Estimate an AI API budget by modeling your own workload first, then applying the selected provider’s current per-unit rates. For text-only calls, calculate input and output separately: monthly cost = requests × [(input tokens per request ÷ 1,000,000 × input price per million) + (output tokens per request ÷ 1,000,000 × output price per million)]. Add any applicable cache, batch or priority-tier, image, audio, video, tool, grounding, regional-processing, storage and other feature charges. Because traffic and token sizes are uncertain before launch, produce low, expected and high cases and refresh the worksheet with pilot usage before approving a production budget.
What an AI API cost estimate must include
A useful estimate has two separate inputs: your planned consumption and the provider’s billing schedule. Consumption comes from the product you intend to build; prices come from the exact model, endpoint, region and service tier you select. Keeping those parts separate makes the estimate reusable when traffic or model choice changes.
- Workload: user actions per month, model calls caused by each action, input tokens per call and output tokens per call.
- Price schedule: input, output, cached-input, cache-write and cache-storage rates, plus any modality or feature prices.
- Deployment conditions: model version, context-length band, geography, data-residency endpoint, processing mode and eligibility rules.
- Uncertainty range: low, expected and high assumptions for both volume and token size.
The result is an estimate, not a guaranteed invoice. A pre-build worksheet cannot know your actual prompt distribution, retries, user behavior, cache hit rate or production mix. It gives you a defensible budget and identifies the assumptions that must be measured in a pilot.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesDefine the unit you are estimating
Write down exactly what one “request” means. A chat message, a completed support case and a monthly active user are different units. Agentic features commonly make several model calls for one visible user action, so counting only front-end requests understates spend.

Per-call accounting
Use this when you are testing a single endpoint or building a simple request/response feature. Record the number of API calls, input tokens and output tokens for each call.
Per-completed-task accounting
Use this for agents, retrieval workflows and multi-step automations. If one user task normally triggers a planner call, a retrieval or tool-selection call and a final answer call, model all three. Include occasional branches such as clarification, tool failure and retry paths.
Monthly accounting
Use monthly completed tasks as the top-line driver, then multiply by calls per task. State whether your volume is requests, tasks, active users or another measure so that a later forecast does not silently change the denominator.

Build the usage worksheet before looking at prices
- Describe a representative action. Specify what the user does and what “done” means. For example, “summarize one uploaded report and answer two follow-up questions” may involve an extraction call, a summary call and two answer calls.
- Count model calls per action. Use an average only after listing the deterministic and conditional paths. Record a low, expected and high call count when the workflow is still being designed.
- Estimate input tokens per call. Include system instructions, developer rules, the user’s message, conversation history, retrieved documents, tool results and any structured output schema sent in the request.
- Estimate output tokens per call. Include the model’s visible answer and any structured or hidden output that the provider bills as output or reasoning/thinking tokens.
- Multiply by monthly volume. Convert user actions into total calls, then total input and output tokens. Keep each model or workflow step on its own line.
- Apply the exact rate card. Convert token totals to millions and multiply input and output by their matching rates. Do not use one blended token rate unless you label it as a rough shortcut.
- Add feature-specific units. Forecast cache writes, cache reads, cache storage, image or audio units, video duration, tool calls, grounding requests, batch or priority processing and regional uplifts where applicable.
- Validate with observed traffic. Instrument a pilot to record calls, token counts, retries, cache behavior and feature units. Recalculate the range using those measurements and the live pricing page.
The core text-token formula
For a single model and ordinary text processing:
monthly cost = monthly calls × [(input tokens per call ÷ 1,000,000 × input $/million) + (output tokens per call ÷ 1,000,000 × output $/million)]
For multiple models or steps, calculate one line per model and add the lines:
total monthly cost = Σ(model-step input cost + model-step output cost) + feature charges + storage charges
Input and output are distinct billable categories. A workflow that sends 90 percent input tokens but produces long answers can have a very different bill from one with the same total token count and a balanced mix. Keep the two columns separate throughout the worksheet.

