To reduce OneDrive cloud storage, find files and archives you no longer need, delete them from the correct OneDrive account, then clear the OneDrive recycle bin. If the problem is a full PC drive rather than a full cloud quota, use Files On-Demand instead: it can reduce local disk use without deleting the cloud copy.

First check which storage is full

Deleting a OneDrive file affects the cloud copy and can reduce cloud storage use. It is not the right fix when you only need more room on your computer. For that, skip to freeing local drive space with Files On-Demand.

Sign in to the personal or work/school OneDrive account whose storage you want to manage. A browser may already be signed in to a different account. Also note that Microsoft’s personal cloud-storage total can include OneDrive files and photos, Outlook.com pictures and attachments, and content in other Microsoft apps and services; OneDrive files may not account for all usage shown. Work/school accounts can have different administrator policies and retention behavior. See Microsoft’s cloud storage overview.

Find OneDrive files that use space

  1. Open OneDrive on the web and go to its storage view to review what is using space. Microsoft recommends looking for large files and archives, including ZIP files, that you no longer need. Its guidance does not establish a single size-sorting interface available in every account, so use the controls shown in your account rather than assuming a particular sort option is present. See Microsoft’s storage guidance.

Delete files and permanently clear them from OneDrive

  1. In OneDrive on the web, select an unwanted file or folder and choose Delete. If Delete is unavailable, you may not have permission to remove that item. See Microsoft’s OneDrive deletion instructions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  2. Check whether the item is shared before deleting it. Removing a shared item can delete it for everyone it was shared with. Deleting from a synced OneDrive folder can also affect the cloud copy.

  3. Open the OneDrive recycle bin. Restore anything removed by mistake. To complete cleanup, permanently delete the selected items or empty the OneDrive recycle bin. A file left there can continue to count toward storage. The Windows Recycle Bin and Mac Trash are separate and do not empty OneDrive’s recycle bin.

  4. Check the storage view again after cleanup. Microsoft says cloud storage availability can take up to 24 hours to reflect changes. An expired Microsoft 365 subscription can also affect available quota.

If your computer is low on disk space, keep the cloud files

Files On-Demand can reduce local disk use while retaining files in OneDrive. In Windows, eligible cloud files can be made online-only rather than permanently deleted; they remain available in the cloud. Files marked Always keep on this device are exempt from Storage Sense’s online-only management. See Free up drive space in Windows and Manage drive space with Storage Sense.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For local files stored on a Windows PC, File Explorer can show folder contents in Details view and sort by size. That is a way to find large files on the computer, not a confirmed method for sorting all cloud files on OneDrive.com.
