Generate an e-way bill through the official GST e-Way Bill System portal. Sign in with your GSTIN (or a transporter ID), enter the invoice or delivery-document information in Part A, add the actual transport details in Part B, and submit. A Part-A slip saved without Part B is not a completed e-way bill and does not authorize movement.
Before you begin, confirm that the consignment falls under the current e-way-bill rules, prepare the source document and transport information, and verify the bill immediately after submission. The portal requires two-factor authentication for taxpayers and transporters from 1 April 2025.
When an e-way bill is required
An e-way bill is an electronic document for specified movements of goods under GST. The general rule described by the GST e-Way Bill System is that a consignment whose value exceeds ₹50,000 requires one when it is transported in connection with a supply. The rules also cover some movements that are not ordinary sales, and exemptions and special cases apply.

Current rules and notifications can require an e-way bill for particular handicraft movements, job-work movements, and other specified cases even when the value is below that amount. Conversely, an exemption may apply to a movement that otherwise appears to cross the threshold. Check the applicable CGST rules, notifications, and any state or Union-territory provisions for your transaction before dispatch.

Movements commonly considered
- Movement connected with a taxable supply, including sale, transfer, or exchange.
- Movement for reasons other than a sale, such as return, replacement, exhibition, or job work, when the rules cover that movement.
- Movement of goods by a registered supplier, recipient, or transporter, subject to the applicable responsibility and exemption.
What the official definition says
The GST e-Way Bill System FAQ defines an e-way bill as “a document required by a person in charge of the conveyance carrying any consignment of goods of value exceeding fifty thousand rupees as mandated by the Government in terms of Section 68 of the Goods and Services Tax Act read with Rule 138 of the rules framed thereunder.” That wording describes the statutory framework; it does not remove the exemptions and special cases in the current rules.
What you need before opening the portal
Collect the documents and facts first. Missing transport information is the most common reason a user saves only a Part-A slip or enters details that later have to be cancelled.
Source document
- Tax invoice, where the movement follows a taxable supply.
- Bill of supply, where that document is applicable.
- Delivery challan, for movements such as job work, approval, or other permitted non-sale purposes.
- Bill of entry for an import movement when the applicable process calls for it.
Keep the document number, date, taxable and total values, tax rates or amounts where applicable, and the supplier and recipient details exactly as they appear on the source document.
Party and goods information
- GSTIN and legal name of the consignor and consignee.
- Delivery address and state or Union territory codes.
- Item description, HSN or SAC where required, quantity, unit, taxable value, and tax details.
- Reason for movement and the relevant document type.
When a party is not registered under GST, enter URP in the corresponding GSTIN field, as directed by the official FAQ. Do not substitute a guessed GSTIN or leave the field populated with an unrelated registration.
Transport information
- Transporter ID (TRANSIN) if a transporter is handling the movement.
- Vehicle number for road transport.
- Transport-document number and date for rail, air, or vessel movement, as applicable.
- Approximate route and the actual mode of transport.
The transport details must describe the movement that is actually beginning. If the vehicle or mode is unknown, use the Part-A slip workflow rather than entering provisional information that will make the submitted bill inaccurate.

