Preserve a design service in two layers: an editable project archive in the service’s native format, plus separate implementation assets and documentation. Confirm your provider’s actual end-of-service notice and export deadline, save copies outside the service, and validate representative files before access ends. Shutdown rules, available formats, and what happens to prototypes, comments, libraries, fonts, and shared links differ by product and account.
Start with the provider’s actual shutdown notice
Do not rely on a social-media post, a colleague’s date, or a generic “read-only” warning. Ask the account owner or organization administrator to obtain the vendor’s current notice and record the details for every workspace.
- Service and account: identify the exact product, workspace, team, plan, and account owner. A personal account and an organization-managed account may have different permissions.
- Deadline: record the last date and time exports are allowed, including the stated time zone. If the notice distinguishes editing, viewing, and downloading cutoffs, record each one.
- Scope: confirm whether the notice covers files, prototypes, comments, version history, shared libraries, fonts, linked media, plugins, and public or password-protected links.
- Access: verify who can export and whether an administrator must release a copy or remove a restriction.
- Destination: decide where the archive will be controlled after closure and who will receive credentials or encryption keys.
Freeze nonessential edits once the plan is agreed. Every late change creates another version to export and another set of links or assets to verify. Keep a short log of the file owner, export date, operator, format, and any known loss.

Figma: retain an entire-file copy
Figma’s export documentation lists an option to export an entire file as a .fig copy. Use that whole-file export for every important Design file before making flattened exports. The same documentation lists exportable layers, frames, components, groups, sections, a selected portion of a canvas made with the Slice tool, an entire page canvas, and configured assets. See Figma’s export guide.
A .fig archive is valuable because it can preserve editable project structure, but it is not a universal interchange format. Figma states that its different products use their own file formats that can only be opened in Figma; a future third-party tool should not be assumed to open every native archive. Keep the .fig copy and independent, open-format exports together.
Adobe XD: export artboards and assets, then retain any available source package
Adobe XD’s documented export workflow covers artboards and assets in PNG, SVG, JPG, and PDF, including batch export for assets marked for export. The export page was last updated June 6, 2023, so verify the current menu names and behavior in the installed release before the deadline: Adobe XD export design assets.

If your team has an XD source package or another native project copy available, retain it in the source archive; otherwise, treat the exported artboards, assets, and documentation as the preservation baseline. Adobe’s FAQ also documents third-party plugins that can extract projects as HTML, CSS, or JavaScript. That is a possible supplementary route, not a guaranteed or official full-fidelity migration: Adobe XD FAQ.

Export implementation assets in formats that match their next use
Exporting everything at one setting creates oversized images, unusable vectors, or files that no longer match the product. Make a small format plan for each asset class.
| Asset or purpose | Useful export format | Checks to make |
|---|---|---|
| Logos, icons, illustrations, and other scalable vectors | SVG where the destination supports it | Inspect viewBox, fills, strokes, masks, gradients, text conversion, and appearance in the destination tool. |
| Photographs, textures, and other raster artwork | PNG for lossless transparency or JPG for photographic images | Confirm pixel dimensions, compression, transparency, color profile, and the intended display scale. |
| Review copies, specifications, and handoff documents | Check page size, selectable text, embedded or substituted fonts, links, and whether comments or annotations are included. | |
| Platform-specific production files | The format required by the implementation pipeline, plus a neutral reference export | Confirm naming, suffix, density variants, and whether the receiving tool accepts the file without conversion. |
Figma recommends SVG for lossless asset transfer between design tools and describes copying SVG assets into another Figma file: Figma’s copy-assets guide. SVG transfers artwork, not an entire design project. It does not establish preservation of prototypes, comments, component relationships, design tokens, or application-specific metadata.
Use each application’s export settings deliberately. Figma’s format documentation says PDF text remains selectable in compatible software and suggests a larger export scale for high-density screens. Those settings do not guarantee that every visual effect, font, or editing feature remains intact: Figma export formats and settings.
For raster output, create the dimensions the implementation needs rather than exporting an arbitrary maximum. If a screen uses multiple density variants, export and name each variant explicitly. Record the intended scale, color profile, and pixel dimensions in the handoff notes so a later user can distinguish a 1× asset from a 2× or 3× asset.

