Collect dietary information during registration, send specific requirements to a named venue or catering contact before its deadline, and agree in writing how ingredients, preparation, meal identification, service, charges, and food safety will be handled. On the day, keep an event contact available and have the guest or staff verify each special meal before it is served. A dependable plan is less about offering many substitute dishes than about knowing exactly what the provider checked, what it cannot guarantee, and who owns each handoff.
Start with a precise request, not “special diet”
A private dining event is safest when the organizer turns each request into information the kitchen can act on. Ask guests to distinguish, where relevant, among a diagnosed food allergy, intolerance, medical restriction, religious requirement, and personal preference. These categories are practical planning labels, not diagnoses, and a venue may use different terminology.
Ask what the caterer needs to know about both ingredients and preparation. A guest may need an ingredient excluded, protection from cross-contact, or both. Do not ask for unnecessary medical history; collect only the information needed to plan and serve the meal. A preference such as “I do not like mushrooms” should not be treated as an allergy, while a guest who reports an allergy should not be asked to justify it medically.
Questions to include in the invitation or registration form
- Which ingredient or food must be avoided?
- Is the request an allergy, intolerance, medical restriction, religious requirement, or preference?
- Is cross-contact with the ingredient a concern?
- What does the guest need the venue or caterer to verify?
- Is there a complex need that should be discussed privately with the organizer?
- Does the request apply to every course, garnish, sauce, drink, or dessert?
- Is the guest comfortable with a provider’s stated preparation limits, or does the request require a different meal plan?
Set a response deadline that gives the venue time to check recipes, suppliers, equipment, staffing, and substitutions. Food Allergy Canada advises event managers to collect allergy information and notify the caterer in advance. Give guests a confidential route, such as a direct email or phone contact, for details they should not place in a public registration field.

Tell guests how their information will be used and who will receive it. The kitchen needs actionable food information, not a broad guest profile. Keep the working list restricted to people who plan, prepare, transport, or serve the meal, and remove details that are no longer needed after the event according to your organization’s normal privacy practice.
Assign responsibility before you share guest data
Send the relevant requirements to a named event manager, food-and-beverage manager, chef, or catering lead before the provider’s stated deadline. Confirm who will answer ingredient questions and who will brief kitchen and floor staff. Food Allergy Canada recommends current ingredient information, advance communication, staff briefing, and assigning responsibility for preparing the selected plated meal.
Use a controlled information handoff
- Consolidate the requests. Keep one current list showing the guest identifier, requirement, cross-contact concern, courses affected, and agreed meal.
- Send it through an agreed channel. Use the venue’s event system or its designated contact rather than scattering details across text messages and personal inboxes.
- Request confirmation. Ask the catering lead to acknowledge receipt and identify any request it cannot verify.
- Record changes. If an ingredient, supplier, or menu item changes, obtain a new confirmation rather than relying on the original approval.
- Close the loop. Send the final list to the event contact and ask the provider to confirm that kitchen and service teams received the same version.
For allergy information, ask whether products or suppliers may change and how substitutions are reviewed. Food Allergy Canada specifically cautions against using unreviewed substitutions and recommends keeping ingredient records fresh and accurate. A menu PDF from an earlier season is not enough if the provider has changed a sauce, stock, dessert, garnish, or packaged ingredient.
Ask for an emergency and escalation plan
Agree who staff should contact if a guest reports a reaction, a plate is questioned, or the kitchen discovers a changed ingredient. Food Allergy Canada includes emergency-plan considerations in its catering advice. The plan should identify the event lead, catering lead, and the procedure for stopping service and obtaining local emergency help; it should not assume that servers can diagnose a reaction or make medical decisions.
Find out what the venue can actually guarantee
Never infer a safety guarantee from a menu label such as “gluten-free,” “dairy-free,” or “allergy-friendly.” Ask the provider to describe its controls and its limits. “Can accommodate” may mean a reasonable attempt, not a separate allergen-controlled kitchen.
Capability questions for the catering lead
- Can the kitchen verify current recipes, packaged-ingredient labels, and supplier information?
- Are preparation surfaces, pans, fryers, ovens, and utensils shared?
- Can staff prevent or reduce cross-contact during cooking, plating, and service?
- Will a separate plate be prepared, or will the shared menu be adapted?
- Will sauces, marinades, stocks, breads, desserts, garnishes, and drinks be checked as well as the main dish?
- How will the special meal be marked and kept separate from other plates?
- Who is responsible for the meal from preparation through delivery?
- What can the venue not guarantee?
Some venues disclose significant limits. Vancouver Convention Centre’s catering terms say it will attempt to accommodate dietary needs but cannot guarantee every request and does not have a separate kitchen for allergen-free preparation. That is a venue-specific example, not a description of all private dining locations. Ask your own provider the same questions and have the answer recorded in the event order.
For a severe allergy or strict medical requirement, arrange a direct conversation between the guest, organizer, and catering lead when appropriate. Do not describe a meal as “allergy-free” unless the provider can support that wording and the guest accepts the proposed process. If the provider can verify ingredients but cannot control shared equipment, say so plainly; the guest needs the limitation to make an informed decision.

