A practical AI usage policy tells employees which tools they may use, what information they may enter, which activities need approval, and who remains accountable for the result. The strongest policies combine an approved-tool list, data-handling rules, risk-based approvals, human review, security and quality testing, disclosure requirements, training, incident reporting, and a scheduled review.

Start with a small inventory of real and proposed AI uses, classify each by potential harm, and require documented approval before production use. Treat employment, credit, health, safety, legal-rights, biometric and other consequential applications as high-risk until privacy, security, legal and subject-matter specialists clear them. Keep a named policy owner, version number, decision records and a review date so the document can be enforced rather than merely published.

What an AI usage policy must accomplish

An AI usage policy is an internal control document, not just a list of prohibited prompts. It connects the organization’s goals for artificial intelligence with enforceable rules for people, software and vendors. It should answer six questions for every use:

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • What business outcome is the system intended to support?
  • Who may use it, with which account and permissions?
  • What data may be processed, where is it stored and how long is it retained?
  • What level of review and approval is required before and after launch?
  • Who is accountable when an output is wrong, biased, unsafe or unlawful?
  • How can a person report a problem, obtain a correction or stop the use?

Put the policy under a named owner, record its version and effective date, and specify the next review date. Assign related procedures—such as vendor assessment, access provisioning, incident response and records retention—to identifiable teams. A policy without an owner, evidence of approvals or a way to report violations is difficult to apply consistently.

Step 1: Set objectives and scope

Write the purpose before writing rules. State why the business is adopting AI, what benefits are expected and what the organization will not delegate to a model. Typical objectives include drafting internal material, summarizing documents, assisting software development, forecasting demand or supporting customer-service agents. The purpose should not imply that automation is acceptable merely because it is efficient.

Define who and what the policy covers

  • People: employees, contractors, temporary staff, interns, board members and any other person using company resources.
  • Systems: public generative tools, enterprise subscriptions, embedded AI features in ordinary software, internally hosted models, APIs, scripts, agents and automated workflows.
  • Third parties: suppliers, consultants, processors, resellers and customers who may receive an AI-generated output or connect a system to company data.
  • Business units: subsidiaries, acquired companies, regional offices and joint ventures that are included or explicitly excluded.
  • Locations: countries where users, data subjects, infrastructure or customers are located. Geographic scope affects privacy and AI regulation.

Explain whether the policy applies only to company accounts or also to personal accounts used for work. A clear rule is safer than assuming staff know the difference: for example, work information may be processed only through tools approved for that information class, regardless of who pays for the account.

Step 2: Inventory uses, models and data

Do not begin with a generic list of allowed prompts. Record each proposed or existing use in a central register. An inventory exposes duplicate tools, unowned experiments and sensitive workflows that employees may not realize are AI-enabled.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Minimum inventory fields

Field What to record Why it matters
Use case and owner Plain-language purpose, accountable business owner and technical contact Creates responsibility for outcomes and changes
Model and vendor Product, model version, deployment region, account type and subprocessors Terms, retention and behavior can differ by model and plan
Users and access Roles, departments, service accounts and authentication method Supports least privilege and offboarding
Inputs Data classes, personal-data categories, customer restrictions, source systems and volume Determines lawful basis, minimization and leakage risk
Outputs and actions Who receives the output and whether it changes a record, decision or external communication Separates advisory assistance from consequential automation
Affected people and geography Employees, applicants, customers or members of the public, plus relevant countries Identifies rights, discrimination and jurisdictional obligations
Retention and deletion Input, output, log and backup retention periods and deletion method Prevents indefinite copies and supports audit requests
Fallback Manual process, alternate tool or service-level response if the model is unavailable or unsafe Stops an outage or error from becoming a business interruption

Have each owner confirm the inventory at least annually and whenever a model, vendor, data source, purpose or geography changes. An AI feature added to an existing business application should enter the register even if nobody considers it a separate project.

Step 3: Apply risk tiers

Use a simple tiering method that determines the amount of evidence and approval needed. Risk is about the consequence of an error and the difficulty of detecting or correcting it, not about whether a tool is marketed as advanced.

