Estimate an AI API feature by modeling one complete user job, measuring its realistic input and output tokens, applying the provider’s current rate card, and multiplying by low, expected, and high traffic. Add separate charges for caching, tools, audio, images, video, storage, batch tiers, and reasoning where applicable. The result is a planning range—not a guaranteed invoice—until a prototype’s usage logs and billing records replace your assumptions.

Start with a complete, measurable job

“One chatbot conversation” is too vague to price. Define the smallest repeatable unit your product performs and write down every model interaction it contains.

Describe the user action

  • Trigger: what the user does, such as submitting a support question, uploading a contract, or requesting a meeting summary.
  • Model and endpoint: record the exact provider, model name or version, endpoint, region, and service tier you expect to use.
  • Call sequence: count the initial request, retries, tool calls, follow-up model calls, multiple completions, and any background or scheduled work.
  • Inputs: include system instructions, conversation history, retrieved documents, tool definitions, structured-output schemas, files, images, audio, and other modalities.
  • Outputs: specify what the user receives and whether the application asks for one answer, several candidates, a structured object, an audio stream, an image, or a video.

For example, a support-ticket feature might retrieve three documents, make one model call to decide whether more information is needed, call a search tool once, and make a final model call. Price that four-step workflow, not an imaginary single prompt.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Estimate request volume with scenarios

Separate people from requests. A user who opens the feature five times a month may generate 15 model calls if each action has three steps. Include retries caused by timeouts, safety rejections, validation failures, and user regeneration.

Build a traffic table

Scenario Active users per month Jobs per user Model calls per job Monthly model calls
Low 1,000 4 2 8,000
Expected 5,000 6 2.5 75,000
High 20,000 8 3 480,000

The fractional 2.5 calls in the expected case represents a mix of two-call and three-call workflows. Add scheduled summaries, evaluation runs, moderation passes, and administrative jobs to the same ledger. Keep low, expected, and high assumptions visible; a single precise-looking number hides the largest source of variance.

Count realistic input tokens

Use the selected provider’s model-aware tokenizer or token-counting endpoint on representative, complete requests. A text sample copied from a prompt editor is not enough.

What belongs in the count

  • System and developer instructions, including policies repeated on every call.
  • The current user message and the retained conversation history.
  • Retrieved context, document chunks, citations, and metadata.
  • Tool names, descriptions, argument schemas, and structured-output schemas.
  • File contents and representations of images, audio, or other non-text inputs when the provider tokenizes them.
  • Prefixes, wrappers, and message-role structure added by the SDK or endpoint.

OpenAI describes rough English orientation of about four characters or three-quarters of a word per token; Google describes about four characters and 60–80 English words per 100 tokens. Those shortcuts are useful for a first envelope only. Different models can tokenize the same text differently, and a complete request can contain much more than visible prose. See OpenAI’s token-counting guidance and Google’s token documentation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For multimodal requests, do not price only the caption or transcript. Google states that Gemini input and output, including image files and other non-text modalities, are tokenized. Count the complete request using the provider’s supported method.

Forecast output separately from input

Output volume is an independent variable. A short prompt can produce a long answer, while a large retrieved context may produce a short classification. Record a typical output and a high-output case for every workflow.

  • Set a maximum output limit when the endpoint supports one. Treat it as a ceiling, not the expected length.
  • Model retries and regenerations separately; each successful or failed billed response can add output tokens.
  • Reserve room for reasoning or thinking tokens. They may be billable even when they are not shown to the user.
  • For structured output, count the complete serialized object, including field names and values.

Google’s pricing documentation explicitly includes thinking tokens in output pricing for the cited models. Therefore, estimating only the visible answer can understate cost.

Illustrative rates checked October 13, 2026

The following figures are examples from official pages, quoted in US dollars per one million tokens unless noted. They are not a permanent ranking; recheck them before committing a budget.

