Start with the archaeology report repository for the project’s region, searching by the contractor’s current and former names, project location, site or project title, sponsoring agency, investigator and approximate year. A contractor’s closure does not identify the new custodian automatically. If no file appears, ask the project owner or sponsoring agency and the relevant government heritage-records office where the report and associated archive were deposited. Some reports download freely; others require a request, researcher qualification, copyright agreement or access approval.

What a contractor’s closure does—and does not—tell you

Archaeology reports are usually retained by more than the company that wrote them. Depending on the project, copies or associated records may be held by a regional archaeology repository, a state or provincial historic-preservation office, a government agency, the project sponsor, a university or a specialist digital archive. The contractor’s disappearance therefore does not prove that the report is lost.

It also does not prove that a final report exists. A company may have closed after fieldwork, during analysis or before submitting a final report. A catalogue entry can represent a draft, a short monitoring note, a completed report or only an administrative record. Treat the report’s status as a question to verify, not an assumption.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Access is separate from existence. A record may be indexed but unavailable for direct download because it is held on paper, protected archaeological information, covered by the author’s copyright or limited to permitted archaeologists and qualifying researchers.

Collect identifying details before you search

Repositories distinguish similarly named contractors and projects through combinations of fields. Write down every detail you have, even if it is approximate:

  • Country and state, province or region.
  • Site, development or infrastructure project name.
  • Town, parish, county, coordinates or another location description.
  • Approximate fieldwork and reporting dates.
  • The contractor’s full trading name, former names and any parent or successor company.
  • Client, landowner, developer, government agency or other project sponsor.
  • Principal investigator, project archaeologist or author.
  • Planning, permit, contract, accession, site or report number.
  • Project type, such as a watching brief, excavation, building survey, desk-based assessment or specialist analysis.

Search alternate spellings and abbreviations. A company may have filed reports under a legal name rather than the brand used on invoices, or under the client’s project name rather than its own name.

Choose the repository route that fits the project

There is no universal archaeology-report database. Start with the repository that matches the project’s geography and funding route, then use a broad digital archive as a second search.

Route Best starting point What it can provide Access caution
England or Scotland Archaeology Data Service (ADS) grey-literature collection Searchable unpublished fieldwork reports, including watching briefs, excavations, building surveys, desk-based assessments and specialist analyses A catalogue record may not include a downloadable file; use the record’s access and Downloads information
Ireland National Monuments Service archive and the excavations.ie database Submitted digital and hard-copy reports and a separate excavation-report search route Copyright remains with the report author and access requires agreement to the stated copyright terms
United States State or federal agency that reviewed or sponsored the work, plus the relevant SHPO records office Agency-submitted reports, permits and associated archaeological records Eligibility, permits and restrictions vary by state; some archaeological information is not public
Nevada paper records Nevada State Historic Preservation Office and its identified regional archives Regional holdings of paper-based archaeological records NVCRIS archaeological information is restricted; the regional archive may be the practical custodian
Broad discovery The Digital Archaeological Record (tDAR) Searchable archaeological and historic-preservation documents, datasets and images Check access terms on each record before treating it as downloadable

These examples illustrate routes, not a complete directory or a legal determination for your project. Land ownership, permit conditions, funding source and repository policy can change the answer.

How to search ADS for a downloadable report

1. Browse by contractor and narrow the results

For work in England or Scotland, ADS is a strong first stop for “grey literature”—unpublished archaeological fieldwork and assessment reports. Browse by contractor, then narrow by location and other report characteristics. Search using the contractor’s old and new names and the project’s place name.

2. Set the report and availability filters

  1. In ADS Library, set Publication Type to Report.
  2. If you need a file rather than an index entry, apply the Available from ADS access filter.
  3. Open a matching record and inspect its Downloads page.

ADS includes more than excavation reports. A watching brief, building survey, desk-based assessment or specialist analysis may be the document that answers your question.

3. Resolve an unclear archive link

If the record points to an archive but does not make clear which institution holds the file, contact the ADS helpdesk and include the record or archive URL. Ask which archive has custody and whether the file can be requested. Do not assume that a broken or indirect link means the report has vanished.

How to search Ireland’s National Monuments Service records

Ireland’s National Monuments Service describes an archive of submitted digital and hard-copy reports and publishes a finding aid. Its excavations.ie database is a separate route for locating excavation reports. Search with the site name, townland, county, excavation year, investigator and contractor variants.

