Make a backup copy first, then identify whether you have a stale link to a moved workbook, an invalid formula reference, an inaccessible source, or a compatibility problem. For a moved or renamed source, use Data > Queries and Connections > Workbook Links > Change source and select the workbook at its new location. If the error is #REF!, inspect the formula itself before changing any path; #REF! means Excel is pointing to a cell or range that is no longer valid.
Identify what is actually broken
Excel uses “link” for several unrelated features. Choosing the wrong repair tool can overwrite formulas or leave the real problem untouched.
| What you see | What it usually represents | Where to work |
|---|---|---|
A formula contains another workbook name, such as [Budget.xlsx], and values stop refreshing after that file moves |
A workbook link with a stale source path | Data > Queries and Connections > Workbook Links |
#REF! appears inside a formula |
An invalid cell, row, column, range, or function coordinate | The formula bar and the source formula structure |
| A clickable web address or document path no longer opens | A hyperlink, not a workbook-link formula | Edit the hyperlink or its target separately |
| Power Query or Get Data results fail to refresh | A query data source or connection | Queries & Connections, not Workbook Links |
| An Excel file migrated from Google Sheets has a broken-link card or incompatible formula | A migration compatibility or file-identity mapping issue | Excel for the web’s compatibility workflow and the migration source mapping |
Workbook links are formula references to cells in another workbook. They are not the same as hyperlinks. Microsoft’s Mac guidance specifically warns that repairing workbook links does not repair broken hyperlinks.

Before changing anything: preserve the original
Save a copy under a new name before changing a source, editing formulas, refreshing data, or breaking links. A repair can legitimately replace a formula with a value, and an incorrect source selection can update many cells at once. Keep the untouched file until you have checked representative results.

- Open the destination workbook and note which sheets, named ranges, charts, and reports depend on the source.
- Confirm that the intended source file exists and that your current Excel account or Windows user can open it.
- If the source is on a network or cloud location, test access from the same computer and account that opens the destination workbook.
- Record whether you need formulas to remain live or whether a one-time snapshot is acceptable. That decision determines whether you should relink or break the link.
Repair a moved or renamed source workbook
Use this workflow when the source workbook still contains the needed sheets and cells, but its file name or location changed. It keeps the formulas live and changes the source associated with the workbook link.
- Open and verify the source. Open the intended source workbook directly. Check the sheet names and the cells or ranges used by the destination. If the source was replaced by a similarly named file with different columns or sheets, stop and identify the correct file before relinking.
- Open the destination workbook. Work from the copy you made. If Excel displays an external-content or unsafe-links warning, do not automatically accept it; first establish whether the source is available.
- Open Workbook Links. Choose Data > Queries and Connections > Workbook Links. Excel versions and platforms can use slightly different labels, so look for the current command that lists external workbook links.
- Choose the source’s More Commands menu. Select the entry for the moved or renamed workbook, open its More Commands menu, and choose Change source.
- Select the replacement file. Browse to the source workbook’s current location and select it. Excel updates references associated with that source. Do not select a file merely because its name looks familiar; verify its content first.
- Recalculate or refresh. Recalculate the workbook or refresh the linked content as appropriate for your Excel version. If Excel asks whether to enable external content, enabling it is required for current values to be retrieved from an accessible source.
- Check the result. Compare several linked values with the source, including a value from each important sheet or range. Check totals and any downstream formulas that depend on those values.
- Save the repaired copy. Keep the original backup until the workbook has been opened again and validated.
Changing a source applies to the workbook link as a whole. If only one cell has the wrong external reference, use the individual-formula method below instead.
Change one formula without relinking every reference
Sometimes most links are correct and only one formula points to an old file. Editing the individual external reference limits the change to that cell or selected range.

- Select the cell that displays the wrong result or error.
- Read the complete formula in the formula bar. Identify the external workbook name or path, the worksheet name, and the cell or range.
- Replace only the old workbook path or file name with the correct location. Preserve the sheet name and the cell or range reference unless those also changed.
- Press Enter, then inspect the result and compare it with the corresponding source value.
- Repeat only for formulas that genuinely require a different source. A broad find-and-replace can alter text, sheet names, or formulas that should continue pointing to the original workbook.
While the source workbook is open, Excel may display a compact reference such as =SUM([Budget.xlsx]Annual!C10:C25). After the source is closed, the same reference may appear as =SUM('C:Reports[Budget.xlsx]Annual'!C10:C25). Single quotation marks surround names or paths containing spaces or non-alphabetical characters. Do not remove those quotes when editing a formula.

Diagnose #REF! before changing a file path
Microsoft defines #REF! as a formula reference to a cell that is not valid. A stale external path is only one possible cause. If the formula’s cell coordinates are invalid, selecting a new workbook will not repair it.
A referenced row or column was deleted
Inspect explicit references such as =SUM(B2,C2,D2). If a referenced column or row was deleted, Excel can replace that part of the formula with #REF!. Restore the deleted structure if appropriate, or edit the formula to point to the intended surviving cells. Check whether a paste operation overwrote the expected range.
A lookup or reference coordinate is outside its range
Check functions that request a row or column number. For example, =INDEX(B2:E5,5,5) asks for row 5 and column 5, but B2:E5 contains only four rows and four columns. Reduce the coordinates or expand the range to include the intended cell. Apply the same check to lookup formulas whose requested position is calculated from another cell.
INDIRECT points to a closed workbook
An INDIRECT reference to a closed workbook can return #REF!. Open the source workbook when the formula depends on it, then recalculate. This is a formula-function limitation, not necessarily a bad path in Workbook Links.

