Open the PDF in Apple’s Preview app, click a field and type. If the document is a flat scan or does not accept keyboard input, use Preview’s Text Box tool to place text over the printed lines. Add a signature from the Markup toolbar, position and resize it, then save the finished PDF. This workflow usually lets you complete and return a form without printing or scanning.
What you need before you start
You need a Mac with Preview, the PDF file, and the information the form requests. Preview is included with macOS. A signature can be captured with the Mac trackpad, the built-in camera, or a nearby iPhone or iPad; you do not need to buy a printer, scanner, stylus or dedicated signature pad.
- Save the original PDF so you can recover an untouched copy if necessary.
- Know whether the recipient wants an ordinary placed signature or a certificate-based digital signature.
- Have the requested contact details, dates and identification information ready.
- If the file came from Mail, keep the message available so you can reply with the completed attachment.
Read the instructions on every page before entering anything. Note required date formats, initials, check boxes, attachments and any signature instructions. If the sender names a particular application, certificate, or upload portal, that requirement takes precedence over a general Preview workflow.
First, identify what kind of PDF you have
How you fill the document depends on its structure. Click a likely field, such as a name or date line, and observe what happens.

A flat PDF is not necessarily unusable. It simply lacks interactive field objects, so your entries must be positioned manually. Security restrictions are a separate issue: a locked document may prevent both direct entry and overlays. A document can also combine these conditions, such as a scanned page with permissions that prohibit annotations.
Open the PDF in Preview
- Locate the PDF in Finder, Mail or another app.
- Double-click it. If it opens elsewhere, Control-click the file, choose Open With, and select Preview.
- Make a duplicate before editing if the original may be needed later. In Finder, select the file and use File > Duplicate, then work on the copy.
Preview’s window can show a sidebar, page thumbnails and the Markup toolbar. If the toolbar is hidden, choose View > Show Markup Toolbar (or use the Markup toolbar button) before adding text or a signature. Page thumbnails make it easier to see whether the form has additional pages that need entries or signatures.
Fill an interactive PDF form
Enter text in existing fields
- Click the first form field.
- Type the requested information. Use the field’s own formatting when it expects a date, phone number or short code.
- Move through the form by clicking each field or pressing Tab when the PDF supports keyboard navigation.
- Open menus, check boxes and radio buttons as required. If a control does not respond, treat the document as restricted or non-interactive and follow the flat-form method below.
Review long entries after typing. Some PDF fields have a character limit or shrink the font automatically, which can hide a truncated name or address. Check that the insertion point went into the intended field rather than a neighboring line, and confirm that required fields did not remain blank.

Use contact AutoFill when it is available
On macOS 14.2 or later, Preview can offer enhanced contact AutoFill for supported PDFs. Click the AutoFill Form control or a compatible field, then choose the matching name from the menu. Apple notes that not every PDF supports this feature. If the control is missing or the suggested data is incomplete, enter the remaining details manually rather than assuming the form is finished.
AutoFill is a convenience, not a verification step. Compare the inserted name and contact details with the form’s instructions, especially if you are completing a form for someone else or using a business address. Do not rely on an absent AutoFill control as evidence that the PDF is damaged; unsupported PDFs simply require ordinary typing.

- Show the Markup toolbar.
- Select the Text Box tool, usually represented by a boxed “T”.
- Click near the printed line or blank area where the answer belongs.
- Type the entry. Drag the box to align it with the form and use its handles to change the width.
- Repeat for every field. Use a consistent font size and style, and zoom in when aligning small boxes.
Text boxes are independent annotations, not true form fields. Avoid placing one over labels or check boxes, and leave enough space for descenders in letters such as “g” and “y.” Before signing, scroll through every page at 100% zoom to confirm that no entry is clipped or covering an instruction.
For multi-line answers, make the box large enough before typing and check the line spacing. If a line is too long, shorten the entry only when the form permits abbreviations; otherwise reduce the text size enough to keep the complete answer visible. Keep text inside the printed boundaries so another viewer can distinguish your answer from the form’s labels.
Adding check marks and other simple marks
For a checkbox that is not interactive, insert a small text box and type a check mark or “X,” or use another suitable Markup annotation if available in your macOS version. Keep the mark centered and verify that the recipient accepts this style for the particular form. If the form has several options, mark only the requested choices and inspect the page at normal size to ensure each mark is clearly associated with its label.
Add your signature in Preview
Create or select a signature
- Choose View > Show Markup Toolbar if the toolbar is not visible.
- Click the Sign button.
- Select an existing saved signature, or choose the option to create one.
- Capture it with the trackpad, the Mac’s built-in camera, or a nearby iPhone or iPad, following the prompts.
- Click the signature thumbnail to place it on the page.
With the signature selected, drag it to the signature line. Drag a corner handle to resize it proportionally. Do not stretch it until it becomes difficult to recognize, and keep it inside the designated area unless the form gives different instructions. If the signature lands on the wrong page, delete that placed mark and use the thumbnail again on the correct page.
Capture the signature in the method that produces the clearest result for you. A trackpad lets you draw directly; a camera captures a handwritten signature on paper; and a nearby iPhone or iPad can supply a signature through Apple’s supported handoff. You can create more than one saved signature and choose the appropriate one when Preview offers that option.

