The simplest reliable formula is long, unique, and protected by another factor. For a password you must remember, use a multiword passphrase of at least 15 characters when the account uses a password as its only factor. For every other account, let a password manager generate and store a long, random password that you never reuse. Turn on multifactor authentication (MFA) or a passkey whenever the service offers one.

This approach follows NIST’s July 2025 SP 800-63B-4 guidance and its consumer guidance updated August 20, 2025. It avoids the frustrating “uppercase, number, symbol” game while addressing the risks that matter most: password reuse, phishing, stolen credentials, and weak recovery practices.

What makes a password strong?

Password strength comes primarily from length, uniqueness, and resistance to guessing. A complicated-looking short password can be weaker than a long phrase, especially when attackers use automated guessing tools and lists of common substitutions.

Length matters more than forced character combinations

NIST SP 800-63B-4 says a verifier should require at least 15 characters when a password is used as a single authentication factor. The same standard says services should not impose composition rules that require a mixture of character types. In practice, a site may still require a capital letter, number, or symbol, so satisfy the site’s rules, but do not mistake those rules for the main measure of security.

NIST also says a verifier should permit a maximum password length of at least 64 characters and accept spaces. Not every service has implemented those limits. Use the longest suitable password the service accepts, and do not add characters merely to satisfy an arbitrary pattern if a longer phrase is allowed.

The 15-character minimum applies to a password that is the only authentication factor. NIST allows services to set shorter minimums when a password is used only as one part of MFA. That does not make a short password desirable; it reflects the additional protection supplied by the other factor.

Uniqueness prevents chain reactions

Every important account should have a different password. If a password is exposed in a data breach, reused credentials let an attacker try the same combination against your email, banking, shopping, work, and social accounts. A unique password limits the damage to the service where it was exposed.

Randomness makes guessing harder

A password based on your name, birthday, pet, address, favorite team, or a predictable substitution is easier to guess than it feels. Attackers can combine public information with common password dictionaries. A strong password should not be an obvious personal detail, a familiar quotation, or a predictable sequence.

How to create a memorable passphrase

A passphrase is a password made from multiple words. Its length makes it harder to guess, while the words give you a mental image or rhythm that is easier to recall than a random string.

Use unrelated words, not a quotation

Choose several words that are not connected to your identity and are not a line from a song, book, film, prayer, or famous saying. Familiar quotations appear in attackers’ wordlists. Avoid a phrase that describes your job, hometown, family, or hobbies if those details are public.

Think in terms of a private association rather than a sentence that already exists. You might imagine unrelated objects in a strange scene and use the words that trigger that image. Do not copy a phrase from an article, password guide, or this page; anything published as an example must be treated as public.

Meet the service’s requirements without shortening the phrase

Start with a phrase comfortably longer than the service’s minimum. If the site requires a number or symbol, add one in a way you can remember, but keep the words and overall length. If the service rejects spaces, use another separator that it accepts. Never remove most of the words just to satisfy a composition rule.

A planning pattern can look like word + word + word + word + separator + number. The pattern is a construction aid, not a password to copy. Replace every element with your own unrelated choices and never use the literal words shown in a template.

Make recall reliable

  1. Type the phrase several times while creating the account so your fingers learn its rhythm.
  2. Use a private mental image or short story to connect the words.
  3. Check the phrase against the site’s minimum length and allowed characters before saving it.
  4. Store a recovery method separately, such as a printed recovery code kept in a secure place, if the service provides one.

When to use a password manager

People can remember only a limited number of long, unique passwords. A password manager solves that problem by generating and storing a different password for each account. You then remember one strong password for the manager itself and use autofill or copy-and-paste for the rest.

Generate passwords instead of inventing them

For accounts where you do not need to type the password from memory, use the manager’s generator. Configure it for maximum length the service accepts, randomness, and uniqueness. Include symbols or other character types only when the service requires them; do not shorten a generated password to make it look familiar.

Save the generated password immediately in the correct vault entry, then test the login in a private window or on another device before signing out of the old session. Keep the manager’s record current when you change an account email address, username, or recovery method.

Protect the manager’s own account

The manager’s login protects every stored credential, so it deserves more care than an ordinary account. Use a long passphrase that is not used anywhere else and enable MFA for the manager account. If the manager supports a passkey for its own login, consider using it.

Read the manager’s recovery procedure before you need it. Determine whether recovery uses a printed emergency code, a trusted device, a recovery contact, or a locally stored key. A recovery process that is convenient but poorly protected can become an attacker’s route into the vault.

Decision point Questions to ask Why it matters
Device and browser support Does it work on every phone, computer, and browser you use? A missing app or extension can push you back to reuse or unsafe notes.
MFA support Can you protect the vault login with an authenticator app, security key, or passkey? The vault contains the keys to other accounts.
Vault recovery What happens if you lose your primary device or forget the manager passphrase? You need a recovery path that does not expose the vault.
Storage model Is the vault synchronized through a cloud service, kept locally, or offered both ways? Cloud storage is convenient across devices; local storage gives more control but makes backups your responsibility.
Autofill behavior Does autofill match the exact website or app, and can you review the destination before filling? Careful domain matching reduces accidental disclosure to an impostor site.
Sharing needs Can you share selected credentials without exposing the whole vault? Households and teams may need shared access with separate personal entries.
Backups and export Can you create an encrypted backup or export if the service becomes unavailable? A local backup can aid recovery, but it must be encrypted and stored securely.