Figma export workflow
Use the following sequence for each critical file. The exact placement of commands can change as Figma’s interface evolves; the labels below describe the documented export choices rather than promising a particular menu location.
- Open the canonical file. Work from the owned or administrator-approved file, not a screenshot, duplicate, or imported preview. Confirm that the file has finished loading and that the latest edits are visible.
- Export the entire file. Choose Figma’s whole-file export option and save the resulting
.figcopy with the project name, workspace, and date. Keep the original extension unchanged. - Export critical structure separately. Export key frames, sections, components, groups, page canvases, and implementation assets. If only part of a canvas is needed, an editor can use the Slice tool; a viewer’s ability to export depends on whether the owner has allowed copying and sharing.
- Configure each asset. Set the required format, scale, suffix, and export area. Use SVG for suitable vectors, PNG or JPG for raster output, and PDF for review or document delivery where appropriate.
- Save the browser or desktop output. Figma documents that browser exports go to the browser’s configured download location, while the desktop app prompts for a file name and destination. Move the files immediately into the controlled archive rather than leaving them in a temporary Downloads folder. See the export guide.
- Repeat for libraries and dependencies. Export shared components, icons, illustrations, and other assets that the project references but does not embed. Note the library name and the version or date used by the file.
- Record restrictions. If an export command is missing or disabled, capture the file URL and ask the owner or administrator to check copying and sharing restrictions before the deadline.
Figma has announced a transition from projects to folders beginning August 3, 2026. Navigation may therefore differ between workspaces; use the current in-product labels while preserving the same whole-file and asset-export goals.
Adobe XD export workflow and hard limits
- Open the source document and identify export targets. Select the artboards and assets required for implementation and reference. Keep a written list of excluded exploratory artboards so another designer does not mistake the archive for a complete history.
- Export in several formats. Use PNG, SVG, JPG, or PDF according to the downstream use. Mark recurring assets for export and use XD’s batch export where that is more efficient than exporting one item at a time.
- Review color warnings. Adobe notes that unmanaged color profiles can produce a color-discrepancy warning. Resolve the profile deliberately or record the warning and the intended color space in the handoff notes.
- Split oversized artwork. Adobe’s FAQ states that asset export is limited to 16,000 × 16,000 pixels. An asset above that limit may fail; divide it into logical tiles, reduce the required dimensions, or preserve the original in a native source package instead of silently accepting a smaller image.
- Check motion content. Adobe troubleshooting notes that video and Lottie content may export as a single poster-frame bitmap. Preserve the original media and a description of the intended animation separately; do not treat the poster frame as the interaction.
- Evaluate plugins cautiously. A plugin that extracts HTML, CSS, or JavaScript may help a migration, but inspect its output and licensing, and compare it with screenshots and the source document. It is not evidence that every interaction or component will survive.

Capture the context that flat exports cannot carry
A native file and a folder of assets still leave gaps. Add context as ordinary files in the archive, clearly marked as reference material rather than editable source.

- Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
- The available storage capacity may vary.
- Key-screen references: export or capture the major screens, states, responsive breakpoints, empty states, error states, and approval versions as PDFs or images.
- Flow documentation: include user-flow maps, prototype route lists, and a short explanation of what each important interaction is supposed to do.
- System information: record component names, library relationships, design tokens, spacing rules, color values, typography choices, and naming conventions.
- Dependencies: list fonts, linked images, video, Lottie files, external data, plugins, and licenses. Copy files that the team is allowed to retain; otherwise record the source and usage restriction.
- Decisions and ownership: preserve final approval notes, known exceptions, the product or code release associated with the design, and the person who can answer questions after closure.
- History limitations: comments, version history, permissions, and shared links may not be represented in a static export. If they matter, capture a dated PDF or screenshot and export any available activity log through the provider’s approved process.
These additions are preservation practices, not guarantees that a vendor’s export includes the corresponding metadata. Label screenshots and PDFs with their capture date so a future reader can distinguish them from current source files.
Organize and store at least two independent copies
Keep one copy in an organization-controlled storage location and a second copy on independent storage. An external backup drive is an optional method, not a required purchase; choose capacity from the archive’s actual size and your organization’s backup policy. A drive that stays beside the primary computer is not an independent copy if theft, fire, or ransomware can affect both.
| Archive option | Advantages | Questions to answer |
|---|---|---|
| Managed organizational storage | Central access control, team handoff, and easier policy enforcement. | Who owns the account after the service closes? Are retention, versioning, and recovery enabled? |
| External or portable storage drive | Works without the design service and can hold a large local archive. | Does capacity exceed the archive size? Is the connection compatible? Is it encrypted, labeled, and backed up elsewhere? |
| Offline or geographically separate copy | Reduces the chance that one incident destroys every copy. | Who can retrieve it, and how often will its readability be checked? |
Use a stable directory structure that separates source, exports, references, and notes. For example:

Use file names that include the project, screen or asset, variant, scale, and date. Keep the original file name in the manifest when renaming would otherwise break a handoff. Restrict archive access to people who need it, especially where designs contain unreleased product information or licensed fonts.

