Before uninstalling a note-taking app, resetting a device, or moving your notes elsewhere, make separate copies and open them to check they work. Syncing is not always the same as exporting: for example, Goodnotes says iCloud Sync keeps notes in its library across Apple devices but does not create individual files in iCloud Drive or Files. Your options depend on the app, platform, account, and plan.

The safest approach is to decide what you need to preserve, export it in a format suited to its next use, save the files somewhere you can reach independently, and verify them before removing the old app. There is no universal export route: folder and batch options, backup features, and available formats vary between apps and platforms.

Start by deciding what your backup must preserve

A successful export is not necessarily a complete migration. A PDF may preserve the visible pages while losing the source app’s editability; an app-native file may be editable after import but less useful outside that app. Attachments, folder structure, and recently edited pages also need separate attention.

Think of a backup as a set of files for specific jobs rather than one magical copy that preserves everything. You might need an editable version for continued work, a PDF that opens without the original app, and separate copies of attached documents. Which combination makes sense depends on what you plan to do after switching.

Make a short inventory

  • List the notebooks, folders, and individual pages you cannot afford to lose.
  • Mark notes that you may want to keep editing in the original app or re-import later.
  • Identify attached PDFs, scanned documents, images, and other content that might not be included in a page export.
  • Decide where the exported files will live, in a location you can browse without opening the notes app.

This inventory helps you select an export scope and spot gaps before deleting anything. Do not assume that a synced library is already a set of standalone files.

It is also a useful way to avoid exporting an entire library unnecessarily. If your app lets you export selected pages, documents, or folders, you can prioritize the material that matters and choose a scope that is easy to inspect. For a large library, note which folders should remain together; a folder export may preserve that hierarchy, while individual exports may leave you responsible for organizing the files afterward.

As you inventory, distinguish between content on the page and content attached to it. A handwritten page may look complete in the app while linking to or containing a multipage scan. Apple’s iPhone Notes guide warns that an exported PDF includes only the first page of an attached multipage PDF or scanned document. Treat that attachment as its own item to inspect rather than assuming the page export has preserved it all.

Choose an export format for the next use

Use the app-native format when continued editing in the same app matters; use PDF when you need a widely viewable record. If the app supports both, keeping both copies can cover different needs. The exported version may not behave like the original note: a flattened PDF is primarily a viewable snapshot, not an editable notebook.

Format or method Useful for What to check
App-native document Re-importing into the same app and continuing to edit, where supported Whether the destination app can import the file and whether its content remains editable there
PDF Reading or sharing pages outside the original app Handwriting visibility, page count, attachments, and whether the export is a static snapshot
Markdown (Apple Notes on iPhone) Exporting an individual note in a text-oriented format Whether the resulting file retains the elements you need; Apple’s guide notes that tags, mentions, checklists, and links to notes do not remain active in the resulting Pages document

Goodnotes describes Goodnotes Document as its editable, re-importable option and PDF as a flattened format for broader viewing. Microsoft likewise describes a OneNote PDF as a static snapshot: edits made later in OneNote do not change the saved PDF. A format choice is therefore a trade-off, not a promise of a lossless transfer.

Before choosing, ask four practical questions: Can I open this outside the original app? Can I edit it after import? Does the export include the attachments and organization I need? How current will the separate file be when I switch? A PDF is useful when access and straightforward viewing matter most; a native document is useful when the same app can import it and you want to continue editing there. Neither answer guarantees that another app will reproduce every original feature.

OneNote’s documented PDF export is a static snapshot, not a live connection to the notebook. That makes it useful as a fixed record, but it also means changes made after export are absent until you export again. Apple Notes on iPhone documents an individual-note export as PDF or Markdown; the latter is a text-oriented alternative, but do not assume that interactive note elements or drawings will transfer as editable features in another product. Apple’s guide also says drawings cannot be edited in Pages, and tags, mentions, checklists, and links to notes do not remain active items in the resulting Pages document.

Keeping two formats can be sensible when the app offers them: one copy aimed at re-import and another for independent viewing. It is not a reason to collect formats you do not need. The important distinction is to know which file is the editable working copy, which is the viewable record, and what each omits.

Export your notes before switching

Goodnotes on iOS or iPadOS

Goodnotes documents export options for individual documents, multiple documents or pages, and folders. A folder export creates a ZIP containing the selected notebooks while preserving the folder structure. This can make a large library easier to move or archive than exporting items one at a time.