Check whether a visual signature is sufficient
Preview’s Sign tool places a signature mark in the PDF. That is different from a certificate-based digital signature created with a Digital ID. A bank, government office, employer or legal process may require the latter, may require the document to be locked after signing, or may reject an image-style mark. Ask the recipient or form creator before sending the file. If a Digital ID is required, use the signing workflow and certificate that organization specifies rather than treating a Preview signature as equivalent.

A visual mark can be appropriate for an ordinary consent or acknowledgment form, but acceptance is determined by the receiving organization. If instructions say “digitally sign,” “certify,” “apply a Digital ID,” or “lock after signing,” ask which exact process and application are accepted. Do not infer that a signature that looks authentic has the same identity or validation properties as a certificate-backed signature.
Save the completed PDF safely
- Choose File > Save to keep the edits in the current copy.
- If you need a separate final file, use File > Export as PDF or duplicate the working copy first, depending on your macOS version.
- Close and reopen the saved file in Preview. Check every page, field, check mark and signature.
- Keep the untouched original and the completed copy in clearly named folders. Include a date or version in the filename if revisions are likely.
When a form arrived as an email attachment opened in Preview, Apple documents saving the edited PDF and then replying to the sender or starting a new message with the completed file attached. Confirm that the attachment is the saved final copy, not the original download. If you edited a duplicate, attach that duplicate rather than the file still sitting in the original message.
Reopening matters because it confirms that the edits were written to disk rather than existing only in the current Preview window. If you are submitting through a portal, select the verified final file and inspect the portal’s uploaded preview when one is provided.

Troubleshoot common problems
There is no typing cursor
The PDF is probably flat, scanned or otherwise non-interactive. Use the Text Box tool and position each entry manually. If text boxes cannot be added either, inspect the file’s permissions and ask for an editable version.
Fields are greyed out or editing is blocked
A security setting may prohibit changes. Some forms also contain controls that only work in the software chosen by the creator. Contact the sender and request an unrestricted file or their required application. Do not attempt to bypass a restriction when the form owner has intentionally disabled editing.
AutoFill is missing
Enhanced contact AutoFill requires macOS 14.2 or later and a PDF that supports the feature. Update macOS only if that is appropriate for your Mac; otherwise type the details yourself. AutoFill is a convenience, not a requirement for completing the form.

The signature looks too large, too small or blurry
Select the signature, resize it from a corner and move it onto the line. A camera capture can be affected by lighting or contrast; recreate it if the result is hard to read. If the recipient requires a certificate-based signature, changing the appearance of the mark will not satisfy that requirement.
The recipient says the entries disappeared
Some viewers display annotations differently from Preview. Reopen the saved file in another PDF viewer before sending, and verify that the text and signature remain visible. If the recipient’s system requires flattened content or a certified signature, ask for its exact submission specification and recreate the document accordingly.
The text overlaps a line or label
Select the text box and drag it into place, then adjust its width or font size. Zoom in while aligning and zoom back out to confirm that the answer remains legible in the complete page view. On a dense form, use separate boxes for separate answers instead of one large box that crosses printed boundaries.
The form has several pages but only some fields work
PDFs can mix interactive pages with scanned pages. Fill the working fields directly, then use Text Box annotations on the pages that do not accept typing. Review the thumbnails and scroll through the entire document so a page that looks blank at first is not overlooked.

For one-off personal forms, Preview is usually enough. Acrobat or Acrobat Reader becomes useful when the recipient explicitly requires its signing process, when a flat form needs more sophisticated field handling, or when an organization must author a fillable template for other people. Preparing a form for future users is a different job from completing one copy.
Adobe’s Fill & Sign workflow is an alternative for adding text and a signature to a flat form. Acrobat Pro’s Prepare a form tool is intended to convert a flat document into a reusable fillable form, not merely to place answers on one copy. Choose the tool based on whether you are a signer or the person creating the form.

A reliable completion checklist
- Opened the correct PDF copy in Preview.
- Tested a field to determine whether the form is interactive, flat or restricted.
- Entered every requested value, including dates, initials and check boxes.
- Used Text Box annotations where direct entry was unavailable.
- Confirmed whether the recipient accepts a placed signature mark.
- Added, positioned and resized the signature without covering instructions.
- Saved the final PDF under a distinct filename.
- Closed and reopened it to verify that all edits remain visible.
- Attached the verified final copy, not the untouched original.
Privacy and record-keeping considerations
Forms often contain addresses, account numbers, health information or signatures. Store the working and final files in a location protected by your Mac login, and remove duplicate downloads you no longer need. Before emailing, check the filename and page thumbnails for unrelated personal information. Keep a copy of what you submitted and the date you sent it when the transaction matters.
Do not assume that a visible signature proves identity or authorization. The receiving organization determines whether Preview’s signature mark is acceptable and whether additional identity verification, a Digital ID or a locked document is required. If a form contains another person’s information, verify that you are authorized to enter and send it.

Can I fill out a PDF on a Mac without printing it?
