Estimate LLM spending from the requests your application will actually send. Measure representative input and output tokens, separate workload types, multiply each by the selected model’s current rates, add retries and separately billed features, then present low, base and high cases. Recheck the provider’s pricing immediately before launch because rates, tiers and billing rules change.

What a defensible LLM cost estimate contains

An LLM bill is driven by usage, not by the text a user sees on screen. A single visible question may be accompanied by system instructions, conversation history, retrieved documents, tool results and several internal model calls. The response may also be longer than the text displayed to the user, and a failed call may be retried.

A useful estimate therefore has five parts:

  • Separate workload classes, such as classification, chat, document summarization, retrieval-augmented generation (RAG) and agent workflows.
  • Representative billed input and output usage for each class.
  • Expected call volume, including calls per user task and retries.
  • The exact model, endpoint, service tier, geography and current input/output rates.
  • Additional charges for caching, long context, tools, grounding, audio, images, video, priority processing or other enabled features.

The result should be a range with explicit assumptions, not a universal “cost per request.”

request cost = (input tokens / 1,000,000 × input rate per million)
+ (output tokens / 1,000,000 × output rate per million)

For a billing period, multiply that request estimate by the expected number of requests. A real application normally needs a sum across workloads and models:

period cost = Σ(request count for each workload × cost per request)
            + separately billed features

Keep input and output in separate columns in your worksheet. Their rates are often different, and cached input may have its own category. Do not combine them into an average token price unless the same input/output mix is guaranteed.

A symbolic example

Suppose one chat turn sends I input tokens and receives O output tokens. If the chosen model’s rates are R_i and R_o dollars per million tokens, the call costs:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
(I ÷ 1,000,000 × R_i) + (O ÷ 1,000,000 × R_o)

If users generate N such calls in a month, monthly token spend is that result multiplied by N. Keep the symbols until you have confirmed the exact rate card; inserting a familiar model’s price from memory is a common source of error.

Step 1: Define workload classes before counting tokens

Group requests that have materially different prompts, context, outputs or call chains. At minimum, consider the following classes.

Workload class What to measure Why it changes the estimate
Short classification or extraction System prompt, user payload, label schema and output length Small outputs can make input tokens the dominant cost
Chat with history System instructions, current message, retained conversation and response length Input grows as history is resent on each turn
Long-document summary Document size, chunking strategy, number of summary calls and final synthesis One user action may produce several model calls
RAG answer Question, system prompt, retrieved passages, reranker or query calls and answer Retrieved context and failed retrieval attempts add billed input
Agent or tool workflow Planning calls, tool arguments, tool results, follow-up calls and retries A single task can loop through multiple model calls
Multimodal request Audio, image or video units, text, transcription or vision calls and output Modality-specific rates may apply in addition to text tokens

Count calls per end-user task, not just end-user tasks. If a document summary uses three model calls and 2% of calls are retried, both facts belong in the volume model.

Step 2: Measure representative billed usage

Token estimates based only on the visible user message are usually too low. Sample production-like requests that include hidden instructions, history, retrieved material, tool output and the full response format.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Create a representative sample. Include short and long inputs, typical history depth, realistic documents, failed retrievals, tool responses and the output lengths your product permits. Include edge cases that trigger truncation or retries.
  2. Run the complete request path. Exercise the same routing, model selection, tool loop and retry policy planned for production. Measuring an isolated prompt misses intermediate calls.
  3. Record provider usage fields. Where the response exposes billed input and output usage, capture those values rather than inferring tokens from character counts. Record cached-input fields separately when supplied.
  4. Summarize the sample by workload. Keep counts and token totals for each class. Track short, typical and long examples instead of one “average request.”
  5. Document the measurement date and model version. A prompt’s tokenization and a provider’s billing categories can change when you switch models or endpoints.

For a worksheet, use columns such as workload, model, calls per task, input tokens per call, cached input tokens, output tokens per call, retry rate and feature usage. Store observed minimum, typical and maximum values when your sample supports them.

Step 3: Convert product activity into model calls

Start with product events that you can forecast: active users, tasks per user, messages per task and seasonal traffic. Then expand every event into model calls.

monthly calls for a workload
= active users × tasks per user × calls per task × (1 + retry rate)

Use the same period for every input. If traffic is forecast daily, multiply by the number of operating days and apply a separate launch or seasonal factor only when you have a reason for it. Keep assumptions visible instead of hiding them inside one call-count number.

Illustrative worksheet

The following is a structure, not a market average. Replace the example quantities with measurements from your product:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Variable Illustrative entry How to replace it
Monthly active users U Use your product forecast for the billing period
Tasks per user T Use expected task frequency by workload
Model calls per task C Count primary, retrieval, planning and synthesis calls
Retry rate q Use observed or load-test failure and retry behavior
Calls in period U × T × C × (1 + q) Calculate separately for each workload class

Do not apply one global retry rate if long-document or tool workflows fail more often than simple requests. A class-specific rate gives a more defensible high case.

Step 4: Capture the exact current rate card

Pricing pages are mutable. Save the URL, retrieval date, model or endpoint, context tier, service tier, geography and modality beside every rate in your worksheet. The following official pages describe the categories you may need to map.

