Before canceling a personal Microsoft 365 subscription, make a separate, verified copy of every OneDrive file you want to keep. Cancellation reduces Microsoft cloud storage to 5 GB shared by OneDrive and Outlook.com attachments. An account that remains over that allowance cannot upload, edit, or sync new OneDrive files, and Microsoft says it may delete OneDrive and its files after six months. Download files from the OneDrive website, confirm locally synced files are truly downloaded, or move copies outside the OneDrive folder before you cancel.
What happens to OneDrive when Microsoft 365 ends?
Microsoft’s current cancellation guidance says the storage allowance for a personal account reverts to 5 GB. That allowance is shared between OneDrive files and Outlook.com attachments. Outlook.com email has a separate 15 GB allowance. See Microsoft’s cancellation guidance and its Microsoft storage FAQs for the current policy.
If your stored OneDrive data and Outlook.com attachments exceed 5 GB, the account is over quota. Microsoft says an over-quota account cannot upload, edit, or sync new OneDrive files normally. Existing content does not necessarily disappear on the cancellation date, but it is not safe to treat the cloud copy as your only archive. Microsoft states: “After 6 months, we may delete your OneDrive and all files within it.” That is a policy warning, not a guaranteed deletion date; terms can change, so check the live support page for your region before canceling.

- Inventory the files you need.
- Create a copy on the computer or an external drive.
- Verify that copy by checking folders and opening representative files.
- Optionally remove enough cloud data to return under 5 GB.
- Cancel through the company or app store that billed you.
- Recheck the account after the subscription expires.
Choose the right way to retain your files
There are three practical approaches. You can use more than one—for example, download a critical folder from the website and move an already downloaded media folder to an external drive.

| Method | What you receive | Device-space requirement | Connection and time | Important check |
|---|---|---|---|---|
| Download from OneDrive on the web | A new local copy of the selected files or folders | Enough free space for the selected data, plus room for the browser’s temporary download files | Requires downloading the data; duration depends on file size and connection | Open the destination folder and test files before deleting anything online |
| Use files already synchronized to the computer | A local copy only for files that have actually been downloaded | Enough space for those downloaded files | Files that are online-only download when opened in File Explorer; no second full download is needed if the local copy is complete | Do not assume that seeing a filename in the OneDrive folder means its contents are local |
| Move files outside the OneDrive folder | A local copy no longer governed by OneDrive synchronization | Space in another internal folder, another volume, or an optional external drive | Local move speed depends on the device and destination; no cloud transfer is required for an already local file | Confirm the moved copy opens, then keep it separate from OneDrive until your archive is complete |
Microsoft describes these options but does not publish a comparative speed test. Choose based on the amount of data, available storage, and how easy it is for you to verify the result.
Step 1: Inventory OneDrive and identify online-only files
Review the cloud view first
Sign in to OneDrive on the web with the Microsoft account attached to your Microsoft 365 subscription. Open My files and list the folders and files you want to preserve. Include items in nested folders, shared material that you are responsible for, and files that do not appear in your computer’s OneDrive folder.
The web view is the authoritative starting point for this exercise. A computer may be paused, signed in with another account, or configured to synchronize only selected folders. If a file appears on the website but not on the computer, plan to download it from the website.

Compare the web list with the computer
Open the OneDrive folder in File Explorer on Windows or Finder on macOS. Compare its folders with the list you made online. OneDrive’s Files On-Demand feature can show online-only files in this folder without storing their contents on the device. Microsoft explains that an online-only file downloads when you open it in File Explorer; the filename’s presence alone is not proof of a local backup. See Microsoft’s OneDrive sync guidance.
For each important file that you plan to keep from the synchronized folder, open it while you are online and wait for it to finish loading. Then close it and confirm that the file can be opened again from the local destination. Large files may take time; do not start moving them while they are still downloading.
Check available space before copying
Estimate the size of the folders you will retain and compare it with free space on the computer. If the computer cannot hold the complete copy, use the OneDrive website to download in smaller groups or use an external drive with enough capacity. Microsoft does not require or endorse a particular drive model or capacity; choose one that accommodates your measured data size and works with your computer.