Tier Typical uses Minimum controls
Low impact Brainstorming, formatting, translation of non-sensitive text, meeting-note drafts or code comments that are reviewed before use Approved tool, prohibited-data rule, user training and human check before publication
Moderate impact Internal analysis, support-agent suggestions, document classification or code that can reach a test environment Named owner, security and privacy review, representative testing, access controls, logging, quality thresholds and an incident route
High impact Hiring or termination, credit or insurance, health or safety, legal rights, biometric identification, eligibility, essential-service access or decisions that materially affect a person Specialist privacy, legal, employment, security and domain review; documented impact assessment; validated data and performance evidence; meaningful human decision authority; explanation, correction and appeal paths; continuous monitoring and an approved stop-use procedure

When a use fits more than one tier, apply the highest tier. Escalate uncertain cases rather than allowing a team to self-classify a consequential workflow as low risk. A model that only drafts a recommendation can still be high impact if a manager routinely accepts it without independent review.

Step 4: Build an approval gate before production

Require approval before a system handles business data in production or influences an external person. The gate should produce a durable record, not an informal message in a chat channel.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Submit a use-case record. The owner states the intended outcome, users, model, data, affected people, geography, expected benefits, known limitations and fallback process.
  2. Classify the risk. The owner proposes a tier; a designated risk or governance reviewer confirms or changes it.
  3. Review privacy and data protection. Confirm purpose limitation, minimization, retention, access, cross-border transfers and the lawful basis when personal data is processed.
  4. Review security. Assess authentication, permissions, encryption, logging, secret handling, prompt injection, data exfiltration and the vendor’s security commitments.
  5. Review legal, procurement and intellectual property issues. Check contract terms, confidentiality, licenses, ownership expectations, sector rules and any required disclosure.
  6. Test the system. Use representative and edge-case inputs; document accuracy, failure modes, bias, robustness and security results against pre-set thresholds.
  7. Approve conditions. Record the approved purpose, data classes, model version, user roles, review duties, monitoring frequency, expiry or review date and stop-use triggers.
  8. Release with controls. Provision only approved accounts, configure retention and logging, publish user instructions and provide a reporting channel.

Business, security, privacy or legal, and procurement sign-off may be combined in a small organization, but each responsibility must still be assigned to a named person. High-impact uses should not be approved solely by the team that benefits from automation.

Step 5: Set data and confidentiality rules

The safest default is that employees may not enter personal, confidential, regulated or client-restricted information into an unapproved AI tool. Make the rule concrete by mapping it to the organization’s data classification scheme.

Data class Default treatment Required conditions
Public May be used with approved tools Check that the material is genuinely public and that the output will not create a misleading endorsement or disclosure
Internal Use only in tools configured for business data Authenticated account, access limited to the team, retention and training settings reviewed
Confidential Prohibited in consumer or unapproved tools Explicit approval, contractual protection, minimization, restricted access, logging and deletion controls
Personal, regulated or client-restricted Prohibited unless the use is approved for that data Documented purpose and lawful basis, privacy review, data-subject safeguards, retention limit, vendor terms and a process for rights requests
Secrets and credentials Never enter into prompts or upload files Use a secret manager and approved integration; rotate immediately if exposure is suspected

Require minimization and safe handling

  • Remove names, identifiers, account numbers and unnecessary free text before submitting a prompt.
  • Use synthetic or masked records for development and testing whenever they can answer the question.
  • Do not assume that deleting a chat removes provider logs, backups, training copies or exported files; verify the contract and configuration.
  • Restrict downloads, browser extensions, plugins and automated connectors that can move output into other systems.
  • Record retention for prompts, outputs, evaluations and approvals separately from the model vendor’s retention settings.

For personal data, document the purpose and lawful basis in the organization’s privacy notice where required. A lawful basis does not by itself authorize an unrestricted upload: purpose limitation, fairness, transparency, minimization and security still apply.

