Find the exact database record, copy its profile URL, and use that provider’s correction or privacy channel. State the incorrect field, give the accurate replacement, and include a link to a current employer biography, author page, or byline when available. Cision, Muck Rack, and Prowly document different routes, so correcting one database does not automatically change another.
Start with the exact record
Media databases are separate systems. A corrected record in one service does not prove that a profile copied or independently researched by another service has changed. Open the listing that contains the error and record:
- the database or provider name;
- the complete profile URL;
- the displayed name, outlet, role, email, phone number, beat, biography, and other fields that are wrong;
- the date you captured the listing, in case the page changes while the request is being handled.
Do not send a general complaint such as “my profile is outdated.” A field-by-field request lets the research team make a precise change and reduces the chance that an accurate detail is removed along with an inaccurate one.
Prepare a correction that can be processed
Separate the requested outcome
Decide whether you want a correction, a profile claim or edit, a restriction on processing, or complete removal. Those are different outcomes. For example, replacing an old outlet while keeping a useful journalist profile is a correction; asking that an unclaimed record disappear is a removal request. Say which result you want in the first sentence.

List each incorrect and correct value
Use a two-column list in your message. Include the exact value shown and the replacement value. Typical fields include current outlet, job title, email address, work telephone, social profile, location, languages, career history, beat or topic, and pitch preference.
Include practical verification
Link to a current employer biography, author page, staff directory, or byline page that supports the replacement. The providers below do not state that such a link is universally mandatory, so do not delay a request if you lack one; explain how the provider can verify the information instead. Send only information reasonably needed to identify the record and substantiate the change, not unrelated identity documents or sensitive personal records.
Capture your submission
Save a copy of the form, email, ticket number, profile URL, and attachments. If a provider later asks for clarification, you can answer the same request rather than starting over.

Which correction route applies?
| Provider | Documented route | Claim or self-management | Removal route | Identity or timing information |
|---|---|---|---|---|
| Cision | US update/add/remove form; privacy and regional media-update contacts are also available. | Not stated as a journalist self-edit tool; the form collects the replacement details. | The form has “Remove an existing profile”; the privacy notice also accepts removal requests. | The form requests professional identifiers. No general correction service-level time is stated. |
| Muck Rack | Claim and manage a profile through its journalist-profile tools, or contact privacy support for personal-information corrections. | Claiming a profile is the documented way to control information shown to communications professionals. | For an unclaimed profile, the privacy notice directs a request to hello@muckrack.com with the profile link. | The company may verify identity through email or social accounts. No general correction deadline is stated. |
| Prowly | Open the contact card and select “Ask for an update.” | The documented workflow is for reporting a contact; it does not establish that every journalist can directly self-edit. | Not stated in the cited workflow. | Prowly evaluates feedback daily, but says some updates can take up to a few weeks and sends an email when the contact is updated. |
These procedures are provider-specific. Other media databases may use a support ticket, account dashboard, privacy form, or a regional data-protection contact instead.
Correct a Cision profile
Use the US update, add, or remove form
- Open Cision’s “Update/Remove Media Profile” page.
- Choose “Update an existing profile” for inaccurate information. The same form also offers “Add a new Profile” and “Remove an existing profile,” so select removal only when you want the record taken out rather than amended.
- Provide the professional identifiers requested by the form, including your name and email. Add the work number, job title, media outlet, social profiles, outlet country, languages, outlet URL, career history, beats or topics, and pitch preference as relevant to the correction.
- Paste the exact profile URL and describe every field that needs changing. Put the old value and the accurate value next to each other.
- Submit only the information needed to identify and update the record. Cision says the supplied details may be used to update or create a profile in its database, sister companies, and affiliates accessed by public-relations clients. Read that disclosure before submitting personal information.
Use Cision’s privacy or regional route when the issue is broader
Cision’s privacy notice for journalists and other influencers says people can send updates or request removal through its global research teams or regional forms. It lists Privacy@cision.com for profile amendment or removal requests. If your listing is handled through the United Kingdom, Cision’s UK Journalist Services page provides a profile form and lists ukmediaupdates@cision.com for UK media updates. Identify the relevant country in your message because regional handling can differ.

When to choose removal instead
If you want no profile at all, select “Remove an existing profile” or use the privacy contact and state that the desired result is removal, not a field correction. If you only need an old employer or email replaced, request an update so useful, accurate information is not discarded.
Correct or claim a Muck Rack profile
Claim and manage the profile when you want ongoing control
Muck Rack’s Help Center has a Journalist Profiles collection covering claiming or creating a profile, verification, and profile management. Claiming is appropriate when you want to maintain the information shown to communications professionals rather than submit a one-time correction. Follow the verification prompts in the profile workflow and review the complete record after access is granted.

