Disclose AI use by first identifying what the visual represents, then following the destination journal’s current policy. Record the tool or model and version, its purpose, the figures or video segments affected, and the extent of its contribution. Put a visual-specific statement in the caption or legend, a manuscript-level declaration where required, and methodological details in Methods when AI was part of the research. Keep original images and underlying data so editors and readers can verify that the published visual does not invent, remove, hide, or selectively change evidence.
Start by classifying the visual
The same software operation can be acceptable for a conceptual diagram and prohibited for a micrograph that records an observation. Before writing a disclosure, decide which category best describes the item and whether a video records evidence or merely explains a procedure.

When an item combines categories, disclose each material use separately. For example, a microscopy panel may contain an unaltered fluorescence image, an AI-derived segmentation contour, and a color-coded plot. The original image, the analytical overlay, and the visualization have different evidentiary roles and should not be described as one undifferentiated “AI-enhanced image.”

A generated diagram does not claim that a cell, tissue, or instrument looked a particular way. A micrograph does. If an algorithm adds a structure, removes an artifact, fills a missing region, or changes the apparent intensity of a feature, readers may interpret a computational invention as an experimental observation. Transparency therefore serves two separate goals: it tells readers how the visual was made, and it lets editors judge whether the operation is allowed at all.

Data visualization is also different from a primary image. A plot can be generated with software or a model when every mark is calculated from recorded data and the transformation is reproducible. That permission does not automatically extend to generating a plausible-looking micrograph. Likewise, using AI to analyze an image during the study is a methodological decision; using a generative system to prepare a manuscript illustration is a production decision. Each needs the disclosure location and level of detail specified by the journal.
Check the journal before preparing the statement
Publisher policies are not harmonized. The destination journal’s instructions control, even when another publisher permits the same operation. Review the policy and the journal’s author guidelines immediately before submission; the pages below were checked on October 13, 2026, and policies can change.

These boundaries are examples, not a universal standard. A permission in one row cannot be used to justify a submission to another venue.
A six-step disclosure workflow

Classify the item and its evidentiary role
Label every affected figure, panel, supplementary file, and video segment as explanatory artwork, data visualization, primary image, research-method output, or an audio-visual record. Note whether a video shows experimental data, a clinical event, or only a demonstration. If the same file contains several roles, list them separately.

Read the exact journal rule
Look for provisions covering generative AI, image manipulation, figures, data visualization, research methods, video, audio, and clinical material. Record whether the journal requires a caption statement, an article-level declaration, a Methods description, editor approval, or original files. Do not infer that a general manuscript-preparation policy covers microscopy or video.

Make an operation log
For each operation, record the system or tool name, exact version or model identifier, developer or manufacturer when requested, date or date range, purpose, input files, affected figure or time span, and the extent of the contribution. For a research method, also preserve parameters, preprocessing, training or inference settings, and validation procedures sufficient for reproduction.

Preserve the evidence
Keep the source data, original unprocessed images, original video files, and a copy of every intermediate output. Maintain a mapping from each published panel or timestamp to its source. If an overlay, denoising step, color conversion, crop, or segmentation is used, preserve the pre-operation version and the software settings. Editors may request this material, and it is the only reliable way to demonstrate that the published result remains faithful to the observation.

Validate the result and rights
Inspect the output at native resolution and against the source. Check that no structure, object, frame, label, or intensity pattern was invented, removed, obscured, duplicated, or selectively emphasized. Confirm that inputs and outputs can be attributed, that licenses permit the use, and that a qualified author has reviewed the result. Springer Nature expressly requires verifiable inputs, accurate output, human review, and rights compliance for permitted visual use.

Place each disclosure where required
Put a visual-specific statement in the caption or legend. Put the broader declaration in the journal’s prescribed manuscript section. Put reproducible methodological details in Methods. If the journal asks for an acknowledgment rather than an AI declaration, use that location and its required fields. Follow the journal’s wording and heading exactly rather than scattering one incomplete sentence across several sections.
What a complete disclosure should say
A useful statement answers four questions: what system was used, what it did, why it was used, and how much of the visual it affected. Add the date, manufacturer, extension, or other fields when the journal asks for them. Name the affected panel or video interval so a reader does not have to guess which content involved AI.
Caption or legend for explanatory artwork
A caption can use a structure such as: “Conceptual schematic generated with [system name, version] to illustrate [purpose]. AI contributed the background and icon elements; all scientific labels and relationships were authored and checked by the authors.” Replace the bracketed text with factual details, put variable syntax inside code if you retain it during drafting, and remove the brackets before submission. Do not describe a generated illustration as a photograph or experimental observation.
Caption or legend for a data visualization
State the software or model and version, the transformation applied to the recorded data, and the panel affected. For example: “Panel C shows values calculated from the raw measurements using [tool, version] for [operation]. No observations were added or removed; the analysis script and source data are retained as described in Methods.” Use this form only when it is true and when the journal permits the operation.

Declaration for manuscript preparation
A manuscript-level declaration can identify the system, purpose, extent, and author responsibility: “The authors used [system and version] on [date or date range] to [specific task] in [figures, captions, or sections]. The authors reviewed the output, verified its accuracy, and remain responsible for the submitted content.” Add the manufacturer or extension if required. A declaration about language or formatting does not disclose a separate image-generation or analysis operation; list material uses individually.
Methods description for research use
When AI is part of the research method, describe the inputs, preprocessing, model or tool and version, relevant parameters, training or inference procedure, output format, validation, and any human review. Explain how the output entered the analysis and where the original data are available. A reader should be able to distinguish a model’s prediction or segmentation from the measured signal and reproduce the path from source image to reported result.
“No AI used” statements
Some journals publish examples of no-AI declarations, including JCI Insight and Thieme. Use such a statement only when it accurately covers image creation, image analysis, video editing, manuscript preparation, and any other categories the journal asks about. Do not copy a venue-specific example into a different journal without checking its required wording and scope.

