Fix a GST return error by first identifying the exact form, tax period, invoice, portal message and filing status. Reconcile the portal record with the source invoice and books before editing anything. The correct remedy differs for a draft GSTR-1, an already-filed GSTR-1, a GSTR-2B purchase mismatch and a technical upload failure.
This guide follows GST Portal procedures reviewed on 13 October 2026. Portal labels, statutory cutoffs and correction facilities can change, so verify the live instructions and law for the period involved. Procedural guidance cannot determine case-specific tax liability or input-tax-credit (ITC) eligibility.
Start with a precise error record
Do not begin by repeatedly uploading a file or changing tax values. Create one incident record for each problem so you can distinguish incorrect data from a processing delay or a browser issue.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Form: GSTR-1, GSTR-1A, GSTR-2B or GSTR-3B.
- Tax period: month or quarter and the financial year.
- Invoice or note: invoice number, debit-note or credit-note number, date and document type.
- Parties: supplier GSTIN, recipient GSTIN and, where relevant, e-commerce operator details.
- Values: taxable value, tax rate, tax amounts, tax heads and place of supply.
- Status: draft, uploaded, pending, processed with error or filed.
- Exact portal text: copy the complete message or code and record when it appeared.
- Evidence: download the portal error report, save the source invoice and retain the purchase or sales-register row used for comparison.
For a processed-with-error upload, the GST Portal workflow is to download the error report, correct the listed issues, generate a new JSON file with the current offline utility and upload that corrected file again. Keeping the original file and the corrected file separately makes it clear which records were changed.

Reconcile the invoice before changing a return
Match the portal entry to the underlying document and books at invoice level. A summary total can look correct while one recipient GSTIN, tax head or place-of-supply value is wrong.
Sales-side comparison
- Supplier and recipient GSTINs, including the state code implied by each GSTIN.
- Invoice number, invoice date and document type.
- Place of supply and whether the transaction is intra-state or inter-state.
- Taxable value, rate and each applicable tax head.
- Links to an original invoice when the record is a credit note, debit note or amendment.
- Whether the same invoice already exists in the financial year’s records.
Purchase-side comparison
Compare the purchase register with GSTR-2B line by line. Check the supplier GSTIN, invoice or note number and date, taxable value, tax amounts, place of supply and any amendment or credit/debit note that changed the reported amount. A purchase-register entry by itself does not establish that the supplier has reported the document or that ITC is legally available.
Choose the correction route
| Situation | Action | Important constraint or effect |
|---|---|---|
| GSTR-1 is still a draft | Edit or delete the invoice in the relevant table, regenerate the summary and review it before filing. | Draft records remain changeable until filing. |
| GSTR-1 for the period is filed, but that period’s GSTR-3B is not filed | Consider the optional GSTR-1A amendment statement. | It can be filed once for the period and must be filed before that period’s GSTR-3B. Recipient impact appears in the next period’s GSTR-2B. |
| Earlier-period invoice needs correction | Use the applicable prior-period amendment table if the legal time limit has not expired. | The GST Portal guide states a 30 November cutoff in the following financial year for prior-year invoice additions or amendments; verify the law and period before relying on it. |
| Purchase invoice is missing or wrong in GSTR-2B | Reconcile the statement and ask the supplier to inspect and correct its filed data. | Supplier reporting drives GSTR-2B. Certain amendments can create negative credit that must be reversed in the specified GSTR-3B table. |
| Upload or portal-processing failure | Use the error report, correct the offline JSON, retry the prescribed refresh and contact the helpdesk if needed. | Follow the message-specific workflow instead of repeatedly uploading unchanged data. |
Fix a draft GSTR-1
If the return has not been filed, correct the record in the relevant GSTR-1 table. The portal supports online preparation and offline JSON upload; both routes require a final summary review before filing.
Recommended Free Tools
- Open the relevant GSTR-1 table and locate the invoice, note or amendment.
- Compare the entry with the source document and books. Correct identifiers, invoice number and date, place of supply, taxable value, rate and tax heads. Check any original-invoice reference on a note or amendment.
- Delete the record instead of editing it when it is a duplicate or should not have been reported.
- If you used the offline utility, create fresh JSON after correcting the source data. Do not reuse a JSON file that still contains the old values.
- Upload or save the corrected records, then generate the summary.
- Inspect the updated summary totals and record counts. If they do not reflect the correction, stop before filing and check pending or errored records.
- File only after the summary agrees with the reconciled books and invoices.
An invoice that is absent from the summary may be pending or rejected rather than lost. Check the upload status and any generated error file before adding a second copy; adding another copy can create a duplicate or trigger the portal’s invoice-number validation.
Correct an error after GSTR-1 filing with GSTR-1A
GSTR-1A is an optional amendment statement for the same tax period. The GST Portal describes it as available after GSTR-1 filing or after that return’s due date, whichever is later. It can be filed once for the period and must be filed before the period’s GSTR-3B.
What GSTR-1A can do
- Amend a record that was reported incorrectly in GSTR-1.
- Add a same-period record that was omitted from GSTR-1.
- Pass the corrected value into the supplier’s GSTR-3B automatically.
How to use it safely
- Confirm that the relevant GSTR-3B has not been filed and that the GSTR-1A facility is available for the period.
- Reconcile the original GSTR-1 record or omitted invoice against the source document.
- Enter the amendment or addition in GSTR-1A, preserving the correct original-document reference where required.
- Review the generated figures and file GSTR-1A once the values agree with the books.
- Recheck the resulting GSTR-3B auto-population before filing that return.
Recipients should expect a timing difference: supplies added or amended through GSTR-1A appear in the next tax period’s GSTR-2B, not necessarily the statement covering the original invoice period. Coordinate the supplier’s correction date with the recipient’s reconciliation calendar.