  1. In the Goodnotes library, select the documents, pages, or folders you want to preserve using the available export controls.
  2. Choose an export format that fits the intended use. Keep a Goodnotes Document copy if you want the option to re-import and edit in Goodnotes; use PDF for a flattened, broadly viewable copy.
  3. For a folder, export the folder so the resulting ZIP retains its hierarchy.
  4. Save the exported file somewhere browseable, such as Files, rather than relying only on the in-app library.

Goodnotes’ documented iOS/iPadOS workflow supports exporting selected items and folders; it is distinct from the app’s iCloud Sync feature.

Use the export scope that matches your inventory. An individual page can be appropriate when only a particular page matters; multiple selected items can reduce repetitive work; a folder ZIP is useful when the grouping itself matters. After exporting a ZIP, check that it opens and that the expected notebooks and subfolders are present. Preserving hierarchy is helpful, but it does not replace checking the contents.

If you want files in iCloud Drive or the Files app, save the manual export there. Goodnotes’ iCloud Sync is app-level syncing: it keeps data in the Goodnotes library across Apple devices but does not create individual, browseable files in iCloud Drive or Files. Auto Backup also does not use iCloud Drive as a destination. These distinctions matter if your goal is to have files you can locate independently of Goodnotes, rather than simply see the same library on another Apple device.

Goodnotes on Android, Windows, or the Web

Goodnotes’ guidance for Android, Windows, and Web describes exporting individual notebooks as PDFs; the file typically downloads to the device’s Downloads folder. Those platforms do not currently offer a full manual library-backup function in the documented guidance. Export important notebooks separately and put the resulting files in storage you can access independently of the Goodnotes library. Feature availability can vary by platform, device, account, and plan.

Because the documented workflow on these platforms is notebook-by-notebook PDF export, make an inventory and track what you have exported. Check Downloads for the files, then move them to a destination you can access independently. Do not assume that an option documented for Goodnotes on iOS or iPadOS—such as exporting a folder as a ZIP or using Auto Backup—will be available in the Android, Windows, or Web version.

If continued editing matters, verify the specific export and import options available to your account and destination before relying on them. The documented guidance for these platforms does not provide a full manual library backup, so separate exports of important notebooks are the prudent fallback described by Goodnotes. Platform, device, account, and plan can affect feature availability.

Microsoft OneNote

Microsoft documents exporting the current page or content to PDF through File > Export, then selecting the current scope and PDF. The instructions apply to Microsoft 365, OneNote 2024, 2021, and 2016. Treat the result as a static snapshot: subsequent OneNote edits will not update the PDF, so export it again if you need a newer copy.

  • The available storage capacity may vary.

Choose the current scope deliberately before exporting. If you need a record of current content, inspect the PDF to make sure the expected pages are there. Microsoft Support describes the result this way: “When you save as a PDF, you’re saving a static snapshot of your notes.” That is a useful boundary to keep in mind during a move: the file records the exported state, not future changes in OneNote.

Apple Notes on iPhone

Apple’s iPhone guide documents exporting an individual note as PDF or Markdown. Pay particular attention to attached multipage PDFs and scans: Apple warns that the exported PDF contains only the first page of such an attachment. Export or preserve the attachment separately if you need every page. Apple also notes that drawings cannot be edited in Pages, and that tags, mentions, checklists, and links to notes do not remain active items in the resulting Pages document.

These are format and content limitations, not necessarily signs that the export failed. If a note uses tags, mentions, checklists, or links to other notes, inspect what the exported document actually preserves and keep a record of any relationships you need to recreate. If an attachment has several pages, check the original attachment separately and preserve it in full. Do not use the PDF page count alone as proof that every attached document made it into the export.

Make a separate backup, not just a synced copy

Sync keeps app data aligned across devices or accounts according to that service’s behavior; export creates files that can be stored and opened separately. They solve different problems. Goodnotes says its iCloud Sync data remains in the Goodnotes library and is not presented as individual files in iCloud Drive or Files. To create browseable files there, manually export and save them to Files.

A sync can be useful for continuing to use an app on another device, but it is not automatically an independent archive. A file export can be opened from a storage location, but a static export may not carry the app’s editability or live updates. When comparing options, check whether the method is one-way or two-way, where its copy lives, whether it is a file you can browse, and how recently it has updated. Those are different properties; the word “backup” alone does not answer them.

