To make a custom GPT less generic, define its job, audience, workflow, sources, and expected output in concrete terms. Put behavior rules in its instructions, factual reference material in its knowledge files, enable only capabilities the task needs, then test realistic prompts in Preview and revise one specific failure at a time. These steps can make responses more focused, but they cannot guarantee accuracy or identical answers.

Check whether creating a custom GPT fits your plans

OpenAI’s Creating and editing GPTs page currently displays a notice that custom GPTs are planned for retirement. It gives December 11, 2026, as the planned date for affected Enterprise workspaces and says other plans are expected to follow the same timeline, with notices to be reviewed when available. That is not a confirmed account-specific deadline for every user. Before building or moving a workflow, check the notice for your plan or workspace and OpenAI’s current guidance.

Access to creating, editing, and publishing GPTs depends on plan and workspace conditions. GPTs also do not use saved memory, custom instructions, or previous conversations, so give the GPT the context it needs in its own configuration or the current chat. OpenAI’s GPTs in ChatGPT overview describes these conditions and behavior.

Define what a useful answer means

Before writing instructions, specify the task the GPT should perform and what counts as a good result. “Help with writing” leaves too much room for broad, interchangeable advice. A useful definition identifies the audience, the inputs the user will provide, the work the GPT should do, and the result it should return.

  • Purpose: Name the specific task and its intended audience.
  • Inputs: Say what information the GPT should expect and what it must ask for if something essential is missing.
  • Workflow: Describe the order of operations, including how to handle ambiguity or requests outside the task.
  • Output: Specify sections, format, level of detail, and any required evidence or examples.
  • Quality bar: Explain what makes an answer useful, such as applying supplied facts to the user’s case rather than giving general background.

OpenAI’s configuration guidance recommends making the GPT’s purpose clear through its name, description, and conversation starters as well as its instructions. General prompt guidance likewise recommends specifying context, outcome, length, format, and style. See Prompt engineering best practices for ChatGPT and Best practices for prompt engineering with the OpenAI API.

Write instructions the GPT can follow

Use direct, testable directions rather than relying on a long list of things the GPT must never do. For a multi-step task, write the steps in sequence and state what should happen when a particular condition arises. OpenAI recommends explicit step structure for multi-step workflows and favors positive, concrete instructions where possible.

  1. Set the role and boundary. State the task, audience, and what is outside scope.
  2. Describe the workflow. Use ordered directions such as: “When the user provides a draft, first identify its audience, then check the claims against the supplied reference, then return a revised draft and a short list of unresolved questions.”
  3. Explain how to handle missing information. Tell it whether to ask a clarifying question, state an assumption, or identify what cannot be answered from the available material.
  4. Specify the response format. Name the required sections or structure, tone, and level of detail.
  5. Add examples where interpretation matters. A short acceptable and unacceptable example can clarify a classification or style distinction that is hard to express as a rule.

For example, a support GPT could be instructed to ask for the product version when troubleshooting depends on it, check the supplied setup guide before proposing a fix, and return numbered steps with an expected result for each. That is more actionable than simply telling it to “be helpful and specific.”

Keep behavior rules separate from reference material

Use instructions to define how the GPT should behave: its role, process, limits, tone, and output. Use knowledge files for the factual material it should consult, such as product documentation, internal procedures, or a policy. OpenAI’s configuration guide states, “Use knowledge for reference material, not rules or behavior.”

Choose files that are readable and primarily text-based, and tell the GPT when to consult them and how to cite or quote them if that matters to the task. If answers remain broad, check that the needed facts are actually present in the uploaded material and that the prompt points clearly to the relevant source. OpenAI’s Troubleshooting GPTs guidance notes that images alone may not be reliably interpreted.

Enable only the capabilities the task requires

Built-in capabilities, apps, and custom API actions can extend what a GPT does, but they add setup or access conditions. Enable a capability only when it contributes to the defined task; tools do not compensate for unclear instructions or missing reference information.

  • Built-in capabilities: Consider whether a feature such as web search or image generation is actually needed for the work.
  • Apps or actions: A GPT can use apps or custom API actions, but not both at the same time. Actions require API details and an OpenAPI schema; workspace domain restrictions can prevent them from running.
  • Public GPTs with actions: OpenAI says a valid privacy policy URL is required.

Test an action in Preview before relying on it. OpenAI’s Configuring actions in GPTs explains action setup and access constraints.

Test whether the GPT is still answering generically

Do not judge the configuration from one easy prompt. Prepare a small set that covers the ways people are likely to use the GPT, then run those prompts in Preview and compare the responses with your quality bar.

  • A typical request with all required details.
  • An underspecified request that should prompt a question or expose a missing detail.
  • A boundary case that is outside the GPT’s intended purpose.
  • A request that requires it to use a knowledge file.

For each response, note the specific miss: a broad answer, a skipped step, an unsupported claim, the wrong format, or failure to use a source. Then check whether the cause is an ambiguous or conflicting instruction, missing or hard-to-read knowledge, or an unnecessary or unavailable capability.

  1. Pick the one failure that matters most.
  2. Change the relevant instruction or source file, not several unrelated parts at once.
  3. Rerun the same prompt, along with any other test that could be affected.
  4. Keep the change only if the output better matches the intended result without causing a new problem.

OpenAI’s troubleshooting guidance recommends removing conflicting or overly broad rules, shortening instructions, structuring multi-step behavior, adding one or two examples, and testing smaller changes in Preview.

Know what better instructions cannot promise

Clear configuration can make a GPT’s responses more tailored to a task, but it does not guarantee that every answer will be correct, specific, or unique. The official configuration and troubleshooting guidance offers methods for setup and iteration, not a measured guarantee that generic answers will decrease by a particular amount. Keep checking important claims and refine the GPT against the prompts and source material it is meant to handle.