Handle corrections from an earlier period
When the mistake belongs to a prior tax period, use the applicable amendment table only when the correction is still legally permitted. The GST Portal user guide states that additions or amendments to invoices from a previous financial year are subject to a 30 November cutoff in the following financial year. Treat that date as a consequential compliance deadline, not a universal answer: confirm the financial year, tax period, current statutory provisions and any applicable notification before filing.

Keep an audit trail showing the original document, the reason for amendment, the return in which it was corrected and the effect on tax and recipient data. If the cutoff has passed or the correction changes a liability in a way you cannot classify, obtain advice from a GST practitioner or chartered accountant rather than forcing the transaction into an unrelated table.
Resolve a purchase mismatch in GSTR-2B
GSTR-2B reflects data filed by suppliers or e-commerce operators through GSTR-1, GSTR-1A, the Invoice Furnishing Facility and specified forms. It is therefore a statement of reported data, not an independent confirmation that every purchase-register line is correct or that ITC is allowable.
Reconciliation sequence
- Export or view the relevant GSTR-2B and freeze the purchase-register version used for comparison.
- Match supplier GSTIN, document number, date, taxable value, tax amounts and place of supply.
- Search for a supplier amendment, credit note or debit note that changed the amount or document reference.
- Separate timing differences from true data errors. An invoice filed after the relevant supplier statement may appear in a later GSTR-2B.
- Send the supplier the exact discrepancy, supporting document and requested correction route. Ask the supplier to inspect its filed GSTR-1 or GSTR-1A data rather than merely promising that the invoice was uploaded.
- Reconcile the next statement after the supplier’s correction and retain evidence of the communication.
If GSTR-2B shows negative credit arising from certain amendments, follow the statement’s instruction to reverse that amount in the specified GSTR-3B table. ITC eligibility also depends on statutory conditions and the underlying transaction; a matching line in GSTR-2B alone is not a guarantee that ITC may be claimed.
Fix common GST Portal symptoms
“Processed with error”
Download the error report and work through every listed validation issue. Correct the source data in the current offline utility, generate fresh JSON and upload it again. If several invoices are involved, correct one category of error at a time so the next report is intelligible.
Uploaded records do not appear in the summary
Check pending and errored records first. For the portal’s summary-generation symptom, its known-issues guidance advises clearing browser history and cache, generating the summary again, refreshing after 15 minutes and contacting the helpdesk with a screenshot and the date and time if the issue continues. Do not create duplicate invoices while the original upload is still pending.
Rank #3
The same invoice number cannot be added or amended
The portal states that an invoice number can be added only once in a financial year. It may be amended in a subsequent return within the applicable legal time limit. Search the financial year’s records for the original entry, including a pending or errored record, before trying to add it again.
A record is pending
Open the pending record and correct it if the portal permits editing. If it is an errored record that cannot be repaired in place, remove it and add the corrected record again, then regenerate the summary.
“Data mismatch” or incomplete data
These messages indicate that required data is absent or incomplete. Complete the period’s records, validate again and regenerate the summary. Check identifiers and tax-head totals rather than changing only the final summary number.
ITC offset error in GSTR-3B
Use the ITC utilization order and the instruction attached to the specific portal error. Do not change tax-head utilization by guesswork; an apparently balanced total can still violate the permitted order.
What not to do while troubleshooting
- Do not file a second copy of an invoice simply because the first upload is not yet visible in the summary. Check pending and error queues first.
- Do not edit only a grand total when the underlying invoice fields are incomplete. Validation is performed on the record and its tax heads.
- Do not assume that a GSTR-2B match proves ITC eligibility. Review the transaction and all applicable statutory conditions.
- Do not use GSTR-1A after the relevant GSTR-3B has been filed, or assume it can be used repeatedly for the same period.
- Do not rely on the 30 November date without checking which financial year and legal provisions apply to the document.
- Do not keep uploading an unchanged JSON file after a processed-with-error result. The error report identifies the fields that need correction.
Build an evidence pack for each correction
For every amended invoice, retain the original invoice or note, the sales or purchase-register row, the original JSON or portal record, the error report if any, the corrected JSON, generated summaries, filed acknowledgement and a short explanation of the change. For a supplier-side mismatch, also retain the email or ticket sent to the supplier, the response and the later GSTR-2B in which you checked the result.
Label files with the GSTIN, financial year, tax period, document number, version and date. This prevents a corrected file from being confused with the original and lets another reviewer trace the change from the books to the portal. Keep the audit trail with the period’s return records rather than in an individual employee’s mailbox.