A worked hypothetical example
The following example is illustrative, not a forecast for any particular application. It uses the short-context rates shown on OpenAI’s pricing page accessed October 13, 2026: gpt-6.1-sol at $1.00 per 1 million input tokens and $5.00 per 1 million output tokens. The example excludes caching, tools, retries, images, audio, regional processing and other charges.
| Case | Completed tasks/month | Calls/task | Input tokens/call | Output tokens/call | Monthly input tokens | Monthly output tokens | Estimated token cost |
|---|---|---|---|---|---|---|---|
| Low | 20,000 | 1.2 | 1,000 | 300 | 24 million | 7.2 million | $60 ($24 input + $36 output) |
| Expected | 100,000 | 1.5 | 2,000 | 500 | 300 million | 75 million | $675 ($300 input + $375 output) |
| High | 250,000 | 2.0 | 4,000 | 1,000 | 2 billion | 500 million | $4,500 ($2,000 input + $2,500 output) |
For the expected case, 100,000 tasks multiplied by 1.5 calls produces 150,000 calls. The input calculation is 150,000 × 2,000 = 300 million tokens; at $1 per million, that is $300. Output is 150,000 × 500 = 75 million tokens; at $5 per million, that is $375. The sum is $675 for the modeled text tokens.
Use the same worksheet for a real design, but replace every assumption with measured or documented values. If one task uses two different models, split the calls and rates rather than averaging them together.
How to estimate input and output tokens credibly
Inventory every input component
- Fixed system and developer instructions.
- User text, uploaded text and conversation history.
- Retrieved passages, document metadata and citations.
- Tool results, database rows and API responses inserted into the prompt.
- Output schemas, function definitions and examples included with the request.
Long-lived conversations can make input grow on every turn. Retrieval systems can also vary widely depending on the number and length of chunks returned. Estimate a distribution, not just the shortest prompt.
Set output limits and realistic averages
Record the configured maximum as a safety boundary, but budget from observed or deliberately sampled output lengths. A maximum of 2,000 tokens does not mean every response costs 2,000 tokens; an application that routinely reaches the limit, however, should use that behavior in its high case.
Include retries and fallbacks
Rate-limit retries, timeouts, malformed structured output and safety-policy fallbacks can create additional calls. Add an explicit retry percentage or a separate line for fallback-model calls. Do not assume that a failed application request is free unless the provider’s billing documentation says so.
Account for reasoning or thinking tokens
Some models expose or bill reasoning/thinking tokens separately or include them in a provider-defined token category. Check the selected model’s documentation and include the billable category in the same way the provider defines it. Never infer that visible answer length equals total output usage.

Caching: model ordinary input, writes, reads and storage separately
Repeated context can materially change the estimate. Anthropic’s documentation explains: “Prompt caching reduces costs and latency by reusing previously processed portions of your prompt across API calls.” Read the full schedule at Anthropic’s Claude API pricing documentation.
When a provider publishes separate cache-write, cache-read and cache-storage rates, create separate worksheet columns:
- Ordinary input: tokens that are processed without a cache hit.
- Cache writes: tokens written when reusable context is created or refreshed.
- Cache reads: reused tokens on subsequent calls.
- Cache storage: the amount and duration stored when the provider bills retention.
Cache rules vary by provider, model and feature. A generic “20 percent discount” assumption can be wrong if writes cost more than ordinary input, reads have a separate rate or storage is billed over time. Estimate the hit rate, write frequency, retained volume and retention period from the intended request pattern.
Current provider pricing examples and conditions
Provider schedules change, and the figures below are dated examples from official pages accessed October 13, 2026. Confirm the live table for the exact model, context band, region, endpoint and tier before using a number in a budget.
| Provider and official pricing page | Published detail relevant to estimating | How to use it |
|---|---|---|
| OpenAI API pricing | The displayed short-context gpt-6.1-sol row lists $1.00 input, $0.05 cached input, $1.25 cache writes and $5.00 output per 1 million tokens. The displayed long-context row lists $2.00, $0.10, $2.50 and $7.50 respectively. | Choose the row matching your context length and separate ordinary input, cached input, cache writes and output. The page says eligible regional-processing endpoints for models released on or after March 5, 2026 add a 10% uplift, and FedRAMP endpoints also add 10%. It also says Priority processing was renamed Fast mode on July 30, 2026. |
| Anthropic Claude API pricing | The Batch API is described as providing a 50% discount on input and output tokens. Claude 4.6 and later models using US-only inference through inference_geo incur a 1.1× multiplier across token-pricing categories. |
Verify that your requests qualify for Batch and that its latency and submission rules fit the product. Apply the geography multiplier only when that inference setting is actually used. |
| Google Gemini Developer API pricing | The page lists model- and tier-specific rates, including separate text, audio, image/video and other modality prices. Some displayed rates or options change on January 1, 2027. | Quote the named model’s row and unit. Do not use one Google-wide token rate when your workload includes multiple modalities, tiers or a date-sensitive option. |
These examples demonstrate why a headline input rate is not enough. The applicable total depends on context length, cache behavior, processing mode, modality, geography and endpoint.

Charges beyond ordinary text tokens
Images, audio and video
Multimodal APIs may bill image units, audio tokens, video duration or modality-specific input and output categories. Estimate each media type separately: number of images, resolution or detail setting, audio minutes, video seconds and generated media units. Use the exact model’s schedule rather than converting media to an assumed text-token equivalent.
Tools and built-in capabilities
Tool-enabled workflows can incur extra model calls and provider-defined tool charges. OpenAI’s pricing documentation states that built-in tool tokens are billed at the model’s token rates and lists additional pricing for some features. A tool can therefore affect cost through both the tokens needed to describe and return its results and a separate feature fee.

