There is no defensible universal winner among document-parsing APIs. The reliable way to choose one is to run every candidate on the same representative, human-labeled documents, request equivalent outputs, and report three separate results: extraction quality, controlled latency, and end-to-end cost. Your document mix and the cost of an error should determine the winner.

A benchmark that measures only a vendor’s headline accuracy, a single fast response, or the API bill will mislead you. The procedure below turns the decision into a reproducible test that includes difficult layouts, confidence thresholds, retries, post-processing, and human review.

Start by defining what “better” means for your workflow

Document parsing can mean OCR, field extraction, key-value recognition, table reconstruction, classification, or several of these at once. Decide which output your production system actually needs before comparing services. A provider that reads every word accurately may still be a poor choice if it cannot preserve table rows, return the fields your downstream system requires, or expose useful confidence signals.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Write a short evaluation brief containing the document types, fields, tables, languages, volume, acceptable error rate, response-time target, and deployment regions. Include the consequence of an error: a missed invoice total, for example, may require manual review, while a minor punctuation difference may not matter. This prevents a generic score from overriding the business outcome.

Separate the capabilities under test

  • OCR or text extraction: characters, words, lines, reading order, and page geometry.
  • Structured extraction: named fields, key-value pairs, checkboxes, signatures, entities, and classifications.
  • Tables and layout: rows, columns, merged cells, coordinates, and relationships between labels and values.
  • Operational behavior: synchronous versus asynchronous processing, limits, retries, errors, queueing, and version changes.

Run text extraction and structured extraction as separate measurements when the APIs allow it. Otherwise, a failure in a custom transformation layer can be mistaken for an OCR failure.

Build one representative, labeled test corpus

An apples-to-apples comparison starts with the same documents and annotations for every provider. Google’s evaluation guidance describes comparing predictions with annotations in test documents and is a useful model for corpus design: Google Document AI evaluation guidance.

Sample the production distribution

Randomly select documents from the population you expect after launch, rather than collecting only clean examples. Preserve the proportions of templates, issuers, page counts, and scan sources. Deliberately include the variations that can change results:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Digitally generated PDFs and scanned pages.
  • Different resolutions, compression levels, skew, rotation, shadows, and background noise.
  • Every production template, including recently introduced designs.
  • Handwriting, multilingual text, or non-Latin scripts only when they are genuinely in scope.
  • Dense, nested, or irregular tables when table output matters.
  • Blank, optional, repeated, and multi-valued fields.

Keep a separate holdout set if you train or tune a custom model. Testing a custom model on the same examples used for training produces an optimistic result that does not represent deployment performance.

Annotate the ground truth

Have trained reviewers label the exact values and locations that the workflow needs. Record page numbers, bounding regions when relevant, table row and cell relationships, and whether a field is absent, optional, or intentionally blank. For critical fields, use a second reviewer or an adjudication process so the reference itself is not an undocumented source of disagreement.

Version the corpus and annotations. A document added later should not silently change the denominator in a historical score. Store document identifiers separately from sensitive content and apply the same redaction and retention controls you will use in production.

Define matching rules before sending a request

Two outputs can represent the same value while differing in whitespace, punctuation, date format, currency symbols, or numeric separators. Decide what counts as a match before looking at provider results. Document normalization rules for:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Case, whitespace, line breaks, hyphens, and punctuation.
  • Dates such as 2026-10-17 versus 17/10/2026.
  • Decimal separators, thousands separators, currency symbols, and negative values.
  • Unicode normalization and OCR substitutions such as letter “O” versus zero.
  • Missing optional fields and fields that legitimately contain multiple values.
  • Table row and cell alignment, including merged cells and empty cells.

Keep both the raw provider output and the normalized value. If transformation code repairs a result, record that operation and its time and cost. A provider requiring extensive custom parsing may have a lower API error rate but a higher total operating cost.

Measure extraction quality with the right metrics

A single “accuracy” percentage hides the errors that matter. Google explicitly says that Document AI does not provide a generic accuracy metric because labels may be optional or have multiple values; its evaluation documentation uses precision, recall, and F1 instead: Google evaluation documentation.

Metric What it tells you Use it when
Precision Of the values the API returned, how many were correct? False positives are costly, such as an incorrect account number being accepted automatically.
Recall Of the values that existed in the ground truth, how many did the API find? Missing fields trigger manual searches or payment delays.
F1 The harmonic mean of precision and recall. You need one balanced summary, while still reporting precision and recall separately.
Exact match Whether the complete normalized value or document matches. The field has a strict, unambiguous definition; do not use it for optional or multi-valued labels without a clear rule.
False-positive count How often the API invents or assigns an incorrect value. Incorrect automation is more damaging than a review request.
False-negative count How often a real value is missed. Completeness is the main requirement.

Report micro and per-field results

Micro-averaged scores pool all field instances and show overall behavior. Per-field scores reveal that a strong total can conceal poor performance on a small but important field. Report both, along with document-level pass rates and the number of pages or fields sent to review.

