You cannot edit supplier data in GSTR-2B. Compare the tax invoice with your purchase records and the relevant GSTR-2B entry, identify the wrong or missing field, and ask the supplier to correct the outward-supply data it filed. Then wait for the corrected document to flow into the applicable GSTR-2B and separately test whether the credit satisfies the CGST Act. A corrected portal record is necessary in many cases, but it is not, by itself, legal approval of input tax credit (ITC).
What you can and cannot change
GSTR-2B is a read-only statement for the recipient. GSTN’s FAQ answers the question directly: “No, you cannot make any changes or add document in your Form GSTR-2B, in case there are any errors or omission in the details uploaded by your supplier taxpayers?” See the GSTN GSTR-2B FAQ.
The supplier controls the invoice information it filed in its outward-supply return. You can reconcile, communicate the correction, and use available Invoice Management System (IMS) actions, but those recipient actions do not rewrite the supplier’s return. The practical remedy is therefore:
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →- preserve the original tax invoice and proof of the transaction;
- compare the invoice, purchase ledger and GSTR-2B record;
- give the supplier a precise correction request; and
- verify the supplier’s amendment and your own section 16 eligibility before claiming or retaining ITC.
GSTR-2B visibility and ITC eligibility are separate questions. A missing, pending or rejected portal record is not conclusive proof that the underlying supply did not occur, while a visible record does not remove other statutory restrictions.

First identify exactly what is wrong
Do not ask a supplier to “fix GST” without identifying the document and field. Match the supplier’s tax invoice to your purchase ledger and the relevant GSTR-2B entry. The core invoice particulars listed in the CBIC invoice rules provide a useful reconciliation checklist.
| Check | What to compare | Why it matters |
|---|---|---|
| Supplier GSTIN | GSTIN printed on the invoice versus the supplier record in GSTR-2B | Identifies the taxable person who reported the supply. |
| Recipient GSTIN | Your registered GSTIN on the invoice and in the filed document | A wrong recipient GSTIN can send the document to another registration or keep it out of your statement. |
| Invoice number and date | Exact alphanumeric number, date and financial-year context | Determines whether the document is matched, duplicated or treated as an amendment. |
| Taxable value | Invoice value before tax versus reported taxable value | Changes the tax base and may indicate a substantive value error. |
| Tax type and amount | IGST, CGST and SGST/UTGST amounts and rates | Determines whether the tax reported is consistent with the supply and the credit claimed. |
| Place of supply | Invoice and return place-of-supply code, especially for an inter-State supply | Can affect whether IGST or a State tax treatment is appropriate. |
| Document status | Missing, pending, accepted, rejected or amended in the available portal view | Status controls portal flow, but does not by itself decide whether the supply is genuine or eligible. |
Classify the problem before contacting the supplier:
- Absent document: the invoice is not in GSTR-2B at all.
- Wrong registration: the supplier filed your invoice under an incorrect recipient GSTIN.
- Duplicate: the same invoice appears more than once.
- Particular error: number, date, value, tax, tax type or place of supply is wrong.
- Real commercial change: goods were returned, supply was deficient, or the taxable value or tax genuinely changed after invoicing.
Keep the original invoice, purchase order, goods-receipt or service-acceptance evidence, payment records, ledger extract, GSTR-2B download and correspondence with the supplier. Never silently edit your own copy of the supplier’s tax invoice to make it agree with the portal.
Amendment or credit/debit note?
The correction route depends on what actually happened, not on which option is easiest in the portal. GSTN’s IMS FAQ advises amending an incorrect invoice in GSTR-1 instead of issuing a credit note merely to correct an error in the invoice particulars.
| Situation | Normally appropriate route | Recipient action |
|---|---|---|
| Invoice exists, but a filed field is wrong | Supplier amends the invoice details in its outward-supply return | Send the exact incorrect and correct values; retain both the original invoice and amendment trail. |
| Invoice was filed under the wrong recipient GSTIN | Supplier corrects the outward-supply reporting and, where required, reports the document to the correct registration under the current return process | Do not claim the document merely because the supplier says it will be fixed; wait for the appropriate record and test eligibility. |
| Taxable value or tax was genuinely excessive, goods were returned, or supply was deficient | Supplier issues a credit note, subject to the statutory rules | Account for the note and any required ITC reduction or reversal. |
| Taxable value or tax charged was lower than payable | Supplier issues a debit note, subject to the statutory rules | Check the additional tax, document and reporting period before taking any incremental credit. |
| Duplicate reporting with no second supply | Supplier corrects or reverses the duplicate reporting using the applicable return mechanism | Do not claim both entries; document which purchase is genuine. |
A credit note is not a general-purpose “correction button.” It is intended for cases such as excess taxable value or tax, returned goods or deficient supply. A debit note applies where the taxable value or tax charged was lower than payable. The supplier should select the mechanism that reflects the commercial and tax facts.

