A broken Excel file link usually means a workbook formula still points to a source file that was moved, renamed, disconnected, or made inaccessible. First determine whether you have a workbook link, a clickable hyperlink, or a Power Query source. For a workbook link, open Data > Queries and Connections > Workbook Links, choose the linked workbook’s More Commands menu, select Change source, browse to the current source file, and refresh. If only one formula is wrong, edit that formula’s external reference instead. Do not use Break links until you accept that Excel will replace dependent formulas with their current values.
Identify what kind of link is broken
Excel uses several unrelated features that can look like “file links.” The repair depends on which feature is failing.
Workbook links in formulas
A workbook link is an external formula reference to another Excel workbook. A formula might contain a reference such as C:Reports[Budget.xlsx]. The destination workbook calculates using data stored in the source workbook. If the source is moved, renamed, offline, or inaccessible, Excel can report that the link cannot be updated.

A hyperlink is a clickable destination attached to a cell, shape, or other object. It may open a web page, a local file, or a network location. Editing a workbook link in the Workbook Links pane does not repair a broken hyperlink. Edit the hyperlink itself instead, using the cell or object’s hyperlink command and correcting its address.

Power Query connections
Power Query imports or transforms data through a query connection. Its source is managed in Queries & Connections, not through the workbook-link repair procedure. Open the query, inspect its source step or connection properties, correct the source, and refresh the query.
Repair a broken workbook link in desktop Excel
These steps apply to supported desktop releases including Microsoft 365 Excel and the listed Excel 2024, 2021, 2019, and 2016 releases. Labels can vary slightly by build.
- Make a backup. Save a copy of the destination workbook before changing a source or breaking links. This gives you a recovery point if the wrong file is selected or formulas change unexpectedly.
- Open the Workbook Links pane. Select Data > Queries and Connections > Workbook Links. Excel lists workbook sources it has found in the current file.
- Identify the affected source. Select a listed workbook. Use Open workbook if you need to inspect the source file. The pane’s Find next link command helps locate references in the destination workbook, but Microsoft states that there is no automatic way to find every workbook link.
- Change the source. Open the More Commands menu beside the linked workbook and choose Change source. Browse to the source workbook’s current location, select the correct file, and confirm.
- Refresh after the change. With the source reachable, refresh the workbook so formulas can retrieve current values. Check several linked cells and, where practical, compare them with the source workbook.
Changing a source entry can redirect all references grouped under that workbook-link entry. Confirm that every affected formula should use the same replacement file before accepting the change.
Repair a broken link on Mac
Microsoft’s Mac procedure uses the link’s command menu. Open the destination workbook, select the broken link in the workbook-link controls, choose More … > Change Source, locate the current source workbook, and select it. Then choose Refresh. For a source stored in OneDrive or SharePoint, verify both that the account has permission and that the stored path or sharing link still points to the file’s current location.

The Mac workbook-link procedure still does not repair ordinary hyperlinks. If clicking a cell should open a document or web address, edit that hyperlink separately.
Change only one formula’s source
Use a formula-level edit when one cell points to the wrong workbook but other formulas should continue using their existing source.
- Select the destination cell that displays the error or stale result.
- Click in the formula bar and locate the external workbook reference. It may resemble
C:Reports[Budget.xlsx], followed by a sheet and cell or range reference. - Replace the old workbook location with the correct path and file name. Preserve the sheet name, cell or range, quotation marks, and other formula operators.
- Press Enter, then recalculate or refresh as needed.
Editing one formula avoids redirecting every reference associated with a listed workbook source, but it requires an exact path and a correct formula. If many cells use the same moved workbook, changing the source in the Workbook Links pane is usually safer and faster.

Confirm that Excel can actually reach the source
A correct-looking path does not guarantee that Excel can open the file. Work through these checks before replacing formulas or breaking a link.