Goodnotes Auto Backup on iOS and iPadOS

Goodnotes Auto Backup sends a one-way copy to Google Drive, Dropbox, OneDrive, or WebDAV on iOS/iPadOS. Cloud-side changes do not update the Goodnotes library, and Auto Backup is not a two-way sync. It is not available in Goodnotes for macOS, and iCloud Drive is not a supported Auto Backup destination.

Goodnotes describes the arrangement plainly: “Auto Backup is a one-way process.” In practice, that means a copy is sent outward to the selected destination; changing a cloud-side file does not make the corresponding change in Goodnotes. Do not choose it expecting edits in the cloud to synchronize back into the app. Provider support is specific to the app and platform, so the list of destinations should not be treated as a universal feature across every Goodnotes version.

Goodnotes says its default background cadence usually waits about 12 hours after a successful background backup. Its increased-frequency option runs about every 1–2 minutes. That means a recent note may not yet be in the cloud when you are ready to switch devices. Before a major change, use the app’s manual Back Up Now control and check its status instead of assuming the scheduled copy is current.

The schedule is especially relevant just before a reset, operating-system update, or device switch. A recent edit may exist in the app but not yet have reached the Auto Backup destination under the default cadence. A manual backup is the more direct way to request a current copy before that event; then check the status rather than treating the button press itself as proof that the upload finished.

For the first full Auto Backup upload, Goodnotes advises keeping the app visible and checking the backup status. Allow the upload to finish before relying on the cloud copy. This is particularly important when the library is large or the change is time-sensitive.

Auto Backup is available on Goodnotes for iOS/iPadOS, not Goodnotes for macOS, and it does not support iCloud Drive. If you use another platform, do not assume the same backup feature exists there. Goodnotes’ platform guidance for Android, Windows, and Web says a full manual library-backup function is not currently available, making separately exported and stored notebooks important on those platforms.

Verify the files before removing the old app

An export is useful only if it is present, readable, and complete enough for your needs. Open the saved files from their destination, not just from inside the original app’s export screen.

  • Confirm the expected files exist and have sensible names.
  • Open representative files and check that handwriting is visible and pages are legible.
  • Compare page counts with the originals, especially for long notebooks.
  • Open the ZIP and check that expected folders and notebooks are present in the right structure.
  • Inspect notes with attached scans or PDFs separately; an exported page may not include every page of an attachment.
  • If editability matters, test importing an app-native file into the destination app before relying on that route.

If an export is missing, unreadable, or incomplete, repeat the export with a narrower selection or a different format and verify it again. Keep the original app and its data until the replacement copies pass your checks. No export workflow should be assumed lossless merely because it completed.

Verification should reflect the purpose of each file. For a PDF, check that the handwriting is visible and that the expected pages appear. For an app-native document, test whether it can actually be imported into the intended app and whether you can continue editing it there. For a folder ZIP, inspect the archive rather than stopping at confirmation that the ZIP exists. For attachments, compare the exported result with the original item. These checks help reveal gaps that a successful export message cannot rule out.

Also verify that the files are in the destination you intended. A file in a Downloads folder may be a useful local export, but it is not yet a separately stored copy in another location unless you move it there. For a cloud backup, confirm the upload status; for a manually exported file, reopen it from the saved location. A copy is not much protection if it is difficult to find or has not finished uploading.

A practical sequence for a safe switch

  1. Inventory. List the notes, folders, and attachments that matter, and flag anything that must remain editable.
  2. Pick formats. Choose an app-native file for potential re-import and PDF for viewing outside the app where those options are available.
  3. Export in useful batches. Use folder or multi-item export when supported; otherwise export the important notebooks individually.
  4. Save outside the library. Choose a browseable destination. For Goodnotes on iOS/iPadOS, do not confuse iCloud Sync with separate files in iCloud Drive; use manual export for files there.
  5. Finish cloud uploads. If using Goodnotes Auto Backup, trigger a manual backup before a device change, reset, or operating-system update, and verify that its status indicates completion.
  6. Open and inspect. Check file presence, page counts, handwriting, hierarchy, and attachments before uninstalling or wiping the source device.
  7. Switch only after verification. Keep the source available until you have confirmed the copies meet your needs and, if relevant, that the destination app can open the editable files.