Check the caterer’s basic food-safety capability
Ask whether the caterer is appropriately registered or approved where local rules require it and whether it operates a documented food-safety management system. The Food Safety Authority of Ireland gives these checks for hiring a caterer for a once-off social event, along with advance allergy communication and written allergen information. Requirements differ by location, so ask the relevant local authority or venue rather than assuming an Irish, U.S., English, or New South Wales rule applies elsewhere.
Request written allergen information in the format the provider normally uses. It might be a recipe record, allergen matrix, menu notation, or event order. The useful test is whether the information is current, reaches the staff preparing and serving food, and can be updated when an ingredient or supplier changes.
Compare menu and provider options on the factors that matter
A lower-risk menu is not necessarily the one with the most alternatives. Compare each option by the provider’s ability to verify ingredients, control preparation, and deliver the correct plate.
| Decision factor | What to ask | Why it matters |
|---|---|---|
| Type of need | Is it an allergy, intolerance, medical restriction, religious requirement, or preference? | The required level of ingredient and preparation assurance may differ. |
| Ingredient confidence | Can the provider check current recipes, labels, supplier details, and substitutions? | Recipes and products can change after a menu is published. |
| Cross-contact controls | What equipment, surfaces, utensils, and service procedures are shared? | A suitable ingredient list does not by itself explain preparation risk. |
| Menu format | Will the venue adapt the shared menu, prepare a separate plate, or choose a menu suitable for more guests? | The practical process must match the guest’s requirement. |
| Information access | Will written allergen details be available to kitchen, servers, and the event contact? | Staff need the same current information at every handoff. |
| Operations | What are the count deadline, late-change policy, assigned staff, and identification method? | A correct meal can still fail if the handoff is unclear. |
| Cost | Are special plates, substitutions, or late requests charged separately? | Charges vary by venue and should be agreed before ordering. |
| Food safety | How will hot and cold food be held, delayed service handled, and leftovers managed? | Dietary accommodation does not replace ordinary temperature control. |
These are practical comparison criteria drawn from event, catering, and food-safety guidance; they are not a formal certification or rating system. Compare the provider’s actual process, not just a promise on a website. A menu that suits many guests may reduce the number of separate plates, but it still needs ingredient and preparation checks.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsBuild the service handoff before the event
The kitchen, floor staff, organizer, and guest should all know how a special meal is recognized and checked. Harvard’s event-hosting guidance recommends a main catering contact, advance dietary information, cross-contamination questions, and making ingredient information available to staff. Food Allergy & Anaphylaxis Connection Team prompts similarly focus on asking the restaurant or caterer how an allergy will be handled; its materials also distinguish off-site event planning from ordinary restaurant service.
Put these details in the event order
- Name and mobile number of the event contact.
- Name and role of the catering or kitchen lead.
- Guest identifier used on the meal ticket or seating plan.
- Agreed meal, courses, and excluded ingredients.
- Whether cross-contact controls were requested and what the venue can provide.
- How the plate will be marked, covered, or otherwise separated.
- Who will carry it from the kitchen to the guest.
- What staff should do if the marked meal is missing, damaged, delayed, or uncertain.
- Where the current ingredient or allergen information is kept during service.
Keep the event contact reachable during service. If a server is unsure which plate belongs to a guest, the plate should return to the catering lead for verification rather than being guessed at or replaced with an unreviewed dish. Do not place a special plate on a buffet without a clear identification and replenishment plan; a label can become inaccurate when trays, utensils, or recipes change.
Ask guests to verify without shifting responsibility
NSW Food Authority advises guests to notify the organizer in writing, remind the organizer or staff on arrival, and check with serving staff that the meal is theirs. Include that verification step in the plan, but do not make the guest solely responsible for a failure in the organizer’s process. A discreet confirmation at the table can protect privacy while still allowing the guest to ask questions.

