This guide is for businesses registered for India’s Goods and Services Tax (GST). It explains the usual workflow for eligible normal and casual taxpayers: report outward supplies in GSTR-1, report liability in GSTR-3B, pay the amount due through the GST system, and observe the deadline shown for your GSTIN and tax period. The exact forms, tax amount, input-tax-credit position, filing frequency and due date depend on your registration category, state or Union territory, turnover, transactions and current government notifications.

Do not assume that every small business files the same returns. Confirm your GSTIN status and scheme on the GST Portal before preparing a return. The official GSTR-1 guidance is available at GST Portal: GSTR-1.

1. Confirm that this India GST workflow applies to you

“GST return” is not one universal form. In India, the return or statement you must furnish is determined by your taxpayer category and scheme. Start with these checks:

  • Jurisdiction: This article covers India’s GST system. Other countries use different registrations, forms and payment rules.
  • Registration: Keep your GSTIN and the legal name of the registered business available.
  • Taxpayer category: GSTR-1 applies to eligible normal and casual registered taxpayers making outward supplies. Composition taxpayers and several other categories are excluded from GSTR-1 under the portal guidance.
  • Filing frequency: Your GST Portal profile will show whether you file monthly or under the Quarterly Return Filing and Monthly Payment (QRMP) scheme.
  • Tax period and principal place of business: These affect the applicable due date, especially for QRMP GSTR-3B filings.

If you are unsure whether you are a normal, casual, composition or another type of taxpayer, resolve that question before entering invoices. Filing the wrong form can create mismatches and compliance problems.

2. Know what each return does

GSTR-1: outward-supply statement

GSTR-1 is the statement of outward supplies. Depending on the transactions and the form’s requirements, it can include:

  • Invoice-level details for specified supplies to registered customers and specified inter-State consumer transactions.
  • Credit notes, debit notes and related adjustments.
  • Exports and advances received, where reportable.
  • Summaries of consumer supplies.
  • Exempt, nil-rated and non-GST supplies.
  • HSN or SAC summaries.

Its purpose is to report what the business supplied during the period. It is not a substitute for the tax-payment return.

GSTR-3B: liability and payment return

GSTR-3B is the return through which a registered taxpayer reports the period’s relevant tax liability and pays the amount due. The amount cannot be calculated from turnover alone: applicable rates, taxable and exempt supplies, adjustments and any eligible input tax credit affect the result. The facts needed to calculate an individual business’s liability are not provided here, so use the figures in your books and invoices and obtain professional advice where the treatment is uncertain.

How the two fit together

Reconcile the outward supplies you intend to report in GSTR-1 with the figures used in GSTR-3B. A return can be filed only for the taxpayer category and period shown in the portal. Keep supporting invoices, credit and debit notes, export documents, advance records and workings for the period in case a correction or explanation is needed.

3. Prepare your records before opening the return

A short preparation routine reduces errors and makes the portal work easier:

  1. Identify the filing period and frequency. Note whether the dashboard shows a monthly period or a QRMP quarter and identify any extension notification that applies.
  2. Separate supplies by reporting treatment. Organize registered-customer supplies, inter-State consumer supplies, exports, advances, credit notes, debit notes, exempt or nil-rated supplies and non-GST supplies in the categories required by GSTR-1.
  3. Check invoice identifiers. Verify invoice numbers, dates, GSTINs, place-of-supply information and taxable values before uploading or entering data.
  4. Reconcile adjustments. Match credit and debit notes and advances to the original transactions and ensure that corrections are reported in the appropriate period.
  5. Prepare the liability calculation for GSTR-3B. Keep the sales, tax-rate analysis, adjustments and input-tax-credit working together. Do not claim credit merely because an invoice exists; confirm that the credit is available under the rules applicable to your circumstances.
  6. Choose an entry method. GSTR-1 information may be entered on the portal, prepared with the GST Returns Offline Tool, or transmitted through a third-party application connected through a GST Suvidha Provider.

The official GSTR-1 page describes these reporting categories and preparation methods: GST Portal GSTR-1 user guide.