Provider/model or service Input or standard rate Output or additional rate Conditions
Gemini 3.8 Flash, paid Standard $0.75 input through Dec. 31, 2026; $1.50 from Jan. 1, 2027 $3.75 output through Dec. 31, 2026; $7.50 from Jan. 1, 2027 Google AI for Developers pricing page; effective-date change stated there. Source
Gemini 3.8 Flash, paid Batch $0.375 through Dec. 31, 2026; $0.75 from Jan. 1, 2027 $1.875 through Dec. 31, 2026; $3.75 from Jan. 1, 2027 Only eligible batch work qualifies. Source
Claude Sonnet 4.6, Global Standard API $3 $15 Anthropic list-price PDF says rates are effective May 27, 2026; verify whether they changed. Source
Claude Sonnet 4.6, Global Batch $1.50 $7.50 Batch service and eligibility terms apply. Source
Claude Opus 4.8, Global Standard API $5 $25 Same Anthropic PDF and effective-date qualification. Source
Claude Opus 4.8 cache operations $6.25 per million 5-minute cache writes; $10 per million 1-hour cache writes $0.50 per million cache hits and refreshes Cache duration and qualifying request pattern matter. Source
gpt-live-1 live service $0.05 per minute, billed per second without rounding to a whole minute Backend model and tool usage are charged separately. Source
Web search tool $10 per 1,000 calls Search-content tokens are also billed at the model’s rates for the cited pricing entry. Source

Do not carry a future-dated rate backward or assume that a batch price applies to interactive traffic. Keep the price date beside every spreadsheet cell.

Use a transparent cost formula

For ordinary per-token text pricing, calculate each category independently:

input cost = input tokens ÷ 1,000,000 × input price per million
output cost = output tokens ÷ 1,000,000 × output price per million
period cost = (input cost + output cost + other billed components) × number of calls

For cached traffic, split uncached input, cache writes and cache hits using the provider’s definitions. Add per-call tools, per-minute sessions, generated images, video, storage and any other unit rather than folding them into a token estimate.

Worked monthly example

Assume an expected workflow makes 10,000 Gemini 3.8 Flash Standard calls through December 31, 2026. Each call contains 2,000 input tokens and produces 500 output tokens. Using the cited $0.75 input and $3.75 output rates:

  • 【Plug and play】: This mouse and keyboard pad is powered by USB, plug and play, no driver required. One button control light modes. Press one time to change the lighting mode, press twice to change the brightness, press and hold about 3 seconds turn ON/OFF.
  • Input: 2,000 ÷ 1,000,000 × $0.75 = $0.0015 per call.
  • Output: 500 ÷ 1,000,000 × $3.75 = $0.001875 per call.
  • Combined model cost: $0.003375 per call, or $33.75 for 10,000 calls.

If the same workload ranges from 2,000 to 50,000 calls, the model portion ranges from $6.75 to $168.75 before tools or other charges. If one web search is made for every 20 calls, 500 searches add $5 at the cited $10-per-1,000 rate, and the search content still incurs model-token charges. This arithmetic is illustrative; substitute your measured token counts and the rate card for your chosen model.

Account for charges that token math misses

Tools and external actions

Search, code execution, retrieval, computer-use actions and other tools may have per-call or time-based prices in addition to the model’s input and output. Count tool invocations per job, including failed and repeated calls, and include the tokens used to describe each tool.

Audio, live sessions, images and video

Some services bill audio or live sessions by minute, image generation by image or resolution, and video by output duration. OpenAI’s pricing page, for example, lists a live service at a per-minute rate with per-second billing and states that backend model and tool use is separate. Put these units in their own rows; do not convert them to text tokens unless the provider explicitly does so.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Caching and batch processing

Caching can reduce the rate for repeated prefixes, but only when the provider, model, cache duration and request pattern qualify. Include cache writes and hits separately and measure the percentage of requests that actually hit. Batch prices apply only to eligible asynchronous work; interactive requests normally use the standard tier. Neither feature is a universal discount.

Reasoning and hidden work

Models that perform internal reasoning can generate billable thinking tokens that are not visible in the final answer. Use response usage fields or provider-specific accounting where available, and model a high-reasoning case for difficult prompts.

Compare models on total task cost

A lower headline input rate does not prove a cheaper feature. OpenAI’s Help Center states: “A lower price per million tokens does not necessarily produce a lower total cost: models can tokenize the same text differently and generate different amounts of output or reasoning.” Read the full explanation at Understanding and counting tokens.