Validate the archive before the service becomes unavailable
An export that completed without an error message can still be incomplete. Validation should happen while the original account remains accessible.
- Open representative native files. Reopen at least one small and one complex source file from the archive, not from the service. Confirm that the file is readable and that expected pages, layers, and components are present.
- Inspect exported assets. Open SVG, PNG, JPG, and PDF samples in the tools that will use them. Check dimensions, transparency, selectable text, color, cropping, and file naming.
- Compare key screens. Place the reference export beside the service view and look for missing fonts, substituted icons, changed line wraps, clipped masks, altered gradients, or incorrect image scaling.
- Test dependencies. Verify that fonts, linked media, and external files are present or documented. A design can appear correct in the service while silently depending on a file that was never exported.
- Ask the destination-tool owner to import samples. Test the native file if an importer exists, then test SVG, PDF, and raster assets. Record which layers remain editable and which interactions become static.
- Check the two storage copies. Open files from both locations and confirm that the manifest, directory structure, and file counts match. If your organization uses checksums, generate and retain them with the manifest.
- Record losses explicitly. Note missing comments, prototype behavior, version history, animation, fonts, or metadata. A documented limitation is safer than a future user assuming the archive is complete.
Choose a migration path without promising full fidelity
There is no universal “export everything” format. Compare a destination tool or archive plan against the properties that matter to your project.
| Decision axis | What to test | Evidence to record |
|---|---|---|
| Native project import | Can the destination open the source file directly, or does it require conversion? | Importer name and version, successful files, and files that fail. |
| Editable structure | Do layers, components, groups, constraints, and text remain editable? | Representative screenshots and a list of flattened or substituted elements. |
| Prototype and interaction support | Do routes, overlays, transitions, variables, and gestures transfer? | Interaction-by-interaction test results; never infer behavior from a static image. |
| Vector and raster fidelity | Are strokes, masks, gradients, blend modes, transparency, and image crops preserved? | Side-by-side comparisons at the intended display scale. |
| Fonts and color | Are the same fonts licensed and available, and does the destination honor the color profile? | Font inventory, substitutions, profile warnings, and approved corrective actions. |
| Comments and history | Can reviewers still see decisions, comments, and prior versions? | Exported records or screenshots, with a note when the feature is unavailable. |
| Archive access | Can the team retrieve files without the closing service or one individual’s account? | Named owners, permissions, recovery method, and the date of the last access test. |
If no destination preserves the entire project, use a layered strategy: retain the native archive for possible future access, use SVG and other open formats for reusable artwork, and use PDFs, screenshots, and written notes for visual and interaction reference. Calling that a complete conversion would mislead the next team.
Fix common export failures while access still exists
| Symptom | Likely cause | Action |
|---|---|---|
| The export command is unavailable | The account lacks permission, or the owner restricted copying and sharing. | Ask the owner or administrator to authorize the export; do not bypass an access control. |
| A viewer can see a file but cannot download it | Viewer export rights depend on the owner’s copy and sharing settings. | Request an owner-generated whole-file copy and the required asset exports. |
| A large XD asset fails | The asset exceeds Adobe XD’s documented 16,000 × 16,000-pixel export limit. | Split the artwork, reduce dimensions where acceptable, or preserve the original source package. |
| Colors differ after export | Color profiles are unmanaged or the destination interprets them differently. | Resolve the profile warning, document the chosen color space, and compare against an approved reference. |
| Video or Lottie becomes a still image | The export produces a poster-frame bitmap rather than animation. | Copy the original media and write down playback behavior and dependencies. |
| Text reflows or icons change | Fonts or linked assets were not retained, or the destination substituted them. | Include licensed font files or names where permitted, export critical text as PDF reference, and test the destination. |
| The native archive will not open elsewhere | The format is application-specific. | Keep the native file for the original application and use open-format assets plus reference documentation for portability. |
| The archive looks complete but a screen is missing | Only selected layers or marked assets were exported. | Compare the manifest with the source file’s pages, sections, and critical flows; export the entire file or page canvas where available. |
Minimum handoff record for the next team
Give the receiving team a manifest that identifies each native file, export set, reference document, dependency, and known limitation. Include the provider notice date and deadline, the account owner, the export operator, and the date each copy was validated. State plainly whether the archive contains editable projects, static artwork only, or both. That record prevents a future designer from mistaking a PDF or poster frame for a functioning prototype and makes the archive useful even after the original service is gone.
