Exporting files from SAP is only the first checkpoint in an ERP replacement. A migration is complete only when the receiving system accepts the data, maps SAP values correctly, and reconciles important records and business totals to an agreed SAP baseline.

The safest approach is to define the target scope, choose an extraction route that the target supports, map each migration object, run repeated tests and simulations, correct rejects, and obtain business sign-off on reconciliation. SAP’s Migration Cockpit documentation mainly describes migration into SAP S/4HANA; it is not a universal, one-click export method for every SAP-to-non-SAP combination.

What “export and validate” means in an SAP-to-ERP switch

In a replacement project, “export” normally covers extracting SAP records into a file, staging table, interface, or ETL pipeline. “Validate” has a wider meaning: proving that the selected records are complete, transformed into the destination’s required structure, accepted without material errors, and usable in business processes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

SAP documentation often uses different terms. A migration object represents a business object and its related source tables and relationships. Staging tables are temporary structures used by the Migration Cockpit process. Simulation tests whether prepared data can be processed before the final transfer. Reconciliation compares the loaded result with trusted source records and business totals.

A technically successful file transfer can still leave you with missing company codes, incorrect units of measure, duplicated customers, unbalanced opening entries, or open documents that cannot continue in the new ERP. Treat the file as evidence for the next control, not as proof that the migration succeeded.

1. Define the destination, scope, and cutover rules first

Do not select an SAP extraction method until the receiving ERP has supplied its import and validation specification. The destination determines which objects are required, which fields are mandatory, what codes and formats are accepted, and whether historical transactions are loaded, archived, or retained in a separate repository.

Record the decisions that control the export

Decision What to document Why it matters
Target ERP and edition Product, release, legal entities, countries, modules, import interfaces, and supported file formats SAP’s S/4HANA Migration Cockpit procedures do not define the import contract for a different ERP.
SAP source Product and installed release, client, company codes, plants, ledgers, controlling areas, and relevant add-ons Direct-source compatibility and available migration objects depend on the source scenario and release.
Business scope Master data, open transactions, balances, assets, inventory, purchasing, sales, projects, and other objects included Each object needs its own selection rule, dependency order, and reconciliation measure.
Historical retention Transactions to load, transactions to archive, retention period, reporting access, and legal requirements Some target scopes support operational opening data but not historical transactional history.
Cutover constraints Freeze windows, final posting date, open-document handling, parallel entry rules, and ownership of late changes Data can become inconsistent while the old system remains editable.

Separate operational opening data from history

SAP’s public-cloud documentation for the cited release describes initial data needed to start operations: master data, open transactions, and balances. It states that historical transactional data cannot be migrated within that described scope. That is a scope statement for that cloud release, not a universal rule for every SAP product or third-party ERP.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Decide explicitly whether historical transactions will be loaded, transformed into an archive, or left in a read-only legacy environment. If history is excluded, preserve the reports, keys, and documentation needed to explain opening balances and answer audit questions after cutover.

Plan for open and partially processed documents

Open documents may need to be completed or otherwise processed in SAP before extraction. The public-cloud guidance gives specific treatment to partially delivered sales orders and partially open purchase orders; the applicable handling depends on the target release and migration object. Confirm whether each document is migrated as open, closed in the source, split, or recreated in the target.

Some master-data objects require a freeze period or temporary double maintenance. Name the owner for changes during that period and define how late creations, edits, cancellations, and postings are captured.

