To generate an e-invoice in India, a covered supplier first prepares the invoice in its accounting or billing system, then reports the document data to an Invoice Registration Portal (IRP). The IRP checks the submission, registers it, and returns an Invoice Reference Number (IRN), a digitally signed invoice payload and a QR code. Validation means checking those returned artifacts and confirming that the signed data and QR code match the commercial invoice; it is not merely saving a PDF and it does not replace a review of the underlying tax treatment.
What an Indian e-invoice actually is
An e-invoice is a standard invoice whose prescribed data has been reported to an IRP and accepted for registration under the GST e-invoice system. The supplier creates the commercial transaction and its invoice data first. The IRP then performs registration and returns the identifiers and signed data needed to prove that the reported document was accepted.
The registered document can be a tax invoice, debit note or credit note. IRIS IRP describes the process this way: “A unique invoice number is generated using the hash algorithm when a valid document for e-invoice production (currently a tax invoice, debit note, or credit note) is sent to IRIS IRP.” The statement appears on the IRP operator’s IRIS IRP for E-Invoicing page.

The compliance evidence is the IRP response: the IRN, the digitally signed invoice JSON and the QR code that can be verified through IRP services. Registration also allows the data to flow to GST systems and the E-way bill system; the mandate material says invoice information is used for return population.

Who should check whether e-invoicing applies
Start with the GSTIN that will issue the document, not only with the company’s current-year sales. The IRIS IRP mandate page lists an AATO threshold of ₹5 crore, effective 1 August 2023. It says annual aggregate turnover in any preceding financial year from FY 2017–18 onward is considered and describes AATO as being based on GST returns. Treat that published threshold as the starting point for an applicability check, then confirm the current GST notification, the GSTIN’s enablement and any applicable exemption.
| Applicability question | What the IRIS IRP material says | Action for the business |
|---|---|---|
| Turnover history | AATO of ₹5 crore is the listed expansion threshold from 1 August 2023; any preceding financial year from FY 2017–18 onward is considered. | Review GST-return turnover history rather than relying on this year’s figure alone. |
| GSTIN status | The GST system identifies eligible GSTINs and provides a way to update status when required. | Check the GSTIN on the live GST/IRP applicability facility before issuing documents. |
| Entity or role | The page says regular taxpayers and SEZ developers can generate e-invoices. An e-commerce operator can generate them on a seller’s behalf. | Confirm the role of the GSTIN and the current exemption notification. |
| Who submits | Only the supplier generates the e-invoice; recipients and transporters do not generate it for the supplier. | Assign submission responsibility to the issuing supplier or its authorised e-commerce intermediary. |
Use the applicability guidance on E-invoicing Mandate Under GST and the status and account requirements in the IRP Prerequisites page. Because mandates and exemptions can change, a historical threshold alone should not be treated as a permanent exemption or confirmation.
Prepare the data and access before submission
IRP registration does not repair an incorrectly prepared transaction. Put these controls in place before opening the generation screen:
Recommended Free Tools
- Use the GSTIN that will issue the invoice and confirm that it is enabled for e-invoicing.
- Set up the portal’s required multi-factor authentication (MFA). IRIS IRP prerequisite and release material says MFA setup is required for portal access; follow the current sign-in instructions.
- Have the document number, document date, document type and supplier details ready in the format required by the current schema.
- Obtain the recipient’s GSTIN. The web-form guide identifies recipient GSTIN as a required field.
- Map each line to the appropriate product or service description and HSN or SAC code.
- Confirm taxable values, tax rates and whether IGST, CGST and SGST apply. The web form calculates tax values and the tax-component applicability from the entered details, but the operator still has to review the result.
- Decide where the IRP response, signed JSON and generated QR image or representation will be stored with the accounting record.
Do not wait until after dispatch for the first attempt. A rejected submission, a duplicate invoice number or a reporting-time restriction can interrupt invoicing and downstream transport documentation.

