WordPress does not deliver mail by itself. Its wp_mail() function passes each message to a local mail-transfer agent (MTA) such as Postfix, Exim, Qmail or Sendmail, or to a remote SMTP service configured through a plugin or API. A VPS with neither an operating MTA nor a remote relay has no delivery path, so contact-form notifications, password resets and other messages cannot leave the server.
Fix the problem by identifying the transport, correcting the relay hostname, port, TLS mode and credentials, using an authorized From address, publishing SPF/DKIM/DMARC records, and then tracing the message beyond SMTP acceptance. The procedure below separates WordPress errors from server, relay and recipient-side failures.

A normal send has several stages:
- A plugin, form, password-reset screen or WordPress core calls
wp_mail(). - WordPress hands the message to the configured transport.
- A local MTA either delivers it directly or relays it to an authenticated provider. An SMTP plugin may bypass the local MTA and connect to that provider itself.
- The provider accepts, defers or rejects the message.
- The recipient’s mail system applies authentication, reputation and spam filtering before placing, quarantining or rejecting it.
“Mail sent” in a WordPress screen usually means only that the application passed the message to the next component. It does not prove that the recipient’s inbox accepted it.
What a VPS does and does not provide
A VPS gives you an operating system and network address; it does not automatically include a configured outbound mail server. If no MTA is installed and no remote SMTP path is active, WordPress has nowhere to hand the message. Even with an MTA, direct delivery requires DNS authentication, queue management, security maintenance and a trustworthy sending reputation.

Run this triage before changing settings
Record the exact time, recipient, From address, form or action that triggered the message, and any error shown by WordPress or the plugin. Use one test recipient that you control so you can inspect the complete headers.
- Check whether a local MTA is installed and running, or whether an SMTP plugin/API connection is enabled.
- Confirm that the WordPress site can resolve the relay hostname and make outbound connections.
- Verify the provider-approved hostname, username, password or app password, encryption mode and port.
- Check whether the VPS host or upstream provider blocks outbound TCP port 25. If it does, use the provider’s authenticated-submission port.
- Send a controlled test from the plugin’s test-mail screen, then repeat with a password-reset or contact-form message.
- Save the returned error, timestamp, recipient and message ID. Compare those details with plugin logs, the MTA log and the relay’s activity log.
This sequence tells you whether the failure occurs before WordPress hands off the message, during SMTP authentication or transport, or after the relay has accepted it.

Choose the delivery architecture that fits your VPS
There are three practical patterns. Select one deliberately rather than installing several overlapping mail transports.

For most self-managed WordPress installations, relaying through a third-party mailing service is the recommended pattern because it is easier than operating direct delivery. Running an MTA always requires server-management expertise. Do not configure both a plugin relay and an unrelated local MTA unless you understand which path each message uses.

Use the provider’s exact SMTP settings
Copy these values from the provider’s current documentation or control panel. A single mismatch can make authentication fail even when the password is correct.

Do not assume that port 465 and port 587 use the same TLS setting. Follow the provider’s terminology: STARTTLS upgrades an initially plain SMTP connection, while implicit TLS begins encryption before SMTP commands are exchanged. Never enable an option merely because its label sounds familiar.
Fix a WordPress SMTP-plugin configuration
- Install or open the transport. In the WordPress dashboard, go to
Plugins > Add Newto install a maintained SMTP plugin, or open the settings page of the plugin already in use. If the plugin offers a provider-specific API, note that this is a different transport from ordinary SMTP and requires that provider’s API credentials. - Enter the connection values. Paste the host, port and encryption mode exactly as supplied. Turn on authentication and enter the username plus password or app password. Avoid copying trailing spaces from a password manager.
- Force the envelope sender. Enable the plugin’s option to set the From address when available. Use a mailbox on the authorized site domain rather than an unrelated consumer-domain address. Keep the Reply-To address separate if visitors need to reply to a form submitter.
- Protect credentials. Restrict dashboard access, use an app password where the provider supports it, and do not place a production password in theme files or publicly committed configuration. Rotate the credential after a suspected disclosure.
- Send the plugin’s test message. Address it to a mailbox you control. Save the complete error and message ID instead of relying on a generic “failed” notice.
- Test a real WordPress workflow. Trigger a password reset and submit the contact form. If the plugin test works but one workflow fails, inspect that form or membership plugin’s hooks, recipient settings and spam controls rather than changing SMTP credentials again.
Confirm that a local MTA exists when WordPress uses one
If the site relies on the server’s sendmail-compatible interface, verify the daemon before troubleshooting DNS or recipient spam folders. Commands vary by distribution and MTA; run them with appropriate privileges and substitute the service name used on your server.

postqueue -pFor another MTA, use its service name and queue utility. A stopped daemon, a growing deferred queue or repeated connection errors indicates a server-side problem. A queue that is empty immediately after a send can mean that WordPress never handed the message to the MTA, while an accepted message that remains deferred points to DNS, network, policy or recipient-server issues.