Cloud synchronization reduces the work of keeping devices current. A locally maintained vault can reduce dependence on a provider, but you must make, protect, and test your own backups. CISA highlights this convenience-versus-maintenance trade-off in its password-manager guidance.

How to add protection beyond a password

Turn on MFA for important accounts

MFA requires an additional factor after the password, such as an authenticator-app code, a hardware security key, or a device approval. Enable it first for email, financial services, work systems, your password manager, and any account that can reset other accounts.

MFA methods are not equally resistant to attack. Prefer a phishing-resistant method offered by the service, such as a security key or passkey. If those are unavailable, an authenticator app is generally a stronger choice than receiving codes by text message, although any MFA is usually better than password-only access.

Use a passkey when available

Passkeys use cryptographic credentials stored on a device or security hardware. They do not require you to memorize a password and are less susceptible to phishing than passwords because the credential is tied to the legitimate service. Follow the service’s enrollment instructions and keep an approved recovery device or method available before removing your last password-based option.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Passkeys do not eliminate every account risk. Protect the phone, computer, or security key that stores them, keep the device updated, and review the account’s recovery settings.

When should you change a password?

Change a password when there is evidence it was compromised or exposed: a service reports a breach, you receive an unexpected login alert, you entered it on a suspicious site, malware may have recorded it, or someone else may know it. Change it immediately on the affected service and anywhere it was reused, then enable MFA.

NIST SP 800-63B-4 says verifiers should not require periodic password changes when there is no evidence of compromise. Forced calendar changes often lead people to make predictable variations, such as adding a month or a number. Keep a strong unique password until there is a reason to replace it.

What strong passwords cannot stop

A long, unique password protects against guessing and limits damage from reused credentials, but it cannot stop every attack.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Phishing: A fake login page can persuade you to hand over a valid password and, in some cases, an MFA code. Check the site address, use a password manager’s domain-matching autofill, and prefer a passkey where supported.
  • Keystroke logging: Malware can record what you type. Keep your operating system, browser, and security software updated, and investigate unexpected extensions or applications.
  • Social engineering: Someone may manipulate you into revealing a password or approving a login. Legitimate support staff should not need your password or a one-time code.
  • Account recovery abuse: An attacker who controls your recovery email or phone can reset a strong password. Protect those channels with unique credentials and MFA.

A practical setup plan

  1. Secure your primary email first. Create a unique passphrase of at least 15 characters, enable MFA or a passkey, and save recovery codes in a secure offline location.
  2. Choose and configure a password manager. Confirm device support, vault recovery, MFA, autofill behavior, storage model, and backup options before importing credentials.
  3. Replace reused passwords. Start with banking, email, work, health, shopping, and social accounts. Generate a unique password for each and sign out other sessions where the service allows it.
  4. Enable MFA or passkeys. Use the strongest method each service supports, beginning with accounts that can reset other accounts.
  5. Check exposure alerts. Treat a breach notice or unfamiliar sign-in as a reason to change the affected password immediately.
  6. Review recovery settings. Remove obsolete phone numbers and email addresses, verify backup codes, and make sure trusted devices are still yours.

Common mistakes and fixes

Mistake Why it fails Better approach
Adding “!” or changing one letter on every account Predictable variations are easy to test once one password is known. Use a completely different generated password for each account.
Using a short password packed with symbols Character variety does not compensate for limited length. Use a long passphrase or the longest random password the service accepts.
Copying an example passphrase from an article Published examples are no longer secret. Create your own unrelated words and private association.
Saving passwords in an unprotected text file or browser note Anyone or any malware with access to the file may obtain every credential. Use a reputable manager protected by a unique passphrase and MFA.
Ignoring recovery codes You can lose access after replacing a phone or security key. Store recovery codes securely and test the recovery process when practical.
Changing passwords on a schedule without a reason Frequent forced changes encourage weak, predictable edits. Change passwords after compromise, exposure, or suspected theft.
Approving an unexpected MFA request An attacker may already have your password and is trying to finish the login. Deny the request, change the password, and investigate the account alert.

Final checklist

  • Use at least 15 characters for a password-only account when the service permits it.
  • Prefer a memorable multiword passphrase over a short, complicated pattern.
  • Use a different password for every account.
  • Let a password manager generate and store random passwords you do not need to memorize.
  • Protect the manager with its own unique passphrase and MFA.
  • Enable MFA or a passkey on important accounts.
  • Change passwords when there is evidence of compromise, not merely because a calendar reminder says so.
  • Stay alert for phishing, keylogging malware, social engineering, and weak recovery settings.

Strong passwords do not need to be complicated to use. Make the memorable ones long passphrases, delegate the rest to a protected password manager, and add MFA or passkeys wherever possible.
