Start by identifying where the failure occurs: a Copilot chat upload, a file selected from OneDrive or SharePoint, Copilot inside Word, Excel, or PowerPoint, or the Office application itself. Each path has different format, size, permission, and checkout rules. Check the file extension, location, account access, and the exact error before converting or repairing anything.
First, identify which Copilot experience is failing
“Copilot won’t open my file” can describe several different problems. A file may be rejected while you attach it to a chat, unavailable when you select it from cloud storage, unusable by Copilot inside an Office app, or genuinely damaged when opened by Word, Excel, or PowerPoint. The correct fix depends on that boundary.

Write down the exact wording of the message, the application, whether the account is personal or work/school, and whether the file opens normally. Do not apply a conversion or repair until you know which row describes your case.
Use this troubleshooting sequence
- Reproduce the failure in its original context. Note whether you attached the file in Copilot chat, selected it from OneDrive, opened it from SharePoint, or invoked Copilot within an Office application. These are separate experiences with separate support lists and limits.
- Check the real file extension. In File Explorer or Finder, enable display of extensions and confirm that the file is actually
.doc,.docx,.xlsm,.xlsx,.odp,.pptx, or another format. A misleading name such asbudget.xlsx.docis still a Word document, not an Excel workbook. Compare the extension with Microsoft’s file-format list for the exact Copilot experience you are using. - Check the relevant size and count limit. Do not use the general OneDrive storage limit as a Copilot upload limit. The limits are listed below by experience.
- Check the location and access. Make sure you can open the file normally, that it is uploaded or cloud-hosted rather than referenced by a local path, and that your account has permission to use it.
- For Excel, inspect workbook state. If the message says “Unsupported file state,” check whether the SharePoint file is checked out and whether it uses Strict Open XML Spreadsheet format.
- Test outside Copilot. Download a copy and open it in the appropriate desktop or web Office application. If it fails there too, follow file-repair and compatibility steps rather than treating the issue as an AI-upload problem.
- Try the desktop app for a cloud file. From OneDrive or SharePoint, select the file and choose Open > Open in app. This path requires the OneDrive sync client and Files On-Demand.
- Escalate organization controls when necessary. A file owner or administrator may need to correct sharing, checkout policy, or the organization’s Copilot entitlement. Do not weaken security controls just to force a file through.
Check format support before converting anything
Copilot does not have one universal extension list. General Copilot upload, work or school Copilot, Copilot in Microsoft 365 personal apps, Excel Copilot, and Copilot in OneDrive can support different formats. A format that opens in Office may still be unavailable to a particular Copilot flow.

Word documents
Microsoft’s troubleshooting examples recommend saving an older Word .doc document as modern .docx when the older format is rejected. Open the original in Word, choose File > Save As, select Word Document (*.docx), and save a new copy. Keep the original so you can recover features or formatting that do not survive conversion.
Excel workbooks
For complex macro-enabled .xlsm workbooks, Microsoft suggests exporting or saving a copy as .xlsx when Copilot cannot process the original. An .xlsx file cannot retain VBA macros, certain external connections, or some advanced workbook behavior. Preserve the .xlsm source, document what the workbook does, and test formulas, links, named ranges, and formatting in the converted copy before using it for analysis.
PowerPoint presentations
If an OpenDocument Presentation .odp is rejected, Microsoft’s example workaround is to open it in PowerPoint and save a copy as .pptx. Review slide masters, fonts, transitions, embedded media, charts, and speaker notes after conversion; format translation can change those elements.

Use a conversion copy, not the only original
- Download or duplicate the source file.
- Open the duplicate in the appropriate Office application.
- Use File > Save As or Export to choose the modern format.
- Close and reopen the new file to verify that it is readable.
- Upload or select the verified copy in Copilot.
Conversion is not a universal repair. If the modern copy also fails to open in Office, investigate corruption or application compatibility instead.
Match the file to the correct size and count limit
These figures apply to different Microsoft experiences and must not be treated as one universal Copilot allowance.

A large document can be below a nominal limit and still be difficult to process because of page count, embedded objects, images, tracked changes, workbook formulas, external links, or other complexity. Microsoft recommends reducing complexity or splitting lengthy documents, large PDFs, and formula-heavy spreadsheets into smaller files. For a workbook, make a copy, remove unnecessary sheets or embedded objects, and save and reopen the copy before submitting it. For a long document or presentation, split it at meaningful section boundaries and keep headings or slide titles so the pieces remain understandable.

