Start with a target role, then prove each skill with an example of what you did and what changed because of it. A transferable-skills inventory is not a list of flattering adjectives: it is a mapped set of actions, results and context that shows which abilities carry over, which only partly carry over, and what you still need to learn.

What transferable skills are—and what they are not

Transferable skills are abilities you can use across different jobs. O*NET OnLine gives communication, problem solving and teamwork as examples in its definition of transferable skills (O*NET OnLine, Browse by Transferable Skills). They can include diagnosing a problem, coordinating people, explaining information, managing resources, evaluating options or operating a technical system.

A job title does not prove a skill transfers. “Supervisor,” “assistant” or “analyst” describes a role, not the exact work inside it. Transfer depends on the task, the level of responsibility, the tools and processes used, and the target role’s requirements. Someone who supervised a retail team may have evidence of scheduling, coaching and conflict resolution; that does not automatically establish competence with the technical systems or regulated processes of a different occupation.

  • Partial match: your experience demonstrates a related ability, but the context, tool, scale or technical knowledge differs.
  • Gap: you cannot yet provide credible evidence, or the role requires a credential or technical capability you do not have.

This distinction keeps a career change honest and gives you a practical learning plan.

1. Choose a target role before making a skills list

A generic list such as “hard-working, organized and a people person” is difficult to assess. Pick one target role or a short list of plausible roles first. Read several current job descriptions, an official job profile or an occupational database entry to learn what the work actually involves. The UK National Careers Service recommends checking job descriptions and profiles and speaking with people who know the job (National Careers Service, Understand and develop your skills).

Extract the role’s requirements into four groups:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Core tasks: recurring activities, decisions and deliverables.
  • Tools and methods: software, equipment, workflows, standards or procedures.
  • Knowledge and credentials: subject knowledge, licences, certifications or education.
  • Working relationships: customers, colleagues, suppliers, regulators or cross-functional teams.

Do not treat every phrase in a posting as equally important. Repeated duties, required qualifications and specific tools usually deserve more attention than broad “nice to have” language. If you are considering several roles, keep a separate requirement list for each; this prevents you from forcing one experience to fit every destination.

2. Gather evidence from your whole experience

Review current and previous employment, education, volunteering, projects, clubs, hobbies, caring responsibilities and significant life events. UCAS recommends writing down achievements and experiences—including small examples—then considering what each demonstrates (UCAS, How to identify your transferable skills). The National Careers Service also suggests reviewing daily life and asking people outside work for another perspective.

Search for moments when you:

  • fixed a recurring problem or improved a process;
  • explained complex information in writing, conversation or a presentation;
  • coordinated people, schedules, budgets, materials or handoffs;
  • persuaded, negotiated, instructed, supported or served someone;
  • analyzed information and made a recommendation;
  • operated, maintained or improved a system, tool or piece of equipment; or
  • completed something difficult under a deadline, constraint or changing requirement.

Include ordinary work. A completed rota, resolved complaint, reconciled records, safety briefing or event plan can be stronger evidence than a vague claim about being “a natural leader.”

3. Record the action before naming the skill

For each example, write the situation or task, your specific action, the result and the evidence that supports it. Only then assign a skill label. This order prevents labels from becoming exaggerated.

Record Question to answer Illustrative entry
Situation or task What needed to be done, and who or what was affected? Three weekly deliveries were arriving late to a community project.
Action What did you personally decide, create or change? I mapped the handoffs, agreed a shared schedule with volunteers and added a confirmation step.
Result What changed because of your work? All remaining deliveries arrived on the agreed day for the next six weeks.
Proof What artifact, record or person could substantiate it? Shared schedule, delivery log and the project coordinator’s feedback.
Skill label What ability does the action demonstrate? Coordination, process improvement, communication and reliability.

The example is a format, not a claim about your results. Use your own figures, dates, documents and references. If no number exists, describe a verifiable outcome such as a completed project, fewer handoffs, a resolved issue or a decision adopted by others.