For tables, add row and cell fidelity: missing rows, extra rows, shifted columns, incorrect spans, and values attached to the wrong row. A cell-level text score alone can look good even when the resulting table cannot be reconciled.

Inspect high-impact errors

Review a sample of false positives and false negatives manually. Classify causes such as low image quality, template variation, reading-order mistakes, ambiguous labels, table structure, or post-processing. Weight the error categories by their operational consequence rather than treating every character equally.

Validate confidence scores and review thresholds

Confidence is useful only when it predicts correctness on your documents. Google explains that raising a threshold can improve precision while reducing recall. AWS recommends selecting a threshold based on the sensitivity of the use case, and Microsoft notes that not every field returns confidence and that human review may be appropriate: Google, AWS, and Microsoft.

For each provider, sweep the supported threshold across a useful range. At every setting, calculate precision, recall, automatic-accept rate, review rate, and correction time. Plot the trade-off so you can choose a threshold that meets your error tolerance rather than adopting a vendor default.

Calibrate confidence by grouping predictions into score bands and measuring the observed correctness in each band. A score that looks high but is wrong frequently is not safe for unattended processing. Measure confidence separately for OCR, key-value extraction, tables, signatures, and other output types; they may behave differently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Include human review in the result. Record how long reviewers spend correcting each document, the percentage of fields they change, and whether they can see enough context to make a decision. The practical cost of a low-confidence extraction is the API charge plus review labor and any downstream delay.

Benchmark speed under controlled conditions

Do not compare one best response from one provider with an average from another. Send identical files with identical request options, payload handling, and preprocessing. Run the test from a documented region and network environment at the concurrency you expect in production.

Measure the complete timing path

  • Upload time: time to transmit the document, if your system uploads it during the request.
  • Service processing time: time reported by the API or measured between request receipt and response.
  • Queue and polling time: waiting and polling for asynchronous jobs.
  • Post-processing time: schema conversion, validation, normalization, and persistence.
  • End-to-end completion: the time until an accepted or review-ready result is available.

Report median, p90, p95, and p99 latency, not just the fastest run. Include throughput, timeout and error rates, retry counts, and the number of concurrent requests. State whether the measurements include upload, queueing, polling, and post-processing. The provider documents cited here do not supply comparable cross-vendor latency results, so your controlled workload is the evidence for this decision.

Use repeated runs over multiple time windows if queueing or service load can vary. Keep a warm-up period separate from measured runs, and record payload size, page count, request mode, region, client version, and timestamp.

Calculate total cost, not just the API line item

Cost depends on the features invoked, pages processed, region, volume, and workflow overhead. Build a model for your actual configuration:

Total cost = API charges + retries + storage and transfer + custom-model or adapter charges + engineering and post-processing + human review

Normalize the result to cost per processed page, cost per document, and cost per successfully accepted document or field. The last measure exposes an API that appears cheap but sends many results to review or requires frequent retries.

Use current, region-specific pricing

AWS’s pricing page gives a US West (Oregon) example for Detect Document Text of $0.0015 per page for the first one million pages and $0.0006 per page thereafter. Those are example rates tied to that region, feature, volume tier, and the pricing page reviewed in 2026; they are not a quote for other regions, features, or dates. Forms and tables have separate examples. Check the live configuration on the AWS Textract pricing page before budgeting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Apply each provider’s current calculator or pricing page to the exact page volume and feature combination. Include minimums, asynchronous and synchronous differences, model or adapter fees, and regional variations where applicable. Recalculate when the provider changes a model, API version, or price.

Account for review and failure costs

Estimate reviewer minutes from your threshold experiment and multiply by the fully loaded hourly rate. Add the cost of reprocessing, failed uploads, polling, storage, data transfer, and engineering time needed to reshape a provider-specific response. If a wrong field can trigger a financial or compliance incident, model that consequence separately instead of burying it in an average cost.

Provider-specific details to include in the test

Google Document AI

Google describes Document AI as a platform that transforms unstructured document data into structured data and provides processor details, API references, pricing, limits, and evaluation resources in its documentation: Google Document AI documentation. Its evaluation process compares predictions with annotations, reports precision, recall, and F1, and excludes predictions below a selected confidence threshold from the calculation. Because optional labels and multiple values make a generic accuracy measure unsuitable, implement your own field and document matching rules.

Do not interpret this evaluation guidance as evidence that Google outperforms another provider. Test the relevant processor, version, region, and output schema on your corpus.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Amazon Textract

The AnalyzeDocument API can return blocks for forms and key-value pairs, tables and cells, lines and words, signatures, and query results, depending on the requested features. Run separate cases for the features you will actually enable; invoking more features can change both output and price.

AWS defines a confidence score as “a number between 0 and 100 that indicates the probability that a given prediction is correct.” Treat that score as a signal to validate, not as a guaranteed probability on your corpus. AWS’s best-practices guidance emphasizes input quality and warns that merged cells and irregular table layouts can produce inconsistent results. Add those layouts as explicit test cases if they occur in production.