2. Choose an extraction and migration route

For SAP S/4HANA, SAP describes two broad Migration Cockpit approaches: loading data into cockpit-managed staging tables or migrating directly from certain supported SAP source systems. A non-SAP destination may instead require SAP extracts to be transformed by an approved interface or ETL process. The receiving ERP’s specification remains the controlling requirement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Route How it works Important constraints Best fit
Template-based staging Download the migration-object template, populate it, upload it to the project, complete mapping tasks, then simulate and transfer. Template columns, allowed values, dependencies, and object availability vary by target release. Projects with manageable volumes and a clearly defined spreadsheet or file interface.
Staging tables The cockpit creates tables for the selected objects; data is populated and processed through the migration project. SAP limits third-party population to the migration purpose and active-project timeframe. The tables are not a general analytics or integration warehouse. Large or repeatable loads where controlled ETL is needed and the target is supported.
Direct source The cockpit reads from a supported SAP source through the documented connection and object route. Source release, scenario, connection, add-on, authorizations, and SAP compatibility notes apply. It is not a generic extractor for arbitrary SAP and non-SAP pairs. Supported SAP-to-S/4HANA scenarios with the required technical setup.
External interface or ETL to another ERP SAP data is extracted through an agreed SAP method, transformed to the target schema, loaded through the target’s interface, and validated there. The target vendor’s API, file, sequencing, error, and retry rules control the implementation. Switches where the destination is not the S/4HANA target covered by the cockpit documentation.

Check direct-source prerequisites before committing

SAP’s “Before You Start” guidance lists source compatibility and setup requirements for documented direct-source scenarios. These include a supported source release, an RFC connection, and, in the cited on-premise scenarios, a relevant DMIS add-on. The lowest supported source releases differ by scenario, and SAP points to compatibility notes for the exact combination.

Verify the installed releases, add-ons, notes, roles, authorizations, network route, and migration-object support in the current documentation. Do not infer that a source can be connected merely because it is an SAP system.

Use staging tables only for the migration project

When a third-party ETL process populates cockpit staging tables, follow SAP’s restrictions: use them for the migration purpose, during the active project, and only in the manner supported for that release. Do not turn them into a permanent reporting layer, reuse them for unrelated transformations, or allow uncontrolled processing that changes the records the cockpit expects.

3. Build a migration-object inventory and dependency map

Start with an object register rather than a list of SAP tables. In the documented cockpit workflow, the project identifies relevant migration objects, and each object definition specifies source tables and relationships. The object is the unit you scope, map, test, transfer, and reconcile.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Minimum fields for an object register

  • Object name and target release.
  • Business owner and technical owner.
  • Source selection, including company codes, plants, posting dates, and status filters.
  • Required predecessor objects and dependent successor objects.
  • Source extraction route: template, staging table, direct source, or external interface.
  • Destination entity, endpoint, file, or import job.
  • Expected record counts and business control totals.
  • Known exclusions, historical-retention decision, and sign-off owner.

Order objects by business dependency

Master data commonly has to exist before documents that reference it. For example, a customer or supplier identifier, material, plant, chart of accounts, tax code, currency, or cost center may be required before an open sales, purchasing, inventory, or accounting record can load. Use the predecessor and successor relationships in the selected object definitions rather than assuming that every project follows one universal sequence.

SAP’s asset-transfer procedure illustrates one possible order: pre-test, master data, postings, then reconciliation with the legacy system. It is an object-specific example, not a mandatory sequence for every migration object.

4. Map SAP fields, codes, and values to the target

Mapping is where an apparently complete export often becomes unusable. Create a field-level specification for every object before the first full test.

Include these mapping dimensions

  • Identifiers: Decide whether SAP numbers are retained, converted, or cross-referenced to newly generated target IDs.
  • Organizational values: Map company codes, plants, sales areas, purchasing organizations, storage locations, ledgers, and profit or cost centers.
  • Reference values: Map currencies, units, tax codes, payment terms, incoterms, reason codes, document types, and status values.
  • Dates and time: Define date formats, time zones, fiscal periods, posting-date rules, and treatment of closed periods.
  • Amounts and quantities: Preserve currency precision, decimal separators, signs, unit conversions, valuation areas, and rounding rules.
  • Relationships: Carry parent-child links, document references, batches, serial numbers, asset assignments, and item-to-header keys.
  • Null and default behavior: State whether an empty SAP value is rejected, left empty, or replaced by an approved default.
  • Security and privacy: Restrict extracts and staging areas to authorized staff and define retention and deletion after the load.

