Start with inspection, not deletion. Open your operating system’s storage view, identify what is consuming the SSD, and use its recommendations to remove only items you recognize. Keep valuable files by moving them to an external drive or making suitable cloud files online-only, then check the free-space total again.
The safest order is: inspect categories and large files, review suggested cleanup, remove clearly unnecessary data, relocate files you still need, and verify the result. Windows 10, Windows 11, and macOS use different menus and have different rollback and cloud-storage consequences, so follow the section for your laptop.
Before you delete anything: identify the drive and your goal
Confirm that the warning concerns the laptop’s internal system SSD. In Windows, open File Explorer and select This PC to see the capacity bars, or open Settings > System > Storage. On a Mac, open the storage screen described below. A laptop can have several internal or removable volumes, and freeing space on the wrong one will not resolve a system-drive warning.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Decide whether you need a short-term amount of room for an update or a lasting reduction in local storage. Temporary cleanup can remove expendable files; a lasting solution usually means moving infrequently used personal files or using online-only cloud placeholders. Moving a file is not the same as backing it up: keep another verified copy before deleting the original from the SSD.

What counts as “important”
- Personal documents, photos, videos, project folders, tax records, and device backups you may need later.
- Application data that a program cannot recreate, such as local project databases or game saves.
- Recovery and rollback files that let you return to an earlier operating-system version.
Do not manually remove unfamiliar folders from Windows system directories, application-data locations, or a Mac’s general system-data area. Use the operating system’s categorized tools first; they provide descriptions and, in some cases, an estimate of the space a selection will release.
Find what is using the SSD
Windows 11 and Windows 10
- Open Settings > System > Storage. Windows shows categories such as installed apps, temporary files, documents, pictures, videos, and system or reserved storage. Select a category to see its details.
- Check other drives shown on the same page so you know which volume is full. Storage Sense applies only to the Windows system drive, usually C:.
- For a file-level view, open File Explorer > This PC, open the system drive, and sort your own folders by size. Concentrate on Downloads, Videos, Pictures, Music, and large project folders. Do not turn a size search into permission to delete system folders.
Windows may show space as “system and reserved.” That total includes operating-system files and reserved capacity, so it is not a normal personal folder that can simply be emptied.
macOS Ventura 13 or later
- Choose Apple menu > System Settings > General > Storage.
- Select categories such as Applications, Documents, Messages, Podcasts, Mail, iOS Files, or Bin to inspect their details and available management actions.
Earlier macOS versions
Choose Apple menu > About This Mac > Storage, then inspect the categories presented there. The labels and controls differ by macOS release.
On a Mac, System Data is a broad category for Apple and third-party files that do not fit another category. It is not a list of files that are all safe to delete manually. Use the category controls, application settings, or Apple’s documented maintenance options instead of purging random cache directories.
Use built-in cleanup, but review every selection
Windows Cleanup recommendations
- Open Settings > System > Storage > Cleanup recommendations.
- Read each group: temporary files, large or unused files, cloud-synced files, and unused applications. Windows can display an estimated saving for the selections on your particular device.
- Open the details for a group and select only files, apps, or categories you recognize. Check file names and locations before confirming.
- Apply the cleanup, wait for it to finish, and return to Settings > System > Storage to check the new free-space value.
If Previous Windows installation(s) appears, it normally represents the Windows.old rollback data. Removing it permanently removes the ability to return to the previous Windows version; Microsoft documents this action as irreversible. Keep it until you are certain the current installation works and you will not need that rollback path.

Windows 10 Disk Cleanup
On Windows 10 systems where the newer recommendations view is unavailable, search the Start menu for Disk Cleanup. Select the system drive, review each file category and its description, and then choose Clean up system files if you need to inspect operating-system cleanup options. Select only the categories you understand and confirm. The same rollback warning applies if previous-installation files are offered.
macOS category controls
Use the action buttons shown for each category rather than deleting files from hidden folders. Apple’s storage guidance includes these review-first options:
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minute- Applications: uninstall programs you no longer use, checking whether they contain local data you still need.
- Documents: inspect large files, Downloads, and unsupported or old formats before moving or deleting anything.
- Media: remove films, television episodes, podcasts, or other content only when it can be streamed or downloaded again and you are comfortable relying on that access.
- Mail: erase junk and deleted messages after checking that no message or attachment is needed.
- Backups: review old iPhone or iPad backups and retain a current backup before removing older copies.
- Bin: empty it only after checking its contents; an item moved to Bin still occupies SSD space until Bin is emptied.
Apple also documents reviewing leftover data from deleted user accounts and compressing files as ways to reduce local use. Compression saves space while retaining the file, but opening it later requires decompressing it and may not suit files that are edited frequently.
Choose what to remove, move, or keep online
| Option | What happens locally | What you must check |
|---|---|---|
| Delete expendable files | The local copy is removed; emptying Recycle Bin or Bin is what releases the space completely. | Confirm you can recreate or retrieve the data and understand whether the action is reversible. |
| Move files to an external SSD, USB drive, or SD card | The internal copy can be removed after a successful transfer, reducing SSD use. | The external device must be connected to open the moved files. Verify the copy before deleting the original. |
| Use online-only cloud files | A small placeholder remains locally while the full file stays in the cloud. | Opening or editing may require network connectivity and an account with enough cloud capacity. Online-only does not mean available offline. |
| Compress an archive | The archive may occupy less local space while preserving its contents. | You need compatible software and enough temporary space to create or extract it; frequently edited files are less convenient this way. |
Move large personal folders to another drive
Videos, photo libraries, music collections, Downloads, and completed projects are often the safest large targets because you can identify their contents. Connect a suitable external drive, create clearly named folders, and copy the data. Open several copied files from the external drive before removing the originals. Keep the drive connected whenever you need those files, and protect it from loss or damage like any other important data.
Windows can save new documents, music, pictures, videos, and applications to another drive. Open Settings > System > Storage > Advanced storage settings > Where new content is saved and choose the destination for each content type. This changes future locations; it does not automatically move everything already stored on C:.