When to contact the GST helpdesk
Escalate a technical issue after you have captured the exact form, period, error text, upload file status and correction attempts. Include the error report, a screenshot that shows the portal page, the date and time, browser details if relevant and a concise description of the expected versus displayed result. Remove unnecessary personal or commercial data from screenshots, but leave the identifiers needed to reproduce the issue.

Controls that prevent repeat mismatches
- Use a single invoice-number convention and check for duplicates before upload.
- Lock the sales and purchase registers for a period before generating JSON, then record every post-lock change.
- Run GSTIN, place-of-supply, tax-rate and tax-head validations before preparing the return.
- Reconcile filed GSTR-1 to the sales register and GSTR-2B to the purchase register on a documented schedule.
- Track supplier follow-ups with invoice number, discrepancy, request date and the statement in which you expect the correction.
- Archive original JSON, corrected JSON, error reports, summaries and filed acknowledgements together.
- Set an internal alert well before the 30 November prior-financial-year cutoff and verify the current law for the relevant year.
A practical decision checklist
- Identify the form, tax period, document and exact portal status.
- Download the error report or statement and preserve the original record.
- Compare every invoice-level field with the source document and books.
- If GSTR-1 is a draft, edit or delete the record, regenerate and review the summary.
- If GSTR-1 is filed but GSTR-3B is not, check whether one-time GSTR-1A is available and file it before GSTR-3B.
- If the issue is in GSTR-2B, ask the supplier to correct its filed data and reconcile the next statement.
- If it is a prior-year correction, verify the 30 November following-financial-year cutoff and current law before using an amendment table.
- For technical symptoms, follow the error-report, offline-JSON, cache-clear, refresh and helpdesk sequence rather than uploading unchanged files.
- Review tax impact and ITC conditions separately from the portal’s data match.
Frequently Asked Questions
Can I edit a GSTR-1 invoice after filing?
You cannot edit the filed record as a draft. If the same-period GSTR-3B has not been filed, check whether optional GSTR-1A is available. It can amend or add a same-period record once and must be filed before that GSTR-3B.
Why is an invoice missing from my GSTR-2B?
GSTR-2B reflects what the supplier or e-commerce operator filed. Check the supplier GSTIN, document details and timing, then ask the supplier to inspect its GSTR-1 or GSTR-1A data. Reconcile the next statement after the correction.
When will a GSTR-1A correction appear for the recipient?
The GST Portal FAQ says supplies added or amended through GSTR-1A appear in the next tax period’s GSTR-2B. The recipient’s statement period can therefore differ from the supplier’s correction period.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsWhat should I do when an upload says “processed with error”?
Download the error report, correct each listed issue in the current offline utility, generate fresh JSON and upload it again. Keep the original and corrected files so the changes are traceable.
Best Value
Why does the same invoice number already exist?
The portal says an invoice number can be added only once in a financial year. Search the year’s records, including pending or errored entries, before adding another record. Use an amendment route only when the applicable legal time limit permits it.
What does a negative credit in GSTR-2B mean for GSTR-3B?
Certain supplier amendments can create negative credit. Follow the GSTR-2B instruction for reversal in the specified GSTR-3B table, then separately assess the transaction and other statutory ITC conditions.
What is the prior-year invoice correction deadline?
The GST Portal guide states a 30 November cutoff in the following financial year for adding or amending prior-financial-year invoices. Confirm the relevant year, current law and any notification before relying on that date.
When should I contact the GST helpdesk?
Contact it for a continuing portal-processing or display failure after following the error-specific steps. Provide the form, period, exact message, error report, screenshot, date and time, and the expected versus displayed result. Use a tax professional for legal classification or ITC questions.
The Bottom Line
Most GST mismatches become manageable once you separate data, timing and portal problems. Reconcile the invoice-level fields first, then use the route that matches the filing status: edit a draft GSTR-1, consider one-time GSTR-1A before GSTR-3B, request supplier correction for GSTR-2B differences, or follow the error-report and helpdesk process for technical failures. Check the 30 November prior-year cutoff and current law before making an amendment, and never treat a statement match alone as proof that ITC is available.