Provider documentation Pricing dimensions described Checked date
OpenAI API pricing Per-million-token input, cached input, cache writes and output columns, plus modality and service-specific pricing 2026-10-13
Anthropic Claude Platform pricing Model rates and modifiers for prompt caching, batch processing, long-context use and inference geography; partner-operated cloud platforms can have independent regional pricing 2026-10-13
Google Gemini Developer API pricing Model and modality rates, context caching, storage and grounding charges; listed models’ output prices include thinking tokens 2026-10-13

These pages contain many models and rates. Select the exact model and endpoint you will deploy; do not transfer a rate from a similarly named model, a different context tier or a partner platform. Confirm whether the displayed rate is for your billing geography and service mode.

Build a rate record

For each model, record:

  • Model and endpoint name, including any version or context-length variant.
  • Input, cached-input, cache-write and output rates where applicable.
  • Currency and unit, such as dollars per million tokens.
  • Batch, priority, fast or other service-tier treatment.
  • Region or processing location.
  • Effective or checked date and the source URL.

Google’s documentation explicitly includes thinking tokens in output pricing for applicable models. Other providers can define billed usage differently, so follow the selected model’s own billing documentation rather than assuming all hidden reasoning is free or separately charged.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 5: Add charges that are not ordinary text tokens

After calculating text input and output, inspect every enabled feature:

  • Prompt caching: Separate cached input, cache writes and cache storage duration when the provider bills them separately. Estimate cache hit rate and retention, not just the size of the original prompt.
  • Long-context pricing: Check whether input or output rates change above a context threshold. A rare oversized request can affect the high case disproportionately.
  • Grounding and search: Count grounding or search queries as their own billable units when the model’s pricing page lists them.
  • Tools and external calls: Include provider tool charges and any third-party service fees. Count the model calls that send tool results back into context.
  • Audio, image and video: Convert each modality into the provider’s billed units and include transcription, vision or generation calls separately from text.
  • Batch processing: Apply a batch rate only when the workload meets the provider’s eligibility and timing rules. A discount is not an assumption.
  • Priority or fast service: Add the service-tier premium to the calls actually routed through it.
  • Regional processing: Verify whether choosing a region changes the rate or eligibility.

Put these items on separate worksheet lines so a change in cache policy or tool usage does not require rebuilding the token calculation.

Step 6: Produce low, base and high cases

A single forecast conceals uncertainty. Make three cases by changing documented assumptions about volume, token sizes, retries, routing and feature use.

Case Use it for Assumptions to vary
Low Planning a quiet period or conservative initial adoption Lower task volume, shorter prompts and outputs, fewer retries, higher cache reuse
Base Operating budget and launch decision Most likely workload mix and measured token usage
High Capacity, cash and incident planning Higher traffic, long histories, larger retrieved context, more retries, lower cache reuse and more agent loops

Do not label a case as a statistical percentile unless your data supports that claim. Instead, list the exact assumption behind each case. For each workload and case, calculate:

case cost
= calls × [(input tokens ÷ 1,000,000 × input rate)
         + (output tokens ÷ 1,000,000 × output rate)]
  + feature charges

Then sum workload classes and models. A high case can be much larger than the base case when long prompts or agent loops are possible, even if most ordinary chat turns are inexpensive.

Comparing models or providers on a fair basis

Compare alternatives using the same representative workload and period. Token price alone does not measure the cost of a successful product outcome.

Comparison axis Questions to answer
Cost What is the input/output mix, cache treatment, long-context rule, feature charge and regional or service-tier adjustment?
Task quality Does the model reliably complete the application’s real tasks, or do failures and human review add calls and labor?
Usage pattern How large are average and high-use prompts and outputs? How many calls, retries and tool loops occur per task?
Capabilities Does it support the required context length, modalities, tools and processing options?
Operations What latency, quotas, reliability, data-handling and geography constraints affect routing?

Run the same measured examples through each candidate where permitted, then substitute each candidate’s current rates and billing rules. Verify operational details in the provider’s current documentation before committing to a deployment design.

Validate the worksheet before launch

  1. Replay representative traffic. Use realistic prompts, history, retrieved passages, tool results and output limits. Include long and failure-prone paths.
  2. Compare observed usage with estimates. Check input, cached input, output, modality units and call counts separately. A correct total can hide an incorrect category mix.
  3. Investigate variances. Look for an unexpectedly growing conversation history, duplicated system prompts, retrieval passages that are too large, retries, fallback models or agent loops.
  4. Recalculate the range. Replace planning assumptions with measured distributions and update low, base and high cases.
  5. Set monitoring at release. Track calls, tokens, cache hits, feature units, cost and workload class. Alert on changes in prompt size, retry rate or daily spend.
  6. Recheck prices. Review the selected pricing pages before launch and whenever you change model, endpoint, region, service tier, prompt format or enabled feature.

After release, reconcile the worksheet with provider usage and billing data for each period. Update it when traffic, routing, prompts, caching, tools or prices change.

Assuming one request equals one model call

Symptom: A summary or agent feature consumes several times the planned budget. Fix: Map every call in the workflow, including planning, retrieval, synthesis, fallback and retries.

Multiplying an average by all traffic

Symptom: Long-document users or power users create most of the spend. Fix: Keep materially different workload classes and model their own volumes and token sizes.

Applying a headline rate without its conditions

Symptom: A quoted rate does not match the deployed bill. Fix: Record model, context tier, modality, geography, service tier, cache category and checked date with the rate.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring non-token units

Symptom: Grounding, storage, audio or priority charges appear outside the token forecast. Fix: Add a separate line for every enabled billable feature and estimate its usage directly.

Expecting the estimate to remain correct indefinitely

Symptom: The forecast drifts after a prompt, routing or pricing change. Fix: Reconcile against actual usage and rerun the worksheet whenever the application or rate card changes.
