Microsoft Teams lets a meeting organizer split attendees into separate discussion spaces without creating separate meetings. You can create up to 50 breakout rooms, assign people manually or randomly, set a time limit, broadcast announcements, and bring everyone back to the main meeting.
The room manager must use the Teams desktop app for Windows or macOS. Attendees can join rooms from desktop, web, mobile, Linux, Chromebook, or PSTN, although some older or unsupported clients cannot be moved automatically.
Before you create Teams breakout rooms
Check these requirements first:
- The meeting must have no more than 300 participants. If more than 300 people join at any point, breakout-room controls may remain disabled even after attendance falls below 300.
- You must be the meeting organizer, or an in-organization presenter appointed as a breakout-room manager.
- Room management requires the supported Teams desktop app on Windows, including VDI, or macOS.
- Breakout rooms may be unavailable if an administrator has disabled them, the meeting is canceled, or the meeting is in a private or shared channel.
- For pre-meeting setup, invitations must already have been sent.
Participants do not need the desktop app just to join a room. However, Teams Free users, people on unsupported devices such as some conference-room systems, people who have not joined the meeting, and users on older Teams versions may not be movable automatically.

Pre-creating rooms is useful for classes, workshops, interviews, and recurring meetings because you can name rooms and assign attendees before anyone joins.

- Open Calendar in Teams.
- Select the scheduled meeting.
- Select View event, then More options.
- Select Breakout rooms and choose Create rooms.
- Choose the number of rooms, up to 50, and select Add rooms.
- Select Assign participants if you want to place attendees in rooms now.
- Choose the assignment method, select Next, and then select Save.
The Breakout rooms option appears only after the meeting invitations have been sent. Only the organizer can create and pre-assign rooms before the meeting. Pre-assignment is not available when more than 300 people are invited, and Teams Free accounts cannot be pre-assigned.
Rename rooms before the meeting
- Go to Calendar > select the meeting > View event > More options > Breakout rooms.
- Select More options beside a room.
- Select Rename, enter the new name, and select Rename.
Names such as Design review, Group A, or Station 1 are more useful than the default numbered names when attendees need to follow a schedule.
Create breakout rooms during a meeting
If you do not know the final attendance in advance, create rooms after the meeting starts.
- Join the meeting from the Teams desktop app.
- In the meeting controls, select Rooms. In some Education versions, this appears as Breakout rooms.
- Choose the number of rooms, up to 50.
- Choose how to assign participants: automatically or manually.
- Select Create rooms.
To create another room later, select Rooms > Add room. Rooms created during the meeting do not support later automatic assignment; assign participants manually or use the shuffle option instead.
Assign people to breakout rooms
Assign people manually during the meeting
- Open Rooms in the meeting controls.
- Select Assign participants.
- Select a participant, choose the target room, and continue until the assignments are complete.
- Select Save.
A person must be in the meeting before Teams can move them. Someone who is not currently in a breakout room cannot be moved directly to another breakout room. If you move a participant from an open room to a closed room, Teams sends that participant to the main meeting.
Assign people before the meeting
- Open Calendar and select the meeting.
- Select View event > More options > Breakout rooms.
- Select Assign participants.
- Choose Manually assign people to rooms, then select Next.
- Select a person’s current room, or Unassigned.
- Choose the target room and select Save.
Only participants from approved organizations are available for pre-assignment. If a pre-assigned attendee joins after rooms are already open, Teams does not automatically move that person into the open room. The same applies when the person joins from an unsupported device.
Shuffle participants
For a random allocation, open Rooms > Assign participants > Shuffle. Teams provides two choices:

| Only unassigned people | Assigns only participants who do not yet have a room. |
Choose the option that matches your goal. Selecting Everyone can undo carefully prepared groupings.
Import assignments from a CSV file
CSV import is useful for large classes or workshops where groups have already been planned.

- Open the meeting controls and select Breakout rooms.
- Select Import from CSV.
- Choose or drag in the CSV file.
- Select Import.
Use the structure shown by Teams during the upload. The file must be a .csv file containing valid room names and individual participant email addresses. Distribution lists are not supported. CSV import does not invite anyone to the meeting; it only creates rooms and assignments.
Teams matches a participant when the email address used to join matches the address in the file. Invalid data or an incorrect structure causes the import to fail. Importing another CSV can replace existing assignments, so keep a copy of the working file before making changes.
Configure breakout-room settings
You can configure rooms before or during the meeting.
Before the meeting
Go to Calendar > select the meeting > View event > More options > Breakout rooms > Rooms settings. Configure the options and select Save.
During the meeting
Open Rooms > Rooms settings, configure the options, and select Save.
Set a time limit
- Open Rooms settings.
- Select Set a time limit.
- Choose the duration from the dropdown menus.
- Select Save.
When the time expires, Teams closes the rooms and returns participants to the main meeting. If Automatically move people to rooms is turned off, participants can choose whether to return to the main meeting or leave when the limit expires.

