pictures searches Bing Images, so check image licensing before using anything in business or public messages.

Insert a picture in Outlook on the web or Outlook.com

The current web interface uses the same general approach as New Outlook.

  1. Start a new message, reply, or forward an existing message.
  2. Place the cursor where the image should appear.
  3. Select Insert > Pictures.
  4. Choose the picture and select Open.
  5. Resize it with the corner handles, or right-click it for available formatting options.

On some versions of the older web compose interface, the command is labeled Insert pictures inline. It appears near Send at the bottom of the message box. Select it, choose the image, and select Open.

On Windows, hold Ctrl to select multiple image files. On a Mac, hold Command.

Insert or attach a picture in Outlook mobile

Outlook for iPhone, iPad, and Android handles images differently from desktop Outlook. Images added through the attachment workflow are automatically placed in the message body. Other file types remain normal attachments.

  1. Tap the paperclip in the lower-right corner of the New mail screen.
  2. Choose Attach file.
  3. Select a source such as recent files, device photos, OneDrive, Dropbox, Box, Google Drive, or your device’s file storage.
  4. Select the picture and finish composing the message.

You can also tap Camera to capture content inside Outlook. Depending on the device, the camera tools include photo, document or scan, and whiteboard modes. Edit the capture, then tap Done or Finish.

Mobile image compression

If an attached image is larger than 1 MB, Outlook mobile may offer to resize or compress it. Choosing that option compresses all images in the current message, including images you add later while editing the same draft. Review the result if image quality matters.

Microsoft documents mobile attachment limits of 20 MB for iCloud accounts and messages, and 33 MB for other account types.

Picture in the email body vs. picture attachment

On desktop and web, the paperclip generally creates an attachment rather than placing an image at the cursor. Outlook mobile is the exception documented by Microsoft: attached images are automatically added to the body.

How to attach a picture instead

New Outlook

  1. Open a new message or a reply.
  2. On the Message tab, select Attach File in the Insert group.
  3. Choose the picture and add it to the draft.

Classic Outlook

  1. Open the draft.
  2. Select Message > Attach File in the Include group.
  3. Choose the file. The picker may offer Recent items, Attach Item, Browse Web Locations, and Browse This PC.

Classic Outlook’s Recent items list contains the 12 most recent files documented by Microsoft.

Outlook on the web

  1. Select Attach.
  2. Choose Browse this computer.
  3. Select the picture and click Open.

A computer attachment is sent as a copy, so each recipient receives an individual copy of the file.

Share a picture using OneDrive

OneDrive is useful when the file is too large for a normal attachment or when recipients need access to a shared version.

In Outlook on the web, select Attach file > OneDrive, choose the file, select Next, and insert it as a cloud link. Use More actions > Manage access to review or change who can open the file.

In New Outlook, attach a local file first, select the attachment’s down arrow, and choose Upload to OneDrive. The attachment changes to a friendly link. Its link menu can offer options such as attaching a copy, editing permissions, or changing the display to a full URL.

Use Attach as copy when recipients need their own unchanging file. A shared OneDrive link can otherwise allow permitted users to view or edit the cloud-hosted version.

Fix common picture-insertion problems

The image appears as an attachment instead of inside the email

You used Attach File or the paperclip. Remove the attachment if necessary, click in the message body, and use Insert > Pictures—or Insert pictures inline in some web layouts.

The picture command is not visible

Make sure a compose window is open. The relevant ribbon groups appear when you create a message or select Reply, Reply all, or Forward. Also check whether you are in New Outlook or Classic Outlook, because their ribbon paths differ.

The image is too large

Resize an inline image using its corner handles. For an attachment, reduce the file before attaching it or use OneDrive. On mobile, Outlook may offer compression for images over 1 MB, but that choice affects all images in the current draft.

The recipient cannot open the cloud picture

The OneDrive or SharePoint permissions may not include that recipient. Open the link menu and use Manage access, or choose Attach as copy if sharing permissions are unnecessary.

The image file is blocked

Outlook blocks some potentially unsafe file types, including examples such as .exe, .bat, .vbs, and .js. If the file is legitimate but blocked, upload it to OneDrive or SharePoint and send a link. An Exchange administrator may be able to change the organization’s blocked-file policy.

A reply does not contain the original picture attachment

Outlook does not automatically include attachments from the message you are replying to. Add the file again using the appropriate picture or attachment command.

The attachment filename looks shortened

Outlook on the web may shorten a long displayed filename. Microsoft states that this changes how the name is displayed, not the contents of the file.

Prevent Outlook’s forgotten-attachment warning from surprising you

New Outlook can warn you when your message mentions an attachment but no file was added. This check depends on the email text being formatted in English (United States); it is not controlled by the language used for the Outlook interface. Treat the warning as a reminder, not proof that every required file is attached.

FAQ

How do I insert a picture directly into an Outlook email?

Click in the message body, then choose Insert > Pictures, select the image, and choose Open. In some older Outlook on the web layouts, use Insert pictures inline near the Send button.

Why is my picture showing as an attachment?

You probably used the paperclip or Attach File. Those commands add a downloadable file. To display the image in the message, use Insert > Pictures on desktop or web.

Can I insert multiple pictures at once?

Yes. In Outlook on the web, hold Ctrl on Windows or Command on Mac while selecting the files. Desktop file pickers may also support multiple selection.

Does Outlook mobile insert pictures into the email body?

Yes. Microsoft’s current Outlook mobile instructions say attached images are automatically added to the message body. Non-image files remain regular attachments.

Should I send a picture as an attachment or a OneDrive link?

Use an attachment when recipients need an independent copy. Use a OneDrive link for large files or collaborative access, but check sharing permissions before sending.

For an image displayed inside the message, click in the body and use Insert > Pictures on New Outlook, Classic Outlook, and the web. Use Attach File when recipients should receive a separate downloadable copy. On Outlook mobile, the attachment workflow automatically places image files in the message body, so its behavior is different from desktop and web Outlook.
