PDF Expert separates two jobs that are often confused: Edit changes the PDF’s underlying text, images, links, or sensitive content, while Annotate adds review marks and comments without rewriting the source. Open the file, choose the appropriate mode, make the change, and save a verified copy. If the PDF is a scan, run OCR before trying to select or edit its text.
This guide follows PDF Expert’s documented Mac workflow, including scan recognition, page organization, annotation tools, compatibility, and the plan terms published on October 13, 2026.
What you can do in PDF Expert
PDF Expert for Mac is designed for both content editing and document review. In Edit mode, you can correct or add text, add or replace images, move or rotate images, delete images, insert links, and redact sensitive material. In Annotate mode, you can highlight, underline, strike through, draw, add typed text, place shapes, attach sticky notes, and use stamps.
The distinction matters. Changing a typo in a contract requires Edit; circling that typo for a colleague requires Annotate. An annotation is a visible review object layered over the page. It does not, by itself, replace the original words.
Choose the right mode before touching the page
Decide what the recipient should see in the finished file. If the corrected wording must become part of the document, use Edit. If you want another person to see a suggestion while retaining the original wording, use Annotate. You can use both in one session, but keeping the purposes separate makes later review easier.

This choice also affects collaboration. A reviewer can leave highlights and sticky notes for an author to resolve later. An editor who changes the wording should still document a consequential change with a note when an audit trail is important.

- A PDF file that you can open from Finder, or that you can drag into the app.
- For image-only scans, OCR recognition before text selection, searching, highlighting, or text edits.

1. Open the document
- Launch PDF Expert and drag the PDF into its window, or use the file-selection control to choose it.
- Wait for the pages to render. If the document is a scan, do not assume that visible letters are selectable text; test by trying to select a word.
- Make a working copy when the original must remain unchanged. Give the copy a clear name such as
contract-corrected.pdfso the source and edited version are easy to distinguish.
2. Choose Edit
Click Edit in the toolbar. The editing tools are organized by the type of object you need to change:

3. Correct or add text
Select Text, then click the text object or area you want to change. Correct the wording directly, or place a new text box where additional information belongs. Match the surrounding typeface, size, spacing, and alignment as closely as the document allows so the insertion does not look like a pasted-on element.
After editing, click elsewhere on the page and inspect line breaks, punctuation, and nearby objects. PDF text can be positioned as separate fragments rather than as one flowing paragraph, so a small correction can affect spacing differently from a word processor. Check every page on which you made a change before saving.
For a multi-page correction, make a short list of page numbers first. Work through that list instead of relying on memory, then search for the old spelling or phrase to see whether another occurrence remains. Search is especially useful after OCR, but a search result is not proof that every visual occurrence has been found.
4. Add or replace an image
Choose Image. PDF Expert documents support adding an image, replacing an existing one, moving it, rotating it, or deleting it. After placing an image, check its proportions and its relationship to captions, margins, and nearby text. A rotated or resized image should not cover a signature, page number, or other required element.
Review the image at normal reading size as well as a reduced zoom. At high zoom, an object can look correctly placed while still crossing a margin or covering a small character. If the image is a replacement, compare the surrounding caption and alignment with the original page before you save.
5. Add a link
Select Link, identify the text or area that should be clickable, and enter the destination. Test the link after saving: click it in the finished PDF and confirm that it opens the intended page or web destination. If the link is meant for other readers, test it in a second PDF viewer as well, because viewers can handle link activation differently.

Check links again after moving or deleting pages. A link that points to a page in the same document can become misleading when the page order changes, while a web destination should still be checked for the exact address you intended.

Use Redact when information must be removed rather than merely covered by a black shape or annotation. Mark the sensitive text or region, apply the redaction, and then inspect the result. Search the saved file for a distinctive word that should have disappeared and try selecting or copying the area. A visual rectangle placed over text is not equivalent to a true redaction.
Check all repetitions of the information, including headers, footers, tables, captions, and later pages. A redaction that hides one visible instance does not automatically address another copy elsewhere in the document. Keep an untouched original in a separate location so you can recover if the wrong area is marked.
7. Save and inspect the result
- Save the edited document after the changes are complete.
- Close and reopen the saved copy, or navigate through it from the beginning.
- Check edited text, image placement, links, redactions, page order, headers, footers, and page numbers.
- Keep the original file separately until the saved copy has passed your review.
Make a scanned PDF selectable with OCR
A scanned PDF may contain only page images. You can see letters, but the viewer cannot select, search, copy, or directly edit them until recognition creates a text layer. PDF Expert’s OCR feature is documented as making scanned text searchable, selectable for highlighting, and copyable.
How to run OCR
- Open the scanned PDF in PDF Expert.
- Open the scan or OCR controls.
- Choose the document language and the pages to recognize.
- Apply recognition and wait for processing to finish.
- Try selecting a word, searching for a phrase, and highlighting a sentence.
- Once the text layer is usable, return to Edit for text changes or to Annotate for review marks.
Recognizing only the pages you need can make the task easier to check, particularly when a long file contains a mixture of native text and scans. If some pages select normally and others do not, those pages may have different origins; do not assume that one OCR pass is needed for every page.
PDF Expert says OCR supports more than 20 languages. Its examples include English, German, French, Japanese, Italian, Spanish, Simplified Chinese, Traditional Chinese, and Portuguese. Select the language that best matches the page; mixed-language documents may need extra checking.
Review OCR before relying on it
Recognition can confuse similar characters, punctuation, columns, names, and numbers. Compare the recognized text with the scanned page, especially in contracts, invoices, medical records, identity documents, and any file containing figures or sensitive information. The vendor’s pages do not provide an independent OCR-accuracy benchmark, so treat the recognized layer as something to verify, not as a guarantee of perfect transcription.

