A useful brand style guide tells every contributor exactly how your organization should look and sound on its website, social channels, and other public touchpoints. It combines approved assets with usage rules, examples, accessibility requirements, and editorial guidance. The goal is not a folder of logos and color codes; it is a practical source of truth that lets a teammate, contractor, or agency make on-brand decisions without asking the original creator to interpret every page.
What a brand style guide does
A brand style guide standardizes public presentation across visual and verbal choices. It explains which logo, colors, typefaces, images, words, and layouts to use, where to use them, and what to avoid. Shopify describes guidelines as covering website and social-media presentation, while the W3C brand standards document covers logo, color, typography, and image treatment.
A guide should help a contributor answer practical questions such as:
- Which logo file belongs on a dark background?
- How much clear space must surround the mark?
- Which colors are primary, secondary, or reserved for warnings?
- What typeface and fallback should a webpage use?
- How should a short social caption sound compared with a support article?
- What image alternative, caption, or transcript is required?
- Where is the current approved asset, and who can authorize a change?
Public brand guides are examples rather than universal rules. Your guide should reflect your organization’s audience, team, channels, legal requirements, and production workflow.

Decide the guide’s audience and scope
Write the first page for the people who will actually use the document. That may include an internal marketing team, product and support writers, social managers, freelancers, agencies, partners, or all of them. State whether the rules are mandatory for external communications, recommended for internal material, or different by channel.
List the covered touchpoints
Make a concrete inventory instead of saying “all communications.” For example, include the marketing website, product interface, email, help center, social profiles, social posts, campaign landing pages, presentations, downloadable documents, event graphics, and video. If a channel is out of scope, say so. A contributor should not have to guess whether a rule applies to a profile avatar, a paid campaign, or an internal slide.
Describe the source of truth
Put the guide and current assets in a known location. Link each asset category to its authoritative folder or library, and identify the person or team that approves changes. A simple header can show the owner, version, last-updated date, and change-request method. Avoid distributing multiple unmarked copies that can silently become obsolete.
Summarize the brand foundation
Begin with a short foundation that helps people make choices without turning the guide into a lengthy strategy document. State the organization’s purpose, primary audience, positioning, and the qualities the brand should convey. For example, you might describe a service as “clear, capable, and calm” for time-poor small-business owners. Those qualities should influence color, photography, vocabulary, and interaction design.
Keep the foundation actionable. Pair each desired quality with a behavior:
- Clear: use direct headings, concrete verbs, and one main call to action.
- Capable: explain limitations and evidence rather than making inflated promises.
- Calm: use restrained motion, generous spacing, and a helpful rather than urgent tone.
Do not present one strategy framework as mandatory. The purpose of this section is to give contributors a decision filter when a later rule does not cover a new format.
Document logo rules
Provide downloadable, approved files in the formats contributors need, then document how each file may be used. Include vector artwork for scalable print and design work, plus suitable raster exports for web and social use. Name files descriptively, include color mode where relevant, and identify the current version.
Define variants and contexts
Show the full logo, compact or stacked mark, symbol, monochrome version, and reversed version only if they are genuinely approved. Explain which variant belongs on a website header, profile avatar, narrow mobile layout, dark image, light background, or single-color document. State minimum display size when small rendering makes details unreadable.
Specify placement and clear space
Give a measurable clear-space rule, such as a distance based on a letter or symbol in the logo, and illustrate it around all sides. State whether the mark may appear in a fixed header position, footer, document cover, or social template. Explain alignment with nearby text and whether it may be cropped in an avatar.
Show prohibited use
Include visual examples of incorrect treatment. Typical prohibitions include stretching, skewing, recoloring, adding effects, rotating, placing it over a busy image, changing the relationship between symbol and wordmark, or rebuilding it with a substitute typeface. W3C’s brand standards explicitly distinguish permitted and non-permitted external logo examples; your guide should make that distinction just as clear.

Build a color system people can use
A color list is not enough. Record each color’s name, role, values, and approved combinations. Contributors may need HEX for web styles, RGB for screens, and CMYK or spot references for print. If a value differs by medium, label the difference rather than leaving users to convert it themselves.

