Evaluate a mortgage data platform against your lending workflows and regulatory obligations—not against a vendor’s feature list. Define the loans, teams, jurisdictions, systems and decisions the platform must support; then require every finalist to prove data provenance, quality, controls, interoperability, resilience, service and total cost with the same evidence and test scenarios.

A defensible selection combines documented architecture with a controlled proof of concept using representative records, exception cases and failure recovery. Treat vendor statements as claims until they are demonstrated, contractually committed or independently verified, and confirm which HMDA, underwriting, servicing, agency and privacy obligations apply to your institution.

Start with the workflows your lending business must run

The first question is not “Which platform has the most features?” It is “Which decisions and reporting processes must become more accurate, faster or easier to control?” Mortgage data needs differ sharply by workflow. A tool designed for point-of-sale verification may be unsuitable for servicing analytics, and a market-data service may not support an HMDA production process.

Define the in-scope processes

Write a one-page scope statement before contacting vendors. Identify whether the platform will support one or more of these areas:

  • Credit and income verification: source retrieval, matching, document or record validation and exception handling.
  • Collateral: property, valuation, appraisal and market attributes.
  • Loan delivery: investor eligibility, pricing, data certification and submission files.
  • Servicing: portfolio monitoring, retention, home-equity opportunities, compliance, default and borrower communications.
  • HMDA and other reporting: collection, validation, correction, certification and submission.
  • Capital-markets or portfolio analytics: performance, risk, liquidity and market context.

For each workflow, name the users, the upstream system, the decisions supported, the required response time, the downstream destination and the consequence of an incorrect or stale value. Explicitly list excluded workflows so a persuasive demonstration cannot silently expand the product’s apparent fit.

Identify stakeholders and outcomes

Include representatives from lending operations, underwriting, servicing, compliance, data engineering, information security, vendor management, finance and legal. Agree on measurable outcomes such as fewer manual re-keying steps, higher first-pass data acceptance, faster exception resolution or a complete audit trail. Do not promise a percentage improvement unless your own baseline and test establish it; there is no neutral industry benchmark for mortgage-platform accuracy, implementation time, uptime, cost or return on investment.

Write requirements and an evidence standard before demonstrations

Separate mandatory controls from differentiators. A mandatory requirement should have a named owner, a test method and an acceptance threshold. A differentiator can influence the score only after the platform meets the mandatory controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use consistent evidence levels

Record the strongest evidence available for every requirement:

  • Documented: described in a current specification, policy or architecture document.
  • Demonstrated: observed by your team with your approved test data and success criteria.
  • Contractually committed: included in enforceable service, security, data-use or support terms.
  • Not established: the vendor has not supplied evidence or the evidence does not address your requirement.

Require the same evidence package from every finalist and preserve document versions and dates. A slide deck or case study is not a substitute for a test result.

Build a comparable scorecard

Evaluation area Questions to answer Evidence to require
Workflow fit Which products, teams, jurisdictions and borrower or loan events are supported? What is excluded? Process maps, role demonstrations, supported-product list and named exclusions.
Data provenance and quality Where does each field originate? Who owns it? How is it transformed, matched, corrected and traced? Source inventory, data dictionary, lineage examples, match and error handling, correction workflow and known limitations.
Compliance and governance How are required fields validated, access controlled, retained, reviewed and audited? Control matrix, audit-log sample, retention settings, exception reports, training and oversight procedures.
Interoperability Which APIs, files, events and user interfaces connect to your systems? What happens when an interface changes or fails? Interface specifications, schemas, release notices, sandbox access, reconciliation reports and dependency map.
Security and resilience How is sensitive borrower data protected, and how are incidents, recovery and continuity handled? Independent assessments, access-control design, incident process, recovery architecture, continuity commitments and subcontractor list.
Operations and service Who supports the service, during which hours and with what escalation, change and correction process? Support model, escalation contacts, service commitments, release calendar, correction targets and incident communications.
Economics and exit What will implementation, usage, renewal, migration and termination cost, and can you retrieve your data? Five-year cost model, fee schedule, data rights, portability format, termination assistance and renewal terms.

