The most reliable way to document a software system is to build a small, layered model that answers questions in the order people ask them: what the system is for, who and what surrounds it, which major applications and data stores it contains, why important design choices were made, and which qualities, risks, and terms matter. Start with a system-context diagram, add a container view, record significant decisions, then add deeper views only when a named reader has a question they answer. Keep the source beside the code, review it with normal engineering changes, and remove detail that does not help someone understand or change the system.

Start by defining the documentation job and system boundary

A shared mental model is not a catalogue of classes, endpoints, or cloud resources. It is a common explanation of purpose, boundaries, responsibilities, relationships, and trade-offs. Before drawing anything, decide who will read the material and what they should be able to do after reading it.

Write the purpose in one paragraph

Name the system, the outcome it provides, and the scope of the description. For example: “The Order Service accepts orders from the web and partner channels, validates payment and inventory, and publishes fulfilment events. This description covers the service and its production dependencies; it does not describe the warehouse software’s internal implementation.” A boundary like this prevents unrelated systems from leaking into every diagram.

Name the audiences and their questions

  • New engineers need to know where to make a change and which dependencies can break it.
  • Product and support staff need a plain-language explanation of users, capabilities, and external services.
  • Operators need deployment topology, failure domains, alerts, and recovery dependencies.
  • Security and compliance reviewers need trust boundaries, data flows, identity controls, and retention responsibilities.
  • Technical leaders need the reasons behind consequential choices and the risks accepted.

Record these audiences in the document. If a proposed section serves no identified reader or decision, it probably belongs in generated reference material rather than the architecture description.

Distinguish the architecture from its description

ISO/IEC/IEEE 42010:2022 distinguishes an architecture from an architecture description that communicates it. The standard specifies requirements for architecture descriptions, viewpoints, and model kinds; it does not require a particular process, notation, tool, or storage medium. That distinction lets a team choose a practical format while still being explicit about stakeholders, concerns, and views.

Draw the system-context view first

A C4 system-context diagram is the best first picture for most teams because it places the system as one element among its users and directly connected external systems. Keep it at the boundary level: do not fill it with classes, queues, database tables, or low-level protocols.

What to include

  • One clearly named box for the system being documented.
  • People or user roles that directly use it, such as a customer, support agent, or scheduled operator.
  • External software systems that exchange data or trigger behavior, such as an identity provider, payment gateway, or warehouse platform.
  • Short, directional relationship labels that say what crosses the boundary: “submits orders,” “gets an access token,” or “receives fulfilment events.”
  • A title that states the diagram type and scope, for example “System context: online ordering platform.”

What to leave out

Do not show internal services, tables, programming languages, vendor products, or network ports at this level. A context diagram should be readable by technical and non-technical stakeholders without a presenter translating every symbol. If a relationship is too complicated for one label, describe the interaction in accompanying prose or a dynamic view rather than shrinking the diagram.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a boundary test

For every element, ask: “Could this be replaced without changing the identity of the system I named?” If yes, it is likely an external dependency or an internal building block, not the system boundary itself. Ask a second question: “Does this actor or system have a direct relationship with the subject?” If not, omit it from the context view and place it in a more focused diagram.

Add a container view for the major building blocks

In C4 terminology, a container is an application or data store, not necessarily a Docker container. The container view explains the system’s high-level shape: each major building block’s responsibility, technology choice, and communication paths.

Describe each container consistently

Field Example Why it matters
Name Order API Gives the team a stable way to refer to the building block.
Responsibility Accepts and validates order commands Defines what belongs inside and what does not.
Technology Java service behind an HTTP API Shows a consequential implementation constraint without listing every library.
Data store Orders relational database Identifies where durable state lives and who owns it.
Relationships Publishes OrderPlaced events to the event broker Makes coupling and direction visible.

Use one responsibility sentence per container, then add a short note where a technology choice affects operations or integration. A box labelled only “service” tells readers little; a box with a complete class inventory tells them too much. The useful middle is a stable responsibility and the relationships that shape change.