An index result is not a promise of a free download. The National Monuments Service states that copyright rests with the report author and that users must agree to copyright terms to receive reports. Ask what form of permission is required and whether the copy will be supplied digitally or retrieved from a hard-copy archive.

The scale of this archive explains why an apparently obscure report may still be traceable: the service reports more than 46,000 excavation reports for investigations from 1990 through 2024, comprising approximately 40,000 licensed and 6,000 unlicensed reports. This is an Ireland-specific archive count, not a worldwide total.

How to find reports in the United States

Start with the reviewing or sponsoring agency

Identify the federal, state or local agency that required, funded or reviewed the archaeological work. Then contact its records office and the state historic-preservation office (SHPO). Reports produced for permitting or environmental review are often submitted to the agency rather than retained solely by the contractor.

Utah: eligibility may be required

Utah SHPO’s records guidance illustrates why you should not promise a public download. Utah limits archaeological-record access to permitted archaeologists or qualifying researchers. Its records processes also ask for project and organization information. Provide the project number, location, contractor, sponsor and your research affiliation when requesting access, and ask what qualification or permit documentation is required.

Nevada: distinguish paper archives from restricted databases

Nevada SHPO identifies regional archives for paper-based archaeological records. It also notes that archaeological information in its NVCRIS system is restricted. If a Nevada search produces no public file, ask which regional archive holds the paper record and whether your request can be processed without access to restricted site data.

Louisiana: verify whether reporting was completed

Louisiana’s Section 106 guidance addresses projects that were cancelled or left unfinished. It places responsibility on the contracting agency or company for reporting and curation of work completed to that point in the described Section 106 context. The guidance also warns that a later project may need new investigations when no report documents earlier work. Use this as jurisdiction-specific guidance, not a rule for every state or project.

Use tDAR as a second discovery route

The Digital Archaeological Record (tDAR) is a broad digital repository containing archaeological and historic-preservation documents, datasets and images. Search by contractor, author, site, project, location and year after checking the local repository. A tDAR result can reveal a report title or alternate identifier even when the file itself has a separate access condition.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Open the individual record and read its access terms. Some material may be openly downloadable, while other material may require an account, permission or a request to the contributing institution.

What to do when no download appears

Contact two custodians in parallel

Send a focused request to both the project owner or sponsoring agency and the relevant heritage-records office. The sponsor may know the contractor’s archive destination; the records office may know the accession number or repository transfer.

Ask these questions:

  • Was a final report submitted, or did the contractor close before reporting was complete?
  • Which office, archive or successor organization received the report and associated records?
  • Is there a report, project, permit, site or accession number?
  • Is a digital copy available, or is only a paper copy held?
  • Can staff scan or supply the paper report, and is a fee charged?
  • Do you need identification, a permit, research qualifications, a copyright agreement or a request form?
  • Are any pages restricted, redacted or subject to landowner or community-access conditions?

Use a precise request

Include the location, approximate year, contractor and former names, sponsor, investigator and any number printed on a planning or permit document. A concise request is easier to route than a general question about a company that has closed.

Subject: Archaeology report request — project name, location, approximate year

I am seeking the archaeological report for [project or site name] at [location],
associated with [contractor, including former name], for approximately [year].
The project sponsor was [agency or client] and the investigator was [name, if known].
Known reference numbers are [numbers].

Was a final report submitted? If so, which office or repository holds it, and what
access process, qualification, copyright agreement or fee applies? If the work ended
before a final report, please identify any draft, field records or accession reference.

Replace each bracketed field before sending. Do not include sensitive site coordinates in a general mailbox unless the records office asks for them through an approved channel.

Check whether you found the right document

Before downloading or citing a file, compare its metadata with your project clues:

  • Contractor and any former business name match.
  • Project, site and geographic description match.
  • Client or sponsoring agency matches.
  • Investigator and reporting organization are plausible.
  • Fieldwork and report dates fit the project timeline.
  • Report type matches the work: watching brief, excavation, survey, assessment or specialist study.
  • The record identifies a final report rather than a draft, interim note or catalogue-only entry.

Save the catalogue record, report file and access terms together. Record the download date and the repository’s identifier, because links, interfaces and permissions can change.