Grounding and search requests
Grounded answers may add a per-request charge in addition to model tokens. Google’s Gemini pricing page lists grounding request charges; count expected grounding calls independently from ordinary model calls.
Batch, flex, standard and fast or priority modes
Lower-cost asynchronous processing may require Batch eligibility and tolerate delayed completion. Faster or priority modes can cost more and may have minimums, quotas or availability limits. Record the mode per workflow step rather than applying one discount to the entire account.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Regional processing and data residency
Region-specific endpoints can change rates. For example, the OpenAI page identifies a 10% uplift for eligible regional-processing endpoints for models released on or after March 5, 2026, and a 10% uplift for FedRAMP endpoints. Anthropic documents a 1.1× multiplier for US-only inference on Claude 4.6 and later through inference_geo. Treat geography as a required input to the estimate, not an afterthought.
Compare models on workload fit, not the lowest headline rate
Run the identical low, expected and high workload through each candidate’s schedule. Compare the dimensions that can change the total:
| Comparison axis | Questions to answer |
|---|---|
| Input/output mix | What are the separate rates, and does your workload produce unusually long answers? |
| Context length | Does a longer prompt move requests into another price band or require a larger model? |
| Caching | Are cache writes, reads and storage billed separately, and what hit rate is realistic? |
| Processing mode | Can the feature use Batch, flex or another lower-cost mode, or does it require low latency? |
| Modalities and tools | Will image, audio, video, grounding or built-in tools add units or fees? |
| Geography and endpoint | Are regional, residency, compliance or FedRAMP requirements associated with an uplift? |
| Promotions and free tiers | Is a free allowance temporary, region-limited or tied to a particular model or endpoint? |
A model with a higher input price can still be cheaper for a workflow that generates fewer output tokens, has better cache reuse or avoids a separate tool charge. Compare the completed task at the same quality and latency requirement, not just one token category.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Make low, expected and high cases meaningful
Do not hide uncertainty in a single average. Vary the drivers that are genuinely uncertain:
- Volume: include adoption, seasonality, retries and growth.
- Calls per task: include optional clarification, retrieval and fallback branches.
- Input size: include short and long documents, conversation depth and retrieval fan-out.
- Output size: include concise answers and responses that approach the configured limit.
- Cache behavior: vary hit rate, write frequency and retention.
- Feature mix: vary the share of requests that use tools, grounding or media.
A useful high case is not an arbitrary multiple. Tie it to a concrete condition such as peak-month tasks, the 95th-percentile document size or a workflow branch that triggers two additional calls.

Common estimation mistakes and fixes
Using requests as a synonym for user tasks
Problem: An agent completes one task with five model calls, but the worksheet counts one request. Fix: model calls per completed task and list each step.
Blending input and output rates
Problem: A single average rate hides a workload’s output-heavy cost. Fix: keep input and output token totals and prices in separate columns.
Ignoring prompt growth
Problem: Every chat turn resends history, or retrieval returns more text than expected. Fix: estimate token distributions by turn or document size and include truncation, summarization or retrieval policies.
Applying a cache discount to all input
Problem: The estimate assumes every repeated token is a cheap cache read. Fix: model ordinary input, writes, reads and storage with the provider’s rules.
Forgetting non-text features
Problem: A text-only total is presented as the full bill for a multimodal or grounded feature. Fix: add media units, grounding requests, tool charges and any model-specific categories.
Quoting an old or wrong rate card
Problem: A model, tier, region or promotional price has changed. Fix: record the pricing-page access date, exact model row and conditions, then refresh before launch approval.
Assuming every failure is free
Problem: Retries, timeouts and malformed outputs are omitted. Fix: measure failed calls in the pilot and include a documented retry and fallback assumption.
Turn the worksheet into a launch budget
- Create a line for every model and workflow step.
- Enter low, expected and high monthly task volume.
- Enter calls per task, input tokens per call and output tokens per call for each line.
- Calculate ordinary input and output costs with the formula above.
- Add cache writes, reads and storage using the selected provider’s definitions.
- Add image, audio, video, tool, grounding and service-tier charges.
- Apply regional or compliance multipliers to the affected lines only.
- Record exclusions, such as application hosting, databases, observability and staff time, so the API estimate is not mistaken for the entire product cost.
- Set a review trigger: refresh the model when measured usage exceeds the expected case, when the provider changes rates, or when a new feature changes the call graph.
Measure actual usage after the pilot
Instrument each API call with a workflow step, model identifier, input tokens, output tokens, cache status, feature units, latency mode and outcome. Aggregate by completed task as well as by call. Compare actual percentiles with the worksheet’s assumptions, especially calls per task and output length. Recalculate the low, expected and high cases from observed traffic before setting a recurring budget or usage cap.
Keep the pricing-page URL and access date beside every rate. Provider documentation can add models, retire options, change tiers or introduce date-based prices; a dated worksheet makes it clear which assumptions need review.
What you can know before building—and what you cannot
You can estimate the cost of a defined workload, compare candidate schedules and identify the variables most likely to move the bill. You cannot derive a meaningful monthly number from the feature name alone. At minimum, you need expected volume, calls per task, input and output size, chosen model and the relevant cache, modality, tool, tier and geography settings. If those inputs are unknown, present a range and label the assumptions instead of inventing a market-average bill.