Step-by-step correction workflow
1. Reconcile the source documents
- Open the supplier’s original tax invoice and your purchase or expense ledger.
- Download or view the GSTR-2B period in which the document should appear.
- Compare supplier GSTIN, recipient GSTIN, invoice number, invoice date, taxable value, tax amounts and type, and place of supply.
- Record the GSTR-2B status and take a dated copy or screenshot for your reconciliation file.
For an invoice that is not visible, first confirm that the supplier has actually filed the relevant outward-supply document and that you are checking the correct GSTIN, financial year and statement period. An internal purchase entry alone cannot create a GSTR-2B document.
2. Decide whether the issue is an error or a real tax adjustment
Use amendment for an incorrectly reported invoice particular. Use a credit or debit note when the underlying taxable value or tax has genuinely changed for a reason covered by the law. If both issues exist—for example, a wrong GSTIN and a returned portion of goods—ask the supplier how it will report each event and keep the two audit trails separate.

Include enough information for the supplier’s accounts team to locate the filed document without guessing:
- supplier legal name and GSTIN;
- your legal name and recipient GSTIN;
- invoice number and invoice date;
- the return or financial-year context, if known;
- the value and tax currently shown on the invoice and in the portal;
- the correct value, tax, GSTIN, date, number or place-of-supply detail;
- a copy of the invoice and evidence supporting the correction; and
- a request that the supplier amend the filed outward-supply record and confirm the filing period or acknowledgement.
A concise request can say: “Invoice [number] dated [date] was filed with recipient GSTIN [incorrect GSTIN]. Our correct GSTIN is [correct GSTIN]. Please amend the outward-supply record using the applicable GSTR-1 process and confirm when filed.” Put variable details inside your own correspondence; do not alter the tax invoice itself.
4. Understand how the supplier files the amendment
The supplier uses its outward-supply return workflow, not your GSTR-2B, to correct the data. The GSTN GSTR-1 guide describes prior-period credit/debit-note amendments in table 9C for a registered recipient: the interface asks for the financial year and the original note before revised details are entered. The exact table and portal labels can change with later GSTN releases, so the supplier should follow the current instructions displayed for its return.

Ask for the supplier’s filing confirmation, but do not treat an email promise or a draft amendment as a corrected tax record. The amendment must be filed successfully and become available through the applicable statement process.
5. Use IMS actions without confusing them with an amendment
Where IMS applies to your registration and document type, review the record there. GSTN states that accepted records enter the ITC-available part of the respective GSTR-2B, while rejected records do not auto-populate into GSTR-3B. IMS status is a workflow decision; it does not replace the supplier’s obligation to correct its outward-supply filing.
For original and amended records, the amended record’s action can prevail. The IMS FAQ also requires attention to the original record’s pending state before acting on its amendment in situations covered by that guidance. Follow the current portal prompts, resolve an original record that must be acted on, and keep a record of the action and date. Do not accept an amended value that you cannot support with the underlying invoice and receipt evidence.
6. Check the next applicable GSTR-2B
GSTN says supplier- or ISD-filed documents are included according to the applicable cut-off. Details filed after a cut-off are reflected in the next open GSTR-2B. Under the workflow described in the GSTR-2B FAQ, the monthly statement is generated on the 14th of the succeeding month. Portal schedules and cut-offs can be revised, so confirm the current return calendar before relying on a particular date.
- Identify the supplier’s successful filing date and the relevant cut-off.
- Open the next statement that should include the amendment.
- Match the amended record to the original invoice and verify that the old error is no longer being treated as a second claimable document.
- Save the updated statement and reconciliation result.
GSTR-2B visibility is not the ITC eligibility test
Section 16 of the CGST Act contains conditions beyond portal auto-population. In general, the recipient needs applicable tax documentation, receipt of the goods or services, business use, and satisfaction of the other statutory conditions, including restrictions and reversal rules that may apply to the facts. The CBIC consolidated CGST Act PDF cited here is consolidated only through 1 January 2022; later amendments, notifications and circulars must be checked for a current claim.