When the MTA should relay instead of deliver directly
Configure the local MTA as a client that authenticates to the provider when you want a conventional sendmail interface without exposing your VPS to the complexity of direct internet delivery. The relay must still be authorized for your From domain, and the VPS must be able to reach the provider’s submission port. Verify the MTA’s TLS certificate checks, authentication file permissions and queue behavior after every configuration change.
When direct delivery is appropriate
Direct delivery gives maximum control but makes you responsible for the sending IP’s reputation, reverse-DNS and forward-DNS consistency, SPF and DKIM signing, DMARC alignment, abuse handling, queue retries, bounce processing and blocklist investigations. Choose it only if you can monitor and maintain those systems. A VPS provider’s ability to run a mail daemon does not guarantee that recipient networks will trust its IP range.
Align the sender and authenticate the domain
Use an authorized From address
Set the visible From address to a domain that the relay has approved and that you control. A visitor’s address belongs in Reply-To, not as an arbitrary From value. The mailbox does not always need to be used for sending, but it should exist when recipients are expected to reply. An unrelated consumer-domain From address can fail provider policy checks or cause recipient systems to distrust the message.
Publish SPF
Add the relay’s published SPF mechanism to the DNS zone for the domain used in the envelope sender. If the VPS also sends other mail, combine authorized sources into one SPF record rather than publishing conflicting records. DNS changes can take time to propagate, so check the authoritative result seen from outside the VPS.

Publish DKIM
Copy the provider-generated DKIM selector and public key into DNS exactly as supplied. The relay signs outgoing messages with the corresponding private key. Inspect a received message’s headers to confirm that the DKIM result is pass and that the signing domain is the one you intended.

Add DMARC
Create a DMARC record for the visible From domain with a policy appropriate to your deployment. Alignment matters: SPF and/or DKIM must authenticate a domain that matches the From domain under the policy’s alignment rules. Begin with reporting if you are still discovering legitimate senders, then tighten enforcement after reviewing reports and correcting failures.

An SMTP provider accepting a message means it accepted responsibility for attempting delivery; it is not an inbox guarantee. Follow the downstream evidence in this order:
- Check the recipient’s spam or junk folder and any quarantine used by the organization.
- Read the complete headers of a received copy. Look for SPF, DKIM, DMARC, the relay’s message ID and the final receiving server’s disposition.
- Open the relay activity log and search by message ID, recipient and timestamp. Determine whether the message was delivered, deferred, bounced or suppressed.
- For a bounce, record the enhanced status code and the receiving server’s text. A permanent rejection requires correcting the address, policy or authentication; a temporary deferral may clear after retries.
- Check DNS propagation for SPF, DKIM and DMARC from an external resolver, not only the VPS’s local cache.
- Investigate sending-IP reputation and blocklists when messages are consistently rejected or filtered despite passing authentication.
Keep the original headers and logs when contacting a provider. They contain the identifiers support staff need to distinguish a WordPress handoff from a remote-delivery event.

Diagnose the most common symptoms

Use logs without exposing private data
Enable logging only long enough to diagnose the fault, limit access to administrators, and redact message bodies and credentials before sharing an excerpt. Useful fields are the event time, recipient domain, SMTP response, queue or message ID, TLS result and final disposition. Avoid logging full passwords, API tokens or sensitive form contents.
Correlate three clocks: the WordPress event time, the VPS/MTA log time and the relay event time. Clock drift can make a successful message appear unrelated to the triggering action. Use the same recipient and a unique subject for each controlled test so records cannot be confused.
Prevent the next outage
- Monitor plugin test delivery and a real password-reset path after WordPress, plugin, PHP or VPS changes.
- Keep a documented record of the authorized From domain, relay hostname, port, TLS mode, credential owner and DNS selectors.
- Alert on MTA queue growth, repeated authentication failures, provider bounces and expiring credentials.
- Review SPF, DKIM and DMARC results in received headers and examine available DMARC reports.
- Use least-privilege dashboard accounts and rotate SMTP or API credentials on a defined schedule.
- Keep the VPS, WordPress core, plugins and mail software patched; remove abandoned plugins that can alter mail headers or expose credentials.
- Separate transactional messages such as password resets from bulk campaigns so a marketing spike does not exhaust the transactional path.
A final decision checklist
- Choose either a local MTA, a local MTA relaying through a provider, or a WordPress SMTP/API path.
- Confirm the chosen transport is installed, enabled and actually used by the site.
- Enter the provider’s exact host, authenticated port, TLS mode and credentials.
- Use a From address on an authorized domain and a usable Reply-To address.
- Publish and verify SPF, DKIM and DMARC for that domain.
- Send a controlled plugin test and a password-reset or contact-form test.
- Record the message ID, inspect logs and follow the message through relay status, headers, bounces and recipient filtering.
If the first test never reaches a local log, fix WordPress or the plugin. If it reaches the MTA but remains queued, fix the VPS transport or network path. If the relay accepts it, stop changing WordPress settings and investigate authentication alignment, bounces, suppression, reputation and the recipient’s filtering.