Choose a generation method
The right method depends on volume, how structured the source data already is and whether IRNs must return automatically to an ERP. The IRP material describes three practical routes.
| Method | Best fit | How it works | Main control |
|---|---|---|---|
| Web form | One invoice at a time, low volume or occasional issuance | An operator signs in, enters the document and party details, adds items and taxes, and submits the form. | Manual entry and review are required for every document. |
| Bulk spreadsheet upload | Several invoices whose data is already in a structured spreadsheet | Use the portal’s Excel utility or bulk-upload facility, correct any validation feedback and submit the accepted records. | Map columns and codes exactly to the current template; do not alter values during a copy-and-paste operation. |
| ERP or API integration | Regular or high-volume billing with an existing accounting or ERP system | The system sends the prescribed payload to the IRP and receives the IRN, signed invoice data and QR information for posting back to the invoice. | Test authentication, error handling, retries and response storage before production use. |
These methods are described in Generate Through Web Form and IRIS IRP for E-Invoicing. A business can use more than one route, but it should maintain one authoritative invoice-numbering and response-reconciliation process so that a manual retry does not create a duplicate.
Generate one e-invoice through the web form
The portal guide describes a seven-step web-form sequence. The labels can change as the portal is updated, but the data flow is consistent: identify the document, identify both parties, enter the lines and taxes, review the calculated values and submit.
- Sign in and open the generation function. Complete MFA and choose the portal option for generating an e-invoice through the web form. Use the GSTIN that is issuing the document.
- Choose the document type and enter document identity. Select tax invoice, debit note or credit note as applicable, then enter the document number and date exactly as they appear in the accounting record. Check that the date is within any applicable reporting window before continuing.
- Review supplier details. Selecting the GSTIN can auto-populate supplier information. The guide says some populated details remain editable; correct only information that is legitimately different and keep the GST registration data consistent with the transaction.
- Enter the recipient. Provide the recipient GSTIN, which the guide identifies as required, along with the recipient address and other requested fields. Verify the GSTIN digit by digit because an error can associate the invoice with the wrong legal entity.
- Add line items. Enter each product or service, its description, HSN or SAC and the quantity, unit and value fields requested by the current form. Keep line totals consistent with the source invoice and do not combine items merely to avoid entering a required code.
- Review tax calculations. Enter the taxable values and rates and confirm whether IGST or CGST/SGST applies. The form computes the tax values and component applicability from the entered data; compare the result with the transaction’s place-of-supply and accounting determination before submission.
- Submit and save the response. Submit the completed document to the IRP. For a valid submission, save the returned IRN, digitally signed invoice data and QR code, then place the returned details on the invoice representation used for the customer and internal records.
The detailed field behavior and sequence are documented in the IRP’s Generate Through Web Form guide. If the form rejects a value, preserve the error text and correct the source data rather than repeatedly submitting unchanged values.

Bulk spreadsheet workflow
For a batch, export or prepare the invoice rows in the Excel utility or upload format supplied by the portal. Map one document to the required header and line fields, including recipient GSTIN and HSN/SAC. Validate totals in the spreadsheet before upload, because a column shift can put a value into a syntactically valid but commercially wrong field. Upload the file, read the row-level response, correct rejected records and retain the accepted IRP responses with the source batch. Do not assume that a successful file upload means every row was registered; reconcile the accepted IRNs against the batch count.
ERP or API workflow
An ERP or billing application should construct the payload from the final approved invoice, authenticate to the IRP, submit it and write the IRN and signed response back to the same document. Build explicit handling for timeouts: a network timeout does not prove that the IRP failed to register the invoice, so query or reconcile the status before retrying. Store the raw signed response as well as the human-readable invoice and expose a user-visible error when the IRP rejects a field. The current API schema and validation rules are the authority for exact field names and permitted values.
What the IRP validates and returns
Duplicate and registration checks
The IRP checks for duplicate invoice registration against IRN data held in a central depository. A valid document receives an IRN generated using a hash algorithm. Reusing the same supplier identity, document number and other identifying data can therefore produce a duplicate rejection rather than a second registration. Keep the original response when investigating a retry so that the accounting team can determine whether the first attempt actually succeeded.

| Artifact | What it proves or enables | Retention and use |
|---|---|---|
| IRN | The unique reference returned for the registered document. | Display or print it with the invoice and use it when reconciling the document. |
| Digitally signed invoice JSON | The IRP-signed representation of the submitted invoice data. | Keep the original response; do not treat a retyped PDF as a substitute for the signed payload. |
| QR code | A machine-readable way to access and verify key invoice information through an IRP facility. | Place the returned QR on the invoice representation and test that it scans and verifies. |

How to validate the returned e-invoice
Validation should be performed at two levels: first confirm that the IRP registered the document, then confirm that the registered data is the same data approved by accounting and sent to the customer.
- Locate the IRN. Confirm that the invoice representation contains the IRN returned for this exact document. An invoice number without an IRN is not evidence of IRP registration.
- Verify the QR code. Use the portal’s Verify QR Code facility against the QR shown on the invoice. Check that the returned identity, date, document type, supplier and recipient information correspond to the invoice you are holding.
- Verify the signature. Use Verify Signed E-Invoice to validate the digitally signed invoice data. Keep the verified response with the accounting record.
- Compare the signed data with the commercial invoice. Match the document number and date, supplier and recipient GSTINs, line descriptions and HSN/SAC, taxable values, tax rates, tax amounts and total. A QR that verifies but contains a wrong amount still requires correction of the underlying invoice process.
- Reconcile downstream records. Confirm that the IRN and final values have reached the ERP, customer copy and any related E-way bill or return workflow. Registration data is passed to GST systems and the E-way bill system, but your internal postings still need reconciliation.
The portal exposes both verification functions through its current navigation; use the live services described on the IRP Prerequisites page and sign-in area. QR verification confirms access to the registered information. It is not an independent opinion that the supply, place of supply, tax rate or input-tax position is legally correct. Those questions remain an accounting and tax review of the original transaction.

