The fastest way to discover ChatGPT’s less obvious tools is to start with a real task, not a tour of every menu. Decide whether you need current web information, something already saved in your account, help learning, or a workspace for an ongoing project. Then open the tool picker, Search, or Projects and run a small, reversible experiment. ChatGPT’s available tools and limits can differ by subscription, workspace settings, platform, and usage limits, so the controls you see in your account are the final authority.
OpenAI’s capability overview lists web search, image input and generation, file and audio uploads, data analysis, voice, Canvas, Memory, Projects, scheduled tasks, and custom GPTs among the features that may be available. The overview is a menu of possibilities rather than a promise that every account has every option: check the current capabilities overview and your own composer or sidebar before planning a workflow.
Start with the job you want done
A feature is useful only when it improves a task you already have. Write down the outcome in one sentence, then choose the smallest ChatGPT capability that fits it:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| What you need | Best first tool to try | Where the information comes from | What to inspect |
|---|---|---|---|
| An answer that depends on today’s events, prices, rules, or other changing facts | Web search | Current online pages linked in the response | Whether the sources are relevant, recent, and authoritative |
| A conversation, project, image, or file you already stored in ChatGPT | Sidebar Search | Your saved ChatGPT content and any connected sources shown in your account | Whether the result is the item you meant; Sidebar Search is not public-web search |
| Understanding a lesson, textbook excerpt, or problem | Study mode | Your questions and, when available, uploaded study material | Whether it asks questions and checks understanding instead of merely giving an answer |
| Work that will continue across several conversations | Projects | Chats, reference files, and instructions kept together | Project file limits and any workspace restrictions |
| A picture, spreadsheet, audio recording, or document that needs interpretation | Image, file, audio, or data-analysis tools | Your supplied material | Whether the relevant upload control is available and appropriate for the information |
| A hands-free conversation, visual drafting space, or repeatable assistant | Voice, Canvas, scheduled tasks, Memory, or a custom GPT | Depends on the capability and your settings | Its current availability and controls in your account |
This approach prevents a common mistake: using a tool because it sounds advanced rather than because it solves the problem. The same question can require different tools. “What did the regulator announce today?” calls for web search. “What did I decide in last month’s planning chat?” calls for Sidebar Search. “Can you help me learn this theorem?” is a candidate for Study mode. “Keep all our launch notes together for the next six weeks” points to a Project.

Check access before you design a workflow
OpenAI says feature availability depends on subscription level and settings, and its FAQ notes that plan limits can change. Workspace administrators can also control tools. The web, iOS, and Android interfaces may expose the same capability in different places. Before teaching a team a procedure, open a fresh conversation on the platform they actually use and look at the current tool picker and sidebar. See the ChatGPT FAQ for the current explanation of plans and limits.
- Sign in to the account that will perform the work; another account or workspace may have different controls.
- Check whether you are in a normal chat, Temporary Chat, a GPT, or a Project. Some tools are context-specific.
- Look for the composer’s tool picker, attachment control, voice control, and sidebar Search rather than relying on an old screenshot.
- For workplace use, ask whether an administrator has disabled a tool or restricted files and connected sources.
- Do not upload confidential material merely to test a button. If a capability is available, read the current settings and help information before sharing sensitive data.
A five-minute discovery loop
Use this loop whenever you notice a feature you have not tried. It produces evidence about usefulness without committing your whole workflow.
- State the task. Write the real outcome, such as “I need three current sources for this policy question,” “I need feedback on this budget sheet,” or “I need to understand why this algebra step works.”
- Find the control. Open the composer’s tool picker for task tools, the sidebar Search for saved material, Study mode for guided learning, or Projects for continuing work. If the control is absent, record the account, platform, and workspace instead of assuming you made a mistake.
- Give a bounded input. Use one question, one short document, or a copy of a non-sensitive file. Tell ChatGPT the desired format and what it should do when uncertain.
- Inspect the result. For web answers, open the linked pages. For learning, see whether you can answer the checks yourself. For files, verify calculations and quotations against the original. For Projects, confirm that the right files and instructions are being used.
- Compare with your old method. Keep the feature only if it saves time, improves coverage, or makes the result easier to verify. A tool that produces a longer answer but not a better decision has not passed the experiment.
- Write down the repeatable prompt and the access conditions. Note the platform, workspace, and any limits that affected the test. Interfaces and limits can change, so keep the note operational rather than treating it as a permanent guarantee.
Use web search when the answer must be current
ChatGPT web search is designed for questions that need current online information and can return links to the pages it used. It may be invoked automatically when useful or selected in supported experiences. The official explanation is at Searching the web with ChatGPT.
Run a first search
- Open a regular ChatGPT conversation and open the composer’s tool picker.
- Select the web-search option if it is shown, or ask a question whose answer clearly depends on current information. Availability and the exact label can vary.
- State the date, location, edition, or authority you need. “What changed in the national building code this month?” is more useful than “Tell me about building codes.”
- Ask for links and a short explanation of which source supports each important claim.
- Open the linked pages, check their publication or update dates, and read the relevant passages yourself before acting on legal, medical, financial, safety, or other high-consequence information.
Search is not a substitute for source judgment. A page can be current but irrelevant, or authoritative but out of date for your jurisdiction. Ask for primary sources when possible and tell ChatGPT which organizations or geographic area matter. If the answer does not show useful links, refine the question or open the source directly rather than treating an uncited sentence as verified.

