To free up OneDrive cloud storage safely, check what is using the quota, preserve any files you still need outside the OneDrive folder, delete only what you have verified, and review the recycle bin before permanently emptying it. Making files online-only frees space on your computer, not in OneDrive.
Check what is using your OneDrive storage
First confirm whether you are signed in to a personal Microsoft account or a work or school account. The quota and the steps available can differ.
Personal account
Open OneDrive on the web and go to Manage storage. Review the storage breakdown and recycle bin before choosing what to remove. Microsoft’s personal-account guidance says the free allowance is 5 GB of Microsoft cloud storage shared across OneDrive files and photos, Outlook.com attachments, and Microsoft 365 app content; Outlook.com also has 15 GB of separate email storage. So if OneDrive cleanup alone does not resolve a full Microsoft cloud quota, check which service is contributing to the total.

Work or school account
In OneDrive on the web, open Storage used to find large files. Your organization may set the quota or retention rules, and storage may be pooled. If the page does not show a way to resolve the limit, ask your Microsoft 365 administrator which policy applies.
Find files you can remove safely
Sort or review large items first, but do not assume that a file is disposable just because it is large or old. Videos, duplicate exports, installers, and camera-roll items are useful places to inspect.

- Open important documents and confirm that a supposed duplicate contains the same information as the copy you plan to keep.
- Check whether a file is shared and who owns it. Deleting a shared item can remove access for other people.
- Before removing a photo, video, or document, decide whether you need it on another device or in a separate backup.
Keep wanted files before deleting them from OneDrive
If you want a file to remain on this computer but no longer be stored in OneDrive, move it to a folder outside the OneDrive folder. Confirm that the file exists and opens in the new location before deleting the OneDrive copy. If you need protection against computer failure, make an additional copy somewhere else; moving a file out of OneDrive is not itself a backup.

Delete selected items, then decide whether to empty the recycle bin
- Delete only the OneDrive items you have checked and no longer need. Deleted files go to the OneDrive recycle bin, where they may be restorable.
- Open the recycle bin and review its contents before emptying it. Items in the bin still count toward personal storage.
- Permanently delete from the recycle bin only when you are certain you will not need those files. Microsoft says files permanently removed from the bin cannot be recovered.
- Return to the storage view and check the available space. Microsoft notes that the quota can take a short time to reflect deletions from OneDrive and its recycle bin.

Know the difference between cloud storage and computer disk space

Files On-Demand and Storage Sense can help when the PC’s drive is short on space, but they do not solve a full OneDrive cloud quota. Microsoft’s explanations are available for Files On-Demand for Windows and Storage Sense.

If OneDrive is still full
Check other Microsoft storage use
Review Outlook.com attachments and other content included in the personal Microsoft cloud quota. Deleting unrelated OneDrive files will not address storage being used elsewhere in the account.

Check whether your allowance changed
A temporary promotion or subscription allocation may have expired. Check the storage amount shown for your own account and its current terms rather than assuming that a published plan allocation applies to every subscriber. Microsoft’s current FAQ says new Microsoft 365 Family and Premium subscribers receive 2 TB of shared OneDrive storage starting October 7, 2026; new Pro subscribers receive 5 TB; existing Family and Premium subscribers transition to 2 TB at renewal from April 1, 2027. Eligibility and timing matter, so verify your own entitlement in the account.

Consider recovery and account consequences
For personal accounts, being over quota can stop new uploads, edits, and syncs; existing files may become read-only. Microsoft says an account may be frozen after three months over quota and that it may delete a personal OneDrive and its files after six months over quota. These are possible consequences, not a guaranteed deletion schedule. Microsoft 365 subscribers can use Restore your OneDrive to return to an earlier state using activity from the previous 30 days; files created after the selected restore point are sent to the recycle bin, and later activity is reversed. Frequently asked questions
Does making a OneDrive file online-only free cloud storage?
No. It reduces the local space used on a Windows PC while the file remains in OneDrive and continues to count toward cloud quota.
Can I get a deleted OneDrive file back?
You may be able to restore a deleted item from the recycle bin. Once it has been permanently removed from the bin, Microsoft says it cannot be recovered. Microsoft 365 subscribers also have the separate Restore your OneDrive feature, which can reverse activity from the last 30 days.