Step 6: Keep humans accountable

AI may assist a decision-maker, but it does not take responsibility for a company’s decision. The policy should identify which person reviews an output, what they must check and what authority they have to reject or override it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Define meaningful review

  • The reviewer understands the model’s intended use, known limitations and confidence signals.
  • The reviewer checks material facts against reliable source records rather than accepting fluent text as proof.
  • The reviewer can change the result, request more information or stop the process without a penalty for disagreeing with the model.
  • The organization provides a correction, complaint or appeal route when a person is affected.
  • For high-impact uses, the reviewer documents the rationale and the evidence considered, subject to applicable privacy rules.

Do not describe a person who merely clicks approve after an automated recommendation as meaningful oversight. If volume makes individual review unrealistic, redesign the workflow, lower the system’s authority or do not deploy it for that purpose.

Step 7: Test quality, bias and security

Testing must reflect the decisions and populations the system will encounter. Define pass and fail criteria before looking at results, and repeat testing after a material model, prompt, data or workflow change.

Quality and robustness checks

  • Measure factual accuracy, completeness, relevance, latency and refusal behavior against a representative test set.
  • Include rare, ambiguous, adversarial and out-of-distribution inputs; record examples of confident but incorrect answers.
  • Test whether small wording changes produce materially different outcomes where consistency matters.
  • Check that citations, calculations, code and structured fields are validated by an independent method.
  • Set variance thresholds and an escalation owner. Define a stop-use condition before launch, not after an incident.

Fairness and discrimination checks

Compare error rates and outcomes across relevant groups, while respecting data-protection limits. Investigate proxy variables, missing data and historical patterns that could reproduce discrimination. For recruitment, assess the entire process—from data collection and screening to retention and explanations—not only the model’s headline accuracy.

Security checks

  • Probe for prompt injection, instruction conflicts, unauthorized tool calls and retrieval of data outside the user’s permissions.
  • Attempt data-leakage scenarios using confidential strings, hidden instructions and malicious documents.
  • Verify that logs do not expose secrets and that output cannot execute code or commands without a separate control.
  • Test vendor and integration failure modes, including account takeover, service compromise and an unavailable model.

Monitor production performance and incidents, not just the initial test report. A model update, new training data, changed prompt, new integration or change in user population can invalidate earlier evidence.

Step 8: Address intellectual property and disclosure

Require provenance checks before publishing, shipping or relying on AI-assisted work. Users should retain source notes, verify licenses and avoid presenting generated material as original when that would mislead a customer, employer, regulator or collaborator.

  • Do not upload third-party confidential material unless the contract permits the processing and the approved tool has suitable controls.
  • Check code, images, text, data and audio for license restrictions, copied material, personal information and security defects.
  • Document substantial AI assistance when a law, contract, customer expectation or internal rule requires disclosure.
  • Keep a human author or reviewer responsible for claims, creative choices, technical correctness and compliance.

The policy should distinguish internal transparency from external disclosure. A team may need to record the model and prompt for audit purposes even when a customer-facing notice is not required; conversely, a customer contract may require disclosure even when internal records are complete.

Step 9: Train, attest and enforce

Training should match the person’s role and the risk of the use. A general introduction can cover approved tools, data classes, hallucinations, bias, security and reporting. Developers need additional instruction on secrets, dependencies, testing, code review and deployment controls. Managers need to recognize automation bias and ensure that reviewers have time and authority to challenge outputs. Privacy, security, procurement and legal staff need procedures for assessments and escalations.

Make compliance operational

  • Publish an approved-tool catalogue with the permitted data class, owner, account type and prohibited uses for each tool.
  • Require a short policy acknowledgement or periodic attestation for users with access to higher-risk systems.
  • Provide a single reporting channel for suspected data exposure, harmful output, discrimination, policy violations and vendor incidents.
  • Define proportionate consequences, from retraining and access removal to disciplinary action, while preserving good-faith reporting and investigation rights.
  • Record attendance, attestations, approvals, test evidence, incidents, decisions and corrective actions according to the organization’s retention schedule.