Show data ownership and communication direction

Distinguish a database owned by the system from a database merely queried by another team. Label synchronous calls and asynchronous messages differently, and name a protocol or technology when it changes the design—for example, HTTPS, a message broker, or a batch file. Avoid implying reliability, ordering, or delivery guarantees unless the system actually provides them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Add a deployment view when topology changes behavior

A container diagram does not show clustering, failover, replication, regions, subnets, or which process runs on which host. Add a deployment view when those facts affect availability, performance, security, or incident response. Keep environment-specific details there instead of overloading the logical container picture.

Choose deeper views only when they answer a real question

C4 describes context, container, component, and code levels, along with system-landscape, dynamic, and deployment views. The official guidance says that context and container views are enough for most development teams. More detail is justified by a reader’s question, not by a desire to document everything.

Component views

Create a component diagram for a container when several internal responsibilities must be understood together—for example, authentication middleware, order validation, pricing, and persistence adapters. Keep components at a level that survives ordinary refactoring. If names change every sprint, document the responsibility and boundary rather than preserving unstable class names.

Dynamic views

Use a dynamic or sequence-style view for an important scenario such as checkout, password reset, or an outage fallback. Show the participating containers, message direction, and the meaningful decision points. A dynamic view should explain one behavior, not become a complete trace of every possible branch.

Code views

Code-level diagrams are usually poor long-lived documentation when an IDE or generated reference can reveal the same detail on demand. Keep a code view only when it explains a pattern that is difficult to infer—such as a plugin contract, a generated-code boundary, or a carefully constrained dependency direction. Otherwise, let the source and tooling remain the authoritative detail.

Split crowded diagrams at the same level

Do not solve an unreadable diagram by reducing the font until nobody can read it. Split it into focused views with the same abstraction level, such as “order-processing containers” and “customer-notification containers.” Give each view a clear scope and link them through stable names.

Record why important decisions were made

A diagram shows what exists now; it rarely preserves why the team chose it. Create an architecture decision record (ADR) for choices that affect system structure, quality attributes, important dependencies or interfaces, or construction techniques.

A practical ADR structure

  1. Title and status: use a searchable identifier and mark the decision proposed, accepted, superseded, or rejected.
  2. Context: describe the problem, constraints, drivers, and evidence available at the time.
  3. Decision: state the selected option in one unambiguous paragraph.
  4. Rationale: connect the choice to goals such as latency, operability, regulatory obligations, team capability, or delivery risk.
  5. Alternatives: record the options considered and why they were not selected.
  6. Consequences: name benefits, costs, new risks, and follow-up work.
  7. Links: point to the affected diagrams, requirements, interfaces, or operational runbooks rather than copying their content.

Write the record when the decision is made, not months later from memory. If a later decision replaces it, keep the original and mark the relationship; deleting history removes the context future maintainers need.

Quality requirements

State quality goals in terms a reader can act on. “Fast” is weak; “the checkout API should return a response within 400 milliseconds at the agreed percentile under the expected peak load” gives engineers and operators something to design and verify. Include security, availability, recoverability, scalability, accessibility, privacy, and maintainability goals when they influence architecture. Identify who owns each goal and where its measurement or acceptance criteria live.

Risks and technical debt

List known risks with their trigger, impact, owner, and mitigation. Examples include a single-region dependency, an undocumented partner limit, a manual recovery step, or a shared database that prevents independent deployment. Separate an accepted trade-off from an accidental gap so a reader knows whether to preserve it, monitor it, or fix it.

Glossary

Define domain terms, abbreviations, and overloaded words. If “account,” “customer,” and “tenant” mean different things, say so. Link glossary entries to the diagrams or ADRs where the terms matter. A glossary prevents two teams from agreeing on a drawing while silently assigning different meanings to the labels.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Design diagrams that stand on their own

A reviewer should understand a diagram without its author in the room. C4 does not mandate a notation, so clarity matters more than a particular icon set.

  • Put the diagram type and scope in the title.
  • Include a legend that explains shapes, colours, line styles, and trust-boundary conventions.
  • Label every element with its type and a short responsibility, not just a product name.
  • Use directional, labelled relationships. “Calls” is less useful than “submits payment authorization over HTTPS.”
  • Spell out uncommon acronyms on first use.
  • Keep the same name for an element across context, container, ADR, and operational documents.
  • Use colour as an aid, never as the only way to distinguish two meanings.
  • Show ownership or trust boundaries when they affect access, deployment, or failure.