Confirm deadlines, substitutions, and charges in writing
Ask for the final deadline for dietary counts and the deadline for changes. Confirm whether the menu can be adapted, whether a separate plate is prepared, whether a request costs extra, and whether late requests can be accepted. Put the answers in the event order, contract, or written confirmation. Ask whether the count deadline applies to every restriction or only to complex requests.
Policies are venue-specific. One private-functions document from Smith Street Bistrot gives a seven-business-day deadline and says complex or last-minute requests may incur a charge. Treat that as an example, not an industry standard. Your provider may use a different deadline, fee, or acceptance policy.
Questions to settle before signing
- What is the final date for dietary counts?
- What is the process for a change after that date?
- Can the venue reject a request it cannot safely verify?
- Are substitutions included in the quoted price?
- Are complex or late requests charged separately?
- Will the provider notify you if an ingredient or supplier changes?
- What happens if the agreed special meal is unavailable on the event day?
- Will a minimum number of special meals or a separate preparation fee apply?
Keep a copy of the final confirmation with the seating plan and service notes. If the provider gives a verbal answer, summarize it by email and ask the named contact to correct anything inaccurate. This creates a shared operational record without turning the guest’s medical information into a public document.
Plan food safety as well as dietary suitability
Ask when food will be served, how it will be held during setup and delays, and how leftovers will be handled. FoodSafety.gov advises that food should not remain at room temperature for more than two hours, or more than one hour when the area is above 90°F, unless it is held hot above 140°F or cold below 40°F. Those figures are U.S. federal consumer guidance; the venue must follow the rules that apply where your event takes place.
Include delay and leftover contingencies
- Identify who monitors hot and cold holding during speeches, photographs, or delayed seating.
- Ask what happens if a special plate is prepared early but service is postponed.
- Confirm whether leftovers are discarded, chilled, labeled, or released to guests under the venue’s policy.
- Use separate serving utensils where practical. The Food Safety Authority of Ireland recommends separate utensils to reduce cross-contamination between dishes.
- Keep special meals covered and identified while waiting for the guest, rather than leaving them exposed on a service table.
Temperature limits do not prove that a meal is suitable for a particular allergy, and an allergen-controlled preparation does not excuse unsafe holding. Treat ingredient verification, cross-contact control, and time-temperature control as separate checks.

Food-safety and allergen obligations depend on location and the type of provider. Do not treat guidance from one country as universal law.
England, Northern Ireland, and Wales
The Food Standards Agency’s community and charity event guidance applies to England, Northern Ireland, and Wales. It was updated on 4 September 2026 to clarify allergen-information obligations for activities that do not need food-business registration and encourages providing allergen information where possible. That distinction should not be assumed to apply to a commercial private dining venue. The agency’s “Safer food, better business for caterers” pack is also scoped to these jurisdictions and includes a food-allergies resource.

Ireland
The Food Safety Authority of Ireland’s guidance on hiring a caterer for a once-off social event recommends checking that the caterer has appropriate registration or approval, uses a food-safety management system, receives allergy information in advance, provides written allergen information, and uses separate serving utensils. Local Irish requirements may still depend on the event and provider.
New South Wales
NSW Food Authority’s guest guidance focuses on written notification before attendance, reminding staff on arrival, and confirming the meal at service. It is specific to New South Wales.