A dynamic-array formula uses a closed source
Microsoft also notes that a dynamic-array function referencing a closed workbook can produce #REF!. Open the source and recalculate, or redesign the formula so it does not require a closed external workbook. Test the result with the source both open and closed if other users will receive the file.
If correcting the source path does not remove #REF!, return to the formula bar and repair the reference or function coordinates. Do not label every #REF! error a broken external link.
Resolve mapped-drive, UNC, and relative-path problems
Two computers can reach the same server through different path forms. One user may open a source through a mapped drive such as R:Reports; another may use a UNC path such as \ServerReports. Excel can retain the path form used when the link was created and does not necessarily switch between them just because both routes are available.
- Open the source using the path form that the current user can access consistently.
- Compare the path shown in the formula bar and in Workbook Links with the actual location. Excel may combine stored relative-path information with the current source location when the destination opens, so the displayed formula is not always a complete picture of what is stored.
- If a mapped drive exists only for some users, use an accessible, consistent location or change the source while signed in as the affected user.
- Check permissions, VPN or network connectivity, cloud synchronization status, and whether the file was renamed. A path can be correct while access is denied.
Do not silently convert live formulas to values just to suppress an update prompt caused by a temporarily unavailable network source.

Handle update prompts and unavailable sources safely
When Excel cannot connect to an external workbook, it may ask whether to update links. If the source is temporarily unavailable, Microsoft recommends choosing Don’t Update rather than pretending the link is repaired. Excel then leaves the latest stored result in place; it cannot retrieve a new value without a connection.
A displayed number after choosing Don’t Update is therefore not proof that the link works. Reopen the workbook after restoring access, enable external content when prompted, and verify that values refresh. If the workbook must circulate while the source is offline, tell recipients that the displayed figures are the last saved results.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Break links only when you intentionally want fixed values
Break links is a one-way data-preservation decision, not a repair that keeps formulas live. Microsoft says formulas using the selected linked workbook become their current values when the link is broken. The formula logic is removed, so later changes in the source will no longer flow into the destination.
- Save a separate backup of the destination workbook.
- Confirm that current values are sufficient and that no future refresh is required.
- Use the Workbook Links command to select the source and choose the current Break links command.
- Reopen the resulting copy and inspect formulas, totals, charts, and reports that depended on the source.
Review defined names and query parameters separately; they can contain references that are not removed or repaired by the same workbook-link operation. If you are breaking links merely because the source is offline, stop and relink or restore access instead.

Excel for Mac and Power Query cases
Excel for Mac
Excel for Mac includes a workbook-link repair process for data links, but that process does not fix hyperlinks. If a user clicks a link to a web page or document and it fails, edit that hyperlink independently. Menu names can differ from Windows, so use the Mac equivalent of the Workbook Links command in the Data area.
Power Query and Get Data
If the workbook imports data through Power Query (Get Data), manage the connection and refresh it through Queries & Connections. A Power Query source is not repaired by changing an ordinary formula-based workbook link. Inspect the query’s source settings, credentials, and accessible location, then refresh and validate the resulting table.
Repair links after migrating Google Sheets to Microsoft 365
Migration from Google Sheets is a special case. Google’s IMPORTRANGE formulas do not always map directly to Excel formulas, and a normal Change source operation may not be enough.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Open the migrated workbook in Excel for the web and look for the compatibility pane or broken-link card.
- Select the broken-link card and choose Change source.
- Select the correct file in SharePoint or OneDrive and allow the linked content to refresh.
- Check whether the original Google file ID was associated with the destination file through the migration’s
MigrationSourceIDmapping. Automated repair depends on that identity mapping; third-party migration tools may need to configure it. - Review formulas that Excel flags as incompatible. Excel can replace some Google Sheets functions with Excel equivalents, but Microsoft warns that some formulas still require manual attention.
Confirm that both source and destination files are in the intended SharePoint or OneDrive locations. Treat a migration repair as complete only after checking representative formulas and results; compatibility automation does not guarantee that every formula was converted.
Validate the workbook after repair
- Close and reopen the destination workbook to test the link under normal startup conditions.
- Check Workbook Links for remaining old source entries.
- Compare sample values from every important linked sheet or range with the source workbook.
- Search formulas for
#REF!, and inspect named ranges, charts, and summary cells that depend on repaired formulas. - Refresh Power Query connections separately if the workbook uses them.
- Test from the network, mapped-drive, UNC, or cloud context used by the people who will open the file.
- Save a final verified copy and retain the original backup until the next reporting cycle has completed.
Choose the right action at a glance
| Your requirement | Action | What happens |
|---|---|---|
| Keep formulas live after a source move | Workbook Links > Change source | References associated with that source point to the selected workbook |
| Change one formula only | Edit its external reference in the formula bar | Only the selected formula or range changes |
| Fix a deleted-cell or invalid-coordinate error | Repair the formula, range, or function arguments | The reference becomes valid without changing the source file |
| Keep the last saved figures while a source is offline | Choose Don’t Update | Stored results remain; no new source data is retrieved |
| Stop depending on the source permanently | Break links after making a backup | Linked formulas become their current values |
| Repair a Power Query import | Queries & Connections | The query’s own source and connection are managed |
| Repair a migrated Google Sheets link | Excel for the web compatibility workflow and source-ID mapping | Migration-specific links and incompatible formulas are addressed |
Prevent the next break
Before moving a source workbook, decide whether its consumers need live formulas, a controlled archive, or a frozen report. If formulas must remain live, move or rename the source in a coordinated change, then open a representative destination workbook and use Change source immediately. Keep the path convention consistent for the people and systems that access the files, and test a closed-source reopen rather than checking only the values visible while both workbooks are open.
For recurring reports, document the source workbook’s expected sheets and ranges, the network or cloud location, and whether Power Query or ordinary formulas provide the data. That record makes it easier to distinguish an access outage from a genuinely invalid formula the next time a workbook changes.