4. Use a systematic set of skill prompts

O*NET groups transferable skills into categories that can make an inventory more complete. Its categories include complex problem solving; management of financial, material and personnel resources; social skills such as coordination, instruction, negotiation, persuasion and service orientation; systems skills such as analysis, evaluation and judgment; and technical skills such as programming, maintenance and equipment selection (O*NET OnLine).

Use the categories as prompts, not as a universal checklist. O*NET provides occupation-specific ratings, so a skill that is central in one occupation may be minor in another. Ask these questions of every experience:

  • Problem solving: What did you diagnose, troubleshoot or improve?
  • Information: What did you explain, write, analyze or present, and to whom?
  • Coordination: What people, schedules, budgets, materials or handoffs did you align?
  • Influence and service: When did you persuade, negotiate, instruct, support or serve someone?
  • Systems and judgment: What options did you evaluate, and why did you choose one?
  • Technical work: What process, system, equipment or software did you operate, maintain or improve?
  • Resource management: What time, money, stock or staffing constraint did you manage?

The O*NET Resource Center’s 31.0 transferable-skills data dictionary contains 45,500 rows, ratings for 910 occupations, 25 elements and two scales (O*NET 31.0 Data Dictionary). Those are dataset-structure figures, not a prediction of how many skills you possess or a guarantee that an employer will value a particular skill.

5. Map each example to the target role

Place your evidence beside the target role’s actual requirements. Mark a requirement as a match only when you can explain the connection in a concrete example. A mapping table makes unsupported claims visible.

Target requirement Your evidence Transfer judgment Next action
Coordinate work across several contributors Created a shared schedule, assigned handoffs and followed up on missed steps. Strong match if the scale and accountability are comparable. State the number of contributors, deadlines and outcome.
Analyze operational data and recommend action Reviewed weekly records and identified a recurring delay. Partial match if the target uses a different data tool or statistical method. Show the analysis, decision and any training on the target tool.
Use a regulated technical system Used a general customer-record system. Gap or partial match; the systems and rules differ. Learn the specified system and document a supervised practice project.
Hold a required licence or credential No current credential. Gap, even if related experience is strong. Check eligibility, cost, time and an approved route to obtain it.

Use the target employer’s terminology where it is accurate. If a posting asks for “stakeholder coordination” and your evidence is coordinating volunteers, you can use that phrase while explaining the setting and scale. Do not replace a specific technical requirement with a broad soft-skill label.

6. Test the context, tools and process

Transfer is contextual. Similar duties can require different knowledge, equipment, materials or procedures. A specialized US Social Security Administration vocational procedure warns that supervising specific job or industry operations does not provide transferable skills unless the work is in the same or a similar industry and uses the same or similar tools, materials and processes (SSA POMS DI 25015.018, Transferability of Skills Assessment Process, revised March 16, 2026). That procedure applies to agency assessments, not as a universal hiring rule; its value here is the reminder to examine context.

For each proposed match, compare:

  • Task: Is the underlying activity genuinely similar, or only the title?
  • Scale: Were the volume, risk, budget, deadlines or number of people comparable?
  • Tools: Is the software, equipment or data environment the same or close enough to learn quickly?
  • Process: Do standards, controls, documentation and approval steps resemble the target?
  • Knowledge: Does the new role require subject knowledge, legal rules or terminology you have not used?
  • Proof: Can you show an artifact, outcome, reference or work sample?

Answering these questions often turns “I have leadership skills” into a more useful statement such as “I coached eight volunteers through a documented intake process, monitored completion and corrected errors.”

7. Compare two or more possible career directions

When you have several plausible roles, compare them using the same five axes instead of choosing the one with the most appealing title.

Comparison axis What to inspect Why it matters
Overlap with stated requirements Count only requirements supported by a specific example. Shows how much of the role you can already demonstrate.
Similarity of tasks, tools and processes Compare day-to-day work, systems, materials, standards and scale. High similarity usually reduces the amount of context you must learn.
Missing knowledge or credentials List technical subjects, licences, certifications and mandatory training. Separates a learnable skill from a formal eligibility barrier.
Strength of proof Rate whether each match has a result, artifact, reference or only a general statement. Evidence quality affects how persuasively you can explain the transition.
Route to close important gaps Check courses, apprenticeships, supervised work, volunteering and projects. A realistic route makes the preferred change actionable.