Microsoft Azure AI Document Intelligence

Microsoft documents confidence estimates for predicted words, key-value pairs, selection marks, regions, and signatures, while noting that not all fields return confidence. Measure OCR or read confidence separately from key-value extraction confidence and test how missing confidence values enter your review policy.

For custom models, Microsoft describes estimated accuracy based on labeled training data and warns that visually different formats can affect results. The documentation identifies API version 2024-11-30 (GA) for certain custom-model field-level confidence details. Confirm the current model and API behavior before comparing, using Microsoft’s accuracy and confidence guidance.

Run the benchmark as a reproducible experiment

  1. Freeze the specification. Define fields, table rules, normalization, thresholds, latency boundaries, and acceptance criteria.
  2. Version the corpus. Record document IDs, page counts, labels, templates, and the holdout split.
  3. Prepare equivalent inputs. Apply the same permitted preprocessing and preserve the original files for audit.
  4. Configure equivalent capabilities. Select the closest matching OCR, layout, form, table, query, or custom-model feature for each service.
  5. Record configuration. Save provider and model names, API versions, region, request options, SDK version, concurrency, and date.
  6. Execute repeated runs. Use the same order or randomized order for providers, capture failures, retries, response times, and raw outputs.
  7. Normalize and score. Apply the predeclared matching rules, then calculate micro and per-field precision, recall, F1, exact match where valid, table fidelity, and review workload.
  8. Sweep thresholds. Measure automatic acceptance, review volume, corrections, and quality at each supported confidence threshold.
  9. Compute total cost. Use current regional prices and include feature charges, retries, storage, engineering, and human review.
  10. Inspect errors and decide. Review high-impact failures, apply your error-cost weights, and document why the selected option meets the target.

Turn results into a decision instead of a leaderboard

Decision axis Questions to answer Evidence to report
Extraction quality Which fields and document types meet the required precision and recall? Micro and per-field metrics, false positives, false negatives, and high-impact examples.
Layout and tables Can downstream systems use the returned rows, cells, coordinates, and reading order? Row/cell fidelity, merged-cell behavior, and transformation effort.
Confidence and review How much can be accepted automatically at an acceptable error rate? Calibration, threshold curves, review percentage, and correction minutes.
Latency and resilience Does the service meet the target under expected concurrency? Median and tail latency, throughput, timeouts, retries, and end-to-end completion.
Total cost What does one successfully accepted document or field cost? Regional feature charges plus review, retries, storage, transfer, and engineering.
Operational fit Can your team support the limits, languages, formats, versions, and deployment region? Current documentation checks, integration work, monitoring, and rollback plan.

Use a weighted decision matrix only after reporting the raw measurements. For example, a regulated workflow may give more weight to false positives and auditability than to a small latency advantage. A high-volume scanning queue may prioritize tail latency and cost per accepted page. Keep the weights explicit so stakeholders can challenge the trade-off without disputing the underlying measurements.

Common mistakes and how to correct them

Using a tiny or unusually clean sample

Symptom: impressive scores collapse after launch. Correction: sample production variation, include difficult layouts, and maintain a holdout set.

Publishing one accuracy number

Symptom: a provider appears strong while a critical field fails. Correction: report precision, recall, F1, field-level results, false positives, false negatives, and table fidelity.

Trusting confidence without calibration

Symptom: automatic acceptance still contains unacceptable errors. Correction: sweep thresholds on labeled outcomes and measure review and correction rates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Comparing unlike features

Symptom: one API uses OCR only while another uses forms, tables, or a custom model. Correction: compare equivalent capabilities and state every enabled feature.

Timing only the API call

Symptom: production misses its service-level target despite fast provider responses. Correction: include upload, queueing, polling, retries, post-processing, and persistence in an end-to-end measurement.

Using an outdated price or version

Symptom: the business case changes after deployment. Correction: record the date, region, feature, volume tier, model, and API version, then refresh the calculation before launch.

Ignoring custom code and human labor

Symptom: the lowest API bill has the highest operating cost. Correction: time normalization, schema conversion, exception handling, reviewer correction, and reprocessing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Maintain the evaluation after launch

Document parsing quality drifts when templates, scan devices, languages, or provider models change. Keep a fixed regression suite for every release and a rotating drift sample drawn from recent production documents. Re-run the benchmark after significant model or API-version changes, and investigate any shift in field-level metrics, confidence calibration, latency, or review rate.

Store enough metadata to reproduce a result: corpus version, provider and model, API version, region, request configuration, client library, threshold, date, and preprocessing code. Alert on tail latency, error rates, retries, and accepted-field corrections, not only on uptime. When a provider changes behavior, compare the old and new outputs on the same regression documents before switching traffic.

Bottom line for selecting an API

Choose the API that delivers the required fields and table structure on your own labeled corpus, at a confidence threshold your reviewers can support, within your measured latency target and total cost. Provider documentation can define available metrics, features, and pricing examples, but it cannot establish a universal accuracy, speed, or price winner for your documents. A repeatable benchmark—and a plan to rerun it as models and document distributions change—is the evidence that makes the choice defensible.
