To conceal rows without changing their contents, select their row headers, right-click, and choose Hide. To remove confirmed blank rows from an Excel table, filter a suitable column for (Blanks), inspect the results, select those table rows, and press Ctrl+-. Hiding and filtering are reversible display changes; deleting removes rows from the worksheet.

Hide, filter, clear, or delete: what’s the difference?

Action What happens How to reverse or restore
Hide The selected rows disappear from view, but their contents remain. Unhide the rows.
Filter Rows that do not match the selected criteria are temporarily hidden. Clear the filter.
Clear Contents Cell contents are removed, but the cells and rows remain. Formulas referring to a cleared cell receive zero. Undo promptly if needed; clearing is not row deletion.
Delete The selected rows are removed from the worksheet. Use Undo immediately if the deletion was accidental; otherwise, verify the data before proceeding.

Microsoft distinguishes clearing cell contents from deleting cells or rows: clear cells of contents or formats.

How to hide and unhide rows

  1. Select the row headers for the rows you want to conceal. Drag across consecutive row numbers, or use Ctrl-click to select separate row headers.
  2. Right-click the selection and choose Hide.
  3. To restore hidden rows, select the row headers immediately above and below the hidden section, right-click, and choose Unhide. You can also double-click the boundary between the visible row headers around the hidden rows.

These hide and unhide steps are documented for Microsoft 365, Excel 2024, 2021, 2019, and 2016, including the named Mac versions on Microsoft’s hide or show rows or columns page. Labels and interaction details can vary by platform.

How to display blank rows with a filter

A filter is useful when you want to inspect blank entries without deleting anything. It checks one column at a time, so choose a column that should contain a value for every valid record.

  1. Select a cell in the data range or table.
  2. Choose Data > Filter.
  3. Open the dropdown for the column you want to check and select (Blanks). That option appears only when the column contains a blank cell.
  4. Review the displayed rows. A blank in the chosen column does not prove that every cell in the row is empty.
  5. To show the other rows again, clear the column’s filter or clear all filters from the Data tab.

Microsoft explains how to filter data in a range or table and how to clear or remove a filter.

Use this documented procedure for a formatted Excel table. It deletes selected table rows, so check the candidates before removing them.

What to check before removing rows

  • Reveal hidden data first. Hidden rows or columns can lead to accidental deletion when you edit a range. Microsoft advises displaying them before making range changes. See its guidance on organizing data with outlines.
  • Preserve useful separators. Avoid blank rows inside a continuous data range, but keep a blank row between separate related ranges when it helps Excel identify the intended range for sorting, filtering, or subtotals.
  • Define the data range before acting on a non-table dataset. The table procedure is not a universal safe shortcut for arbitrary or irregular ranges. Identify which column marks a valid record and inspect each candidate before deleting.
  • Remember that an apparently empty cell may still be a cell. Clearing its contents does not remove its row or the cell itself; deleting a row is a separate operation.

If rows seem to be missing

Check for an active filter before assuming rows were deleted. Open the relevant filter dropdown and clear its selection, or use the Data tab to clear filters. If you need to investigate hidden content in a worksheet, Microsoft documents using Go To Special to select visible cells; that feature is not available in Excel for the web. See the table and range guidance at Filter data in a range or table in Excel.