Method 1: Download files from the OneDrive website
Download a folder or a group of files
- Sign in to OneDrive on the web using the account that owns the files.
- Open My files and navigate to the folder you want to preserve.
- Select the folder or files. For a large archive, work through the top-level folders one at a time so you can verify each result.
- Choose Download from the page’s command bar or context menu.
- When the browser asks where to save the download, select a destination outside the OneDrive folder, or note the browser’s download location.
- Wait for the browser to finish. Keep the browser window open until the download reports completion.
Downloading directly from the website is useful when Files On-Demand has left many items online-only or when the computer is not currently synchronized. It also gives you a clearly identifiable archive location that you can keep separate from OneDrive.
Organize the downloaded copy
Create a clearly named destination such as OneDrive archive - October 2026 on a local drive or external drive. Preserve the folder structure where possible. If the browser creates an archive file for a multi-file selection, extract it into that destination and inspect the extracted folders. Do not delete the online originals merely because a download finished; verification comes next.
When a browser download fails
- Check that the destination drive still has free space.
- Download a smaller folder or a few files to identify whether one item is causing the failure.
- Keep the computer awake and connected while a large download runs.
- Sign in again if the session expired, then repeat the download for the incomplete group.
- After a failed attempt, compare the destination with the web folder rather than assuming that a partially created archive is complete.
Method 2: Keep files that are already local
Understand the difference between visible and downloaded
OneDrive can display an online-only placeholder in File Explorer or Finder. Microsoft says opening that item downloads it. Therefore, a synchronized folder is not automatically a full offline backup. This distinction matters most for laptops with limited storage, where Files On-Demand is commonly used.
Download the files you intend to keep
- In the OneDrive folder, locate the files and folders listed in your inventory.
- Open each important file while connected to the internet and wait for it to load completely.
- Close the file and open it again from the same computer to confirm that the local copy is readable.
- Copy the confirmed files to a destination outside the OneDrive folder, such as a local archive folder or external drive.
For a very large collection, use the OneDrive website to download folders in batches instead of opening thousands of files individually. The web method is also preferable when the local OneDrive folder is set to synchronize only selected directories.
Do not confuse synchronization with a second backup
A file left inside the OneDrive folder remains subject to OneDrive’s synchronization behavior. If you later delete or change it while synchronization is active, that change can propagate to the cloud copy. Keeping a separate copy outside the OneDrive folder gives you an independent recovery point before cancellation.

Windows File Explorer
- Open File Explorer and open the OneDrive folder belonging to the correct Microsoft account.
- Select only files that have finished downloading. If an item is online-only, open it first and wait for the download.
- Use Copy to retain the original in OneDrive while you verify the destination. Use Paste in a folder outside OneDrive, such as
DocumentsOneDrive archiveor another drive. - After the copy completes, open several files from the destination folder—not from OneDrive—to confirm they work.
- Once the archive is verified, you may delete unwanted cloud copies if your goal is to reduce storage. Keep important originals until you have checked the entire archive.
Copying first is safer than moving first because an interrupted operation leaves the source available. After verification, you can remove the source if appropriate.

macOS Finder
- Open Finder and select the OneDrive location for the account you are canceling.
- Open online-only items so OneDrive downloads them, and wait for each file to finish.
- Copy the downloaded files to a folder outside OneDrive, another mounted volume, or an external drive.
- Open representative files from the destination and check that the folder hierarchy and filenames are intact.
The principle is the same on both platforms: the retained copy must be outside the OneDrive synchronization location and must be readable on its own.
Using an external drive
An external drive is optional when internal storage is insufficient. Before copying, check the drive’s free capacity and ensure your computer can write to it. Keep the drive connected until the copy and verification are complete, then eject it normally. Microsoft explains that downloaded files are stored on the computer by default and can be moved outside OneDrive; it does not recommend a specific hardware brand or model. See Microsoft’s cloud-storage explanation.
Verify the archive before deleting or canceling
Verification is the step that turns a transfer into a dependable backup. Use the web version of OneDrive as your reference and check the destination independently.
- Folder coverage: Compare every top-level folder in the web view with the destination. Include folders nested several levels deep.
- File counts: For each important folder, compare the number of files shown online with the number in the copied folder. Investigate any difference.
- Representative formats: Open samples of documents, photographs, videos, compressed files, and any specialized project files you rely on.
- Large files: Test at least one of the largest files; a copy can fail because of a full destination even when small files look correct.
- Separate location: Confirm the destination path is not inside the OneDrive folder and is not merely another synchronized folder.
- Second copy: If the data is irreplaceable, keep another copy on a different drive or at another physical location. One local copy protects against a cloud-quota change but not against disk failure, theft, or accidental deletion.
Microsoft’s PC-migration instructions also tell users to confirm that files appear in OneDrive on the web. For a cancellation archive, perform the reverse check as well: confirm the files are present in the destination and open samples from that destination. See Microsoft’s file-migration instructions.
Reduce OneDrive usage if you want to keep the free allowance
You do not have to remove every file from OneDrive. If you want to continue using the account after Microsoft 365 ends, reduce the combined OneDrive and Outlook.com-attachment usage to no more than the post-cancellation allowance.
Inspect and remove unwanted data
- Open OneDrive on the web and inspect your storage usage.
- Move files you want to keep to the verified local or external archive.
- Delete cloud files that you no longer need.
- Open the OneDrive recycle bin online and empty it if those deleted items are not needed.
- Check the usage dashboard again.
Microsoft says items in the OneDrive recycle bin contribute to storage use and that quota updates after deletion can take up to 24 hours. Do not assume that an immediate deletion has already reduced the reported total. Keep your verified archive until the storage dashboard reflects the change.