Examine data provenance, freshness and quality as operational controls

Ask the vendor to walk one important field from its original source to the user-facing result and downstream export. You should be able to identify the source owner, collection date, transformation rules, matching logic, confidence or status indicator, correction path and every system that received the value.

Ask where data comes from and how often it updates

Use the literal question, “What are your data sources, and how often are they updated?” Then break the answer into source-specific commitments. A platform may combine public records, credit or income sources, property and valuation data, MLS information, servicing records and third-party enrichment. For each source, capture:

  • population covered, geography and loan or property types;
  • ownership, licensing restrictions and permitted uses;
  • scheduled refresh, event-driven updates and maximum expected lag;
  • historical backfill policy and treatment of deleted or corrected records;
  • matching keys, match-rate measurement and false-match controls;
  • known gaps, suppression rules and out-of-coverage indicators.

Do not impose one universal freshness threshold. A quarterly market series, a daily portfolio feed and a real-time verification response serve different purposes. Set the cadence and latency requirement from your service level, decision risk and reporting deadline, then test performance against that requirement.

Test integrity, completeness and correction

Use records with missing, conflicting, duplicated, outdated and corrected values. Check whether the platform preserves the original value, records who changed it and why, and exposes unresolved conflicts rather than silently selecting one value. Measure completeness by required field and workflow, not by an overall percentage that can hide a critical gap.

Fannie Mae’s Selling Guide section D1-3-02, dated April 1, 2026, states: “The lender must verify the accuracy and integrity of the information used to support the underwriting decision for any loans selected for a QC review.” The guidance specifically includes third-party data analysis outputs among review items. This is a GSE requirement for applicable loans, not a universal specification for every lender, so map it to your products and quality-control plan.

Require traceability in analytics

For calculated scores, segments and recommendations, request the formula or model description, input fields, version, effective date and override rules. Confirm that an analyst can reproduce an output for a historical loan using the data and logic in effect at that time. Ask how the platform marks estimated, imputed or vendor-derived values so users do not mistake them for borrower-supplied facts.

Map compliance and governance to your own controls

HMDA support is a process, not a checkbox

Determine whether your institution and transactions are subject to HMDA and which fields, filing deadlines and data corrections apply. The FFIEC and CFPB provide filer guides and a filing platform for data collected in or after 2017, including functions to upload, review, certify and submit data. A platform can assist with collection or validation, but your institution remains responsible for governance, review and submission decisions.

Evaluate field-level validation, edit checks, change history, user entitlements, retention, exception queues, supervisory review and export formats. Reconcile platform output to the loan-origination and servicing systems, and retain evidence of who resolved each exception. FDIC examination guidance treats HMDA compliance management as encompassing policies, internal controls, training, monitoring, audits and oversight of relevant third parties. Make each of those responsibilities explicit in your operating model and contract.

Cover privacy, fair-lending and records obligations

List the borrower and property data elements the service will receive, derive or disclose. Confirm purpose limitation, retention and deletion behavior, employee access, subcontractor processing, cross-border handling where relevant, and the process for responding to incidents or data-subject requests that apply to your institution. Have compliance and legal determine which fair-lending, consumer-reporting, state privacy, records-retention and examination requirements attach to each use case; applicability depends on your institution, product, role and jurisdiction.

Assess vendor oversight

Request the vendor’s control reports, audit rights, issue-management process, employee training approach, subcontractor inventory and notification terms. Your third-party risk program should assign an owner, review frequency, residual-risk rating and escalation path. A vendor’s certification does not replace your own control testing or examination evidence.

Evaluate integration beyond the existence of an API

Inventory systems and event capture points

Draw the current and target data flow across loan origination, verification, underwriting, document, servicing, reporting, analytics and identity systems. Mark where a value is created, changed, approved, rejected or transmitted. Identify file formats, API protocols, authentication, batch windows, message queues, manual uploads and vendor dependencies. Include operational events such as a loan closing, payment change, servicing transfer, correction, delinquency status or reporting resubmission.