For a correction request, the Muck Rack Journalist Privacy Notice directs people to privacy@muckrack.com. Include the profile link, the inaccurate field, the replacement value, and a concise explanation of how the replacement can be verified. The notice says Muck Rack may ask you to verify identity through email or social accounts; respond through the same request so the review is not duplicated.
Request removal of an unclaimed profile
The notice directs removal requests for an unclaimed profile to hello@muckrack.com with the profile link. Make clear that you are seeking removal of the profile, not merely correction of one field. If the profile is claimed, explain that status and ask which privacy or account route applies.
Understand the legal-rights qualification
The notice describes access, correction, restriction, deletion, portability, and certain objection rights. The actual scope and outcome of any legal right depend on the law that applies to you and the facts of the request. Treat the notice as the provider’s process description, not a promise that every request will be granted or completed by a universal deadline.

Report an outdated Prowly contact
Submit the update from the contact card
- Open the journalist’s contact card in Prowly’s media database.
- Choose “Ask for an update.”
- Select the reason that best matches the error, such as a changed name, outlet, email, or role.
- Enter the correct field value and any other information needed to explain the change. Add a current public verification link when one is available.
- Submit the report and keep the confirmation or screenshot for your records.
Prowly says it evaluates user feedback daily, but certain updates can take up to a few weeks. It also says it will email when the contact has been updated. A few-week window is not a guarantee that every type of change will take that long; it is the provider’s stated qualification for some updates.
This documented workflow is for users reporting an outdated contact. It does not establish that every journalist can directly edit a Prowly profile, so use “Ask for an update” rather than assuming a self-service editor exists.
Use a clear correction message
The following structure works for an email, support ticket, or form text box. Replace the bracketed items with your information; keep the variable text inside the code-style fields when copying the template.
Subject: Correction request for journalist profile: [name] at [database]
Hello [database support or research team],
Please correct this profile: [profile URL]. The following information is inaccurate:
- Current listing: [incorrect field and value]
- Correct information: [accurate field and value]
- Verification: [link to current employer biography, author page, or relevant byline]
Please confirm when the record has been updated. If this request needs to go through a privacy or data-protection process, please let me know the appropriate route.
Thank you,
[name]For multiple errors, add one bullet per field. For a removal request, replace the field list with a direct sentence such as “I request removal of this unclaimed profile” and retain the profile URL. Do not combine a removal demand with an ambiguous request to preserve selected fields; explain the intended result.
What to do after submitting
Check the record, not just the acknowledgement
An automated email or ticket number confirms receipt, not completion. Reopen the profile URL after the provider’s stated window, or after a reasonable interval when no window is published, and check each requested field. Prowly says it will email when an update is made; Cision and Muck Rack’s cited materials do not publish a general correction service-level time.

Follow up with the original evidence
If the profile is unchanged, reply to the existing ticket or email. Repeat the URL, the specific field, the old value, and the new value, then attach or link the original verification. Avoid opening several duplicate requests because separate tickets can make ownership of the correction unclear.
Escalate a privacy matter through the privacy channel
Use the provider’s privacy contact when you are requesting access, correction, restriction, deletion, or another personal-data right, or when the normal profile control does not address the problem. State the jurisdiction or country relevant to you, without asserting a deadline that the provider or applicable law has not established.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. If the same error appears in several databases
- Make a list of each provider and its separate profile URL.
- Submit a provider-specific request using that service’s documented route.
- Use consistent replacement wording for your role, outlet, beat, and preferred contact method.
- Track each request independently, including submission date, ticket number, and outcome.
- Recheck every profile after the relevant provider responds; one company’s update does not propagate automatically to another database.
A current personal website, employer biography, or byline page can help you keep the wording consistent, but it does not give you administrative control over a third-party database.
Common problems and fixes
The form asks for more information than the correction needs
Complete the fields necessary to identify the professional record, but do not volunteer unrelated sensitive documents. If a required field is irrelevant or you cannot safely provide it, explain that limitation in the form or use the provider’s privacy contact.

The profile is unclaimed and you want it gone
Use the removal route rather than a claim workflow. Cision’s form explicitly includes removal; Muck Rack’s notice directs unclaimed-profile removal requests to hello@muckrack.com with the profile link. Prowly’s cited procedure documents update reporting, not a general deletion process.
You claimed the profile but an old field remains
Check the profile-management controls first. If the field cannot be changed there, submit a targeted correction through the provider’s support or privacy route and identify the account or claimed profile involved.
No response arrives
Confirm that the request went to the correct regional or privacy address, then follow up in the original thread with the saved profile URL and submission date. For Prowly, allow for the stated possibility that some updates take a few weeks. For Cision and Muck Rack, the cited materials do not provide a general response deadline, so do not present a fixed number of days as a guaranteed standard.