4. File GSTR-1 when it applies

Monthly filers

The GST Portal gives the general monthly GSTR-1 deadline as the 11th day of the succeeding month. This is a general rule, not a guaranteed date for every period; the government can extend it. Check the live return dashboard and current notifications for your GSTIN.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Quarterly filers

The portal gives the general quarterly GSTR-1 deadline as the 13th day of the month following the quarter, subject to extensions. QRMP taxpayers use this quarterly filing cadence, provided they remain eligible and have opted into the scheme.

Practical filing sequence

  1. Sign in to the GST Portal using the credentials for the registered business.
  2. Select the relevant financial year and return period shown for the GSTIN.
  3. Open the GSTR-1 return or statement and enter data online, upload a file generated by the GST Returns Offline Tool, or use an integrated GST Suvidha Provider application.
  4. Review each section against the invoice register, including notes, exports, advances, exempt or nil-rated supplies and HSN/SAC information where required.
  5. Use the portal’s preview or validation controls to find missing or inconsistent fields before submission.
  6. Submit and authenticate using the method the portal offers for that taxpayer account. Save the acknowledgement and a copy of the submitted data.

Do not omit a period simply because there were no sales. The GSTR-1 guidance states that GSTR-1 must be filed even when there is no business activity during the tax period, provided the taxpayer is required to furnish that statement.

5. File GSTR-3B and pay the tax due

Payment deadline rule

Section 39(7) of the Central Goods and Services Tax Act, 2017, as published by the Central Board of Indirect Taxes and Customs, states:

“Every registered person, who is required to furnish a return under sub-section (1) or sub-section (2) or sub-section (3) or sub-section (5), shall pay to the Government the tax due as per such return not later than the last date on which he is required to furnish such return.”

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Read the current statutory text at CBIC’s Central Goods and Services Tax Act, section 39. In practical terms, payment for a return is tied to that return’s filing deadline unless a specific rule or notification provides otherwise. A QRMP taxpayer has an additional monthly challan-payment cadence described below.

What you can and cannot determine from a general guide

Your payment amount depends on your actual taxable supplies, rates, exemptions, adjustments and the input tax credit available under the law. The official material used for this guide does not establish a universal calculation or a complete click-by-click payment walkthrough for every GSTR-3B situation. Do not invent a tax amount from gross sales, and do not treat all purchases as automatically creditable.

Safe filing sequence

  1. Open the return period shown for your GSTIN on the GST Portal and choose GSTR-3B where your category requires it.
  2. Bring together the period’s liability calculation and supporting records before entering values.
  3. Enter the figures required by the form, review the displayed liability and compare it with your working papers and reconciled GSTR-1 data.
  4. Follow the portal’s payment and challan instructions for the amount due. For QRMP, use the monthly challan process for the first two months of the quarter.
  5. Complete the portal authentication step and retain the acknowledgement, challan details and filed return.

If the portal displays a different form, date or payment requirement from the one you expected, stop and verify your taxpayer category, period and current notification instead of forcing the filing through.

6. Decide whether QRMP fits your business

QRMP reduces the frequency of GSTR-1 and GSTR-3B filing for eligible taxpayers, but it does not eliminate monthly tax payments. The GST Portal describes eligibility for taxpayers with aggregate annual turnover up to ₹5 crore, subject to conditions that include filing the most recent due GSTR-3B. The ceiling is a scheme-eligibility threshold, not a tax-rate or tax-liability estimate. Confirm the current conditions and opt-in timing in your portal profile.

When monthly filing may be operationally preferable

Monthly filing gives you a regular reconciliation cycle and avoids accumulating three months of transactions before a return. It can suit a business that has frequent invoice changes, many registered customers or limited capacity to track a separate monthly payment calendar.

When QRMP may be workable

QRMP can reduce the number of quarterly return submissions for a qualifying business with relatively manageable records. It requires discipline: the first two months still require tax payments by challan, and the quarterly return must reconcile the whole quarter. The choice is an administrative trade-off, not a universal recommendation.