An organizer can give room-management control to an invited presenter who belongs to the organizer’s organization:
- Open Rooms settings.
- Turn on Assign presenters to manage rooms.
- Before the meeting, select Search for presenters. During the meeting, choose presenters from the dropdown.
- Select up to 10 presenters and choose Save.
A presenter promoted from attendee during the meeting cannot be appointed through this assignment mechanism. Managers cannot be limited to specific rooms, and only one manager controls the rooms at a time. A manager takes control with Rooms > Manage rooms.
Open and close breakout rooms
Open every room
In the meeting, select Rooms > Open rooms. Teams opens rooms that have participants assigned to them. Empty rooms do not open; a timed room with nobody in it also does not open.

Open one room
Select More options beside the room and select Open.
Close every room
Select Rooms > Close rooms. Check that each room’s status changes to Closed. If closing all rooms produces an error, open the affected room’s menu and select Close individually.
To close only one room, select More options beside it and select Close. People in that room are moved to the main meeting. If everyone leaves a room before its timer expires, the room closes automatically.
Reopening rooms preserves participants’ previous room assignments. Also note that selecting End meeting ends the main meeting but does not necessarily close active breakout rooms. Close the rooms separately before ending the meeting.
Rename or delete rooms
During a meeting, select Rooms, hover over a room, and choose More options > Rename. Enter the name and select Rename.

If it contains people, close it first or reassign those participants. Then use one of these commands:
- Delete one room: More options > Delete, then confirm.
- Delete all rooms: Rooms > Remove rooms.
Pre-created rooms expire after 60 days if they have never been opened. Expired rooms disappear and cannot be recovered; recreate them or add new rooms.
Send an announcement to every room
- Open Rooms.
- Select Make an announcement.
- Enter the message and select Send.
The announcement appears in each room’s chat and is marked IMPORTANT. Replies appear in the corresponding breakout-room chat in the organizer’s main chat list. Use this for time warnings, discussion prompts, links to shared material, or instructions to return to the main meeting.

- Select Chat.
- Open Meeting chats and select the meeting chat.
- Select Attendance.
- Under Participants, select an attendee to see the room entered and join and leave times.
- Download the report as a CSV file if you need to analyze or archive it.
Deleted rooms are excluded from attendance reports, so download the report before removing rooms if the room history matters.
Common problems with Teams breakout rooms
| Problem | Likely cause or fix |
|---|---|
| There is no Rooms or Breakout rooms button. | Use the Windows or macOS desktop app, confirm you are the organizer or an appointed manager, check that an administrator has not disabled the feature, and verify that the meeting has not exceeded 300 participants. |
| A participant cannot be moved. | They may be using Teams Free, an unsupported device, an older Teams version, or may not have joined the meeting yet. Leave them in the main meeting and ask them to join with a supported client. |
| A pre-assigned participant remains in the main meeting. | Late arrivals are not automatically moved after rooms are open. Assign the person manually after they join. |
| An empty room will not open. | Teams does not open rooms with no participants. Assign someone to the room first. |
| More than 300 people joined, then left. | Breakout-room controls can remain disabled for that meeting occurrence. Close and delete the rooms, then restart the meeting; future recurring occurrences may also need the rooms closed and deleted. |
| Rooms are missing from a channel meeting. | Breakout rooms are not available in private or shared channels. A deleted channel meeting thread can also prevent rooms from appearing. |
Some functions are unavailable inside breakout rooms, including Call me, copying the room meeting link, adding a guest to the meeting or meeting chat, and using Meet now from a channel conversation.
FAQ
How many breakout rooms can I create in Microsoft Teams?
You can create up to 50 breakout rooms. The meeting itself must have no more than 300 participants for breakout rooms to be available.
Can participants create or manage breakout rooms?
No. The organizer manages rooms by default. An invited presenter from the organizer’s organization can also manage them if the organizer appoints that presenter as a breakout-room manager.

Do participants need the Teams desktop app?
No. Participants can join from Windows, macOS, the web, iOS, Android, Linux, Chromebook, or PSTN. The desktop Windows or macOS app is required for room management, and unsupported clients may prevent automatic movement into rooms.
Can I create breakout rooms before sending the meeting invitation?
No. The Breakout rooms option becomes available after invitations have been sent. Pre-meeting creation and assignment are available only to the organizer.
What happens when I end a Teams meeting?
Ending the main meeting does not reliably close active breakout rooms. Use Rooms > Close rooms and confirm that every room shows Closed before selecting End meeting.
Can I reuse breakout-room assignments in a recurring meeting?
Yes. Room assignments made by the organizer apply to future occurrences unless the organizer changes them.

For the smoothest setup, create and name rooms from the Teams desktop app before the meeting, assign participants after invitations are sent, and test the room controls before attendees arrive. During the meeting, use Rooms to assign or shuffle people, open and close rooms, send announcements, and monitor room status. Keep the 300-participant limit and unsupported-client restrictions in mind, especially for large meetings and classes.