Understand restrictions before sharing the file

Copyright and permission

A report can be publicly discoverable while still being copyrighted. Ireland’s National Monuments Service expressly states that copyright rests with the author and requires agreement to copyright terms. Read the licence or request conditions before reposting the PDF, extracting images or distributing it to a wider audience.

Archaeological sensitivity

Precise site locations and other archaeological information may be restricted to prevent looting or damage. Utah limits access to permitted archaeologists or qualifying researchers, and Nevada identifies restricted information in NVCRIS. A refusal may protect the site rather than indicate that the report is missing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Physical-only records

Some repositories hold paper reports even when their catalogue is online. Ask whether staff can scan the document, whether copying charges apply and whether the scan will include appendices, plans and specialist reports.

When the contractor closed before finishing

Separate three possibilities: the report exists but was never transferred to the obvious repository; a draft or partial report exists; or fieldwork and analysis were never brought to a final report. Ask the sponsor and records office to identify which status applies.

Louisiana’s guidance explains that cancelled projects can leave documentation in limbo and that completed work should be reported and curated by the contracting party in the described Section 106 setting. It also notes that a future project may need new investigations when no report demonstrates what was done earlier. Other jurisdictions may assign responsibility differently, so confirm the rule that applies to your project.

If no final report exists, request any permitted substitute: a draft, monitoring log, context sheets, photographs, specialist analysis, archive accession or agency correspondence. Label a partial record accurately when using it; do not cite it as a completed final report.

Troubleshoot the most common dead ends

What you see Likely explanation Next action
A contractor search returns nothing The report was filed under a former legal name, sponsor or project title Search alternate names, location, investigator and approximate year
A catalogue record has no PDF The item is indexed but held on paper, in another archive or under restricted access Open the Downloads or access page and ask the named repository about retrieval
An archive URL is unclear The catalogue does not identify the file-holding institution clearly Send the record URL to ADS helpdesk or the relevant repository and request the custodian’s name
A state office refuses a request The record contains restricted archaeological information or access is limited by qualification Ask what eligibility applies and whether a redacted or supervised version is available
The sponsor says the contractor closed without a final report Work may have stopped during fieldwork, analysis or reporting Request drafts, field records and accession details, and ask whether the sponsor commissioned completion
A result appears to describe the right site but the dates differ It may be an earlier phase, a separate monitoring visit or a later specialist report Compare sponsor, investigator, permit and report type before relying on it

Compare routes before spending time on a request

Use five questions to choose your next contact:

  1. Coverage: Does the repository cover the project’s country or state, period, project type and contractor?
  2. Searchability: Can you search by contractor, location, site, report type or project details?
  3. Delivery: Is a file downloadable, supplied on request or held only as a physical copy?
  4. Eligibility: Is a permit, researcher qualification, copyright agreement or other approval needed?
  5. Completeness: Does the record identify a final report, or could the contractor have closed before reporting and curation were complete?

A regional repository usually offers the fastest path when it has contractor-level indexing. A sponsor or SHPO is more useful when the report is missing from public catalogues, tied to a permit or potentially restricted. A broad archive such as tDAR is valuable for discovery but does not replace checking local custody and access rules.

Download and preserve the report once access is approved

  1. Use the repository’s own download control or approved request process rather than an unofficial mirror.
  2. Save the original filename and create a second descriptive filename containing the project, location, report type and year.
  3. Keep the catalogue record, accession number, licence or copyright terms and download date in the same folder.
  4. Check that appendices, plates, maps and specialist reports are included; a small PDF may be only a summary.
  5. Store a backup in a separate location and retain the untouched original.
  6. When citing the report, name the author or organization, title, year, repository identifier and access date.

Do not remove watermarks, bypass a login or circulate restricted archaeological information outside the permission granted by the custodian.

Fastest practical sequence

For most cases, the efficient order is:

  1. Write down the project’s jurisdiction, location, approximate year, contractor variants, sponsor and investigator.
  2. Search the regional archaeology repository; in England or Scotland, use ADS filters for Report and Available from ADS.
  3. Search the relevant national, state or provincial heritage office and any agency archive.
  4. Search tDAR and the project sponsor’s records using alternate names.
  5. Contact custodians with a specific request if no downloadable file appears.
  6. Confirm whether the item is final, draft or incomplete and comply with copyright and archaeological-information restrictions.

This sequence distinguishes a missing download from a missing report and directs each question to the organization most likely to answer it.