For a move between apps, add one final check: test the destination app with a copy before committing the whole library to it. A file that opens in a viewer is not necessarily editable in the new note app. Likewise, a document that can be imported into Goodnotes is not proof that another product supports that format. Test the specific route you intend to use, and retain a separate PDF or other viewable copy when access outside the source app matters.

For a device change without changing apps, you may care more about having a current independent copy than about importing into a new product. In Goodnotes on iOS/iPadOS, iCloud Sync can keep the library available across Apple devices, but it is still not a set of separately browseable iCloud Drive files. If your goal is a standalone archive, export files as well. For a switch away from Goodnotes, remember that the Goodnotes Document is designed for re-import into Goodnotes; use PDF when you need a broadly viewable record.

Common mistakes that leave gaps

  • Assuming sync equals export: an app library can sync across devices without creating files you can browse in a cloud drive.
  • Relying on a scheduled backup at the last minute: Goodnotes’ default Auto Backup cadence can leave recent edits waiting; make a manual copy before a major change.
  • Keeping only a PDF when you need to edit: Goodnotes and OneNote describe their PDF exports as flattened or static, not live notebooks.
  • Trusting an attachment to be fully embedded: Apple warns that an exported iPhone Notes PDF includes only the first page of an attached multipage PDF or scan.
  • Expecting full-library backup on every platform: Goodnotes’ Android, Windows, and Web guidance documents notebook exports rather than a full manual library backup.
  • Deleting the source before opening the copies: a completed export action does not by itself confirm that the saved file is readable or complete.

Another easy mistake is choosing a destination based on a familiar service name rather than checking whether the specific app supports it. Goodnotes Auto Backup on iOS/iPadOS documents Google Drive, Dropbox, OneDrive, and WebDAV; it does not list iCloud Drive, and it is not available in Goodnotes for macOS. If you want files in Files or iCloud Drive, the documented route is manual export and saving them there. A supported cloud destination is also not the same thing as a two-way sync.

Finally, do not treat export format and storage location as interchangeable decisions. Choosing PDF answers what kind of file you have; choosing Files, a supported cloud destination, or another accessible location answers where it is. You need both answers before switching: a file that preserves the right information but is stranded in the app library is not an independent copy, and a well-stored PDF may still be the wrong choice if you need editable source notes.

Frequently Asked Questions

How do I export handwritten notes before switching apps?

First list the notebooks, pages, folders, and attachments you need. Choose an export scope and format that match your goal, save the resulting files somewhere you can browse independently of the original app, and open them to check page counts, handwriting, folder contents, and attachments before uninstalling anything. The available options depend on the app and platform.

Does syncing my notes make a separate backup?

Not necessarily. Goodnotes says iCloud Sync keeps data in the Goodnotes library across Apple devices, but does not create individual files in iCloud Drive or Files. Goodnotes Auto Backup on iOS/iPadOS is a separate one-way copy to supported services; it is not a two-way sync. Check what the particular app’s sync or backup feature actually creates.

Will exported notes still be editable?

It depends on the format and the app that imports it. Goodnotes Document is designed to be re-imported into Goodnotes for continued editing, while a Goodnotes PDF is flattened. Microsoft describes OneNote PDF export as a static snapshot, so later edits do not update the PDF. Test an app-native file in the destination app before relying on continued editability.

Does an Apple Notes PDF include every page of an attached scan or PDF?

Not always. Apple’s iPhone Notes guide warns that an exported PDF includes only the first page of an attached multipage PDF or scanned document. Preserve or export the original attachment separately if you need all of its pages, then check it before switching.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I back up all my Goodnotes notebooks at once on Android, Windows, or the Web?

Goodnotes’ documented guidance for Android, Windows, and Web describes exporting individual notebooks as PDFs and says a full manual library-backup function is not currently available there. Export important notebooks separately, store them outside the library, and verify the files. Feature availability can depend on platform, device, account, and plan.

How current is Goodnotes Auto Backup?

Goodnotes says its default background cadence usually waits about 12 hours after a successful background backup; the increased-frequency option runs about every 1–2 minutes. Before a major device change, reset, or operating-system update, use Back Up Now and check the backup status. For the first full upload, Goodnotes advises keeping the app visible until it finishes.

The Bottom Line

Before switching, inventory what matters, export the formats you will actually use, and store them outside the app library. Sync may keep an app library available on another device without creating browseable files; PDFs may be easy to view but static; attachments and folder structure need specific checks. Open the saved copies, test import if editability matters, and keep the original app until the files are verified.
