When an automated probate, executor, bank, or deceased-account form fails, do not keep pressing Submit. First identify the exact service, your legal role, and the error text; then compare every field and attachment with the service’s official records and file rules. Browser remedies, eligibility, certification, privacy limits, and escalation channels differ by provider, so a fix that works for one portal can be wrong for another.
Start with a safe error diagnosis
An error can indicate a mistyped field, an ineligible applicant, a missing document, an unsupported file, a browser problem, or a workflow with legal consequences. Treat those as different problems rather than trying random changes.
- Save the exact message. Copy the wording or take a screenshot, including any error code. Record the date and time, form name, country, and the page on which it appeared.
- Stop repeated submissions. Repeated attempts can create duplicate cases, trigger fees, or lock an application. Pause if the service warns that a request is irreversible or that a case has already been created.
- Record the reference. Preserve the application, case, or transaction number. South African Revenue Service guidance says later correspondence should use the initial case number.
- Verify the official portal. Navigate from the agency, court, bank, or account provider’s own website rather than an old bookmark or an emailed link.
- Identify the transaction. Estate administration, probate filing, bank-account closure, release of estate funds, account deletion, and data access are separate requests. Selecting one can change what is available later.
These notes give support staff enough context to distinguish a validation failure from a technical outage without asking you to resend sensitive information unnecessarily.

Automated forms often accept only a defined applicant, case type, jurisdiction, or estate profile. A family relationship by itself does not always confer authority to file or obtain information. Confirm the service’s requirements for the deceased person, the applicant, the will, the estate, and the requested action before attempting another submission.

Probate and court workflows
Eligibility may depend on whether there is a will, who is applying, the value or circumstances of the estate, and whether the applicant is acting personally or as a professional representative. The Singapore Probate eService, for example, limits use to specified circumstances. Its instructions say inconsistencies can lead to requests for additional documents or require filing through a Service Bureau. The cited HMCTS MyHMCTS material is a guide for probate practitioners, not a general instruction for every citizen applicant.
Financial-account closure
Banks commonly require proof that the applicant is the legal personal representative, identity verification, and a completed institution-specific form. NAB’s Australian example requires legal personal representatives to complete identity verification and submit a completed and signed form for closing accounts and releasing estate funds. Requirements at another bank or in another country may be different.
Online-account requests
Closing a deceased person’s online account, requesting its contents, and seeking funds are distinct choices. Google reviews deceased-user requests and applies privacy protections; it does not provide login credentials. Read the consequence shown by the provider before selecting a request type, especially where closure could prevent a later data request.
Match every field to the authoritative record
Once eligibility is clear, audit the form one field at a time against the documents the service names. Do not alter an official record simply to satisfy a validator.

Names and identity details
- Check spelling, spacing, hyphens, initials, and the order of given and family names.
- Distinguish the deceased person’s name at death from a current or former name when the form asks for both.
- Enter identity or reference numbers exactly as shown, including required leading zeroes and excluding punctuation only when the instructions say to do so.
- Make sure the applicant’s name and authority match the will, grant, letters of administration, or other proof requested.
Singapore’s guidance expressly warns that applicant and deceased particulars should be consistent with supporting records. A mismatch may be treated as an eligibility issue rather than a simple typographical error.
Dates, values, and formats
- Use the date order and calendar format displayed by the service; do not guess whether a sequence means day-month-year or month-day-year.
- Check the date of death, grant date, and other event dates against the relevant certificates and orders.
- Enter estate values in the unit and currency the form specifies. Do not convert or round unless the instructions require it.
- Where a field asks for a tax code or other case-specific code, obtain it from the named authority instead of inventing a value.
Validation can reject a technically well-formed entry when the value, date, or code is outside the service’s eligibility rules. That is why changing punctuation or repeatedly refreshing the page rarely fixes a substantive mismatch.
Inspect uploads as a separate failure point
A form can reject an attachment even when all fields are correct. Handle each file independently and follow the portal’s own requirements for format, scanning, certification, page order, and naming.

- Confirm that the required document is attached to the correct person and case.
- Include every page, reverse side, schedule, and certification the instructions require.
- Use a clear, complete scan with readable text and no cropped seals, signatures, or dates.
- Save in an accepted file type and within the portal’s size limit.
- Apply the prescribed filename, including any case or document identifier the service requests.
- Keep the paper originals. A digital copy does not replace a later verification requirement.
The Singapore Probate eService calls for certified PDF copies and says the physical original will is needed later for verification. SARS instructs estate representatives to retain the initial case number and name uploaded documents correctly. A scanner can turn paper records into files, but it cannot certify a copy, correct a name, or establish that you are eligible.

