Direct answer: Keep an evidence trail that lets a reviewer move from every number on a GST return to the ledger, tax calculation and original transaction documents—and move back from an invoice or payment to the correct ledger account and return line. Preserve the source invoice or other permitted document, contract or order, proof of delivery or service, payment evidence where relevant, accounting entry, tax decision, reconciliation and every correction or adjustment.
GST rules are jurisdiction-specific. This guide gives a common documentation method, then labels legal examples for India and Canada separately. Invoice fields, electronic-invoicing rules, filing deadlines, objection procedures and retention periods must be checked against the law and guidance that apply to your country, tax period and type of supply.
What an audit-ready GST record must prove
A filed return is a summary, not the evidence file. A reviewer should be able to answer five questions for any selected transaction:
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →- Who supplied or received the goods or services, and when?
- What was supplied, in what quantity or scope, and for what consideration?
- Why was the transaction taxable, exempt, zero-rated, reverse-charged or otherwise treated as shown?
- How was the tax amount calculated, posted and included in the return?
- What happened afterward—payment, return, credit note, debit note, refund, correction or dispute?
Build the records so both directions work. For a return-to-source test, start with a return line, reconcile it to the tax account and general ledger, open the transaction entry, inspect the tax calculation, and reach the invoice and delivery or service evidence. For a source-to-return test, start with an invoice or payment, identify its ledger entry and tax code, and verify the reported period and return line.

Keep a written explanation when a treatment is judgmental or unusual. The explanation should identify the rule or policy relied on, the facts considered, the person who approved the decision and the return period affected. That note is an operational control; it does not replace documents required by local law.
Set up a transaction register that can be reconstructed
Use a stable transaction ID for each sale, purchase, adjustment and refund. The register can be a controlled spreadsheet linked to an accounting system or a report exported from one. The following fields are a practical traceability design, not a claim that every jurisdiction prescribes this exact schema.
| Register field | What to record | Why it matters |
|---|---|---|
| Transaction ID and date | Permanent identifier, invoice date, supply or receipt date and posting date | Prevents duplicate or missing entries and explains period cut-off. |
| Counterparty | Legal name, address, registration number where applicable and supplier/customer role | Connects the entry to the correct entity and eligibility evidence. |
| Description | Goods or services, quantities, project or order reference and location when relevant | Allows a reviewer to understand the taxable event rather than just its amount. |
| Value and currency | Net value, currency, exchange-rate source and conversion date where applicable | Reproduces the taxable-value calculation. |
| Tax treatment | Rate, tax category, tax amount and reason for exemption, zero-rating, reverse charge or other treatment | Shows how the tax decision was made. |
| Tax document reference | Invoice, bill of supply, credit note, debit note, receipt voucher, refund voucher or delivery challan number | Provides the primary document link. |
| Supply evidence | Dispatch record, delivery confirmation, service acceptance, work order or completion certificate | Supports that the supply occurred and establishes timing. |
| Payment or settlement | Bank reference, deposit slip, remittance advice, card settlement or documented terms | Links consideration and settlement where payment evidence is relevant. |
| Ledger and return mapping | General-ledger account, tax account, return period, form and line | Makes the return path explicit. |
| Exception status | Missing document, mismatch, disputed supply, late adjustment, manual override or other exception | Stops unresolved issues from disappearing in a clean-looking report. |
| Source links and version | Readable path to each file, export version and change-log reference | Lets an auditor open the exact record used for the filing. |
Use controlled values for tax codes and exception statuses. Restrict who can create or change a tax code, and retain the definition that was in force when a return was prepared. If a spreadsheet is used, protect formulas, record revisions and retain dated copies rather than silently replacing a completed period.
Organize the transaction evidence file
Sales and output tax
For each outward supply, retain the issued tax invoice or other permitted document, the contract or customer order, evidence of dispatch or service completion, and the accounting entry. Add receipts or payment records when they establish consideration, timing or a disputed fact. Keep credit notes and debit notes with the original invoice and show how each changed the tax account and return. Reconcile the sales register to the general ledger, bank or receivables subledger where those reconciliations are part of your control process.

Purchases and input tax credits
Keep the supplier invoice or receipt, purchase order or contract, goods-received note or service-acceptance evidence, and the ledger posting. Record the eligibility decision for an input tax credit, including any apportionment, blocked-credit reason or timing rule applied. Link supplier credit notes, returns and subsequent adjustments to the original purchase. Where local law makes payment a condition or relevant fact, retain the payment evidence; do not assume that a bank statement alone proves the nature of the purchase.
Inventory and movements
Maintain receipt, dispatch, transfer, loss, write-off and stock-count records, together with warehouse or transport documents where relevant. India’s accounts rules expressly call for stock and movement details. For other jurisdictions, confirm which inventory records are mandatory and which are simply useful corroboration. Explain differences between quantities in the inventory system and quantities on invoices instead of correcting the numbers without a trace.
Adjustments, refunds and exceptions
Create an adjustment packet containing the original record, the credit or debit note or other adjustment document, the reason, calculation, approval, reporting period and link to correspondence. For a refund, retain the customer request or authority notice, calculation, proof of payment and return treatment. Give every exception a responsible owner and due date, then preserve the resolution with the original issue.