Demand implementation artifacts

Ask for data dictionaries, interface specifications, sample payloads, error codes, versioning policy, release and change notices, sandbox credentials, test cases and reconciliation reports. Clarify whether the interface is read-only, write-capable or bidirectional, and whether your staff can replay a failed message without creating a duplicate transaction.

Fannie Mae distinguishes public APIs from business-partner APIs for mortgage information such as eligibility, pricing, appraisals and servicing. Access varies by API and approved-partner status. Its developer guidance says, “Our Application Programming Interfaces (APIs) can help enhance business efficiency and borrower experience.” Treat that as a reason to inspect access prerequisites, authorization, quotas, data rights and support—not as proof that a particular integration will work in your environment.

Plan for migration and change

Agency transition materials emphasize data mapping, gap identification, process planning and integration testing. Apply the same discipline to a commercial platform: map every source field to its target, identify fields that need new capture points, estimate configuration and process changes, assign owners, define cutover criteria and maintain a rollback plan. Require parallel runs or reconciliations where a missed or duplicated event could affect a borrower, investor report or regulatory filing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Run a controlled proof of concept

Use common, authorized scenarios

Give every finalist the same de-identified or otherwise authorized records and the same time limits. Include:

  • a complete, ordinary loan;
  • incomplete records with required fields missing;
  • conflicting values from two sources;
  • a duplicate borrower, property or loan;
  • a corrected value that must propagate downstream;
  • a reporting exception requiring review and certification;
  • an interface timeout, malformed message or unavailable source;
  • a recovery and replay after the failure.

Define expected results before the session. Do not let the vendor choose only favorable records or substitute its own sample for your scenarios.

Measure what matters

Record correctness against an approved answer set, completeness of required fields, traceability to source, response latency, exception-routing accuracy, user effort, reconciliation quality and implementation work. Capture the configuration changes, mapping decisions and manual steps needed to reproduce the result. Separate a demonstration result from a production commitment; only the latter belongs in the contract.

Evaluate failure behavior

Observe whether the platform rejects bad data clearly, preserves an audit trail, retries safely, alerts the right team and prevents partial updates. Test permissions with normal users, supervisors and administrators. Verify that a correction can be made without erasing the original value and that downstream systems receive one, and only one, valid update.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Review security, resilience and day-to-day service

Match controls to data sensitivity and impact

Ask for independent security assessments appropriate to the data and business impact, access-control architecture, encryption details, vulnerability and patch practices, incident response, logging, backup design and recovery testing. Establish your own thresholds for recovery time, recovery point, notification and evidence delivery; the available guidance does not define universal technical standards or service-level numbers.

Inspect operational commitments

Document support hours, severity definitions, escalation contacts, incident communications, maintenance windows, release testing, backward-compatibility policy and data-correction timelines. Ask how the vendor notifies you of a source outage, schema change, material quality degradation or subcontractor change. Require service reports that show actual performance against the commitments rather than an undifferentiated uptime claim.

Make continuity and exit testable

Confirm where backups are held, how restoration is verified and how you would operate during an extended outage. Define an export format that preserves identifiers, timestamps, lineage, corrections, permissions and metadata—not merely a flat report. Include exit assistance, transition support, deletion certification and access to records needed for regulatory, investor or litigation holds.

Build an implementation and transition plan

  1. Assign ownership: name the executive sponsor, product owner, technical lead, compliance owner, data stewards and vendor project manager.
  2. Baseline the current state: document source systems, manual work, volumes, error rates, reporting calendars and unresolved data gaps.
  3. Design the target state: approve process maps, field mappings, roles, controls, interfaces, monitoring and exception ownership.
  4. Configure and test: run unit, integration, security, user-acceptance, volume, reconciliation and recovery tests using agreed scenarios.
  5. Prepare operations: train users and support staff, publish procedures, establish monitoring and rehearse incident escalation.
  6. Cut over deliberately: set entry criteria, migration validation, parallel-run duration, go or no-go authority and rollback triggers.
  7. Monitor after launch: review data-quality trends, interface failures, unresolved exceptions, access changes, service reports and regulatory outputs at defined intervals.