Hold the workload constant when comparing options:

Comparison axis Question to answer
Input and output rates What does one million tokens cost for this endpoint and tier?
Tokenization and generation How many tokens does each model use for the same representative requests and answers?
Reasoning volume Are hidden thinking tokens billed, and how much do hard cases add?
Cache terms Are writes, hits, refreshes and durations priced differently?
Tools and modalities Are search, audio, images, video or other actions priced per call, minute or output unit?
Batch and service tier Can this workload use batch pricing without violating latency requirements?
Region, context and date Does geography, context length or a future effective date change the rate?
Total representative job What is the full cost of the same workflow, including retries and tools?

Run the same anonymized test set through each candidate and compare total cost per completed job, quality, latency and failure rate. A model that needs fewer retries or shorter prompts may be less expensive despite a higher nominal token price.

Make an estimate you can update

  1. Create a workload sheet. Give every workflow an identifier, description, call sequence, model, endpoint, region and service tier.
  2. Record low, expected and high traffic. Include users, jobs per user, calls per job, retries, regenerations and scheduled work.
  3. Attach measured token samples. Store typical and high input and output counts, with the tokenizer or counting method and sample date.
  4. Separate billing categories. Use rows for uncached input, cached input, cache writes, cache hits, output, reasoning, tools, audio minutes, image or video units and storage.
  5. Version the rates. Record the URL, currency, region, tier and effective date. Flag any rate that changes on a future date.
  6. Calculate a range. Multiply per-call costs by each traffic scenario and show assumptions beside the result.
  7. Add a sensitivity check. Recalculate if input history doubles, output reaches its cap, retries rise, or cache-hit percentage falls.

Keep forecast and actual columns side by side. That makes it clear whether an overrun came from more users, longer context, extra workflow steps or a pricing change.

Replace assumptions with production evidence

As soon as a prototype runs, log usage for every request. At minimum capture timestamp, workflow identifier, provider, model, endpoint, request type, status, retry count, input tokens, output tokens, reasoning or thinking tokens when exposed, cache category, tool calls, modality units and latency. Remove or hash user content so the log measures usage without becoming a copy of private conversations.

Reconcile three records

  • Application logs: show which workflow and retry generated each request.
  • API response usage fields: show the provider’s accounting for that response.
  • Provider billing records: show what was actually invoiced, often with different field names or reporting delays.

Group observed usage by workflow, model and scenario. Compare forecast versus actual input, output, tool and modality totals, then update the assumptions rather than applying one blanket correction factor. Check the provider dashboard after enough time has passed for its reporting window; response accounting and dashboard totals may not update simultaneously.

Common estimating mistakes and fixes

Pricing a vague conversation

Problem: The estimate has no defined number of calls or context size. Fix: Price a named user job with an explicit call graph and representative request samples.

Using words as tokens

Problem: A word-count shortcut ignores model-specific tokenization, message structure and non-text data. Fix: Use the target model’s tokenizer or counting endpoint and retain heuristics only for an early range.

Counting input but not output

Problem: Long answers, structured objects and reasoning tokens are omitted. Fix: Set typical and high output cases and record hidden reasoning usage when the provider exposes it.

Assuming a maximum is typical

Problem: Multiplying the output cap by every request creates an inflated forecast; ignoring it creates a dangerous underestimate. Fix: model measured typical output plus a cap-reaching high case.

Applying a discount universally

Problem: Batch or caching rates are applied to interactive or non-qualifying requests. Fix: Verify eligibility, latency, cache duration and hit rate, then price qualifying and non-qualifying traffic separately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring retries and background work

Problem: Only successful visible answers are counted. Fix: include failed, timed-out, regenerated, moderation and scheduled calls in the volume model.

Freezing an old rate card

Problem: A price is quoted without date, region, tier or context qualification. Fix: save the exact source URL and date checked, and re-open the schedule before launch and whenever the model version changes.

Pre-build cost checklist

  • Have you defined one complete user job and every model or tool step?
  • Are low, expected and high users, jobs, retries and background tasks documented?
  • Were complete representative requests counted with the selected model’s tokenizer?
  • Are input, output and reasoning tokens forecast separately?
  • Are cache writes, cache hits, batch eligibility and service tier explicit?
  • Are search, code, audio, live, image, video, storage and other non-token units in separate rows?
  • Does every rate include provider, model, region, currency, unit and date?
  • Does the comparison use the same workload and include output, retries and tools?
  • Will the prototype log response usage and reconcile it with billing records?

When those answers are documented, you have a cost model that can be revised as product usage becomes real instead of a headline price multiplied by a guess.