These axes synthesize the target-role comparison and development guidance from the National Careers Service, O*NET’s occupation-specific framework and the SSA context example. They do not produce a universal score; use them to make assumptions explicit.

8. Separate genuine gaps from wording gaps

Sometimes you have done the work but described it in language your target field does not use. A wording gap can be fixed by clarifying the action, method and result. A genuine gap remains after you have checked the context and evidence.

For every gap, write one of three diagnoses:

  • Evidence gap: you may have the ability, but no documented example. Create a work sample, volunteer project or reference that demonstrates it.
  • Development gap: you need practice with a method, tool or subject. Choose a focused learning activity and apply it to a real deliverable.
  • Eligibility gap: the role requires a credential, licence or legal condition. Verify the approved route before applying.

The National Careers Service suggests achievable goals and recommends considering courses, apprenticeships, on-the-job learning, volunteering or relevant experience; it also advises consulting an adviser when deciding whether further training is appropriate (National Careers Service). Plan only the gaps that affect your target role. Learning everything “just in case” can delay a change without improving your fit.

9. Turn the inventory into a CV or application explanation

State the skill in the target employer’s language, support it with the action and include the result. UCAS notes that how an experience is described matters, while the National Careers Service advises updating a CV with new skills and how they were gained (UCAS; National Careers Service).

A reliable bullet structure is:

  1. Action verb and target skill: coordinated, analyzed, instructed, negotiated, improved or evaluated.
  2. Context and method: explain the people, process, tool or constraint.
  3. Result or proof: give a measured outcome or identify the completed artifact.

For example, instead of “Good communicator,” write: “Explained a new intake procedure to 12 volunteers, created a one-page guide and checked understanding during the first week; the team completed the revised process without missed handoffs.” Replace the illustrative figures with your own evidence. In a cover letter, connect the example directly to a target duty and acknowledge a relevant learning gap rather than claiming expertise you do not yet have.

10. Common mistakes and how to correct them

Listing traits without evidence

Words such as “organized” or “resilient” are conclusions. Add the situation, your action and a result that lets another person test the conclusion.

Relying on job titles

Titles vary between employers. Describe the actual task, tools, decisions and scale, then map those details to the target role.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assuming all supervision transfers

Supervision may demonstrate coaching and coordination, but it does not establish knowledge of a new industry’s systems, materials or controls. Compare those contexts explicitly.

Ignoring non-employment experience

Education, volunteering, clubs, hobbies and meaningful responsibilities can contain usable evidence. Include them when they demonstrate a target requirement and you can describe what you did.

Calling every difference a career reset

A missing tool or credential may be a focused gap, not a reason to discard your existing experience. Identify the smallest credible step that closes it.

Copying keywords without matching meaning

Applicant-tracking terms cannot substitute for proof. Use the target wording only when your example supports the same underlying activity.

11. A repeatable worksheet

Complete this sequence for each target role:

  1. Copy the role’s core tasks, tools, knowledge requirements and credentials into a working document.
  2. Collect examples from work, education, volunteering, projects, hobbies and daily responsibilities.
  3. For every example, record the situation, your action, the result and available proof.
  4. Assign one or more skill labels using the O*NET categories as prompts, not as automatic matches.
  5. Link each example to a specific target requirement.
  6. Mark the connection strong, partial or a gap, and note the context difference.
  7. Choose a concise CV or application statement for each strong match.
  8. Prioritize development actions for gaps that are important, realistic to close and relevant to the role.
  9. Recheck the inventory after completing a project, course, volunteer assignment or new responsibility.

The result should be a living evidence file, not a one-time personality list. Keep copies of useful artifacts and note dates, scope and outcomes while they are fresh.

What a strong transferable-skills inventory tells you

By the end, you should be able to answer three questions without exaggeration: which skills you already have, where they carry over in a specific target role, and what you need to learn. The strongest case combines an action, a result and a close explanation of the target context. Where the task, tools or credential differ materially, label the connection partial or missing and show a credible development route. That is more useful to you—and more believable to a hiring decision-maker—than claiming that every strength applies everywhere.