Put explanatory prose next to the view, not in a separate document that readers must discover by trial and error. A one-paragraph narrative can clarify assumptions that a diagram cannot show without becoming cluttered.

Pick a representation the team can maintain

Tool choice should follow how the team authors, reviews, reads, and reuses the model. A quick collaborative design session may justify a whiteboard. A long-lived architecture description needs a dependable source, review path, and publishing process.

Decision axis Questions to ask
Author and reader skill Can the people who must update and review it use the format comfortably?
Diagramming or modelling Do you need a few pictures, or a structured model that can generate multiple views?
Git and diffs Can a reviewer see what changed in a pull request without comparing screenshots?
Format openness Can the team export or migrate the source if the tool changes?
Static or interactive output Do readers need a stable page or the ability to explore and filter a large model?
Queries and reuse Must one element appear consistently in many diagrams or reports?
Hosting and access Can all intended readers reach the published artifact, including contractors or incident responders?
Artifact lifetime Is this a disposable workshop sketch or a record expected to survive several years?

Text-based approaches such as Markdown or AsciiDoc for prose, with Mermaid or C4-PlantUML for diagrams, work well when pull-request review and portability matter. A structured modelling tool can support reuse, queries, and alternate views but may require more training and governance. A simple drawing tool lowers the entry barrier but can produce image-only changes that are difficult to review. Choose the smallest representation that satisfies the readers’ questions.

Keep the documentation beside the system

arc42 recommends a broad documentation structure covering goals and constraints, context, strategy, building blocks, runtime and deployment views, cross-cutting concepts, decisions, quality requirements, risks and technical debt, and a glossary. Its docs-as-code guidance favours Markdown or AsciiDoc stored in Git alongside the code and reviewed through pull requests.

Define update triggers

Update the relevant view when a change alters a boundary, responsibility, dependency, data flow, deployment topology, quality target, or architectural decision. Do not wait for a quarterly documentation exercise. Include documentation changes in the same pull request as the code or infrastructure change when practical.

Assign ownership without creating a bottleneck

Give each system or section an owner responsible for accuracy, but let contributors propose changes. Reviewers should ask whether the model still answers its intended questions, not merely whether the diagram renders. An owner who must personally edit every arrow turns documentation into a queue and encourages unofficial diagrams.

Generate what can be generated

API schemas, dependency lists, infrastructure inventories, and database reference pages may be generated from authoritative sources. Generated output is useful when its source and refresh process are clear. Do not hand-maintain a second copy of details that tooling can reliably produce; reserve human-written documentation for intent, boundaries, trade-offs, and interpretation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Test the model with a reader

Ask someone who did not author the document to answer a concrete question, such as “Which component owns order status?” or “What happens if the payment provider is unavailable?” If they cannot find the answer, change the model or its navigation. A shared mental model is demonstrated by successful use, not by the number of pages or diagrams.

How C4, arc42, and ISO 42010 fit together

Approach What it provides How to use it here
C4 A hierarchy of abstraction levels and views for visualising software architecture; it is independent of a specific notation or tool. Use context and container diagrams as the default backbone, then add component, code, dynamic, deployment, or landscape views only when needed.
arc42 A broader documentation skeleton covering goals, constraints, context, strategy, building blocks, runtime and deployment, cross-cutting concepts, decisions, quality, risks, and glossary. Use its sections to ensure the diagrams are supported by rationale, quality goals, risks, and shared terminology.
ISO/IEC/IEEE 42010:2022 Requirements for architecture descriptions, viewpoints, model kinds, and stakeholder concerns. Use it as a governance reference when you need to explain who a view serves and what concern it addresses; it does not force a tool or notation.

The approaches are compatible rather than competing. A context or scope section can contain a C4 system-context diagram; building-block sections can contain container and component views; a code view can represent the next zoom level. ISO 42010 supplies requirements for describing architecture, while C4 and arc42 offer practical ways to organise and express it.

