To create an OCR file from an existing image or PDF, upload it to Google Drive on a computer, right-click the file, and choose Open with → Google Docs. Drive creates a Google document containing recognized text. Google documents PDF, JPEG, PNG, and GIF inputs, recommends files no larger than 2 MB with text at least 10 pixels high, and warns that tables, columns, lists, footnotes, and endnotes may not survive conversion. For paper pages, use the Google Drive mobile app to scan and save a searchable PDF. Always proofread the result before treating it as authoritative.
What an OCR file does
OCR means optical character recognition: software examines letters in a picture and produces selectable, searchable characters. Without OCR, a photograph of a page is just a grid of pixels. You may be able to view it, but you cannot reliably search for a phrase, copy a paragraph, edit a typo, or use the text with another application. An OCR conversion adds a text layer or creates an editable document while leaving the original image or PDF available for visual reference.
The result is useful for photographed notes, scanned forms, receipts, book pages, archival documents, and PDFs that contain page images instead of selectable text. Recognition is not the same as transcription by a person. A faint mark can become the wrong letter, and a complex page can become correct words in the wrong order. Treat the converted text as a draft that needs checking, especially when it contains names, figures, addresses, legal language, medical information, or instructions.

They solve different problems. The computer workflow starts with a file you already have. The mobile workflow starts with paper in front of you.
Choose the right workflow
| Starting point | Use | Output described by Google | Important qualification |
|---|---|---|---|
| PDF or photo already stored on a computer | Google Drive on the web, then Open with → Google Docs | A converted Google document containing recognized text | Formatting and line breaks may be retained, but lists, tables, columns, footnotes, and endnotes are not likely to be detected. |
| Paper document you need to capture | Google Drive mobile app on Android | A searchable PDF saved in Drive; Android also offers PDF or JPG save choices in the documented scan flow | You capture and adjust pages before naming and saving the file. |
| Another OCR provider or a specialist workflow | Evaluate it against your actual document and requirements | Not established by the Google documentation used here | Check language and file support, recognition quality, layout handling, export options, privacy, account requirements, cost, and whether processing is on-device or in the cloud. |
Prepare the source before conversion
Recognition quality is mostly constrained by the source image. Google’s stated preparation guidance is specific: supported inputs are PDF, JPEG, PNG, and GIF; the file should be 2 MB or smaller; and the text should be at least 10 pixels high. The 2 MB and 10-pixel figures are preparation recommendations, not a measured accuracy guarantee or a promise that every document meeting them will convert perfectly.
Use a readable image
- Keep the page upright. Rotate a sideways or upside-down page before uploading when possible. A consistent reading direction gives the recognizer a clearer structure.
- Make characters sharp. Avoid motion blur, focus errors, and aggressive compression. If letters have soft edges, the system has less information from which to distinguish similar characters.
- Light the page evenly. Glare, shadows, and a dark strip near the binding can hide parts of letters. Re-capture a page rather than expecting software to restore missing strokes.
- Maximize contrast. Dark text on a light background is easier to interpret than gray text on a textured or colored background.
- Keep text large enough. Google’s guidance calls for text at least 10 pixels high. If a full-page photograph makes the words tiny, capture a closer image or divide the document into readable pages.
- Remove avoidable clutter. Keep fingers, clips, sticky notes, and unrelated objects out of the frame. They can be interpreted as marks or disrupt the page boundary.
Check the file and language
Confirm that the file is actually a PDF, JPEG, PNG, or GIF and that it is within the stated 2 MB recommendation. Drive says it detects the document language. That detection does not remove the need to inspect names, accents, mixed-language passages, or specialist vocabulary. A page can be visually clear and still produce errors when its writing system or terminology is unusual.
Keep the original
Make a copy or retain the original file before converting. The original is your evidence when you correct a recognition error, investigate a missing line, or need to reproduce the conversion with a better scan. Use a filename that distinguishes the source from the converted document, such as invoice-2026-10-18-original.pdf and invoice-2026-10-18-ocr.