Before claiming or retaining the credit, verify:
- the invoice is genuine, complete and issued for your registered business;
- the goods or services were actually received, including any required evidence of delivery or performance;
- the supplier’s filing and communication conditions applicable to your claim are satisfied;
- the tax type and place of supply are consistent with the transaction;
- the credit is not blocked or otherwise ineligible under the Act or rules;
- any payment-related condition, reversal or re-availment rule has been addressed; and
- the claim is within the applicable time limit.
GSTN cautions that GSTR-2B displays specified unavailability scenarios, not every possible ITC restriction. A green-looking or accepted record cannot cure a blocked credit, non-business use, failure to receive the supply or another statutory defect.
Claim deadline and exceptions
CBIC Circular 237/31/2024-GST describes the general section 16(4) time limit as 30 November following the end of the relevant financial year, or filing of the relevant annual return, whichever is earlier. That is the general rule stated in the circular, not a guarantee that every invoice or taxpayer receives that much time.
The same circular discusses retrospective relief under subsections (5) and (6) for specified cases. Those provisions are fact-specific and do not create universal relief for every late, missing or incorrect invoice. Check the current Act, the circular, subsequent notifications and any state or IGST implications before relying on an exception. If a supplier correction is delayed near the deadline, escalate promptly to the person responsible for GST compliance and obtain professional advice on whether a claim, reversal or amendment is still permitted.

The invoice is completely missing from GSTR-2B
Confirm the supplier filed the document, the supplier used your exact GSTIN, and you are viewing the correct period. Request filing or correction from the supplier. Do not add the invoice yourself to GSTR-2B, and do not treat your purchase ledger as a substitute for the supplier’s required communication. Once the supplier files, follow the relevant cut-off and check the next statement.
The recipient GSTIN is wrong
Tell the supplier the filed GSTIN and the correct GSTIN in writing. Ask how it will correct the original reporting and ensure the document reaches the correct registration under the current return process. Keep evidence that the goods or services were supplied to your business. Do not claim a document reported to another GSTIN merely because the invoice paper shows your name.

The invoice number or date is wrong
Compare the supplier’s accounting record, the invoice PDF and the filed value. Request an amendment when the supply and tax are unchanged but the reported particulars are incorrect. Watch for duplicate records after the amendment and reconcile the original and amended references.
The tax amount or taxable value is wrong
Determine whether the supplier made a data-entry error or whether the commercial consideration actually changed. A pure reporting error normally calls for amendment. Excess value or tax, returned goods or deficient supply may require a credit note; an undercharge may require a debit note. Recalculate the credit and any reversal using the corrected document and the applicable rules.
The record is rejected in IMS
Read the rejection reason and compare it with the invoice and receipt evidence. A rejected record does not automatically prove that the supply was fictitious, but it will not auto-populate into GSTR-3B under the GSTN-described workflow. Ask the supplier to correct the underlying data where necessary, then take the appropriate current IMS action only when the record is supportable.

Records, controls and escalation
Maintain a correction register with the following columns:
- supplier GSTIN and name;
- recipient GSTIN;
- invoice number and date;
- error category and incorrect versus correct value;
- date the supplier was contacted;
- supplier response and filing acknowledgement;
- expected GSTR-2B period and actual appearance date;
- IMS action, if any; and
- final ITC decision, including any reversal or reason for non-claim.
Reconcile supplier corrections before each relevant return filing rather than waiting until the section 16(4) deadline. For high-value invoices, related-party transactions, inter-State supplies, credit/debit notes or disputed receipt dates, involve the person responsible for your GST return and obtain taxpayer-specific advice. This guide explains the general Indian GST and portal workflow; it is not individualized tax advice.
Quick Recap
Mistakes to avoid
- Trying to edit GSTR-2B: the recipient cannot add or change supplier documents in the read-only statement.
- Using a credit note for every typo: a note should reflect a real value, tax, return or deficiency event; an incorrect invoice particular generally calls for amendment.
- Claiming solely because the invoice is visible: receipt, business use, blocked-credit rules, reversals and time limits still apply.
- Assuming a rejected or missing record proves no supply occurred: portal status and the underlying transaction are different questions.
- Waiting for an informal promise: require a filed correction and verify the resulting statement.
- Ignoring the deadline: use the general 30 November rule described by CBIC Circular 237/31/2024-GST as a control date, while checking the annual-return trigger and any specific statutory exception.
- Overwriting source records: preserve the original invoice, amendment, correspondence and reconciliation so an auditor can follow what changed and why.