Do not delete before the copy is verified
Deleting cloud data before checking the destination removes your easiest recovery path. A safe sequence is copy, inspect, open samples, compare the folder list, and only then delete material that you intentionally want removed.

Cancel through the service that billed you
Direct Microsoft purchase
For a subscription purchased directly from Microsoft, sign in to the Microsoft account associated with the subscription and open Services & subscriptions. Select the Microsoft 365 subscription and choose the cancellation or recurring-billing option shown for that account. Microsoft explains that if the page says recurring billing is off and displays an expiration date, no additional cancellation action is needed to prevent another charge. The exact choices can vary by region and account state.
Apple, Google Play, or a retailer purchase
If an app store or retailer billed you, Microsoft says cancellation must be handled by that provider. Sign in to the same Apple, Google Play, or retailer account used for payment and manage the subscription there. Canceling in the Microsoft account does not replace the seller’s cancellation process.
Microsoft’s guidance on billing channels is available in Where can I manage my Microsoft 365 subscription?. Before confirming cancellation, verify the account identity, renewal date, and billing provider so you do not cancel a different subscription.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Check the account after Microsoft 365 expires
- After the displayed expiration date, sign in to the Microsoft account and review the storage dashboard.
- Open OneDrive and confirm that the remaining files and the account’s allowance match your plan.
- If the account is over quota, stop relying on new uploads, edits, or synchronization; Microsoft says those functions are blocked while over the allowance.
- Keep the separate verified archive available until you are certain no additional cloud file is needed.
If the subscription was canceled but the account still shows the paid allowance, check the expiration date and billing provider rather than repeatedly deleting files. A subscription purchased through an app store or retailer may have a different management page or timing.
Troubleshooting common problems
A file appears in OneDrive but will not open offline
The item is likely online-only or the local download is incomplete. Connect to the internet, open the file, wait for it to load, and test it again from the intended archive destination. If it still fails, download it directly from the OneDrive website.
Best Value
- Plug-and-play expandability
- SuperSpeed USB 3.2 Gen 1 (5Gbps)
The computer runs out of space during a download
Stop the batch, check free space, and download smaller folders to an external drive or another volume. Do not delete source files to create room until at least one destination copy has been verified.
The destination has fewer files than the web folder
Return to the web view and identify the missing folder or file. It may be outside the synchronized folders, online-only, or excluded by a selective-sync choice. Download the missing group separately and repeat the comparison.
Deleted files still count against the quota
Empty the OneDrive recycle bin online, then allow up to 24 hours for Microsoft’s usage total to update. If the account remains over the allowance, inspect Outlook.com attachments as well because they share the 5 GB Microsoft storage pool.
You cannot find a cancellation button
Check where the subscription was purchased. Direct Microsoft subscriptions are managed in the associated Microsoft account; Apple, Google Play, and retailer purchases are managed by those providers. Also verify that you are signed in to the account that receives the subscription benefit.
Final pre-cancellation checklist
- Every required folder has been reviewed on the OneDrive website.
- Online-only files have been downloaded before being copied or moved.
- The retained copy is outside the OneDrive folder.
- Representative files from each important format open successfully from the destination.
- The destination has been compared with the web folder, including nested folders and large files.
- An additional copy exists for irreplaceable data, if practical.
- Unwanted cloud data and the recycle bin have been removed only after verification.
- You know whether Microsoft, Apple, Google Play, or a retailer bills the subscription.
- You have recorded the expiration date and will recheck storage after it passes.
These instructions apply to personal Microsoft accounts and Microsoft 365 home subscriptions. Work or school OneDrive accounts can have administrator-controlled retention, sharing, and deletion policies; ask your organization’s administrator before moving organizational data. Microsoft can change storage and cancellation terms, so review its live support pages before acting.