Resolve value-mapping tasks before transfer

The cockpit workflow includes mapping tasks for open values and fixed values. Do not treat an unmapped value as a harmless warning: a missing plant, tax code, unit, or document type can reject records or silently alter their business meaning. Maintain an exception log with the source value, proposed target value, decision owner, effective date, and test evidence.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a destination outside SAP, obtain the target’s code lists and validation rules from the receiving implementation team. A SAP code that looks equivalent by name may have a different definition, precision, or status behavior in the new ERP.

5. Prepare a production-like test migration

SAP recommends beginning in a test system that is a copy of production. The copy should include the configuration, authorizations, relevant customizing, and representative data conditions that affect extraction and validation. Mask sensitive data where required, but do not remove relationships needed to test realistic failures.

  1. Create the test project. Select the target release and migration objects, then record the project version and configuration.
  2. Extract a controlled sample. Include normal records, boundary dates, multiple organizational units, language and currency variants, and known problematic records.
  3. Load the template or staging area. Preserve the extract version and checksum or control identifier so the exact input can be reproduced.
  4. Complete mappings. Resolve fixed-value and open-value tasks, document every exception, and obtain business-owner approval for conversions.
  5. Run a simulation. Use the cockpit’s simulation function before a transfer. For an external target, run its validation or dry-run interface as well.
  6. Inspect the status and error output. Classify failures as extraction, format, mapping, dependency, authorization, duplicate, or business-rule errors.
  7. Correct and repeat. Change the source selection, mapping, transformation, or input record; retain the prior result and rerun until the error class is understood.
  8. Transfer the approved sample. Confirm that records are created in the target and that references, totals, and statuses behave as expected.
  9. Expand the test volume. Move from representative samples to a realistic or full-volume rehearsal before the production project is created.

Keep test iterations separate. A result that passes after changing a mapping is not evidence that the earlier extract was correct; it is evidence for the revised version only.

6. Simulate, inspect, and correct errors

The Migration Cockpit provides simulation and monitoring for the migration process, and SAP recommends simulation before migration. Simulation helps expose invalid values, missing dependencies, formatting problems, and records that the target cannot process. It does not replace business review.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use an error-classification loop

Error class Typical symptom Corrective action
Source selection Unexpected company code, date range, status, or record volume Fix the extraction filter and regenerate control totals.
Structure or format Missing mandatory field, invalid date, decimal, encoding, or column relationship Correct the template or transformation and rerun structural validation.
Value mapping Unknown plant, tax code, currency, unit, document type, or status Approve a target value, add a mapping, or exclude the record with a documented reason.
Dependency Document references a master record that was not loaded or has a different key Load the predecessor object, correct the cross-reference, and repeat the dependent load.
Duplicate or conflict Existing target key, repeated source record, or conflicting master attributes Define deduplication and survivorship rules; do not overwrite silently.
Business rule Record is technically valid but violates target policy, period, or status rules Obtain a business decision, process the source document, or transform it according to the approved rule.

For the asset procedure, SAP describes an error list from simulation and correction files for records not transferred. Treat that behavior as an example for that object and release; check the current documentation for the object you are migrating.

Do not discard rejected records

Retain the original input, rejected output, error text, correction version, and final disposition. A rejected record must end in one of three states: corrected and loaded, intentionally excluded with an owner-approved reason, or deferred to a documented post-cutover process. “Ignored” is not a migration status.

7. Build a validation ledger and reconcile to SAP

Create a control ledger for each object and load. This is a project control, not a universal SAP-prescribed checklist, so tailor the measures to the object and target.

Control Example evidence
Source population Selection criteria, extraction timestamp, source record count, and source report or query identifier
Source business totals Open-item count and balance, inventory quantity and value, asset cost and accumulated depreciation, or another object-appropriate measure
Prepared input Exported or staged count, file/table version, transformation log, and duplicate count
Mapping exceptions Unmapped values, approved conversions, excluded records, and decision owners
Simulation result Accepted, rejected, and warning counts with the final error report
Target result Created, updated, rejected, and skipped counts from the destination load
Post-load business check Target reports, sample record inspection, balances, quantities, statuses, and referential integrity
Sign-off Named business owner, technical owner, date, scope, and unresolved-risk statement

Reconcile at three levels

  1. Record level: Compare sampled source and target records, including keys, dates, amounts, units, organizational assignments, statuses, and document links.
  2. Object level: Compare counts by meaningful dimensions such as company code, plant, fiscal period, customer group, material type, or document status.
  3. Business-total level: Reconcile balances, quantities, open-item totals, asset values, inventory values, and other measures that management uses to confirm continuity.