Enforcement should focus on preventing harm and correcting controls. A rule that threatens punishment for every accidental mistake can discourage early reporting, which makes incidents harder to contain.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 10: Monitor, respond and review

Monitor the approved use

Choose measures tied to the risk: error and override rates, complaints, disparate outcomes, security alerts, data-retention exceptions, access changes, model drift and time to resolve incidents. Set a frequency appropriate to the tier. Low-impact productivity tools may receive periodic sampling; high-impact systems need routine metric review and documented escalation.

Define an incident process

  1. Stop or isolate the affected workflow when continued use could increase harm.
  2. Preserve relevant prompts, outputs, logs, model version, access records and decisions without spreading sensitive material.
  3. Notify the policy owner and the appropriate security, privacy, legal, employment or safety contacts.
  4. Assess affected people, data, systems, jurisdictions and reporting deadlines.
  5. Correct, delete, notify or remediate as required; provide a correction or appeal route where a person was affected.
  6. Record root cause and update prompts, permissions, training, vendor terms or the approval decision before resuming.

Review on a defined trigger

Review the policy at least annually and sooner after a material model or vendor change, a new law or regulatory interpretation, an incident, a new business purpose, an acquisition or a change in the affected population. Give every version an effective date and archive prior versions so investigators can determine which rule applied at the time.

Use recognized frameworks without treating them as safe harbors

NIST AI Risk Management Framework

The National Institute of Standards and Technology describes AI RMF 1.0 as a voluntary framework released January 26, 2023. It is intended to improve the incorporation of trustworthiness considerations into the design, development, use and evaluation of AI products, services and systems. Its Playbook organizes actions under Govern, Map, Measure and Manage. NIST released the Generative AI Profile, NIST-AI-600-1, on July 26, 2024. The framework is designed to scale across organization sizes and sectors, and NIST reports that more than 240 organizations from industry, academia, civil society and government contributed to its development.

Use the four functions to structure your register and approval evidence: Govern assigns accountability and policy; Map identifies context and impacts; Measure produces testing and monitoring evidence; Manage selects and tracks risk responses. NIST RMF is voluntary and is not a legal safe harbor, certification or substitute for sector-specific duties.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

European Union exposure

If the organization develops, provides, deploys or uses AI connected to the European Union, map each use to its role and the AI Act risk category. The result depends on the system, activity, people affected and geographic connection; a company outside the EU may still need specialist advice when its systems affect people in the EU.

The European Commission states that general-purpose-AI provider obligations include technical documentation, a copyright policy and a public summary of training content, with those obligations applying from August 2, 2025. The Commission published scope guidelines on July 18, 2025. These are provider obligations in the cited context; they do not eliminate the need for a deployer to assess its own use, transparency duties, prohibited practices and high-risk controls.

United Kingdom personal-data processing

The Information Commissioner’s Office says organizations need a methodology to audit AI so that data is processed fairly, lawfully and transparently, with measures to assess and manage risks to people’s rights and freedoms. Its fairness guidance connects unjust discrimination with a breach of the fairness principle and calls for data-protection-by-design, testing and ongoing monitoring.

On November 6, 2024, the ICO reported almost 300 recommendations to recruitment-tool providers, including accurate data collection, minimization, transparent explanations, retention periods and checks to mitigate discrimination. Its lawfulness guidance, updated October 28, 2024, says organizations must identify a lawful basis for AI processing and include the basis and purposes in the privacy notice. UK requirements and guidance can change as legislation develops, so a UK deployment should receive current privacy review.

Choose a baseline or mature policy

A small organization does not need a large committee to begin controlling risk. It does need a usable minimum and a plan to expand controls as the inventory grows.