Thirty-day reporting control for larger taxpayers
An IRIS IRP release note states that, from 1 April 2025, taxpayers with AATO of ₹10 crore or more must report invoices, credit notes and debit notes within 30 days from the invoice date. After that limit, IRN generation is restricted. This is a separate operational control from the ₹5 crore applicability threshold: a business can be within the e-invoice system and still need to monitor the stricter 30-day submission window if its AATO meets the ₹10 crore level.
Configure an ageing report that counts calendar days from the invoice date, alerts staff before day 30 and blocks dispatch workflows that have not obtained an IRN. The controlling release note and linked GST advisory are collected on Notified E-invoice Schema and dated release notes.
Best Value
- 2 part carbonless forms (White originals, Canary duplicates) for invoicing customers
- Wraparound cover attached to back to place between sets
- Consecutively numbered within each book
- 50 sets per book
- Space at top for company stamp
Cancellation within the portal window
IRIS IRP says its basic access allows cancellation of an IRN within 24 hours of generation. Treat that as the portal’s cancellation function, not as an automatic reversal of every accounting, GST or transport consequence. Before cancelling, follow your credit-note, ledger, customer-communication and E-way bill procedures, and retain the cancellation response.
Narrow RSP validation relaxation from 1 February 2026
The 1 February 2026 release note relaxes Total Item Value validation for RSP-based tax calculations only when at least one line item has an HSN notified for RSP-based calculation and the document date is on or after 1 February 2026. It lists suppression of validation errors 2194, 2234 and 2235 on the API, web form, Excel utility and JSON-upload platforms. This does not relax ordinary invoice validation; apply it only when the document meets those stated RSP conditions and consult the current schema for the exact field requirements.
Troubleshoot common failures without creating duplicates
| Symptom | Likely issue | Safe response |
|---|---|---|
| The portal says the GSTIN is not enabled or the user cannot generate. | The GSTIN eligibility or portal profile is incomplete. | Check the GST system status, complete the required update and confirm the current applicability or exemption before resubmitting. |
| A duplicate or already-registered message appears. | The document may have been accepted on an earlier attempt, or the same identity was submitted twice. | Search your stored IRP responses and reconcile by document number and date before changing the invoice number or retrying. |
| Recipient validation fails. | The recipient GSTIN or address data is wrong, inactive or inconsistent with the selected details. | Reconfirm the GSTIN with the customer and correct the source invoice; do not substitute a different GSTIN merely to pass validation. |
| HSN/SAC or tax validation fails. | A code, rate, taxable value or tax-component choice does not satisfy the current schema or transaction data. | Review the live schema and the tax determination, then correct the accounting source before uploading again. |
| The API times out after submission. | The request outcome is unknown; a retry could duplicate a successfully registered document. | Query or reconcile the IRP status and check for an IRN before sending the same payload again. |
| An invoice is older than the permitted reporting window for a ₹10 crore-or-more AATO taxpayer. | The 30-day reporting control is restricting IRN generation. | Escalate through the GST/IRP process and document the exception; do not backdate or alter the commercial invoice to evade the control. |
The retrieved IRP material does not enumerate every field-level validation rule. For an error-specific diagnosis, use the current schema, release notes and portal error text rather than relying on a generic list of codes. The schema and dated updates are maintained at Notified E-invoice Schema and dated release notes.
Operational controls that keep the process reliable
- Separate preparation from registration. Lock the approved invoice data before sending it to the IRP, and prevent users from editing amounts after an IRN has been attached without a controlled correction process.
- Reconcile every response. Match the number of approved invoices, submitted payloads, returned IRNs and posted customer documents. Investigate any gap the same day.
- Protect signed data. Restrict editing access to the raw JSON and retain it with the source invoice, response timestamp and user or system that submitted it.
- Test the printed or displayed copy. Scan a representative QR code and confirm that the invoice shows the returned IRN and other required details rather than a locally generated code.
- Monitor portal changes. Release notes can alter validation behavior, reporting controls or supported upload methods. Review the live IRP notices before changing a production integration.
- Define correction authority. A portal cancellation window does not decide whether a credit note, ledger reversal, customer reissue or E-way bill action is required. Assign those decisions to the responsible tax and accounting owners.
When to use each verification result
If the IRN, signed invoice and QR all agree with the approved invoice, release the customer copy through your normal dispatch process. If the QR verifies but the signed data differs from the accounting document, stop and correct the source and downstream records; do not rely on the QR alone. If no IRN can be found, treat the document as unregistered until the IRP response or status check proves otherwise. If the portal is unavailable or a submission outcome is uncertain, preserve the request and response logs and reconcile before retrying.
Bottom line for Indian businesses
Generating an Indian e-invoice is an IRP registration workflow: establish applicability and GSTIN readiness, submit accurate invoice data through the web form, bulk utility or ERP/API, and retain the IRN, signed JSON and QR code that the portal returns. Validation is the deliberate comparison of those artifacts with the approved transaction, not a visual check that a QR image exists. Monitor the ₹10 crore AATO 30-day reporting control, use the portal’s current verification services and schema, and treat cancellation or QR verification as operational steps rather than substitutes for tax and accounting judgment.