A concrete documentation sequence for a new or poorly understood system

  1. Write the scope paragraph. Name the system, purpose, users, external dependencies, and exclusions.
  2. List stakeholders and questions. Capture what engineers, operators, product staff, security reviewers, and support need to know.
  3. Draw the context view. Show the system, direct people, direct external systems, and labelled relationships.
  4. Validate the boundary. Review the picture with a product or operations representative and remove elements that are not direct relationships.
  5. Inventory containers. For each application or data store, write its responsibility, technology, owner, and important interfaces.
  6. Draw the container view. Mark synchronous versus asynchronous communication and data ownership.
  7. Record the decisions. Create ADRs for choices that change structure, quality, interfaces, dependencies, or construction techniques.
  8. Add quality, risk, and glossary sections. Tie each quality goal and risk to an owner or verification method.
  9. Add focused views. Create component, dynamic, deployment, or landscape diagrams only for questions the context and container views cannot answer.
  10. Publish and review in the normal workflow. Store source in Git where possible, render it in the team’s documentation site, and require updates with meaningful system changes.

Common failure modes and repairs

The document is a code inventory

Symptom: pages of classes, endpoints, and framework names but no explanation of purpose or ownership. Repair: move generated detail to reference material and rewrite the architecture around boundaries, responsibilities, relationships, and decisions.

One giant diagram tries to serve everyone

Symptom: unreadable labels, crossing lines, and a legend longer than the diagram. Repair: keep a context view, a container view, and smaller focused views at the same abstraction level.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The picture is current but the rationale is gone

Symptom: a later team cannot explain why a queue, database, or integration style was selected. Repair: create or restore ADRs with context, selected option, alternatives, and consequences; mark uncertain history as uncertain rather than inventing a reason.

Using 2 holes wire tray saves extra space, helps you easily cabling and wire protection. The mesh design is not easy to accumulate dust, but avoids safety accidents caused by messy wires.

Tool output cannot be reviewed

Symptom: a pull request changes a binary image and reviewers cannot tell what moved or why. Repair: keep a text-based source when feasible, publish rendered diagrams, and review the semantic change in prose.

The documentation becomes stale

Symptom: engineers maintain private diagrams because the official page is known to be wrong. Repair: define update triggers, make ownership visible, and include documentation in the same change as architecture-affecting code or infrastructure.

Terms differ between teams

Symptom: two groups use “account,” “workspace,” or “event” differently while believing they agree. Repair: add a glossary with examples and link terms to the relevant boundaries and decisions.

Review checklist

  • Is the system purpose and boundary explicit?
  • Can a new reader identify users and direct external dependencies?
  • Does the context diagram avoid implementation detail?
  • Does the container view identify major applications, data stores, responsibilities, technologies, and communication paths?
  • Are deployment, runtime, or dynamic views present only where they answer a real question?
  • Can a reader find the rationale and consequences of important decisions?
  • Are quality goals measurable or otherwise testable, with owners?
  • Are known risks and technical debt visible?
  • Are terms and acronyms defined consistently?
  • Do diagrams have titles, legends, element types, responsibilities, and labelled directions?
  • Can the team review and update the source through its normal workflow?
  • Is generated detail separated from human-maintained architectural intent?

A useful architecture description is not the longest one. It is the smallest maintained set of views and explanations that lets the intended readers understand the system, make safe changes, investigate failures, and retrace consequential decisions.

Frequently Asked Questions

Is an architecture document the same as a design document?

They overlap but serve different jobs. An architecture description explains the system’s boundaries, major responsibilities, relationships, quality goals, risks, and significant decisions. A design document can go deeper into one feature or implementation. Link the two when a feature changes the architecture, but do not force every low-level design detail into the architecture record.

What should a team do when people disagree about the diagram?

Treat the disagreement as a modelling or decision question. First clarify the boundary and vocabulary, then identify which stakeholder concern the disputed view is meant to answer. If the disagreement is about a consequential choice, record the alternatives, decision criteria, and outcome in an ADR instead of hiding it in diagram styling.

How often should the documentation be reviewed?

Review it whenever a change affects a boundary, responsibility, dependency, data flow, deployment topology, quality target, or recorded decision. A periodic lightweight review can find drift, but event-driven updates in the same pull request are the primary safeguard.
