Start at the printer, not the computer. Read the printer’s display or lights, confirm power, paper, closed covers and no jam, then restart it and run a built-in test page if the model offers one. A successful printer-side test shifts the investigation to the computer, network, queue, application or driver; a failed test points to the printer’s paper path, supplies, maintenance or hardware. The sequence below separates those two problems without replacing parts prematurely.

Follow this diagnostic order

An all-in-one can stop printing for very different reasons: a detected jam, an open cover, an empty supply, a lost Wi-Fi connection, a blocked print queue or a driver that is sending jobs to the wrong device. Work from the printer outward so each test gives you useful evidence.

  1. Read the exact message or light pattern on the printer and record the model number.
  2. Check power, paper loading, covers and the paper path.
  3. Restart the printer and verify its USB or Wi-Fi connection.
  4. Run the printer’s own test page or product check.
  5. If that page prints, troubleshoot the computer, application, queue and driver.
  6. If it does not print, follow the model-specific supply, maintenance or service procedure.

Do not reset settings or buy a cartridge before you know which branch you are on. A printer that never responds is a different fault from one that feeds a blank sheet.

1. Read the printer’s status before changing anything

Record the message, code or light pattern

Look at the control-panel display, indicator lights and any notification on the computer. Write down the exact wording, including a number or letter code, and note whether the printer says it is offline, paused, out of paper, out of ink or toner, or has a cover or jam open. Search the manual for that exact model and message rather than applying a generic reset. HP’s guidance notes that a detected paper jam can prevent printing until the obstruction is cleared, and its cannot-print instructions begin with the status reported by the device (HP support).

Confirm power, paper and covers

Make sure the printer is switched on and fully booted, not merely showing a sleep indicator. Load the correct paper size squarely in the tray and adjust the guides so the stack can move. Close every access cover, cartridge door and automatic document-feeder cover. Microsoft specifically lists paper, ink, an open cover and a paper jam among the first conditions to check when Windows reports a printer error (Microsoft Support).

Clear a jam without forcing the mechanism

If the display reports a jam, use the access doors and removal directions for that model. Pull paper slowly in the direction the mechanism normally feeds it; do not yank a sheet or force a carriage, roller or cover. After removing the sheet, inspect the tray, rear access and duplexer for torn fragments, because a small piece can trigger another jam. Close all doors before restarting. An HP model-specific procedure illustrates the safe pattern: open the indicated access doors, locate and carefully remove the paper, close the doors and restart; owners of other brands should use their own manuals (HP cannot-print instructions).

2. Restart the printer and verify its connection

Perform a complete power cycle

Once the physical checks are complete, turn the printer off and unplug it. Microsoft’s exact instruction is: “Turn off your printer and unplug it, wait 30 seconds, plug your printer back in, and then turn the printer back on.” This clears a temporary controller or network state without changing saved settings (Microsoft Support offline troubleshooting). Wait until the printer finishes its startup routine before sending a new job.

For a USB connection

Check both ends of the cable: the printer-side connector and the computer-side connector. Disconnect and reconnect them firmly, then try another USB port on the computer. If the printer works with another compatible cable, the original cable is suspect; replace it with a USB printer cable that matches the printer’s connector and USB requirements. Epson advises connecting directly to the computer rather than through a USB hub, because a hub can prevent reliable detection (Epson “Nothing Prints” troubleshooting). Do not assume that a powered hub or phone charging cable supports printer data.

For a Wi-Fi connection

Open the printer’s wireless-status screen or print its network report if the model provides one. Confirm that the printer is connected to Wi-Fi and that the computer is on the same network name. A computer connected through a different router, guest network or extender network may not be able to reach the printer even when both devices have internet access. Check the network names before changing router settings. Epson and Microsoft both direct users to verify the printer’s network connection and the computer’s connection when a wireless device is missing or offline (Epson guidance; Microsoft guidance).

3. Use a printer-side test page to split the problem

Run the built-in test

Use the printer’s control panel, maintenance menu or manufacturer utility to run a test page, nozzle check or product check. This test should not depend on the document, application or computer queue that originally failed. The exact menu name differs by model, so follow the model manual if you cannot find it. Microsoft recommends a test page to confirm that the printer itself can operate, while Epson calls its equivalent a product check (Microsoft Support; Epson “Nothing Prints”).

Interpret the result

A printed test page is evidence that the printer can move paper and create output under its own control; it does not prove that every application, driver or network route is correct. A failed local test means changing a Windows setting is unlikely to cure the underlying printer condition.

4. If the test page prints, clear computer-side blockers

Select the actual printer

Open the operating system’s printer settings and confirm that the job is being sent to the device that produced the test page. Multiple entries can exist for the same model after a router change, USB reconnection or driver installation. Select the intended printer as the default when that suits your workflow. A document can appear to print successfully while being sent to an old, disconnected or virtual printer.

  • DURABLE DESIGN: Corrosion-resistant, gold-plated connectors for optimal signal clarity and shielding to protect against noise, minimizing interference for a clear signal

Inspect and clear the queue

Open the selected printer’s queue and look for a job that remains in a printing, deleting or error state. Cancel pending jobs, then send one short test document. Confirm that the printer is not marked Paused or Use Printer Offline. Microsoft’s offline-printer guidance specifically recommends checking these states and removing stuck jobs before reinstalling the printer (Microsoft offline troubleshooting).

