You can change what customers see on a QuickBooks Online invoice and choose which payment methods are offered without leaving the invoice screen. Open an invoice, use Manage > Customization for fields, Manage > Design for templates and appearance, and the Payment options area for methods offered on that invoice. These controls do not all have the same scope: design and field changes can apply to existing and future invoices, while changing payment methods on a particular invoice affects only that invoice.
What you can customize in QuickBooks Online
QuickBooks Online separates invoice presentation from payment processing. Presentation controls determine the information, branding and layout customers see. Payment controls determine how a customer can pay a specific invoice. Keeping those scopes separate prevents a common mistake: assuming that turning on a payment method for one invoice changes every invoice your company sends.
The available controls depend on your account’s invoicing experience, selected template and subscription. QuickBooks says invoice-creation features are limited on the Free and Lite plans, and its help pages do not publish a complete plan-by-plan matrix for every design and payment setting. If a control described here is absent, check the features included with your subscription and use QuickBooks’ in-app search for the setting name.
- Fields and visibility: show or hide supported invoice fields and adjust the information included on the sales form.
- Branding: set the logo, company contact information, color, font and layout when the selected template supports those options.
- Template: choose an available invoice design. The Modernized template supports font and color selection; older templates may not expose every design function.
- Payment methods: enable the methods presented in the invoice’s Payment options area. Online methods may require an application for QuickBooks Payments.
- Automation: use Scheduling for recurring invoices and automatic reminders. Recurring payments are a separate capability and require QuickBooks Payments.
QuickBooks updated its design and support guidance in August 2026, so labels can differ between accounts. If a menu does not match the steps below, look for the same control through the invoice’s Manage menu or search for “customization,” “design,” or “payment options” inside QuickBooks.

Customize invoice fields and customer-facing details
Open the invoice customization controls
- Sign in to QuickBooks Online and open an existing invoice, or select the option to create a new invoice.
- Select Manage if its controls are collapsed.
- Choose Customization.
- Toggle the fields available in your current invoicing experience. The list may include transaction details, customer information, terms, references, notes and other supported sales-form fields.
- Preview the invoice to confirm that the selected fields appear where you expect them before sending it.
QuickBooks describes these invoice-workflow settings as applying to existing and future invoices. That scope applies to the customization controls in this workflow, not automatically to every payment preference in your company. If a field is unavailable, the limitation may come from the template, invoicing experience or plan rather than from an incorrect selection.
Decide which fields customers actually need
Use the field toggles to make the document complete without overwhelming the recipient. A service business may need a purchase-order reference, service date, terms and a detailed description. A product seller may need item identifiers, quantities, shipping information and tax details. Keep legally or contractually required information visible for your jurisdiction and customer agreements; QuickBooks’ customization screen cannot determine those obligations for you.
- Keep: your legal business name, contact route, invoice number, invoice date, due date or terms, line-item description, amount and balance due.
- Add when relevant: purchase-order number, project or job reference, service period, shipping address, tax details, customer message and payment instructions.
- Hide when unnecessary: empty columns, internal references and labels that create confusion for customers.
Field availability and labels are not identical in every account. A missing field can indicate that the current form or template does not support it, so do not assume that a hidden control can be restored by changing a different menu.

Choose a template through Manage > Design
- With an invoice open, select Manage.
- Choose Design.
- Review the templates available to your account and select one.
- Adjust the appearance options shown for that template, such as font or color when supported.
- Preview the result at normal viewing size and at the width customers will see in email or a downloaded PDF.
- Save the design and return to the invoice to verify the final rendering.
The Modernized template supports font and color selection according to QuickBooks’ current guidance. Some legacy templates do not include all of the same functions. If you need a particular font or color control and cannot find it, first check whether changing templates exposes the option; do not assume the setting is broken.
Apply branding and company information
QuickBooks’ sales-form customization guidance covers the logo, company contact information, color, font, layout and table contents. The exact controls depend on the invoicing experience and selected template. Upload or select a logo that remains legible at the size used on the invoice, then check that the business name, address, phone number, email address and website are current.

Company-information edits can affect future invoices and estimates and can also change customer information. Review those edits carefully before saving. If an address, tax identifier or contact channel changed recently, confirm that the change is intended for every document that will use the company profile rather than only for one customer.
Use Settings > Custom form styles when you need reusable form formatting
QuickBooks also provides a Settings > Custom form styles route for editing certain form styles, columns and labels. Use this area when you are maintaining a reusable sales-form style rather than making a one-off adjustment while preparing a single invoice. The options presented there still depend on account experience and template support.

After editing a form style, open an invoice that uses it and preview the output. Check column order, label wording, line wrapping, logo placement and the visibility of totals. A style that looks correct in the editor can still produce an awkward result when a description is long or when tax and discount lines appear.
Turn on or change payment options
Set methods on the invoice you are preparing
- Open the invoice you want to send or edit.
- Find the Payment options area.
- Turn on the payment methods presented for your account.
- Read any enrollment or verification prompt and follow it if you want to offer online payment.
- Preview the invoice and confirm that the enabled methods and instructions are visible to the customer.
- Save or send the invoice only after checking that the payment choices match your agreement with that customer.
QuickBooks may prompt you to apply for QuickBooks Payments before online methods become available. Approval, verification and account setup are separate from changing the invoice’s visual design. Until the payment service is approved and enabled, do not promise customers that a card, bank-transfer or other online method is available.
Understand the scope of a payment change
QuickBooks’ payment-processing guidance says that changing payment methods on a particular invoice affects only that invoice. It does not automatically change company-wide preferences or previously issued invoices. If you need a different method on another invoice, open that invoice and check its Payment options separately.