Microscopy is especially sensitive because texture, contrast, noise, and apparent objects can carry the result. An AI model that segments cells, classifies structures, counts particles, or predicts a measurement may be part of a legitimate method when the journal permits it and the procedure is reproducible. The segmentation mask or prediction should be identifiable as an analysis product, not presented as an unprocessed micrograph.
By contrast, generating a missing cell, removing an inconvenient structure, inpainting a damaged region, hallucinating resolution, or changing intensities to make a pattern appear stronger changes the evidentiary content. Elsevier prohibits creating or altering primary observed or experimental images such as microscopy; JCI Insight prohibits AI generation or modification of data images; and Thieme generally requires images of experimental material to come from experiments. A caption cannot make a prohibited alteration acceptable.
Routine, non-AI adjustments may also need disclosure under a journal’s image-integrity rules. Describe any permitted adjustment precisely enough to show that it was applied uniformly and did not hide data. If a model enhances an existing image rather than generating a new one, identify the operation, retain the pre-enhancement file, and verify that the destination journal allows it.

Microscopy videos and clinical video or audio
Do not assume that a still-image policy covers moving images. Springer Nature expressly includes video in its visual-content policy. JAMA’s guidance covers clinical video and audio as well as images. Thieme generally bars generative-AI-created videos. For a microscopy time-lapse, state whether AI generated any frames, interpolated between frames, stabilized the sequence, tracked objects, added labels, or produced an analytical overlay.

For every affected interval, retain the original frame sequence and identify the time range in the caption or supplementary-video description. A generated demonstration of a mechanism should be labeled as such and kept separate from a recording of the experiment. If AI-created narration, voice, or sound is used, check the journal’s audio requirements and disclose it alongside the visual operation rather than treating it as ordinary editing.

- Original microscope images, raw instrument exports, and unedited video files.
- Underlying numerical data for plots, masks, counts, and other derived graphics.
- Tool or model name, exact version, developer or manufacturer when applicable, and dates of use.
- Prompts, parameters, scripts, plug-ins, model weights, preprocessing, and post-processing needed to reproduce the operation.
- A panel-by-panel and timestamp-by-timestamp map of AI-affected content.
- Validation notes showing comparison with the source and checks for invented, removed, duplicated, or obscured evidence.
- Rights or license information for input and output material.
- The final caption, declaration, and Methods wording submitted to the journal.
Elsevier may request original unprocessed images or documentation. JAMA asks authors to provide original photographs for editorial review in relevant cases. Keeping these records before submission prevents a disclosure from becoming an unsupported assertion.
Common mistakes and how to correct them
“AI-assisted” with no specifics
This phrase does not identify the system, operation, or affected content. Replace it with the tool and version, purpose, panels or time range, and contribution extent.
One declaration for unrelated operations
Combining a language-editing tool, an image-analysis model, and a generated schematic in one vague sentence makes the evidentiary role unclear. List each material use in the location the journal specifies.

A synthetic image cannot stand in for an observation. Label explanatory artwork as conceptual, and use experimental images for claims about experimental material where the journal requires them.

Disclosing only in Methods
Readers encounter figures and videos before they read every methodological detail. Add the caption or legend statement when the policy requires visual-specific disclosure, then provide the reproducible method in Methods.
Assuming a different publisher’s permission applies
Policies differ sharply: one venue may allow verifiable AI enhancement while another prohibits modified data images. Quote or rely on the destination journal’s rule, not a general statement that “publishers allow AI.”
Failing to preserve originals
Without source files, authors cannot demonstrate what changed or answer an editor’s request. Archive originals and intermediate outputs before finalizing the figure or video.

Using a no-AI statement mechanically
A venue’s example may cover a narrower or broader set of activities than your manuscript. Confirm that every relevant image, video, analytical method, and manuscript operation is covered and that the heading matches the journal’s instructions.
Submission checklist
- Every figure, panel, supplementary image, and video has an assigned evidentiary category.
- The destination journal’s current rules for images, data visualization, research methods, video, and audio have been checked.
- Each AI operation has a recorded system or tool, version, purpose, date or date range, affected content, and contribution extent.
- Source data, original images, and original videos are retained and mapped to the submitted outputs.
- Outputs have been reviewed for invented, removed, obscured, duplicated, or selectively emphasized evidence.
- Captions or legends contain the visual-specific disclosure required by the journal.
- The manuscript declaration or acknowledgment uses the journal’s required section and fields.
- Methods explain any AI research procedure well enough to reproduce it.
- Rights, attribution, and permissions for inputs and outputs are documented.
- Authors accept responsibility for the accuracy and originality of the submitted visual record.
Elsevier states that authors are responsible for the accuracy and originality of all images submitted for publication. Springer Nature lists appropriate disclosure of the model and purpose as a condition for visual content derived from verifiable inputs. JAMA likewise states that authors are responsible for the accuracy of all content submitted to the journal. Those statements make disclosure part of scientific accountability, not merely a formatting requirement.
