If the goods move in a different vehicle, update Part B of the existing e-way bill before the replacement vehicle continues the journey. If the submitted invoice, destination, or another bill field is wrong, you cannot edit it after submission: cancel the bill within the permitted window and generate a new one with corrected details. The India GST e-Way Bill System treats these as two different procedures.
First decide what actually changed
The correct action depends on whether the change concerns the conveyance or the bill itself. Do not try to fix an invoice or destination error by entering a new vehicle number.

Vehicle or conveyance change
Part B must identify the conveyance actually carrying the goods. A breakdown, a change of truck at a depot, a transfer from truck to rail, or another transshipment is therefore handled by updating Part B, provided the bill remains active and valid.
Route change
A changed route is usually handled as a changed movement leg: record the current place and state, explain the reason, and enter the conveyance or transport document for the next leg. The reviewed official material does not establish a separate, universal “edit route” function. Keep the latest Part B information consistent with the route and conveyance actually being used.

Incorrect submitted information
After submission, the e-way bill itself is not an editable form. The official FAQ states: “If there is a mistake, incorrect or wrong entry after submission of the e-way bill, then it cannot be edited or corrected. Only option available is cancellation of eway bill and generate a new one with correct details.”
Who is allowed to update Part B?
Access depends on transporter assignment at the time of the change.
- No transporter assigned: the e-way bill generator can update Part B.
- Transporter assigned: the assigned or current transporter updates the conveyance details.
- Bill assigned onward: the latest transporter to whom the bill is assigned performs the update for the next leg.
This allocation matters during a breakdown. The person who created the bill may no longer be the account permitted to change the vehicle after a transporter has been assigned.
How to update vehicle details in Part B
Use the e-Way Bill System portal while the bill is active and before the goods continue in the changed conveyance. The exact menu wording can change, but the operation is the portal’s vehicle or transport-detail update action for Part B.
- Confirm the bill number and status. Make sure you are working on the active bill for this consignment and that its validity has not expired.
- Sign in with the authorized account. Use the generator account when no transporter is assigned, or the assigned/current transporter account when transport responsibility has been assigned.
- Open the Part B vehicle or transport update option. Select the existing e-way bill rather than creating a second bill merely because the truck changed.
- Enter the current location. Provide the place and state from which the next movement leg will begin. In the API field model these are represented as
fromPlaceandfromState. - Choose the reason for the change. Select the applicable reason code and add the reason description where required. The API identifies these as
reasonCodeandreasonRem; use a truthful explanation such as vehicle breakdown or transshipment. - Select the transport mode. Set the mode that will carry the goods on the next leg, not the mode used earlier in the journey.
- Enter the movement identifier. For road transport, enter the vehicle number. For rail, air, or ship, enter the relevant transport document number and date. The technical validation requires a vehicle number for road movement and a transport document number for the other listed modes.
- Submit the update. Save the Part B change before the goods are transferred or the replacement vehicle proceeds.
- Review the resulting bill. Check that the latest Part B entry shows the actual conveyance, current place, mode, and reason. Retain the updated bill information with the transport documents.
Rule 138(5) requires a transporter transferring goods from one conveyance to another to update the conveyance details before the transfer and further movement. Updating after the replacement vehicle has already departed defeats the timing requirement.

What to do in common vehicle and route-change situations
Vehicle breaks down on the road
- Stop the consignment transfer long enough to identify the replacement conveyance and current location.
- Have the authorized generator or transporter update Part B with the replacement vehicle number.
- Use a reason that accurately describes the breakdown or replacement.
- Allow the goods to continue only after the update is submitted and the bill reflects the new vehicle.
The official FAQ says the e-way bill should always show the vehicle actually carrying the goods. It also indicates that Part B can be updated repeatedly when vehicles change, as long as the changes are made within the bill’s original validity period.
Goods are transferred during transshipment
For each new movement leg, update Part B with the vehicle or other conveyance carrying that leg. If a truck brings the goods to a hub and another truck takes them onward, the second truck’s details belong in the next Part B entry. The same principle applies when the journey changes from road to rail, air, or ship.

