Give every account its own password, generate it with a password manager, and save it directly in the manager’s encrypted vault. Protect the manager with a strong, unique master password and multifactor authentication (MFA), then enable MFA on important accounts wherever it is available. This routine makes unique passwords practical without requiring you to memorize them all.

Why every account needs a different password

If you reuse a password, a breach at one service can put other accounts at risk: attackers may try exposed credentials on other sites, a tactic known as credential stuffing. A distinct password limits the damage from a single service’s exposure. The National Institute of Standards and Technology (NIST) explains the risks of reuse and the usability benefits of password managers in its customer experience guidance.

Creating and remembering a different password for every account is difficult to do reliably by hand. A password manager can generate and store those credentials, and can fill them in when you sign in. CISA describes password managers as a way to create strong passwords and remember them in its consumer training.

How long should a strong password be?

For a password used as the only authentication factor, NIST’s current guidance, SP 800-63B-4, requires verifiers—the services that check passwords—to accept passwords of at least 15 characters. It also says verifiers should allow at least 64 characters. These are requirements for service providers, not a guarantee that every site already accepts passwords that long. NIST’s final revision was published July 31, 2025, and is available in SP 800-63B-4.

CISA’s September 2024 consumer tip sheet recommends at least 16 characters and offers a passphrase made from 5–7 unrelated words as an example. These figures are compatible: CISA is giving consumer advice, while NIST specifies what verifiers should accept for single-factor passwords. Follow the account’s own accepted length and character limits. See CISA’s password tip sheet.

Use random passwords for accounts stored in a manager

For a password you will save in a manager, use its generator to create a long, random string. Randomness makes the password hard to guess; uniqueness means a different string for each account. You do not need to memorize these passwords, so there is little reason to make them resemble words or patterns you can recall.

Use a passphrase when you must type or remember it

If you need to remember a password or type it regularly on a device where autofill is inconvenient, a long passphrase can be easier to handle. CISA’s example is 5–7 unrelated words. Avoid familiar quotations, predictable phrases, personal details, or a sequence of words associated with you. A passphrase still needs to be unique to the account where it is used.

Choose a password manager that fits your devices and recovery needs

A password manager is software that creates and stores credentials in a vault; it is not the same thing as a physical security key. No one storage arrangement is right for everyone. Compare how a manager generates passwords, protects and synchronizes its vault, works with your devices and browsers, supports autofill, and handles recovery. Check whether it offers MFA and review the provider’s security practices.

  • Cloud-synced vault: Synchronization can make credentials available on several devices, but you are relying on the provider’s service and account-recovery process.
  • Locally maintained vault: Keeping the database local can give you more direct control, but you are responsible for secure backups and keeping the vault available and up to date across devices.
  • Recovery: Understand what happens if you forget the manager’s account password or lose a device. Follow that service’s documented recovery process; features and options differ.
  • Compatibility: Make sure the manager works with the browsers, computers, and mobile devices you actually use. Check how it handles saving new passwords and autofill.

CISA’s password-manager guidance discusses device compatibility, storage, backups, recovery, MFA, and provider vetting. Do not keep your complete password collection in an accessible plaintext file on a device.

Set up unique passwords in a practical order

  1. Choose a manager. Check its device and browser support, vault and synchronization approach, generator, autofill, recovery process, and MFA options.
  2. Secure the manager account. Set a strong, unique password for it and turn on MFA if available. Store recovery information according to the manager’s own instructions.
  3. Start with high-impact accounts. Prioritize your primary email, financial accounts, and services used to recover other accounts. Email is especially important because password-reset messages for other services may go there.
  4. Replace reused or weak credentials. For each account, generate a different password that the service accepts. Save it directly in the vault, then use the manager’s autofill or copy-and-paste feature where supported.
  5. Continue across your accounts. Replace passwords that are reused or easy to guess. NIST says services should allow password managers and autofill as part of its verifier requirements.
  6. Turn on MFA. Enable it on the manager and important accounts wherever offered. Choose a method compatible with the service and your devices.

Add multifactor authentication to important accounts

MFA asks for another form of verification in addition to a password, creating another barrier if the password is exposed. CISA explains the added protection in its MFA overview.

When an account supports it, a phishing-resistant security key is a strong option. A security key is an optional MFA device, not a password manager and not a place to store every site password. Some accounts or devices may not support one. CISA’s MFA guidance for small and medium businesses describes security keys, authenticator apps, biometrics, and text or email codes; it offers a general hierarchy of options, not a promise that every personal account supports them all. If a key is unavailable, use the strongest MFA method the account offers and that you can use reliably.

When should you change a password?

Do not change every password on a calendar just to satisfy a routine. NIST SP 800-63B-4 states, “Verifiers SHALL NOT require subscribers to change passwords periodically,” and calls for a change when there is evidence that an authenticator has been compromised. See NIST’s current guidance.

Change a password when you learn it may have been exposed, when the service requires a change, or when you discover that you reused it and need to replace it with a distinct one. If you replace a reused password, update every account where you used it—not just the service associated with the first warning—and save a different generated credential for each.