- At invitation or registration: ask for specific ingredients, the type of restriction, cross-contact concerns, affected courses, and a confidential contact route.
- Before the venue deadline: send the consolidated list to the named catering lead.
- During menu planning: obtain ingredient and preparation answers, including substitution rules and shared-equipment limits.
- Before final payment or sign-off: record counts, charges, deadlines, provider limitations, and the agreed service process in writing.
- Before guests arrive: brief the event contact and service staff; verify that meal markers and the final list match.
- During service: keep the contact available, deliver marked meals directly, and pause when a plate cannot be verified.
- After service: follow the venue’s holding and leftover procedure rather than leaving food at room temperature.
- After the event: note any mismatch, delayed plate, or guest feedback so the next event order can correct the process.
What to do when a request cannot be confirmed
The venue says it cannot guarantee the meal
Ask exactly which part is uncertain: ingredients, supplier changes, shared equipment, preparation space, or service identification. Share that limitation with the guest promptly so the guest can decide whether the proposed meal is acceptable or whether to bring an alternative under the venue’s rules. Do not pressure a guest to accept a risk simply because the event menu is already printed.
A guest reports a new allergy after the deadline
Do not promise an immediate substitution. Contact the catering lead, ask what can be verified safely, and record any additional charge or refusal. If no acceptable option can be confirmed, tell the guest before the event rather than improvising at the table. Ask whether the provider can offer a sealed, separately prepared option or whether its policy prohibits outside food; only the venue can answer that operational question.
The wrong plate reaches the table
Do not ask the guest to taste it or rely on a verbal guess. Remove it from service, contact the catering lead, and obtain a newly verified plate. Record the incident and review the handoff process before the next event. A replacement should be checked against the current ingredient information, not simply copied from the first plate.

Questions to ask the venue in one message
You can send a concise request such as: “We have one guest who must avoid [ingredient] and is concerned about cross-contact. Please confirm the current ingredients, preparation equipment and surfaces, substitutions, the meal-identification method, the staff member responsible, the final count deadline, any additional charge, and what you cannot guarantee.” Add the affected courses and service time if known. Keep the guest-specific details in the confidential channel agreed with the venue, and ask the recipient to acknowledge receipt.
Frequently Asked Questions
How early should I tell a private dining venue about an allergy?
Send the information during registration and always before the venue’s stated deadline. Ask for a final count date and a separate process for late changes; one private-functions policy uses seven business days, but that is not a universal standard.
What is the difference between an allergy and a preference for event planning?
Ask the guest to identify whether the request is an allergy, intolerance, medical restriction, religious requirement, or preference. This helps the provider plan, but it is an organizing distinction, not a medical diagnosis. Ask separately whether cross-contact is a concern.
Can a restaurant guarantee an allergy-free meal?
Do not assume it can. Ask what the venue can verify about current ingredients, shared equipment, preparation surfaces, utensils, substitutions, and service. Some venues explicitly state that they cannot guarantee every request or do not have a separate allergen-free kitchen.
Who should verify a special meal at service?
The kitchen and service team should identify and deliver the agreed plate, with a named event contact available. The guest can remind staff on arrival and confirm that the plate is theirs, but verification should not shift the organizer’s responsibility to the guest.
What should I do if a guest submits a new restriction after the deadline?
Contact the catering lead immediately and ask what can be verified safely. Do not promise a substitution or rely on an old menu. Tell the guest the provider’s confirmed option, charge, or limitation before the event.
How should special meals be handled during a delayed reception?
Ask who monitors holding temperatures and how an early-prepared meal will be protected during speeches, photographs, or delayed seating. FoodSafety.gov advises no more than two hours at room temperature, or one hour above 90°F, unless food is held hot above 140°F or cold below 40°F; local rules may differ.

The Bottom Line
Reliable accommodation comes from a documented handoff: collect specific needs early, give them to a named catering lead, verify ingredients and preparation limits, agree identification and delivery, record deadlines and charges, and keep a contingency plan for delays or changes. If the provider cannot confirm a request, tell the guest plainly and do not improvise at service.