|---|---|---|
| Primary | Name, HEX, RGB, print value, and light or dark variants | Brand accents, key headings, major surfaces |
| Secondary | Values, permitted pairings, and usage limits | Charts, supporting graphics, campaign areas |
| Neutral | Background, text, border, and disabled-state values | Readable layouts and interface structure |
| Semantic | Success, warning, error, and informational treatments | Status messages and system feedback |
Assign hierarchy and proportion
Explain which colors should dominate and which are accents. A rule such as “use the primary color for action buttons and no more than one accent per social tile” is more useful than “use the palette consistently.” Show a sample webpage, post, and presentation slide so users can see the intended balance.
Check contrast and meaning
Brand colors are not automatically accessible. Check text and interactive-element combinations against the applicable current WCAG requirements, including normal text, large text, icons, borders, focus indicators, and disabled states where relevant. Record approved combinations and combinations that fail.
Never use color as the sole signal for meaning. Pair a status color with a text label, icon, pattern, position, or other visible cue. A red field should also say “Error,” and a chart category should have labels or patterns in addition to color. W3C accessibility guidance supports both readable contrast and non-color cues.
Set typography and layout rules
Identify the type families, weights, styles, and licenses contributors may use. Define a hierarchy for page titles, section headings, body text, captions, labels, buttons, and metadata. Include line-height, approximate measure, capitalization, and spacing guidance where those choices materially affect readability.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsProvide a reliable fallback
Webfonts may fail to load, may be unavailable in an office application, or may not be licensed for every contributor. Specify a fallback stack and explain when it applies. GOV.UK’s brand guidance is an example of documenting fallback-font direction rather than assuming a preferred font is always available. Test the fallback for character support, line breaks, button widths, and legibility.
Define hierarchy without locking every page
Give contributors a system, not a rigid artboard. State how many heading levels are normally used, how a call to action is distinguished, and when emphasis is appropriate. Keep body text readable at responsive widths and avoid relying on all caps, italics, or color alone to create hierarchy.
Describe imagery and graphic elements
Explain what makes photography recognizable: subjects, setting, lighting, composition, perspective, people, and emotional tone. Say whether images should feel documentary, candid, precise, energetic, or restrained. Include examples of suitable and unsuitable treatments, such as overlays, cropping, duotone, grain, or color correction.
Document illustration, icon, pattern, and data-visualization conventions when they recur. Specify stroke weight, corner treatment, perspective, animation behavior, and whether icons may be mixed from outside sets. If a graphic element is decorative, explain how it should be separated from meaningful content for assistive technology.
Include image-rights and privacy checks in the production workflow. A visually on-brand photograph is still unusable if the organization lacks permission, contains confidential information, or misrepresents the audience.

Define voice, messaging, and editorial behavior
Visual consistency is only half the system. Describe how the brand sounds in a few useful dimensions, such as direct rather than indirect, knowledgeable rather than boastful, warm rather than casual, and concise rather than abrupt. For each dimension, show a short “use this” and “avoid this” example.
Write a message hierarchy
State the core promise, supporting reasons to believe it, proof points, and the action a reader should take. This keeps a homepage headline, a social post, and a product explanation connected without forcing them to use identical words. Mark claims that require legal, technical, or subject-matter review.
Set editorial conventions
Record decisions that otherwise create visible inconsistency:
Recommended Free Tools
- Preferred names for products, features, plans, teams, and audiences.
- Capitalization of headings, buttons, menu labels, and proper nouns.
- Spellings, numbers, dates, units, currencies, and time zones.
- Approved abbreviations and the first-use treatment for unfamiliar terms.
- Pronouns, inclusive language, and terms the organization avoids.
- Call-to-action patterns, such as “Start a trial” instead of vague “Learn more” when the destination is clear.
For web content, W3C recommends unique and informative page titles, headings that convey structure, meaningful link text, clear instructions, and concise language. “Read the pricing details” tells a user more than a repeated “Click here.” Use simple language and formatting appropriate to the context, while preserving technical precision where readers need it.
Apply the system to website formats
Show the rules on representative pages rather than leaving them abstract. A small team can document a homepage, product or service page, article, contact form, and error state. Each example should show visual choices, text patterns, and accessibility behavior together.
Homepage and landing page
Document the relationship between logo, navigation, headline, supporting copy, primary action, imagery, and trust signals. State how many competing calls to action are acceptable and how the layout changes on a narrow screen. Include a realistic headline and button label, not placeholder text.
Navigation and interactive elements
Use consistent names, visual states, focus indicators, and interaction behavior for links, buttons, tabs, menus, forms, and alerts. Repeated navigation should appear and behave predictably. W3C’s accessibility principles note that inconsistent appearance or behavior can disorient people who rely on predictable interfaces.
Articles and support content
Define title length guidance, heading nesting, metadata, lists, quotations, code, tables, related links, and authorship. Show how a long technical explanation remains scannable without replacing necessary detail with vague marketing language.
Adapt the identity to social media
Social channels impose different crops, character limits, aspect ratios, and interaction patterns. The identity should adapt without becoming a collection of unrelated mini-brands.
Profile and cover graphics
Specify the approved avatar or mark, safe areas, cover-image composition, and how text survives responsive crops. Check the result on both a mobile screen and a desktop profile. If a platform overlays controls or rounds an avatar, keep essential details away from those areas.