Because these scopes differ, test both a newly created invoice and an existing draft after a major change. That confirms whether the result is the one you intended without changing the payment choices on unrelated invoices.
Schedule recurring invoices and reminders
Create recurring invoices
Use the Scheduling area when the same customer should receive invoices on a repeating timetable. Configure the customer, frequency, start date, end date or number of occurrences where those fields are offered, line items, terms and delivery method. Review the first scheduled invoice as a customer would see it before relying on the schedule.
Recurring invoice creation and recurring payments are not the same feature. A schedule can create and send invoices, while an automatic recurring charge requires QuickBooks Payments. Do not describe a scheduled invoice as an automatic payment authorization unless the payment service and customer authorization are actually configured.
Enable automatic reminders
Scheduling also contains automatic invoice-reminder controls. Choose reminder timing that fits your stated terms, and make sure the recipient email address is correct. A reminder changes communication timing; it does not change the invoice’s due date, balance or enabled payment methods. If a reminder is not sent, check the schedule status, recipient details and account notification settings before recreating the invoice.
Review and send a customized invoice safely
- Confirm the customer: verify the billing contact, email address, billing address and any purchase-order reference.
- Check the document identity: review invoice number, invoice date, due date or terms, currency and tax treatment.
- Inspect line items: confirm descriptions, quantities, rates, discounts, tax and the final balance.
- Inspect branding: make sure the logo, company name and contact information are current and readable.
- Inspect payment instructions: verify that each displayed method is available to the customer and that no obsolete instructions remain in a message or footer.
- Preview the customer output: look for clipped text, missing columns, misplaced totals, poor color contrast and unexpected blank sections.
- Send or save: send only after the preview matches the agreement. Keep a copy of the final invoice and note any customer-specific payment exception.
Previewing matters because a company-information edit can affect future invoices and estimates as well as customer information. A quick check catches an incorrect address, phone number, logo or payment instruction before it reaches a customer.

When a customization option is missing
Check the menu and invoicing experience
If you cannot see Customization or Design, select Manage first. QuickBooks has updated its interface, and the labels shown in an older help video may not match your account. Use in-app search for the relevant control if the menu remains different.
Check the template
Switching from a legacy template to an available modern template may expose font or color controls that the older design lacks. Make the change only after previewing the new layout, because a template switch can alter spacing, table presentation and the position of company information.
Check the plan
QuickBooks states that invoice-creation features are limited on QuickBooks Online Free and Lite. The available plan information does not establish that every design, field or payment feature is included in every subscription. Confirm your current plan’s feature list when a control is missing instead of assuming that a browser or device problem is responsible.
Check payment enrollment separately
If visual customization works but online payment methods do not appear, the issue may be payment-service eligibility or an incomplete QuickBooks Payments application. Follow the enrollment prompt and any verification steps shown in the account. A design change cannot activate payment processing by itself.

A reusable form style, a company profile, an invoice draft and an individual invoice are different places to make changes. If the result is not what you expected, identify which of those objects you edited, then reopen the invoice and compare its preview. Payment-method changes made on one invoice should not be expected to appear on another.

Practical configuration examples
Consulting invoice with a purchase-order workflow
Open the invoice, use Manage > Customization to show the purchase-order reference, service period and detailed description, then use Manage > Design to verify the logo and contact block. In Payment options, enable only methods accepted under the client contract. Preview a long service description to ensure the table does not push the total or due date onto an unexpected page.
Retail invoice with online payment
Keep item description, quantity, unit price, tax and balance due visible. Choose a template with readable table spacing, then open Payment options and enable the online methods presented for the account. If QuickBooks prompts for QuickBooks Payments enrollment, complete that process before advertising online payment to customers. Test the customer-facing preview rather than relying on the editor labels.
Monthly maintenance billing
Use Scheduling to create the recurring invoice and set automatic reminders around the agreed due date. Review the first generated invoice for the correct dates, terms, line items and payment methods. If the agreement includes automatic charging, configure recurring payments through QuickBooks Payments; a recurring invoice schedule alone does not authorize recurring debits.

- Is this a reusable design change, a company-information change or an exception for one invoice?
- Does the selected template support the font, color, columns or labels you need?
- Are the fields shown useful to the customer and sufficient for your accounting or contract requirements?
- Are online payment methods actually enabled for this account, or is enrollment still required?
- Will the change affect existing and future invoices, or only the invoice currently open?
- Have you previewed the final customer output, including a long description and all totals?
QuickBooks’ current support guidance, updated in August 2026, emphasizes changing what customers see on sales forms while recognizing that controls vary by invoicing experience. Use the menu that matches the change you intend to make, verify the scope, and preview before sending.