7. Track QRMP’s separate monthly payment obligation

Under QRMP, the first two months of a quarter involve monthly tax payment by challan. GSTR-1 and GSTR-3B for the quarter are filed later. The advisory describes quarterly GSTR-1 as generally due on the 13th of the month after the quarter and explains that GSTR-3B due dates are grouped by the state or Union territory of the principal place of business.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The advisory lists general GSTR-3B date groups of the 22nd or 24th of the succeeding month, depending on that group. These are not safe stand-ins for a specific upcoming period: extensions and updated notifications can change the date. Check the applicable live due date on the GST Portal before paying or filing.

  1. At the start of each QRMP quarter, mark the two monthly challan-payment deadlines and the quarterly return deadlines.
  2. Close the books for month one and month two, calculate the amount required under your applicable process and generate the portal challan.
  3. Pay each monthly amount on time and retain the challan and payment record.
  4. At quarter end, reconcile all three months, prepare the quarterly GSTR-1 and GSTR-3B, and account for the payments already made.

8. File a nil return when the form still applies

No sales does not automatically mean no filing. The GST Portal’s GSTR-1 guidance requires a nil GSTR-1 when there is no business activity during the period, as long as the taxpayer is required to furnish GSTR-1. Whether you must file GSTR-3B or another return depends on your taxpayer category and the requirements shown for your GSTIN.

Nil GSTR-3B portal path

The official nil-return guide gives this route:

  1. Sign in to the GST Portal.
  2. Open Services → Returns → Returns Dashboard.
  3. Select the financial year and filing period.
  4. Open the GSTR-3B tile and choose the prepare-online flow.
  5. Use the nil-return option where the period and taxpayer status qualify.
  6. File using the authentication method available to the account, such as DSC or EVC, and save the acknowledgement.

See the complete portal instructions at GST Portal: file a nil GSTR-3B. A nil return is appropriate only when the form’s conditions are met; do not select nil merely because revenue was low if there are reportable supplies, liability or other entries.

9. Common mistakes and how to recover

Using the wrong scheme

Symptom: You prepare GSTR-1 even though the profile identifies a composition or other excluded category, or you assume QRMP applies because turnover is small.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Correction: Check the GSTIN’s taxpayer category, the latest due GSTR-3B status and the portal’s QRMP eligibility before preparing data. If the profile is unclear, resolve it with the GST department or a qualified tax professional.

Confusing quarterly returns with quarterly payments

Symptom: A QRMP taxpayer waits until quarter end to pay tax.

Correction: QRMP changes the filing cadence but retains monthly challan payments for the first two months. Keep a separate monthly payment calendar.

Relying on a generic date

Symptom: You use the 11th, 13th, 22nd or 24th without checking the period, state or a government extension.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Correction: Treat those figures as general portal guidance only. Confirm the period-specific date and any notification in the GST Portal.

Omitting a nil filing

Symptom: No invoices were issued, so the business skips GSTR-1 or an applicable nil GSTR-3B.

Correction: Review each required form separately and file nil returns through the portal where applicable.

Submitting unreconciled numbers

Symptom: GSTR-1 totals, GSTR-3B figures and accounting records do not agree.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Correction: Recheck invoice classifications, notes, advances, exports, exempt supplies and the period in which adjustments were reported. Preserve the original workings and the corrected submission record.

10. A repeatable compliance checklist

  • GSTIN, legal name and taxpayer category confirmed.
  • Monthly or QRMP frequency confirmed in the portal.
  • Financial year, tax period and principal-place-of-business group identified.
  • Outward supplies classified for GSTR-1.
  • Credit notes, debit notes, exports and advances reconciled.
  • Exempt, nil-rated and non-GST supplies separated.
  • HSN/SAC information prepared where the form requires it.
  • GSTR-3B liability and input-tax-credit workings reviewed.
  • Monthly QRMP challans scheduled, if applicable.
  • Current portal deadline and any extension checked.
  • Return authentication completed.
  • Acknowledgement, filed return, challan and supporting records retained.

Because the sources do not establish your business’s rates, credit entitlement or personal liability, use this checklist as a filing-control tool rather than as a substitute for a taxpayer-specific calculation.