Registering or signing in
GST-registered businesses
- Open the official GST e-Way Bill System portal and choose the registration or login option.
- Use the business GSTIN and the requested legal and contact details.
- Authenticate the registered mobile number or email address with the one-time password (OTP).
- Complete the portal’s two-factor authentication setup. Two-factor authentication is mandatory for taxpayers and transporters from 1 April 2025, according to the portal’s dated notice.
- Use the existing account and recovery tools if the GSTIN has already been enrolled; do not create a duplicate registration.
Unregistered transporters
A transporter that is not registered under GST must enroll on the portal to obtain a 15-digit Transporter ID, also called TRANSIN. The transporter uses that ID when a supplier or recipient assigns a Part-A entry, and when the transporter later supplies or updates the transport details.
Transporter enrollment is different from obtaining a GSTIN. Keep the enrollment credentials and registered contact available because two-factor authentication applies to transporters as well.
How to complete Part A
Part A records the transaction, document, parties, goods, and value. It does not by itself start the validity period or complete the transport document.
- Sign in and select the option to generate an e-way bill.
- Choose the transaction type, such as outward or inward movement, and the appropriate sub-type or reason.
- Select the document type and enter the invoice, bill of supply, or delivery-challan number and date.
- Enter the consignor and consignee GSTINs. Use
URPfor an unregistered party where the portal requires it. - Enter the dispatch and delivery addresses, state codes, and the relevant place details.
- Add each goods line with description, HSN, quantity, unit, taxable value, and applicable tax information.
- Enter the transporter ID when a transporter is assigned, then review the calculated total value.
- Save the entry and note the resulting Part-A slip number if the vehicle or transport document is not yet available.
Using a Part-A slip
A Part-A slip is a saved preliminary entry. It lets the consignor or consignee prepare the document information and assign the movement to a transporter before the transporter knows the vehicle or transport-document number. The transporter must later open the assigned entry and add Part B. Until that happens, the slip is not an e-way bill for movement.
How to complete Part B and generate the bill
Part B supplies the conveyance information that turns the Part-A entry into an e-way bill. Enter only the details that correspond to the first actual movement.

- Open the Part-A slip or choose the option to update Part B.
- Select the transport mode: road, rail, air, or vessel.
- For road movement, enter the complete vehicle number in the portal’s required format. Check every letter and digit against the registration certificate and the vehicle actually leaving the dispatch point.
- For rail, air, or vessel movement, enter the relevant transporter name and transport-document number and date instead of a road vehicle number, as applicable.
- Confirm the transporter ID, source, destination, document number, goods value, and distance-related information.
- Submit the entry. The portal generates an e-way bill number (EBN) and displays the completed record.
- Save or print the EBN and the complete details for the person in charge of the conveyance.
The first successful Part-B entry starts the e-way bill’s validity. Preparing Part A earlier does not start the clock. If you update Part B later because the vehicle or mode changes, the original validity period is not recalculated.
Validity period: regular transport and ODC
The portal’s stated rates are distance-based. Validity expires at midnight on the final validity day. A fraction of the distance increment counts as a full day.
| Movement category | Validity rate | Clock starts | Important qualification |
|---|---|---|---|
| Regular transport | One day for every 200 km or part thereof | First Part-B entry | The 200-km rate is the GST e-Way Bill System update effective 1 January 2021, replacing the earlier 100-km rate. |
| Over Dimensional Cargo (ODC) | One day for every 20 km or part thereof | First Part-B entry | The official FAQ text checked on 11 October 2026 states the 20-km rate. |
For example, a regular movement of 201 km receives two validity days, while an ODC movement of 21 km receives two days. These examples apply the portal’s “or part thereof” rule; the portal calculates the final expiry using the applicable movement data.
Changing a vehicle or transport mode
If the conveyance changes in transit, the transporter or an authorized generator can update Part B while the e-way bill remains valid. Enter the replacement vehicle or transport-document information promptly and ensure it reflects the actual movement. The update does not restart or extend the original validity calculation.
Delays and extension
Extension is intended for exceptional circumstances, not routine planning. If an exceptional delay prevents arrival within validity, use the portal’s extension facility only when the current rules permit it. The process requires transporter action and updated movement information. Check the current portal instructions before requesting an extension because validation and eligibility can change.

Reviewing, carrying, and storing the e-way bill
Compare the generated record with the source document before the goods leave:
- EBN, document type, number, and date.
- Consignor, consignee, and delivery addresses.
- Goods description, HSN, quantity, value, and tax details.
- Transporter ID, vehicle number or transport-document number, and mode.
- Validity start and expiry shown by the portal.
The person in charge should carry the applicable invoice, bill of supply, delivery challan, or bill of entry and a copy of the e-way bill or its number electronically. The official FAQ says the number may be quoted to an officer for verification, so a paper printout is not the only way to present it. Keep an electronic copy accessible even when the driver does not carry a printer-produced document.