On a Mac, Apple identifies an external storage device as an option for files and large media libraries. A Photos or iMovie library can be moved to external storage, but the drive must be connected when the library is used. Follow the application’s own library-move procedure so its database and media remain linked.
Make eligible cloud files online-only
Windows can use OneDrive Files On-Demand to keep smaller placeholders on the laptop while the full files remain in OneDrive. In File Explorer, use the file or folder’s availability control to free local space after confirming that synchronization has completed. Downloading the file again requires network access and a signed-in account with available cloud storage.
macOS can optimize storage with iCloud. The result depends on your Apple Account’s iCloud storage plan and settings; cloud storage is not automatically unlimited or free. Keep local copies of files you must access without a connection, such as travel documents or active work.
Configure automatic cleanup safely
Storage Sense in Windows
Open Settings > System > Storage > Storage Sense. Storage Sense works on the system drive only, which contains Windows and is usually called C:. Its automatic behavior can remove unnecessary temporary files and, according to the selected schedule, Recycle Bin contents. Downloads and cloud content are not cleaned by default unless you configure those choices.
Before turning on a schedule, inspect the settings for:

- Recycle Bin retention: a shorter period removes deleted items sooner and reduces your recovery window.
- Downloads: enable automatic cleanup only if you deliberately manage that folder and do not use it as long-term storage.
- Cloud files: configured inactive files may become online-only. They can be downloaded again when space and network connectivity are available.
Run Storage Sense manually once, review the result, and then decide whether a recurring schedule fits your workflow. Automatic cleanup should prevent predictable clutter, not replace a backup plan.

Review removable media and downloads
In the Storage pane, inspect large downloads and media that can be retrieved again. Streaming availability can change, so do not remove a purchased or personally created file unless you know where the replacement copy is stored.
Remove old device backups deliberately
Old iPhone or iPad backups can be large. Keep at least one current, known-good backup before deleting older ones, and make sure the remaining backup is stored where you expect. A backup that exists only on the laptop does not protect against laptop failure.
Clear the Bin only after a final check
Moving an item to Bin changes its status but not the occupied space. Open Bin, inspect its contents, and empty it when you are certain the files are no longer needed. This is the point at which the reported free space should increase.

Use Safe Mode only as a temporary measure
Apple states that starting a Mac in Safe Mode clears certain system caches. Those caches are recreated as needed, so Safe Mode may provide temporary room for a task such as installing a macOS update, but it is not a permanent storage strategy. Do not manually purge cache directories in an attempt to reproduce this behavior.

When space keeps disappearing after cleanup
Windows Store package files filling Temp
If the Temp folder rapidly refills with Microsoft Store app package files, treat it as a troubleshooting issue rather than repeatedly deleting the folder. Microsoft’s documented sequence is:
- Reset the Microsoft Store.
- Clear its cache by opening the Run dialog, entering
wsreset.exe, and waiting for the process to finish. - Run the Windows Store Apps troubleshooter.
- Run the Windows Update troubleshooter.
- Restart the laptop and recheck Settings > System > Storage.
If the growth continues, note which application or update is involved and use the relevant Microsoft support path. Avoid deleting package or system directories by hand.
Cloud files unexpectedly need downloads
An online-only placeholder is not an offline copy. If a file will not open without a connection, mark it for local availability before travel or other offline work. Also check that the cloud account has sufficient storage and that synchronization has completed.
Recommended Free Tools
The free-space number does not change
- Empty Recycle Bin or Bin after checking its contents.
- Close applications that still hold deleted files open, then restart if necessary.
- Wait for storage calculations and cloud synchronization to finish.
- Reopen the storage settings page and confirm that you are viewing the system SSD rather than another volume.
A repeatable maintenance routine
- Check the system drive: record the free-space number and open the platform’s category view.
- Inspect the largest personal locations: Downloads, media libraries, project folders, old installers, and device backups.
- Review recommendations: select only recognized temporary files, unused apps, or duplicates and read any rollback warning.
- Relocate retained data: copy it to an external drive or make suitable cloud files online-only, then verify access.
- Empty deletion containers: clear Recycle Bin or Bin only after a final review.
- Set prevention controls: configure Storage Sense, choose another destination for new Windows content, or optimize cloud storage where appropriate.
- Recheck: compare the storage view with the original reading and confirm that the applications and files you need still open.
There is no universal number of gigabytes that every laptop will recover. The amount depends on your files, operating-system version, update history, cloud settings, and the selections you approve. Use the device-specific estimate shown by Windows or the before-and-after reading on either platform rather than relying on a promised figure.