The planned route changes but the vehicle remains the same
Do not invent a vehicle change when none occurred. If the route is diverted because of a road closure or another operational reason, keep the conveyance data accurate and use the portal’s current-place and reason fields when recording the next movement information. If the route change also creates a new transport leg or a different mode, update Part B with that leg’s conveyance details before continuing.
The mode changes from road to rail, air, or ship
Change the mode in Part B and provide the identifier required for that mode. A road vehicle number is not a substitute for a rail, air, or ship transport document number in the API validation. At every stage, the portal record should match the conveyance actually in use.
When you must cancel and generate a new e-way bill
Cancellation and regeneration are required when the error is in the submitted bill data rather than in Part B’s transport details. Examples include an incorrect invoice reference, wrong taxable value, wrong consignor or consignee, incorrect destination, or another material entry that cannot be repaired through a vehicle update.

- Check the bill’s status and whether it has been verified in transit.
- Use the cancellation function while cancellation is still permitted. The general official FAQ states a 24-hour period from generation for cancellation.
- Correct the underlying invoice or consignment information.
- Generate a new e-way bill using the corrected data.
- Give the carrier the new bill details before movement continues.
Do not assume that the 24-hour statement overrides every restriction. The cited rules state that an e-way bill cannot be cancelled once it has been verified in transit. Check the live portal status and the applicable current rule before attempting cancellation.

No. A Part B update records a new conveyance; it does not restart or recalculate the e-way bill’s validity clock.

The FAQ says validity expires at midnight on the last day. Later Part B entries do not add days, even when several replacement vehicles are used.
How to handle a delay or an expiring bill
A vehicle change can consume time without adding validity. If an exceptional event prevents timely delivery, check the portal for the validity-extension option before the bill expires. The official FAQ lists circumstances such as a natural calamity, law-and-order problems, transshipment delay, or a vehicle accident.
The transporter carrying the consignment at expiry normally requests the extension. If no transporter is assigned, the generator may be able to request it. The request requires the reason, current place, remaining distance, and the relevant Part B information. The API documentation likewise identifies the current transporter, or the generator when no transporter is assigned, as the party that may extend validity.

- Do not treat an extension as an automatic consequence of updating the vehicle.
- Submit the request while the portal permits it and use a specific, supportable reason.
- Enter the actual current location and remaining movement information, not the original estimate.
- Verify the new expiry shown by the portal before onward movement.
Portal options and timing can change, so confirm the available extension action for the individual bill.
Important short-distance exception
Rule 138(5) includes an exception for movement of goods under 10 kilometres within a State or Union territory from the transporter’s place of business finally to the consignee’s place of business. This is a narrowly described fact pattern. It should not be generalized to every local delivery, depot transfer, or short diversion; examine the actual places, parties, and movement before relying on it.
Validation checks and technical fields
The portal and API validation require the e-way bill to be active and within its validity period when transport details are updated. The documented fields explain what the portal is checking:

Worked examples
Example 1: truck breakdown before a state border
A consignment is still within its original validity period when the truck fails. The transporter assigns another truck at the breakdown location. The transporter updates Part B with the current place and state, selects the breakdown reason, enters road mode and the replacement vehicle number, and submits the change before loading the goods into the replacement truck. The expiry date remains the one established by the first Part B entry.

Example 2: road-to-rail transshipment
A truck delivers goods to a rail terminal and the onward leg is by train. The authorized party records the terminal as the current place, selects the new mode, and enters the rail transport document number and date. A truck registration number is not the correct identifier for the rail leg.
Example 3: wrong consignee entered at generation
The vehicle and route are unchanged, but the consignee on the submitted e-way bill is wrong. A Part B vehicle update cannot repair that error. The bill must be cancelled if the current status and timing allow it, and a new bill must be generated with the correct consignee details.
Example 4: diversion with a later delay
A road closure forces a route diversion, and the goods later face a qualifying transshipment delay. The conveyance information is updated for each new leg. Because those updates do not extend validity, the transporter separately checks the extension option, supplies the reason, current place, remaining distance, and current Part B details, and confirms the resulting expiry shown by the portal.

Operational rule to remember
Keep one active e-way bill aligned with the goods’ actual movement: update Part B before every changed conveyance or mode, let only the authorized generator or current transporter perform the update, and use cancellation plus a new bill for errors in submitted bill information. Vehicle changes preserve the original validity clock; they do not create a new one.