Returns and reconciliations
Keep the filed return, any amendment, working papers, control totals and a reconciliation between the return and the relevant tax accounts. Document reconciling items such as timing differences, roundings, currency conversion, late documents, credit notes issued after period end and manual journals. A reviewer should not have to infer why the return differs from the ledger.

System and control evidence
Retain the chart of accounts, tax-code definitions, record layouts, data dictionary or code explanations, user-access matrix, backup procedure, export instructions and change logs where relevant. Keep a dated copy of the system report or data export used to prepare each return. If a cloud provider, bookkeeper or outsourced processor stores the records, keep evidence of how you obtain complete exports and backups; responsibility for the records remains with the taxpayer under the Canadian guidance described below.
Step-by-step workflow for each reporting period
- Freeze the source set. Close the period only after invoices, receipts, credit notes, debit notes and adjustment documents received by the cut-off date have been captured. Record late documents as exceptions.
- Assign and validate IDs. Check invoice numbering, duplicate IDs, missing dates, counterparty details and links to source files. Investigate gaps; do not renumber historical records to make a sequence appear complete.
- Apply the tax treatment. Select the approved tax code, record the rate and amount, and write a short reason for exemptions, zero-rating, reverse charge, apportionment or manual overrides.
- Post and reconcile. Tie the transaction register to sales or purchase subledgers, the general ledger and tax-control accounts. Resolve differences or list them in an exception schedule with an owner.
- Map to the return. Record the return form, period and line for each tax category. Preserve the working paper that converts ledger totals into reported figures.
- Review high-risk populations. Sample unusual rates, large values, related parties, manual journals, credit and debit notes, refunds, exempt or zero-rated supplies and transactions near the period boundary.
- Lock the filing package. Save the filed return, final register export, reconciliations, approvals and source-document index in a read-only or otherwise controlled location.
- Preserve changes. If an error is found later, retain the original entry, corrected entry, reason, approver, date and effect on the return. Never overwrite the completed record without a change history.
- Test both directions. Select samples from return totals and trace back to source, then select source documents and trace forward to the return. Record the sample, result and any remediation.
Electronic records: make the audit trail usable
Electronic storage is acceptable only when the records remain complete, readable and retrievable for the required period. A PDF invoice without its underlying transaction history may not explain a later change; a database backup that cannot be restored is not a practical record.
| Control | Implementation | Evidence to retain |
|---|---|---|
| Original preservation | Keep the original electronic invoice, receipt, contract and email in their received or issued form. | Original file, message metadata where relevant and a readable rendering. |
| Change history | Log who changed what, when, previous value, new value and reason; keep deleted records recoverable or represented in the log. | System audit log and documented review or approval. |
| Backups | Use scheduled, tested backups with access controls and a recovery procedure separate from the production system. | Backup schedule, restoration test and retention settings. |
| Readable exports | Export registers, ledgers and audit trails in formats an auditor can open without proprietary access. | Dated CSV, PDF or equivalent export plus field definitions and code explanations. |
| Link integrity | Ensure invoice, adjustment, ledger and return links remain valid after migration or year-end archiving. | Source index and periodic link or sample test. |
| Access and security | Limit editing rights, use individual accounts and retain access history where available. | User-role list, access review and incident record. |
| Service-provider oversight | Contract for data access, export and backup when a third party hosts or processes records. | Agreement, export test and handover procedure. |
India-specific electronic requirements
India’s accounts rules state that entries must not be erased, effaced or overwritten. An incorrect entry is to be corrected in the prescribed manner, and an electronic system must maintain a log of every edited or deleted entry. The rules also require proper electronic backups. On demand, records may need to explain the audit trail and inter-linkages among source documents, financial accounts, record layouts, data dictionaries, code explanations, field-record counts and sample documents. Design the system so those items can be produced in a readable sequence.

The Canada Revenue Agency’s electronic-record memorandum says a registrant remains responsible when a bookkeeper, cloud provider or other service provider stores records. It calls for enough detail to verify GST/HST charged and remitted and tax paid on purchases, retained source documents, backups and transaction audit trails. Its examples of source documents include invoices, receipts, contracts, delivery slips, deposit slips, work orders, bank statements, tax returns and relevant emails. A change journal should identify the person making a change, the date, previous and current details and the reason.