Wrong invoice, value, party, or vehicle after submission
Submitted e-way bills cannot be edited. The official FAQ states: “If there is a mistake, incorrect or wrong entry after submission of the e-way bill, then it cannot be edited or corrected. Only option available is cancellation of eway bill and generate a new one with correct details.” Cancel the incorrect bill through the portal, then create a replacement using the source document and actual transport information. Do not try to correct a material error by leaving the old bill active.
Vehicle changes before or during movement
Use the Part-B update function within the bill’s validity period. Verify that the replacement vehicle is the one carrying the consignment and that the transporter is authorized to make the update.
Part A saved but no EBN generated
A Part-A slip means Part B is still incomplete. Ask the assigned transporter to open the slip and add the vehicle or transport-document data. Do not dispatch solely on the basis of the slip.

Bill has expired
An expired e-way bill ordinarily means the goods should not continue moving under that bill. If an exceptional circumstance caused the delay, check whether the current extension facility and rules apply, then obtain the required transporter update before movement. Do not assume that a late Part-B update renews validity; the FAQ says later Part-B entries do not recalculate the original period.
Portal rejects an entry
Read the exact validation message, compare the rejected field with the invoice and current GST records, and correct the source data before resubmitting. Portal validations change over time. Official announcements list additional generation validations effective 2 December 2025 and a validation relaxation effective 1 February 2026 for certain HSNs subject to RSP-based calculation. Those notices are system-specific; they should not be generalized to every product. If a rejection concerns HSN, valuation, or a dated validation, consult the current portal announcement and applicable rule.
Responsibilities of the parties
Supplier or recipient
- Determine whether the movement is covered and whether an exemption applies.
- Prepare accurate Part-A transaction and goods information.
- Assign the correct transporter ID when a carrier is used.
- Ensure Part B is completed before dispatch when the movement requires it.
- Retain the source document and EBN records.
Transporter
- Enroll for a TRANSIN if not registered under GST.
- Complete Part B when the vehicle or transport document becomes known.
- Update Part B for a legitimate vehicle or mode change during validity.
- Take the required action for an exceptional extension request.
- Keep the EBN and transport documents available for verification.
Person in charge of the conveyance
The driver or other person in charge should have the applicable invoice, bill of supply, delivery challan, or bill of entry and the EBN or its number available electronically. The details presented during an inspection must match the consignment and the conveyance.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteUsing software or APIs for frequent shipments
The official FAQ describes API integration for a registered person’s system. A business that generates many bills can connect its accounting or enterprise system to the e-way bill service, subject to the portal’s registration, authentication, technical, and usage requirements. Integration does not remove the legal responsibility to verify the document, transport details, validity, and exemptions. Confirm the current API onboarding rules and test the connection with controlled transactions before relying on automated generation.
Practical pre-dispatch checklist
- Is this movement covered by the current rule, or does a documented exemption apply?
- Does the document type match the reason for movement?
- Are GSTINs,
URPentries, addresses, state codes, and document dates correct? - Do item descriptions, HSN, quantities, values, and taxes match the source document?
- Is the transporter ID correct?
- Does the vehicle number or transport-document number identify the conveyance actually moving the goods?
- Was Part B submitted, producing an EBN, rather than only a Part-A slip?
- Has validity started at the intended first Part-B entry, and will the planned journey finish before expiry?
- Does the person in charge have the required document and electronic EBN or number?
Key dates and limits to keep in mind
The regular validity rate of one day per 200 km has applied in the portal’s stated system update since 1 January 2021. The portal landing page states that two-factor authentication became mandatory for taxpayers and transporters on 1 April 2025. The official FAQ text checked on 11 October 2026 states the ODC rate of one day per 20 km, validity beginning with the first Part-B entry, and expiry at midnight on the last day. Portal announcements can introduce further validations or relaxations, so check the latest notice when a transaction is rejected or an unusual HSN or valuation rule is involved.