Annotate a PDF for review and comments
Basic annotation sequence
- Open the PDF.
- Choose Annotate rather than Edit.
- Select a markup tool.
- Click, drag, or type on the relevant page.
- Save the annotated copy and review it at normal reading size.
Use annotations when the underlying document should stay intact, such as when a manager is commenting on a draft, a student is marking a reading, or a reviewer is identifying changes for someone else to make later.

Annotations can also make a handoff clearer. Use a sticky note for an explanation that would clutter the page, a shape or arrow for a precise visual callout, and typed text when the comment must remain readable on another person’s screen. If the recipient needs a clean final document, export or save a separate unannotated version after the review is complete.

Keep a consistent visual language: for example, highlight text that needs discussion, use sticky notes for explanations, and reserve strikethrough for proposed deletions. When a reviewer must change the actual wording, switch to Edit or describe the requested change in a note.
Organize pages and document structure
PDF Expert also documents page-level preparation tools. You can rotate pages, add pages, reorder them, remove pages, merge documents, and split a PDF into separate files. These operations are useful before or after content edits because page order affects references, signatures, and navigation.
A practical order is to organize pages before making extensive annotations, then perform a final page check afterward. If you annotate first and later split or merge files, verify that every note, stamp, and link remains with the intended page.

Outlines, numbering, headers, and footers
- Edit the document outline so readers can jump to the correct sections.
- Insert page numbers when a compiled document needs consistent pagination.
- Add headers or footers for dates, document names, or revision labels.
- Use Bates numbering when a matter requires sequential identifiers across pages.
After moving or deleting pages, check the outline destinations and page numbers. A heading can still appear in an outline while pointing to the wrong page if the structure is not updated.
Plans, devices, and current pricing
The pricing page captured on October 13, 2026 lists two purchase options. The figures below are the vendor’s stated terms at that date, not a promise that future pricing or included features will remain unchanged.

PDF Expert requires macOS Monterey or later. The yearly option is the relevant choice when you need the iPhone and iPad versions as well as Mac. The lifetime option is limited to Mac according to the same page, so it is not equivalent for a multi-device workflow. Confirm the live terms before checkout because prices, platform coverage, and feature entitlements are time-sensitive.
On the listed prices alone, the one-time lifetime fee is higher than a single year but lower than two annual payments. That arithmetic does not make the plans equivalent: the yearly plan covers iPhone and iPad, while the lifetime plan is Mac-only and may charge separately for future features. Choose based on the devices and features you actually need, not just the label.
Troubleshooting common problems
The text cannot be selected
The file is probably image-only or has an incomplete text layer. Run OCR, choose the appropriate language and pages, apply recognition, and test selection again. If only some pages fail, recognize those pages rather than assuming the entire document has the same structure.

I added a note but the wording did not change
You are in Annotate mode. An annotation is a review mark. To change the PDF itself, choose Edit and then Text. Keep the annotation when you want to preserve a reviewer’s comment; remove it only when the comment is no longer part of the review record.
An image covers other content
Select the image with the Image tool and move or resize it. Check the page at normal zoom and at a reduced zoom so you can see whether margins, captions, signatures, or page numbers are obscured.
A link appears but does not open correctly
Reopen the link object in Edit mode, verify the destination, save, and test the link in the saved copy. A link that works inside one viewer should still be checked in the viewer your recipients are likely to use.

OCR produced suspicious names or numbers
Compare every questionable character with the scanned original. Re-run recognition with the correct language or a narrower page selection if necessary, then proofread before editing, searching, copying, or sharing the result.
I need to hide confidential text
Use Redact, not a highlight, shape, or black drawing. Apply the redaction and test the saved file by searching, selecting, and copying around the affected area.
The app or a feature is unavailable on my Mac
Check that the Mac runs macOS Monterey or later and that your plan includes the feature you need. The vendor lists OCR, signing, annotation, editing, conversion, and PDF Copilot among premium features. If you bought the lifetime option, remember that it is Mac-only and that future features may be charged separately.

PDF Expert and Readdle state that the product has 30 million users worldwide; the page does not state a year for that figure, and it is a vendor-published claim rather than an independently verified measurement. The official feature descriptions likewise do not provide independent tests of editing or OCR accuracy. For high-stakes documents, your own page-by-page verification remains essential.

For a normal, text-based PDF, use Edit and choose Text, Image, Link, or Redact. For comments and review marks, use Annotate. For a scan, run OCR first, select the correct language and pages, and proofread the recognized text before relying on it. Save a separate copy and verify the finished pages, links, and redactions before sharing.