Prepare for the audit tests most likely to expose gaps
Use a risk-based review rather than checking only whether files exist. For India, the official audit rule identifies verification of turnover, exemptions and deductions, tax rate, input tax credit availed and utilized, refunds and other relevant issues against the books and returns. That is an India example, not a universal GST audit program.
- Turnover: Reconcile invoiced sales, credit notes, advances where relevant, the sales ledger and reported turnover. Explain cut-off and inter-branch or intercompany items.
- Rates and tax codes: List transactions by rate and category. Keep the factual basis for unusual or manually overridden codes.
- Exempt and zero-rated supplies: Preserve contracts, customer status, destination, shipping or service evidence and any certificates required by the applicable rule.
- Input tax credits: Match claimed credits to supplier documents, receipt or service evidence, eligibility decisions and subsequent reversals or credit notes.
- Refunds: Tie the claim to the underlying transactions, calculation, authority correspondence and payment receipt.
- Manual entries: Review journals posted directly to tax accounts and require an explanation, approval and source documents.
For every exception, prepare a one-page schedule stating the issue, affected transaction IDs, evidence, calculation, accounting and return treatment, and response or corrective action. Keep the schedule factual and attach the documents it references.

Retention is determined by jurisdiction and can be extended by an open appeal, revision, proceeding or investigation. Apply the rule for the relevant tax period, not the rule you happen to use for another country.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors| Jurisdiction | Rule described by the authority | Practical implication |
|---|---|---|
| India | The Central Goods and Services Tax Act, 2017, section 36, states 72 months from the due date for furnishing the annual return for the relevant year. | Calculate from the annual-return due date, not simply from the invoice date or financial-year end. Confirm amendments and special rules for the period concerned. |
| India—open proceedings | For records connected with a covered appeal, revision, other proceeding or specified investigation, the endpoint is one year after final disposal or the ordinary period, whichever is later. | Place a legal hold on relevant records and do not destroy them when the ordinary period expires if the matter remains open. |
| Canada | Canada Revenue Agency GST/HST Memorandum 15-1, September 2026, describes the usual period as six years after the end of the year to which records relate. | Use the year-end rule for the records’ applicable year and verify whether a notice, objection, appeal or other circumstance changes the period. |
Preserve the filed return and its evidence package together. If your retention system deletes source files independently of the ledger, it can leave an apparently complete return without the documents needed to support it.
Best Value
When a document is missing or wrong
Do not create a substitute invoice, backdate evidence or silently edit a completed entry. Mark the gap in the register, request a legitimate duplicate or counterparty confirmation where possible, and record who requested it, when and what was received. If the document cannot be obtained, document the facts, the local-law treatment adopted, the calculation and the approver.
For an incorrect accounting entry, preserve the original, post a correcting entry or adjustment document using the permitted process, and link both records. State whether the correction changes the tax amount, return period, input-credit claim, output tax or refund. If a return must be amended, retain the original filing, amended filing, working papers and explanation of the difference.
In a dispute, preserve notices, submissions, delivery evidence, calculations, correspondence and the exact version of each record supplied to the authority. Keep a chronology with dates, sender, recipient, issue and response so the factual record can be reconstructed without relying on personal memory.
Quick Recap
Common documentation failures and fixes
- Only the return is retained. Add source invoices, adjustment documents, delivery or service evidence and reconciliations to the filing package.
- Tax codes are undocumented. Maintain a controlled tax-code catalogue and a reason for each non-standard treatment.
- Corrections overwrite history. Enable audit logging and preserve original and corrected values, user, date and reason.
- Files are stored by month with no transaction key. Use a stable ID and an index linking every document to the ledger and return line.
- Cloud storage is treated as the provider’s responsibility. Test exports, backups and restoration; the taxpayer remains accountable for access and completeness.
- Exceptions are discussed but not recorded. Create an exception schedule with evidence, calculation, owner and resolution.
- Retention is copied from another country. Label each retention rule by jurisdiction and tax period, then apply legal holds for open matters.
A final readiness checklist
- Every material return total reconciles to a ledger or tax-control account.
- Sampled return lines trace to tax calculations, invoices or other permitted documents and delivery or service evidence.
- Sampled source documents trace forward to the correct ledger, tax code and return line.
- Credit notes, debit notes, refunds and reversals link to their original transactions.
- Missing documents, mismatches and manual overrides are visible in an exception register.
- Electronic records have readable exports, tested backups, source links and change history.
- System documentation explains fields, codes, record counts and inter-linkages where the applicable rules require them.
- Retention dates and legal holds are calculated separately for each jurisdiction and tax period.
- The filed return, working papers, approvals and source index are preserved as one controlled package.