For servicing changes, review current agency implementation milestones before scheduling work. Fannie Mae guidance calls for readiness planning, gap analysis, process planning and integration testing; Freddie Mac’s default-reporting FAQ also highlights event capture points, vendor dependencies and integration options.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Compare total cost and contract fit

Model the full contract period

Calculate implementation, configuration, migration, training, recurring subscription, usage, storage, support, premium data and change-request charges over the expected term. Include internal staff time, parallel operations, interface maintenance, testing and eventual replacement. A low subscription price can be outweighed by per-record fees, minimum commitments or expensive migration work.

Using 2 holes wire tray saves extra space, helps you easily cabling and wire protection. The mesh design is not easy to accumulate dust, but avoids safety accidents caused by messy wires.

Negotiate data and service rights

Clarify who owns submitted and derived data, whether the vendor may use it to improve models, which affiliates or subcontractors can access it, and how long it is retained. Define portability, export frequency, format, termination assistance, renewal notice, price changes, audit rights, service credits, incident liability and responsibility for inaccurate or delayed data.

Where agency systems or APIs are involved, verify the access agreement that governs use. Fannie Mae’s technology guide states that its Software Subscription Agreement governs external access and lists an October 14, 2026 effective date. Because that date follows the October 13, 2026 source timestamp, verify the currently effective version before relying on any provision.

Use agency and market datasets in the right context

Understand what public data can—and cannot—prove

The Federal Housing Finance Agency describes the National Mortgage Database as a nationally representative five-percent sample of closed-end first-lien residential mortgages in the United States, updated quarterly. It is intended for agency policy and market analysis. Those characteristics do not establish that a commercial platform has the same population, cadence, historical depth, licensing rights or permissible uses. Request the vendor’s own coverage statement and data dictionary.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Validate servicing analytics claims

ICE describes a Business Intelligence service for servicers that combines MSP servicing data with property, valuation, MLS and other third-party data for retention, portfolio management, home equity, compliance and default use cases. Treat this as a vendor description to verify. Ask which fields are actually available to your organization, what licenses are required, how data is matched, how often it refreshes, which integrations are mandatory and how performance is measured on your portfolio.

Make the decision auditable

Weight requirements by risk

Give the highest weights to controls where failure could harm a borrower, corrupt a regulatory filing, misstate an investor report or interrupt servicing. Score differentiators only after a finalist passes mandatory gates for data lineage, compliance, security, integration and recovery. Preserve the evidence artifact, test result, reviewer and date for every score.

Record unresolved risks and mitigations

Your decision record should list unresolved gaps, compensating controls, accountable owners, due dates and triggers for reassessment. Examples include a source with quarterly rather than daily updates, a manual step retained during phase one, an API available only to approved partners or a subcontractor whose recovery evidence is pending. Accept a risk only when the owner understands the consequence and the contract or operating procedure contains a practical mitigation.

Use this final procurement checklist

  • Workflow boundaries, products, jurisdictions and exclusions are approved.
  • Every finalist answered the same provenance, freshness, compliance, security, integration, service and cost questions.
  • Source coverage, rights, update cadence, transformations, match rates and correction paths are documented.
  • HMDA, underwriting-quality-control, privacy, fair-lending, records and third-party oversight responsibilities are mapped to owners.
  • Interfaces, event capture points, dependencies, schemas, release notices and migration steps are tested.
  • A proof of concept used common realistic records, exceptions and failure recovery, with results retained.
  • Support, resilience, incident communication, portability, renewal and exit terms are contractually clear.
  • Total cost includes implementation, internal effort, usage, migration and replacement scenarios.
  • The approval memo records evidence strength, accepted risks, mitigations and the next review date.

This framework helps answer “How do I evaluate mortgage technology vendors?” with evidence rather than promises. The applicable legal and agency requirements still depend on your institution, product, transaction, role and jurisdiction, so have compliance and counsel confirm the final control set before signing.