Fix location and permission problems
Copilot needs a file it can reach through the current experience. Microsoft Support’s File formats supported by Microsoft Copilot states: “Local paths aren’t supported. You can only use uploaded or cloud-hosted files.” A path such as C:UsersNameDocumentsreport.docx is therefore not a valid reference for that upload workflow; attach the file itself or place it in a supported cloud location.

- Open OneDrive or SharePoint in the browser and locate the file.
- Open it without Copilot. If you receive an access or sharing error, fix that first.
- Check the account avatar or profile menu and confirm that you are using the account that has access.
- For a shared file, ask the owner to confirm that your account still has permission and that the link has not expired.
- Return to Copilot and select the cloud-hosted file through its picker, or upload a copy directly.
OneDrive Copilot can use only files your account is permitted to use. A file visible in a shared folder is not automatically available if your effective permission has been removed, if the link is restricted, or if you are signed into a different tenant or personal account.
Resolve Excel’s “Unsupported file state” message
Excel’s exact wording points to workbook state rather than a generic upload failure. Microsoft identifies two important causes: the workbook may be checked out in SharePoint, or it may use Strict Open XML Spreadsheet format.

When the workbook is checked out
- Open the containing SharePoint library.
- Inspect the file’s status or details to see whether it is checked out to you or another person.
- If you own the checkout and your organization permits it, choose the library command to check the file back in.
- Close Excel, wait for the status to update, and reopen the workbook.
- Try Excel Copilot again.
If the site requires checkout for editing, Microsoft says Excel Copilot on Windows or Mac will not work with files from that site. Excel for the web can still be used in that situation. The site’s policy, not a local setting, determines whether checkout can be bypassed.
When the format is Strict Open XML
Save a backup and create a modern standard .xlsx copy in Excel. Check formulas, tables, external links, data connections, macros, and formatting in the copy. Then close and reopen it before selecting it in Copilot. Do not overwrite a regulated or macro-enabled original merely to remove the error.
Separate a Copilot problem from a damaged Office file
If the document, workbook, or presentation used to work and now fails in the Office application itself, Copilot may not be the cause. Microsoft lists corruption and application-format incompatibility as possible explanations.

- Download a fresh copy from OneDrive or SharePoint instead of repeatedly opening a possibly cached local copy.
- Try the appropriate Office desktop or web application.
- If only one computer fails, try the web version or another trusted computer to distinguish an app or profile issue from file damage.
- Use Microsoft’s specific Office repair instructions referenced from its SharePoint troubleshooting guidance.
- Save the repaired result as a new file, close it, and reopen it before replacing the original.
- Only after the repaired copy opens normally should you submit it to Copilot.
Repair can remove damaged content or change layout. Compare the repaired copy with the original, especially for formulas, charts, slide media, tracked changes, and embedded objects. Keep the original untouched until the replacement has been verified.
Open a OneDrive or SharePoint file in the desktop app
When the browser experience or Copilot integration is the failing layer, the desktop application can provide a useful diagnostic path.
- In OneDrive or SharePoint, select the Word, Excel, or PowerPoint file.
- Choose Open > Open in app.
- Sign in to the desktop Office application with the same account that has access to the cloud file.
- Confirm that the file opens and that its content is current.
- Invoke Copilot from the open document, if your account and application edition provide that feature.
This workflow requires the OneDrive sync client and Files On-Demand. A file that depends on other files may also require its containing folder to be synced; otherwise linked content may remain unavailable. If the command is missing, verify the sync client, Files On-Demand, account sign-in, and organization policy rather than deleting and re-uploading files repeatedly.

Handle work and school account restrictions
In an organization, the owner or administrator may control sharing, checkout, sync, supported applications, and Copilot licensing. Ask the file owner or administrator to verify:
- your account has permission to open and use the file;
- the file is not checked out by another user;
- the SharePoint library’s checkout requirement is compatible with the intended Excel Copilot workflow;
- the tenant has the necessary Copilot entitlement and feature enabled; and
- security or compliance policies are not blocking the selected location or file type.
Microsoft’s support guidance establishes access and checkout as potential causes, but policies differ between tenants. Do not disable retention, sharing, authentication, or other security controls as a workaround. Have the administrator provide an approved location or conversion process instead.
Choose the fix from the symptom

What to record before contacting support
A concise diagnostic record lets an administrator or Microsoft support representative reproduce the right path. Include the exact Copilot surface, Office application and platform, personal or work/school account type, file extension, approximate file size, cloud location, exact error text, whether the file opens outside Copilot, and whether the SharePoint item is checked out. Include the steps that already worked, such as opening the file in Excel for the web or converting a duplicate to .xlsx. Never send a confidential document to an unapproved recipient merely to demonstrate the problem.