Do not confuse web search with finding an old chat
Web search looks outward to online information. Sidebar Search looks through content saved in your ChatGPT account. Asking either tool to do the other’s job is a frequent source of frustration. Use web search for a new online question; use Sidebar Search when you remember that you already discussed or uploaded something.
Find chats, Projects, images, and files you already have
Sidebar Search can surface saved chats, Projects, images, and files, although result types and connected sources can vary by account. It does not search the public web. OpenAI documents the feature in Finding your chats, projects, and files in ChatGPT.
Search with a distinctive phrase
- Open Search in the ChatGPT sidebar.
- On the web, use Ctrl+K on Windows or Cmd+K on macOS if you prefer the documented keyboard shortcut.
- Enter a distinctive phrase you remember from the title or body of the conversation, a Project name, or a file description. A rare phrase is usually more useful than a broad word such as “meeting.”
- Open the result and confirm its date, surrounding context, and attachments before relying on it.
- If nothing appears, try another exact phrase, check that you are in the correct account or workspace, and verify that the item was actually saved there.
Search is particularly useful for recovering a decision, prompt, image, or reference file that you do not want to recreate. It is not evidence that every connected source or every result type is indexed in every environment; the help article describes the current behavior and caveats.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Try Study mode for guided learning
Study mode is intended to help you learn through questions, step-by-step explanations, layered difficulty, and checks for understanding. It can use supplied study material when uploads are available. OpenAI says it is available globally across plans on the web, iOS, and Android, but it is not available in Temporary Chats, GPTs, or Projects; workspace configuration and ordinary plan or rate limits can still affect what you see. It can also make mistakes. Read Using study mode in ChatGPT for the current entry point and conditions.

Activate it and ask for a learning behavior
- Start a normal conversation, not a Temporary Chat, GPT, or Project.
- Open the composer’s tool picker and choose Study mode, or use the study-mode entry point documented by OpenAI if the picker is labeled differently.
- Describe your level, goal, deadline, and preferred pace. For example: “I am taking first-year biology. Help me understand this diagram and check me after each concept.”
- Attach a permitted chapter, worksheet, image, or notes when the upload control is available. Tell ChatGPT which pages or figures matter.
- Ask for one question at a time, hints before solutions, and a short check for understanding. If it answers too directly, explicitly request a hint or a question instead.
- Correct misunderstandings as soon as you notice them and verify important explanations against your course material or instructor.
Use it with uploaded material without handing over your whole course
A focused excerpt often makes a better learning session than a large, unrelated collection of files. Upload only material you are allowed to share, identify the section you are studying, and ask ChatGPT to distinguish what is stated in the material from what it is inferring. If uploads are unavailable in your current chat, paste a short excerpt or continue with a question-only session; do not assume that a missing attachment button means Study mode itself is broken.
Keep long-running work in a Project
Projects bring related chats, reference files, and instructions into one place for work that continues over time. They are useful for a research brief, a course, a product launch, or a recurring report because the context is easier to find than a collection of unrelated chats. OpenAI describes setup and restrictions in Projects in ChatGPT.
Create a Project that remains understandable
- Choose Projects from the sidebar and create one with a name that states the outcome, such as “Q4 accessibility audit,” not merely “Work.”
- Add a short instruction describing the audience, output format, terminology, and what ChatGPT should do when information conflicts.
- Upload only the reference files needed for that objective, using clear filenames and dates.
- Start related conversations inside the Project so later work is easy to locate and the relevant context stays together.
- Periodically remove obsolete files, add a current version, and record decisions in a dedicated chat or document.
- Test the Project with a small question before moving a critical workflow into it.
Project file limits depend on plan and workspace settings, and administrators may disable tools within Projects. Those restrictions are separate from whether Projects appear in the sidebar. If a tool is missing inside a Project, try the same task in a normal chat only when the information is safe to use there, and check the Project’s current settings rather than copying sensitive files indiscriminately.
Explore the other capability categories deliberately
The capability overview identifies several tools beyond text conversation. Their exact controls, limits, and availability change, so treat the following as experiments to look for in your account and follow the linked overview or dedicated help page before building a process.