Check the file and permissions
- Open the source workbook directly from the path you selected. If it does not open, correct the file location, network connection, or permissions first.
- Confirm that the signed-in account has access to the folder and file. This is especially important for OneDrive and SharePoint locations.
- Check whether the file was renamed, moved into a different folder, or replaced by a different edition with a similar name.
- If the source is on a network share, connect to the required network or VPN before refreshing.
Understand mapped drives and UNC paths
Excel establishes a link based on how the source workbook was opened. A link created through a mapped drive remains based on that mapped drive. A link created by opening the source with a UNC path does not automatically change to a mapped-drive path merely because a mapped drive is available later. If users work on different computers, standardize the path they use and then change the source to that consistent location.
Account for computer and Office-version changes
Excel dynamically forms an absolute path from the stored link components and the current source path. Office folder naming can vary between Excel versions, so moving a workbook to a computer with a different Excel installation can leave a path that no longer resolves. Use Change source on the new computer rather than assuming that a copied workbook will rebuild every path correctly.
Do not refresh an unavailable source
If the source is on an unreachable network or you do not have access, choose Don’t Update when Excel prompts. Excel may retain the latest stored values, but those values are not proof that the source data is current. If Excel does not prompt, users may not realize that the displayed values are out of date, so record the source’s availability and verify it before relying on the numbers.
Find links that are not visible in ordinary cells
A workbook can retain external references outside the cells you can see. Microsoft identifies possible locations including defined names, shapes and text boxes, chart titles, and chart data series.

Use the Workbook Links pane
Open Data > Queries and Connections > Workbook Links and use Find next link to step through references associated with a listed source. This is useful when a workbook-link warning appears but no visible cell seems to contain an external formula.
Run Document Inspector
Document Inspector can identify certain external links in worksheet cells, names, objects, and charts. It reports locations for review; it does not automatically remove or repair every link. Inspect each reported object and decide whether to change its source, edit its formula, or remove the object deliberately.
Inspect charts and names manually
- Review defined names in the Name Manager for formulas that contain an external workbook path.
- Select charts and inspect their series formulas and chart-title references.
- Check shapes and text boxes for formulas or linked objects.
- Search formulas for bracketed workbook names such as
[Budget.xlsx]when you know the old file name.
Diagnose common causes

Choose between changing, refreshing, not updating, and breaking
Each command has a different consequence. Choose the least destructive option that solves the actual problem.

Break links only when static values are acceptable
Break links is not a repair for an inaccessible source. It permanently removes the live formula dependency in the affected formulas by replacing them with their current values. Microsoft warns that this action cannot be undone in desktop guidance, so save a backup first. If the source may become available again or users need formulas to recalculate, recover access or change the source instead.

Microsoft’s web guidance describes undo support for breaking links in Excel for the web, but web limitations still apply to cross-domain, cross-geography, and cross-tenant refresh. Treat a break-link operation as destructive unless you have verified the behavior in your exact installation and retained a backup.
Excel for the web: when to switch to desktop Excel
Use desktop Excel when a link must be refreshed across different domains, geographies, or tenants. Microsoft’s guidance says those cross-boundary refresh scenarios are unsupported in Excel for the web. The desktop Workbook Links pane provides the documented source-change controls and is the safer environment for diagnosing paths, permissions, and hidden references.
Security restrictions can block an otherwise valid link
Starting in October 2025, Trust Center File Block Settings apply to external workbook links for blocked file types, disabling those links by default. If the path is correct, the file is available, and permissions are valid but Excel still refuses the link, the cause may be an organization-wide security policy. Consult the administrator responsible for Trust Center or Office policy and follow the approved exception process. Do not weaken security settings merely to force a refresh.

- Save a backup copy of the destination workbook.
- Decide whether the failure concerns a workbook formula link, a hyperlink, or a Power Query source.
- For a workbook link, open Data > Queries and Connections > Workbook Links.
- Use Find next link and, when needed, Document Inspector to locate hidden references.
- Open the source directly and verify the file name, path, network connection, and account permissions.
- Use Change source for a moved or renamed workbook, or edit one formula in the formula bar when only one reference is wrong.
- Refresh only after the source is reachable and supported by your Excel platform.
- Choose Don’t Update if the source is unavailable and you must open the workbook without pretending its values are current.
- Use Break links only after deciding that static values are acceptable and a backup exists.
- Check linked cells, names, charts, and objects after the repair so an overlooked reference does not continue producing stale or broken results.
What a successful repair looks like
The Workbook Links pane should point to the intended source workbook, linked formulas should calculate without a missing-source warning, and a refresh should retrieve data from the current file. A successful repair also accounts for less visible references: names, charts, shapes, and text boxes should no longer point to the old location unless that dependency is intentional. If the source cannot be reached, leave the formulas intact and document that the displayed values are stored results rather than refreshed data.