When a file appears to upload but does not submit
Check whether the file was actually attached after the page refreshed, whether its name contains unsupported characters, and whether a duplicate filename replaced an earlier document. Remove and re-add one attachment at a time so you can identify the failing file. If the portal provides a document-status list, save a screenshot before leaving the page.
Fix sign-in and browser errors only with the portal’s own instructions
Browser advice is not universal. Use the technical guidance published for the service you are using, and avoid applying another provider’s workaround automatically.
HMCTS MyHMCTS example
The HMCTS probate practitioner guide, updated 13 July 2026, tells MyHMCTS users to use an up-to-date Chrome or Edge browser, clear cookies and cache, check firewall and security settings, and try another device. It says Internet Explorer and Apple Safari are not supported for the described service. Those steps are specific to the cited MyHMCTS workflow; they do not establish support policy for a bank, another court, or a different country.
Safe browser troubleshooting
- Open the provider’s official technical-help page in a supported browser.
- Save any work or reference number before clearing cookies or cache; clearing session data can sign you out.
- Temporarily test another supported device or network if the provider recommends it.
- Do not disable security controls permanently. If a firewall or security setting is blocking the site, involve the organization’s administrator or follow the provider’s documented exception process.
- If the same error appears on a supported browser and a second device, stop changing local settings and escalate with the captured details.

Use the error symptom to choose the next step
“Applicant not eligible,” “case type invalid,” or a similar message
Return to the eligibility page and check the applicant’s legal role, the deceased person’s circumstances, the presence or absence of a will, and any estate-value or jurisdiction condition. If the service says a different filing route applies, do not force the online form. Ask the named agency whether a Service Bureau, paper filing, or another workflow is required.

“Details do not match” or identity validation failure
Compare names, identity numbers, dates, and authority with the death certificate, will, grant, letters of administration, and any other required record. Check whether the form asks for a name at death, a current name, or both. If the records themselves contain a legal discrepancy, ask the issuing authority or service how it wants that discrepancy documented; do not edit the record to make the form pass.
“File type,” “file unreadable,” or attachment rejection
Re-scan only after confirming the accepted format, page requirements, certification rule, filename pattern, and size limit. Make sure the file belongs to the correct case and that all pages are legible. Keep the original document available if the service later requires physical verification.
Login loop, blank page, or browser warning
Follow the named provider’s supported-browser and cache instructions. Test another supported device only if the provider recommends it. If the issue persists, report the browser, operating system, time, page, and exact message; do not send your password.

Stop and preserve the existing reference number. Check whether a submission already succeeded even if the confirmation page failed to load. For deceased online accounts, confirm whether you are requesting closure, funds, or data; Google warns that selecting closure can foreclose a later contents request.

Status shows “rework,” “pending,” or no movement
Use the official status tracker or guide for that service. South Africa’s Department of Justice publishes user guides for application rework and status tracking. Quote the original case number in every follow-up so staff can locate the existing record rather than opening a duplicate.
Escalate with a complete, privacy-conscious support report
When self-service checks do not resolve the error, contact the provider’s official helpdesk, secure message channel, court support route, bank estate team, or other published channel. The correct channel differs by service.
Include these details
- Country, agency or company, and exact form name
- Your applicant role and the action requested
- Case, application, or transaction reference
- Exact error text, including any code
- Date and time, browser and device, and the step that failed
- What you checked or changed, such as replacing a PDF or using a supported browser
- Relevant non-sensitive document names, without attaching more personal data than the support channel requires
Do not send passwords, full login credentials, or unnecessary identity documents through ordinary email. Ask the provider where sensitive files should be uploaded. Google Account Help states: We cannot provide passwords or other login details.
That limitation is a privacy rule, not a technical error to work around.
Final pre-submission check
- Confirm that you are on the official portal and that your legal role is accepted.
- Read the request type and its consequences: probate, closure, funds, or data access.
- Match every name, number, date, value, and authority detail to the required record.
- Open each attachment and verify completeness, readability, certification, format, size, and filename.
- Use only the provider’s documented browser and sign-in steps.
- Save the case number and confirmation before closing the session.
- If the form fails again, stop retrying and send support the exact error and the steps already taken.
This sequence separates legal eligibility, data validation, document handling, local browser problems, and provider-side review. That separation is what prevents a harmless typo from becoming a duplicate case or an irreversible account-closure decision.