Images
Image input can help interpret a photograph, diagram, screenshot, or scanned page; image generation can create or transform visual material where that option is offered. Try one clearly framed image and specify whether you want description, extraction, critique, or a proposed revision. Verify small text, measurements, and safety-critical visual details against the original.
Files, audio, and data analysis
File and audio uploads can provide source material for summarizing, extracting, or questioning. Data-analysis tools can work with a suitable table or spreadsheet when enabled. Start with a copy, state the columns and desired calculation, and ask for the method and assumptions. Check formulas, units, missing values, and edge cases rather than accepting a polished chart as proof.
Voice
Voice can make a spoken brainstorming or practice session more convenient where it is enabled. Use it for low-risk drafting, rehearsal, or explanation; move the final result into text when you need a durable, searchable record. Confirm what was transcribed before treating a name, number, or instruction as exact.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteCanvas
Canvas provides a focused space for drafting and revising supported text or code. Try it when repeated edits, comments, or a visible working document are more useful than a sequence of chat messages. Keep a copy of important work and inspect changes before accepting them.

Memory
Memory can retain selected preferences or facts across conversations when enabled. Use it for stable, non-sensitive preferences that genuinely reduce repetition. Review the current memory controls and remove information you no longer want retained; do not treat memory as a complete or infallible record.
Scheduled tasks
Scheduled tasks can automate a reminder or recurring prompt where available. Define the time zone, recurrence, expected output, and failure behavior. Confirm that the task was created and understand how to edit or cancel it before relying on it for a deadline.
Custom GPTs
Custom GPTs can package instructions and, where supported, reference material or tools for a repeatable role. Test one with representative and adversarial inputs, document who maintains it, and avoid assuming that a GPT has access to every feature available in a normal chat. The current capability overview links to the relevant options.
Choose the right information source
| Question to ask yourself | Choose | Reason |
|---|---|---|
| Could the answer have changed since yesterday? | Web search | It can retrieve current online information and links. |
| Did I already save this conversation, file, image, or Project? | Sidebar Search | It searches your ChatGPT content, not the public web. |
| Is the answer in a document, image, recording, or spreadsheet I can share? | Upload or data-analysis tool | The supplied material becomes the working source. |
| Am I trying to build understanding rather than obtain a one-line answer? | Study mode | It is designed for guided questions, explanations, and checks. |
| Will I return to the same objective repeatedly? | Project | Chats, files, and instructions stay grouped for the ongoing work. |
These choices are not mutually exclusive. A Project might contain a chat that uses web search, and a Study mode session might use an uploaded image. The key is to identify which source should be authoritative for the particular claim you are making.
When a feature is missing
A missing button is usually an access or context issue, not proof that the capability has been removed. Work through these checks in order:
- Refresh the interface and look in the current composer tool picker or sidebar rather than an old location.
- Confirm the account, subscription, workspace, and platform. Availability can differ among them.
- Leave a Temporary Chat, GPT, or Project if the feature’s documented restrictions exclude that context. Study mode, for example, is not available in those three contexts.
- Ask a workspace administrator whether tools, uploads, connected sources, or Project capabilities are restricted.
- Check whether you have reached a usage or file limit. Limits can change by plan and over time.
- Try a small, non-sensitive input in a normal chat to separate an access problem from a file-format or prompt problem.
- Read the current Help Center article for that capability before changing your workflow. Do not infer a universal rule from another person’s screenshot or plan.
Protect quality and information while experimenting
- Use the least sensitive test. Replace names, account numbers, and confidential passages with neutral examples until you understand the tool and your organization’s policy.
- Keep the source visible. Save links from web search, retain the original file, and record which version you uploaded.
- Separate assistance from authority. ChatGPT can draft, explain, classify, and calculate, but a responsible person must verify consequential decisions.
- Ask for uncertainty. Request assumptions, missing information, competing interpretations, and a confidence explanation when the task warrants it.
- Do not let convenience erase context. A Project, Memory setting, scheduled task, or custom GPT can make work faster while also carrying forward outdated instructions.
- Recheck after interface changes. Feature names, plan limits, and workspace controls are not permanent; inspect the current account before repeating an old procedure.
Build a personal feature habit
Once an experiment succeeds, turn it into a short checklist attached to the task rather than memorizing a catalogue of features. For a weekly market note, your checklist might say: search the web, require linked primary sources, save the final prompt in a Project, and verify dates. For a class, it might say: enter Study mode, upload only the assigned pages, request hints, and answer the checks before reading the solution. For a recurring spreadsheet review, it might say: upload a sanitized copy, ask for formulas and assumptions, inspect edge cases, and retain the output with the source file.
Review the checklist when your plan, workspace, platform, or data policy changes. The goal is not to use every capability. It is to know which tool matches the information you have, the result you need, and the level of verification the decision requires.