Feed posts and stories
Provide templates for the formats your team actually publishes. A template should show logo placement, headline hierarchy, text size, color combinations, image treatment, and the maximum amount of copy. Include an example with a short caption, an image description, and a clear action. Keep important information in live text or an accessible caption rather than embedding all meaning in an image.

Explain what may change for a campaign: an accent color, temporary motif, partner lockup, or seasonal image treatment. Define what must remain fixed, such as the logo relationship, type hierarchy, voice, and accessibility checks. This lets a campaign feel distinct without weakening recognition.
The Office for National Statistics service manual provides an example of applying brand color rules and accessible combinations to social graphics. Use such examples as references for the problem they solve, not as a reason to copy another organization’s palette or layout.
Build accessibility into every section
Accessibility belongs beside logo, color, and voice rules, not in a final disclaimer. Add an accessibility checklist to each channel template.
Images
Require meaningful alternative text when an image communicates information. Describe the relevant subject, action, or result rather than repeating a decorative caption. Mark purely decorative images so assistive technology can skip them. If an infographic contains essential data, provide the information in nearby text or an equivalent accessible format.
Free tools Windows power users keep installed

Video and audio
Specify captions for spoken content, transcripts where appropriate, and descriptions of meaningful non-speech audio or visual information. State who supplies, reviews, and corrects captions. A social video template should include these requirements before publication, not as an optional post-processing task.
Text, links, and interaction
Use sufficient contrast, readable sizing, descriptive link labels, visible keyboard focus, and instructions that do not depend on color, shape, position, or sound alone. Test repeated components across desktop and mobile breakpoints. Confirm that an accessible treatment still matches the approved visual system.
Organize assets and templates for handoff
Make the guide operational by connecting each rule to a ready-to-use file. A contributor should be able to move from “use the compact mark on small profiles” to the current compact-mark file in one or two steps.
- Use predictable folders for logos, colors, fonts, photography, icons, social templates, web components, and archived versions.
- Use descriptive filenames with asset type, variant, color mode, and revision where useful.
- Separate approved files from drafts and clearly label deprecated material.
- Include editable source files only where contributors are expected to edit them.
- Record font licenses, image permissions, and any restrictions next to the relevant asset.
- Provide export instructions for common website and social formats.
Templates should contain guidance that survives handoff: locked logo proportions, named text styles, safe areas, contrast-tested colors, and notes for alternative text or captions. Do not assume a recipient can infer the rules from a polished example.
Quick wins for a faster PC:

Name an owner for the guide, an owner for the asset library, and approvers for visual, editorial, legal, or accessibility changes. Record how someone requests an addition or reports an outdated rule. A small team may combine these responsibilities; the important point is that they are explicit.

Review the guide when the identity, assets, team workflow, or channel requirements change. There is no universal review interval established by the cited guidance, so choose a cadence that matches how quickly your organization changes and record the trigger in the guide. Every revision should update the version or last-updated date and preserve a short change log.
Evaluate a template or guide format
Whether you use a document, a web-based handbook, or a design-system portal, evaluate it against the work contributors must perform.
| Criterion | Questions to ask |
|---|---|
| Coverage | Does it include visual assets plus voice, messaging, and editorial rules? |
| Channel fit | Does it show the actual website pages, profile graphics, post formats, and campaign materials you produce? |
| Usability | Can a new contributor find examples, prohibited uses, current assets, and export instructions quickly? |
| Accessibility | Does it address contrast, non-color cues, alternative text, captions, transcripts, readable text, and meaningful links? |
| Maintenance | Are ownership, versioning, approvals, and change procedures visible? |
These are practical comparison axes synthesized from the visual, verbal, application, and accessibility guidance. They are not a published scoring standard. A short guide that answers real production questions is more valuable than a large library that contributors cannot navigate.

Common failure modes and fixes
A catalog with no usage rules
Symptom: contributors have the right files but produce different layouts, crops, and combinations. Fix: add context, hierarchy, spacing, approved pairings, and correct/incorrect examples.
A guide that covers only design
Symptom: pages look related but captions, button labels, and support answers sound unrelated. Fix: document voice, message hierarchy, terminology, and editorial examples beside the visual rules.
A single “brand color” used everywhere
Symptom: text, buttons, charts, and alerts fail contrast or become difficult to distinguish. Fix: assign functional roles, test combinations against applicable WCAG requirements, and add labels or icons for meaning.
Social templates treated as miniature websites
Symptom: text is unreadable after cropping, essential information exists only in an image, or the profile mark is hidden by platform controls. Fix: test each format on real devices, define safe areas, shorten copy, and provide accessible captions or accompanying text.
Outdated source files
Symptom: multiple versions circulate and no one knows which is approved. Fix: centralize the source of truth, label archives, add version information, and assign an owner with a change process.