Control area Lightweight baseline Mature governance policy
Scope Employees and contractors using approved tools for internal productivity All subsidiaries, vendors, customer-facing systems and high-impact uses
Approval Owner records purpose, tool, data class and fallback; designated reviewer approves Business, security, privacy or legal, procurement and domain specialists sign off by risk tier
Data No personal, confidential, regulated or client-restricted data in unapproved tools Purpose and lawful-basis records, minimization, retention schedules, transfer assessment, contracts and technical controls
Human review Check every externally used or consequential output Documented reviewer authority, correction and appeal routes, quality sampling and independent oversight
Testing Representative examples, known limitations and a stop-use contact Formal test sets, bias and security evaluations, thresholds, model-change testing and validation evidence
Monitoring Periodic owner check and incident reporting Dashboards, variance thresholds, scheduled audits, drift reviews and board or risk-committee reporting
Documentation Use register, approved-tool list and approval record Impact assessments, data maps, contracts, test artefacts, version history and decision logs
Training Annual briefing and policy acknowledgement Role-based training, attestations tied to access, exercises and competency checks
Incident response One channel to stop use and escalate suspected exposure or harm Severity levels, response times, evidence preservation, regulatory assessment, notification and corrective-action tracking
Jurisdiction Identify where users and data subjects are located Maintain country-specific overlays and re-review when laws, roles or risk classifications change

Start with the baseline if resources are limited, but apply the mature controls immediately to high-impact uses. Expand the policy when the inventory shows customer exposure, sensitive data, automated actions or cross-border obligations.

Policy clauses you can adapt

The following clauses are deliberately operational. Tailor them to contracts, sector rules, collective agreements and local law before adoption.

Approved use

Implementation checklist

First 30 days

  • Name the policy owner and executive sponsor.
  • Publish a temporary rule prohibiting sensitive data in unapproved tools.
  • Collect the initial inventory from department heads, procurement, security and privacy teams.
  • Identify high-impact or customer-facing uses for immediate specialist review.
  • Create an approved-tool list and a single incident-reporting channel.

Days 31–60

  • Set risk tiers, approval forms, data rules and minimum testing evidence.
  • Configure identity, access, retention, logging and connector controls for approved tools.
  • Run role-based training and require acknowledgement for users with access.
  • Test representative quality, bias and prompt-injection scenarios for moderate and high-risk uses.
  • Document fallback processes and stop-use triggers.

Days 61–90

  • Complete privacy, security, procurement and legal reviews for production uses.
  • Publish the final policy with version, effective date, owner and review date.
  • Begin monitoring metrics and sample human reviews.
  • Exercise the incident process and record corrective actions.
  • Map relevant uses to NIST, EU and UK obligations where those jurisdictions apply.

Common failures and how to correct them

A blanket ban drives use underground

Symptom: employees use personal accounts because no approved alternative exists. Correction: provide a sanctioned low-risk tool, prohibit sensitive data, and make the reporting route safe enough for employees to disclose experiments.

A long policy has no operational controls

Symptom: the document mentions fairness and security but contains no owner, thresholds, logs or approval record. Correction: attach each principle to a form, system setting, reviewer duty or measurable check.

Human review is only ceremonial

Symptom: reviewers approve every recommendation under time pressure. Correction: reduce automation authority, measure overrides, provide source evidence and give reviewers the time and authority to reject an output.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Model updates invalidate testing

Symptom: a vendor changes the model or retention behavior without a new assessment. Correction: contractually require change notices where possible, monitor versions and trigger reassessment for material changes.

Privacy review starts after launch

Symptom: the team discovers that prompts contain personal data or that the privacy notice omits the use. Correction: require purpose, lawful basis, minimization, retention and transparency decisions at the approval gate.

Incident response treats output errors as ordinary bugs

Symptom: a harmful answer is corrected informally but affected people, logs and regulatory duties are not assessed. Correction: use the incident process, preserve evidence, contain the workflow and document remediation.

Final decision rule

Approve an AI use only when the organization can explain its purpose, control its data, test its behavior, assign a human decision-maker, monitor the result and stop the workflow safely. If any of those conditions is missing—especially for a consequential decision—keep the use in experimentation or do not deploy it. Revisit the decision when the model, vendor, law, data or affected population changes.