Investigate every difference. A difference can be correct when the scope intentionally excludes history, closes a document in the source, converts units, or applies a target opening-balance rule. It is not correct merely because the target accepted the file.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use SAP’s Data Transition Validation tool in the right context

SAP’s Data Transition Validation documentation describes comparing business data before and after an SAP ERP-to-S/4HANA conversion or an S/4HANA upgrade, using business reports or transactions. That is different from a generic validator for exporting SAP data to any replacement ERP. For a third-party target, use the destination’s reports and agreed reconciliation controls, while preserving SAP reports as the source baseline.

8. Plan the final cutover transfer

After the rehearsal passes, create the production migration project from the approved design rather than improvising changes during the cutover.

  1. Freeze the object scope, mappings, transformation code, and target configuration versions.
  2. Confirm the final posting date, source freeze window, open-document decisions, and owners for late changes.
  3. Take the final SAP extract or run the approved direct-source process and capture source control totals.
  4. Load predecessor master data, then dependent objects in the tested order for that release and scope.
  5. Run simulations where available and stop if the final result differs materially from the signed-off rehearsal.
  6. Transfer the data and capture created, rejected, skipped, and corrected counts.
  7. Run target reports and reconcile them to the final SAP baseline and approved opening balances.
  8. Obtain business sign-off before enabling normal operations in the new ERP.
  9. Retain extracts, logs, mappings, correction files, reconciliation evidence, and the final exception register according to your audit and retention policy.

If the cutover requires double maintenance, record every change made in both systems and define the end date. If a freeze is used, communicate which transactions are blocked and how emergency postings are handled.

Common failure modes and practical fixes

“The export completed, so we are done.”

Why it fails: Export completion says nothing about target mapping, rejected rows, duplicates, or business totals.
Fix: Require simulation results, target counts, business controls, and signed reconciliation for every in-scope object.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“The cockpit works with any SAP source and any ERP target.”

Why it fails: SAP’s documented direct-source routes have release, add-on, RFC, authorization, and scenario prerequisites, and the cockpit documentation is centered on SAP S/4HANA targets.
Fix: Verify the exact source-target combination and obtain the destination’s import contract before selecting the route.

“Staging tables can become our integration database.”

Why it fails: SAP restricts third-party population of cockpit staging tables to the migration purpose and active-project timeframe.
Fix: Keep durable transformation and audit data in an appropriately governed ETL or staging platform, and populate cockpit tables only within documented limits.

“We will migrate all history and clean it later.”

Why it fails: The target may not support historical transactions in the chosen scope, and unnecessary history increases mapping, reconciliation, and cutover risk.
Fix: Decide what operational opening data is required and preserve excluded history in a controlled, searchable archive.

“Warnings do not matter if the target creates the record.”

Why it fails: A warning can indicate a defaulted value, changed status, truncated text, or lost relationship.
Fix: Classify warnings, set object-specific acceptance criteria, and obtain business approval for any accepted deviation.

Final readiness checklist

  • The target ERP, release, import format, interfaces, and validation rules are documented.
  • Each migration object has a defined scope, owner, dependency order, and exclusion rule.
  • Source release, RFC or interface setup, add-ons, notes, roles, and authorizations have been verified where applicable.
  • Field, value, identifier, unit, currency, date, and relationship mappings are approved.
  • Historical data, open documents, partial deliveries, freeze periods, and double-maintenance rules are decided.
  • A production-like test copy has completed repeated simulations and corrected-load cycles.
  • Source counts and business totals exist for the final extract.
  • Rejected, skipped, duplicated, and corrected records are traceable to a disposition.
  • Target counts, reports, balances, quantities, and sampled records reconcile to the SAP baseline.
  • Business owners have signed the final reconciliation and residual-risk register before go-live.