Convert an existing image or PDF on a computer
Google documents the following Drive workflow for PDF and photo files. The menu wording can vary slightly with account or interface updates, but the essential action is to open the file with Google Docs.
- Open Google Drive in a computer browser. Sign in to the Drive account where you want the converted document stored.
- Locate the source file. Find the PDF, JPEG, PNG, or GIF in My Drive or upload it first. Confirm that it is within Google’s stated 2 MB preparation recommendation.
- Open the file’s context menu. Right-click the file, or use the equivalent menu command if you are using a keyboard or a trackpad.
- Choose Open with → Google Docs. Drive creates a Google Docs version and places the recognized text in that document.
- Wait for the document to load. For a multi-page source, inspect the converted document from the first page through the last rather than assuming every page behaved the same way.
- Compare the text with the source. Keep the original file open in another tab or window. Check headings, names, dates, numbers, punctuation, page breaks, and any line that looks unusually short or nonsensical.
- Correct and label the result. Make edits in the Google document, then rename it so nobody mistakes the OCR draft for the untouched source. If you need an offline copy, export it only after reviewing the text and selecting the format your next application requires.
The conversion creates usable text, but it does not promise a replica of the page. Google says text styling and line breaks may be retained. That wording describes a possibility, not a guarantee: a visually similar heading may remain a heading, while spacing, indentation, or page placement changes.
Scan paper with Google Drive on Android
If you have paper rather than a digital file, Google’s separate Android workflow uses the Drive mobile app. Its purpose is capture first; the saved document is described as a searchable PDF. The documented flow also lets you choose PDF or JPG on Android.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →- Open the Google Drive app on Android. Sign in to the Drive account that should receive the scan.
- Start a document scan. Use the app’s scan action and point the camera at the page. Keep the phone parallel to the paper so the edges are not excessively skewed.
- Capture the page. Hold the phone steady and make sure all text is inside the frame. Avoid glare and strong shadows before taking the picture.
- Adjust the capture. Review the page and use the available controls to crop or otherwise adjust it. Re-capture a page if characters are blurred, clipped, or hidden by a fold.
- Add additional pages when needed. Continue capturing the document’s pages in order, checking each preview before moving on.
- Name the file. Choose a descriptive name that includes the document’s subject or date, rather than accepting an ambiguous camera filename.
- Select the save format offered by the app. Google’s Android guidance describes PDF or JPG choices and identifies scanned documents as searchable PDFs. Choose the format that matches whether you need a multi-page searchable document or individual image files.
- Save to Drive and verify it. Open the saved file, search for a distinctive word, and inspect several pages. Searchability confirms that a text layer is present; it does not prove that every word was recognized correctly.
Do not confuse this capture workflow with opening an existing image with Google Docs. The first produces a scan saved in Drive; the second converts an existing PDF or photo into a Google document.

What the conversion preserves—and what it can lose
Google’s computer instructions say that text styling and line breaks may be retained. That can make a plain page easier to edit, but it should not be interpreted as full page-layout preservation.
- Likely to be useful: the words become selectable, searchable, and editable; some basic styling and line breaks may carry over.
- At risk: lists, tables, columns, footnotes, and endnotes. Google states that these elements are not likely to be detected.
- Potentially reordered: multi-column pages can read down one column and then another, or combine lines in an order that differs from the visual page.
- Potentially flattened: a table may appear as separated lines of text rather than cells, so copying a row into a spreadsheet can require manual reconstruction.
- Potentially detached: a footnote marker may remain while its note moves, disappears, or joins the main paragraph.
For a page whose layout carries meaning—such as a financial table, a form with aligned fields, or a two-column manual—keep the image or PDF beside the OCR text. Use the OCR copy for searching and first-pass editing, not as the sole record of where each item appeared.
Review the OCR result systematically
A quick visual glance is not enough for important documents. Use a repeatable review so errors are found before the text is shared or imported elsewhere.
Free tools Windows power users keep installed
One-click scans. No signup required.
Pass one: find obvious recognition errors
- Search for unusual symbols, repeated replacement characters, and words that are not in the document’s vocabulary.
- Check characters that are commonly confused by poor scans, such as similar-looking letters and digits.
- Inspect every number, decimal separator, date, reference code, and currency amount individually.
- Compare names, email addresses, URLs, and street addresses character by character with the source.
Pass two: check structure
- Compare the number and order of pages with the original.
- Look for headings that became ordinary paragraph text, list items that lost their markers, and columns that interleaved.
- Rebuild tables manually when the relationship between rows and columns matters.
- Reconnect footnotes or endnotes to the text they explain, using the source page as the authority.
Pass three: preserve traceability
- Keep the original beside the edited document.
- Record that the text was produced by OCR and note who reviewed it if the file will be used by a team.
- Use versioned filenames or the document’s revision history so a later editor can distinguish recognized text from corrections.
- When quoting or publishing a critical passage, verify it against the page image rather than relying on search results alone.
Troubleshoot common failures
The Open with option is missing
Confirm that you are working in Google Drive on a computer and that the item is a supported PDF or photo file. If you are viewing a preview, return to the file list and open the context menu on the actual file. A mobile scan is a different workflow and will not present the same computer conversion command.