Restart the Windows Print Spooler when jobs will not clear

On Windows, the Print Spooler holds print jobs and presents them to the driver. If the queue remains blocked after cancellation, restart the Print Spooler service using Windows’ Services management tool, then reopen the queue. If a job immediately returns, cancel it again and check whether another application is submitting it. Microsoft’s general printing guidance covers queue and spooler troubleshooting alongside connection checks (Microsoft printing guidance).

Check the port and reinstall only after simpler fixes

A working printer can still be attached to the wrong USB or network port in its software entry. Epson recommends checking the selected port and default printer, clearing stalled spooler jobs and reinstalling the printer driver or software when necessary (Epson “Nothing Prints”). Remove the printer from Windows and add it again only after confirming the physical connection and clearing the queue. Reinstallation creates a fresh device entry; it cannot repair a paper jam or an empty cartridge.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Consider the application and document

If a Windows test page prints but one application does not, try a different simple document. A damaged file, unsupported font, unusual page size or application-specific print setting can fail while the printer remains healthy. Check the selected paper size, orientation, page range and copy count. If only one application fails, repair or update that application rather than repeatedly reinstalling the printer.

5. Distinguish “nothing happens” from a blank page

When the job never starts

No paper movement, no sound and no queue progress usually put communication, printer selection, offline status, spooler state or the driver ahead of ink or toner. Follow the connection and queue branches above. If the printer’s own test page works, the physical print engine has already demonstrated basic operation, so concentrate on the path between the computer and that printer.

When paper feeds but the page is blank

A blank sheet means the printer accepted the job and moved paper, but no visible content reached it. First confirm that the document contains printable content and that the correct printer and paper settings are selected. Then check the printer’s ink or toner status and the cartridge installation. HP’s general troubleshooting guidance discusses cartridge and printhead checks for blank-page symptoms, including cleaning through the appropriate printer utility (HP printer troubleshooting).

Cleaning cycles consume ink and the menu sequence differs by model. Run the manufacturer’s prescribed printhead or nozzle-cleaning operation once, print the recommended quality check, and stop if the instructions say to wait or escalate. Repeated cleaning without checking the result can waste supplies and will not fix a disconnected cartridge, incompatible supply or failed print mechanism.

When output is faint, streaked or missing colors

Use the model’s print-quality report to separate a document problem from a printhead or supply problem. Verify that the cartridge or toner is the correct model and fully seated, and remove any protective shipping strip only as the instructions describe. Do not substitute a generic cleaning method, open sealed components or promise that a new cartridge will cure every no-print fault. A blank, streaked or faded result can require alignment, nozzle cleaning, a replacement supply or service depending on the printer design.

6. Handle supplies and maintenance as model-specific tasks

Check status before buying anything

Ink or toner status matters most when the printer feeds paper but output is blank, faint or missing a color. It is not the first explanation for a computer that cannot detect the printer or a queue that never leaves “pending.” Confirm the exact printer model and the cartridge or toner number listed for that model before purchasing a replacement. A supply intended for a similar-looking series may not be recognized.

Follow the manufacturer’s maintenance limits

Use only the cleaning, alignment, cartridge-removal and paper-path procedures documented for the model. Some devices require a particular access position, a cool-down period or a sequence through the control panel. Keep liquids and tools away from electronics unless the manual explicitly permits them. If an error returns after the documented maintenance cycle, record the error rather than repeating the cycle indefinitely.

7. Windows 10, Windows 11 and ARM considerations

Microsoft’s reviewed printer instructions cover Windows 10 and Windows 11. Windows 10 support ended on October 14, 2025, so a computer still running it may have different update and driver availability from a supported Windows 11 installation (Microsoft offline-printer guidance). The troubleshooting order remains useful, but use the current Microsoft pages and the printer maker’s documentation for version-specific labels.

Microsoft also notes that some ARM-based PCs may not install a printer through a manufacturer-provided installer. In that case, use Windows’ built-in add-printer process and follow any different instructions supplied for the model, rather than assuming the standard x64 installer will work (Microsoft connection and printing guidance).

8. When to stop troubleshooting and seek service

Escalate after a repeatable printer-side failure

Contact the manufacturer or a qualified repair provider when the built-in test page fails repeatedly after the documented paper, cover, connection and supply checks; when the same hardware error returns immediately after restart; or when the printer makes abnormal mechanical noises. Provide the exact model, error code, connection type, what the local test did and which documented steps you completed. That information is more useful than saying only that “nothing prints.”

Do not force a repair

Stop if a carriage, roller, cover or cartridge will not move as the manual describes. Forcing it can turn a recoverable jam into permanent mechanical damage. If paper tore inside the machine and you cannot remove every fragment through the approved access points, service is safer than probing through the printhead or gears.

A compact decision guide

  • Error on the printer: resolve the named jam, cover, paper or supply condition using the model manual.
  • USB device missing: reconnect both ends, try another computer port, bypass a hub and test a compatible cable.
  • Wi-Fi device offline: confirm the printer’s wireless status and place the computer and printer on the same network.
  • Local test succeeds, computer job fails: choose the correct printer, clear the queue, remove paused/offline status, restart the Windows Print Spooler if needed, then remove and add the printer again.
  • Paper feeds blank or streaked: verify document content and supply status, then use the model’s print-quality and maintenance tools.
  • Local test fails repeatedly: preserve the error details and move to manufacturer support or qualified repair.

This sequence keeps low-cost, reversible checks ahead of supplies and service while preserving the crucial distinction between a printer-side failure and a computer-side printing problem.