The conversion produces little or no text
Inspect the source at high zoom. If letters are blurry, too small, hidden by glare, or low contrast, create a sharper, better-lit image and try again. Check the file type and size against Google’s stated supported formats and 2 MB recommendation. A page that is mostly handwriting, artwork, or background texture may provide too little clearly printed character information for dependable recognition.
Words are present but wrong
Do not silently accept plausible-looking errors. Compare the doubtful line with the image, correct it in the document, and re-capture the source if the same class of error appears throughout. Pay special attention to names, numbers, punctuation, and language-specific characters.
The page looks scrambled
Complex layout is a known limitation of this workflow. Google specifically warns that lists, tables, columns, footnotes, and endnotes are not likely to be detected. Preserve the original layout as the visual record, then reconstruct only the structures you actually need in the editable document.
The PDF can be searched but the text is not trustworthy
Searchability only indicates that a text layer exists. Open each search hit in context and compare it with the page image. For high-consequence use, have a second person check the corrected text or use the OCR output only to locate passages, then transcribe those passages manually.

A mobile scan is hard to read
Revisit the captured page before saving: straighten it, crop away the surrounding surface, remove shadows, and retake any page with clipped edges or blur. Save the pages in order and test a distinctive search term after the file reaches Drive.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Handling multi-page and repeat jobs
For a batch of documents, consistency prevents later confusion. Establish a filename pattern before you start, such as subject, date, page range, and status. Keep source files in one folder and converted or reviewed files in another. Process one document at a time when page order matters, and verify the first, middle, and final pages before moving to the next file.
If several pages belong to one paper document, scan them as one ordered set in the mobile workflow when that is practical. If you instead have separate image files, convert them deliberately and record which converted document corresponds to which source. Do not delete the images after a successful conversion; they are needed to resolve ambiguous characters and layout questions.
When to consider a different OCR tool
The documented Drive workflow is a practical baseline, not evidence that it is the best choice for every script, document type, or privacy requirement. Consider another workflow only after defining what the document demands.
| Decision question | Why it matters | What to verify before committing |
|---|---|---|
| Does it support the file type? | A tool may accept photos but not a particular PDF structure, or may limit multi-page input. | Supported extensions, page limits, maximum file size, and whether image-only PDFs are handled. |
| Does it recognize the document’s language or script? | Language detection and character sets affect names, accents, and non-Latin writing. | Supported languages, mixed-language behavior, and how the language is selected or detected. |
| Must layout remain editable? | Tables, columns, forms, and footnotes can be more important than plain text. | Table and column reconstruction, reading order, footnote handling, and export formats. |
| Where may the document be processed? | Cloud processing can have different organizational or confidentiality implications than on-device processing. | Data handling, retention, account requirements, administrative controls, and deletion terms. |
| What will you do with the output? | Search, editing, spreadsheet import, archiving, and accessibility can require different formats. | Whether output is searchable PDF, editable document, plain text, or another format, and how corrections are made. |
| How will you measure quality? | A visually convincing page can still contain critical character errors. | Test representative pages from your own documents and manually verify important fields. |
Do not infer accuracy rankings, prices, privacy guarantees, or language coverage from the existence of an OCR feature. Those are separate claims that require current, provider-specific evidence.
A practical quality checklist
Before you deliver or archive an OCR file, run this checklist:
- The original PDF or image is preserved.
- The input is a supported PDF, JPEG, PNG, or GIF and follows the stated size recommendation where the computer workflow is used.
- Pages are upright, sharp, evenly lit, high contrast, and readable at the recommended text size.
- The converted document opens and contains text on every expected page.
- Search finds several words that are visibly present in the source.
- Names, dates, numbers, addresses, codes, and punctuation were checked against the image.
- Lists, tables, columns, footnotes, and endnotes were inspected for lost structure.
- The filename identifies the document and whether it is original, OCR-converted, or reviewed.
- Readers know that the text was recognized from an image and has been corrected where necessary.
Following these steps gives you a searchable, editable working copy without confusing recognition with proof. The image or PDF remains the authoritative visual source whenever the OCR text and the page disagree.
